    1. Domain for the system

    Thisdocumentationprovides a description of the functions and

    constraints of project system focused on hostel management system

    in KTGB ( Kolej Tun Ghafar Baba) in UTM.

    2. Analyze on the existing system

    This system is developed and handled by CICT (Centre of

    Information Communication Technology) develop around 2005 for

    KTGB use to allow students to register for hostel application every

    new semester. This system is also used by KTGB staff to maintain

    details of the current students staying in KTGB. This system is onlyopen before the semester break to allow the students to register. The

    students are allowed only to enter their personal details and choose

    their preferred hostel to stay based on the allocation. There are some

    problems in this system which are some of the students will wrongly

    entered the data and the system cant read the data that may distract

    the officer who handled the system. Other than that this system

    sometimes the system will down because there are too many user

    who use the system at the same time. The most important problem isthat the system cannot show the rooms available and cannot allow

    the student to choose their desired rooms.

    3. Proposed system functional requirements

    I. Only allowed students to register at certain times

    This system will create a timetable for students to enroll based on time so

    that there will be no traffic problem that may cause the server down.

    II. Only authorized staff are allowed to alter the students data

    The students are not allowed to change their data once they enter their

    data in the system.

    III. Introduce merit system marking

    A new function that will help students to record their activity organized by

    the hostel to get in to the quota allocate by the hostel. This will be verified

    by the hostel superior.

    4. Proposed system non functional requirements

    Product requirement

    - Speed

    The response time must be good so that it will fasten the registration process

    Organizational requirement

    - Procedure

    The data key in by user is confidential and cannot be viewed by other

    students and once a student finish key in he just can view the data only and

    any changes must be made at the system by admin.

    External requirement

    - Platform constraints

    The system can be accessed from any web browser and compatible to use in

    other applications such as the data can be transferred to e.g. Microsoft excel

    and so on.

    3. How your system is working, could you explain it?

    - the system will allow students to enter their personnel details and apply to

    stay in the selected hostel.

    4. When the system was deployed and how long it has been used?

    - 2005 and still being used until now.

    5. Do you think is there any problems in your current system?

    - yes because some students will not key in the correct details and the

    system cannot rectify it. Other than that sometimes the system will be

    down. The system also will not show full details of student information.

    6. Who is the stakeholder of the system which means who is responsible for the

    system?

    - the system is develop and handled by CICT but the stakeholder is still

    KTGB.

    7. What do you think if we suggested you a new requirement for the system

    which is to calculate the students merit mark? Do you agree?

    - Yes.
