    Key components of the ManagementSystem

    In the development of systems to manage the quality on projects, the following 4components must be incorporated into the management system as illustrated in thefollowing diagram:

    Each component of the management system is now explained in detail.

    ! Project Management Documentation

    Management documents are higher level project documents and include such thingsas a project plan, quality plan, drawings, specification, etc. These documents shallhave:

    " Documentation number

    " Date of Original issue

    " Revision dates & numbers

    " Controlled copies listed to specified parties

    " Register of documentation & revisions

    " Revised sections identified

    See example quality plan attached as Quality Plan 1. Later in the program we willlook at completing a Quality Plan.

    !Inspection & Test Plans (ITPs)

    ITPs are used as a control mechanism on projects. They detail the procedures youwill be following to complete the key tasks on the project.

    This component should include:

    "Required standards & specification compliance, including limits

    "Method of testing

    "Frequency

    "Responsibility

    "Verification checklist

    See an example of Inspection an Test Plan (ITP) attached as ITP 1. Later in theprogram, we will look at completing and ITP.

    ! Technical Product documentation

    Product documentation is often the outcomes from the ITPs and provides data that

    can be handed over to your client.In addition, your client may want to see copies of these documents as they may beon-selling the product to others.

    This component should include:

    " Test certificates

    " Product data

    " Warranty information

    " Component material certificates

    Product documentation relates to the technical information required on your buildingand construction project. It is the information that gives you the specification andquality detail required to design and build your project.

    ! Specifications

    Specifications are further product detail.

    This component includes:

    " Scope of work

    Consider the diagram below. It depicts the many different areas that must betaken into consideration in the design of a management system for anorganisation in the building and construction industry.

    Therefore, an organisation should develop processes that not just cover qualityrequirements, but deal with the many other regulations and issues that building andconstruction operators must meet in order to be successful in operation.

    Benefits of developing a management system

    The benefits of developing a simple management system are very substantial and

    include:

    Being more effective in our work

    - ensuring all construction staff have same knowledge on each project

    Our communication & documentation improves

    - we have identified the best consistent documentation

    - we have standard procedures for information reporting

    Enables us to achieve our requirements client requirements

    - certification requirements

    Protects from litigation

    The management system assists in demonstrating our construction and projectmanagement skills. It protects us from claims that might occur if we do not haveadequate systems in place.
