1 Scope of application
This standard defines the sample types for Robert Hofmann GmbH and regulates the labelling, storage and storage duration of sample parts unless otherwise specified by customer requirements and/or directives. This standard applies to ALL suppliers that supply sample parts and raw materials to Robert Hofmann GmbH.
2 Definition of sample types
2.1 Prototype model (PT) T2
Samples for testing the development level (for example for the construction of prototype vehicles) or for defining a target development level (for example coordination samples) (PT = prototype samples)
2.2 Tool samples (WM) T0-T1
Samples for evaluating the degree of maturity of parts or tools. In the course of the matching process, tool samples also serve the purpose of the practical geometric examination of functional and optical relationships.
2.3 Initial samples (EM)
Samples that are exclusively made with the equipment and methods provided for series / small series production, under the associated boundary conditions. Assumptions: series supplier, series tools, series equipment (machines, presses, etc.), series material, trained staff, auxiliary materials (coolant, etc.).
2.4 Series / small series samples (SM)
Samples for documenting the actual condition of series deliveries. For example, verification of process changes, first series or subsequent series deliveries without initial sampling by suppliers.
2.5 Reference samples (RM)
Samples for representing properties that are difficult to specify, such as surface precision, structure, colour, haptics (haptics = subjective feeling by touch) and form fit to connection parts. Each sample may also be declared as a reference sample. As a rule, the PT, WM and SM samples require additional initial samples (EM).
3 Purpose of sample parts
- Verification of dimensional accuracy - Verification of installability - Verification of function - Verification of material properties - Verification of fulfilment of requirements for optics and haptics; that is, presentation of properties that
are difficult to specify (see test criteria below) - Documentation of specifications that are not adequately described by drawing / CAD specifications
alone - Documentation of limit values for parts that cannot be manufactured according to established
specifications. (For example, disturbances in body skin parts, drawing folds, constrictions, etc.). Facilitation of finding errors in parts for which there shall be primarily a form fit to connection parts
- Documentation of actual condition of a part at a certain point in time
4 Commissioning of sample parts
Sample parts are commissioned through the procurement department (if applicable, project-specific arrangement). Sample number, price and delivery date will be agreed with the supplier prior to commissioning.

5 Labelling
5.1 Labelling of sample components
Sample parts are to be marked by sample stickers or sample labels. Test reports and the respective sample parts shall be associated to one another. The sample parts stickers will be made available to the manufacturer upon the commissioning of the sample parts. Development samples are to be marked only by attaching sample stickers.

5.2 Labelling of sample parts with deviations
In case of deviations, a yellow or red label shall be used, on which the particular deviation is clearly indicated. It may be identical to 5.1 but must carry a clear description of the status.
Furthermore, the deviation is to be reported in writing beforehand to the contact person for project purchasing, QA, project management.
5.3 Labelling of the packaging / the load carrier
In addition to the standard labelling by means of VDA goods labels, sample part packaging shall be marked with the "sample parts" sticker. This is provided to the manufacturer upon the commissioning of the sample parts. The manufacturer is to attach the "sample parts" sticker in an easily visible manner next to the VDA goods label.

5.4 Packaging of granulate deliveries
5.4.1 Pallet deliveries
It shall be observed that for
a) EWP (solid wood):
Only treated and correspondingly marked pallets are used.

INKA pallets may also be used.
The goods shall be properly secured to the pallet and be suitable for transport overseas (e.g. China, U.S.....); i.e., the packaging shall meet the requirements of the goods to be packaged (§§ 407 et seq. of the German Commercial Code (Handelsgesetzbuch)). I. e. it must be able to withstand the stresses of the proposed mode of transport. This means that the transport route and means of transport, along with circumstances that may have an effect (such as weather conditions and handling) shall be considered when there are transshipments.
5.4.2 Documents
For all granulate / batches • the corresponding safety data sheet in English
• the acceptance test certificate 3.1, but at least, however, the factory certificate 2.2 shall also be delivered.

6 Storage of sample parts
Sample parts are stored depending on: - Customer agreements - Criticality of the respective part - Requirements for the quality verification. - Sheet metal parts shall be protected from corrosion - Electronic parts shall be delivered or stored in an ESD-safe manner
6.1 Duration of storage
Initial samples are to be stored up to 3 months after the last order of the project if they - document the new condition of the tool (corresponding to the first approved initial samples) - are relevant to safety or function,
or if the initial sample parts have important features similar to initial sample parts that document a change status at a specific point in time or a model year, they are to be stored at least until they are replaced by a new change status. Exception: For parts relevant to safety or function, all approved parts are to be stored.
6.2 Requirements for the storage location
Closed, dry and clean room close to production or in the area of the sampling coordination office (incoming goods inspection or evaluating receiver).
7 Tolerances If no tolerances are provided, the general tolerances for linear dimensions according to DIN ISO 2768-1 in the three process-dependent categories of m (medium), c (coarse) and v (very coarse) shall apply
1. Category m (medium) - Stereolithography (SLA) - Vacuum casting - CNC milling / laser cutting
2. Category c (coarse)
- Selective laser sintering (SLS) - Selective laser melting (SLM and ALM)
3. Category v (very coarse)
- Fused Deposition Modelling (FDM) Moulded parts are to be created in accordance with DIN16742:2013-10, table 2 TG4.
8 History
For each part / project, a history is to be generated; for this purpose, the template of Annex xx may be used. This history is to be submitted to the purchasing department and the quality department at regular intervals.

The test criteria are defined in accordance with VDA16. Examples can be taken from RHS-LAK - Decorative surfaces.
