BBYO’s AZA BBG International Convention 2013 • 5773: ‘From the Roots We Build’ is #inally here!

Your AZA and BBG leadership has been working for months to make this event exciting, meaningful and a great experience for everyone. In order to make sure IC 2013 exceeds even our highest expectations, each participant is expected to set an example of leadership by acting in an appropriate manner at all times. While you are here, remember that you represent yourself, BBYO and the Jewish people.

We have a zero-tolerance approach to any violation of the BBYO Code of Conduct and any discipline matter that comes to the attention of the Convention Director. If you are dismissed from International Convention for disciplinary reasons or Code violations, BBYO sta! will arrange for your immediate travel home, at your family’s expense and without a refund.

Prior to International Convention, we communicated our IC Delegate Expectations. Consequences from poor decisions are explicitly laid out in the AZA and BBG Member Code of Conduct. We urge you to act responsibly. Please make smart choices, and be an exemplary leader at all times!

Thousands of teens around the world wanted to have the experience that we all are fortunate to have at AZA BBG IC 2013. Be sure to take advantage of every opportunity and make us all proud!

The following expectations and guidelines will be in e!ect throughout the Convention:You must wear your AZA BBG IC 2013 nametag at all times. You will not be allowed in any Convention spaces without your nametag.

1. All participants must follow BBYO’s Code of Conduct (explained in the AZA and BBG handbooks). Any teen may be dismissed at any time for violating the Code of Conduct. Disciplinary decisions rendered by the Convention Director are deemed fair and #inal.

2. Behaviors that will result in immediate dismissal include: causing injury to another teen or sta! member; theft or causing damage to hotel or other’s property; violating curfew (leaving one’s assigned sleeping room after “lights out”); possession of #ireworks or #irearms; smoking; consumption/possession of drugs/alcohol or any substance used to create an unnatural high; causing injury to oneself; entering a sleeping room of the opposite gender at any time; gambling; sexual harassment; hazing or demonstrating violent behavior.

3. Participants may not leave the program (except in the case of a medical emergency) from the time of arrival until the time that the Convention concludes. All participants are strictly prohibited from leaving the hotel grounds.

4. Participants must attend and be on time to all programs and scheduled sessions, including meals.

5. All participants must act respectfully toward fellow teens, guests and sta!. Vulgar language and inappropriate gestures – even jokingly – will not be tolerated. This applies to the use of social media.

6. Conduct that endangers the safety, morals, health or welfare of others will not be tolerated.

7. Hotels are busy, open spaces. Please be respectful of other guests by keeping noise down, and do not congregate in hallways, lobbies, or enter other groups’ convention spaces.

8. Visitors are not allowed at the Convention at any time. 9. Requests for room changes will not be honored.10. Should you lose your room key, a sta! member must escort you to the front

desk for a new key to be issued. You will be charged $3.00 per new key.11. Please report any and all damages in your room – heating/cooling, plumbing,

furniture, etc. – to a sta! member. Any unreported damages will be charged to ALL guests in the room.

12. Participants are required to check all prescription medications with the Convention nurses upon registration. Under no circumstance shall a teen share, sell or trade medication of any type – over-the-counter or prescription.

13. You may bring food, but all containers must have their original seal intact. HOMEMADE BAKED GOODS ARE PROHIBITED. Do not bring any food products containing nuts, meat, or shell#ish.

14. Proper/respectful attire must be worn at all times. Please wear shoes in the public spaces of the hotel.

FREQUENTLY ASKED QUESTIONS

Updates or Questions about Travel PlansPlease see Sabrina Moore in the International Convention Operations HQ (Magnolia 1).

Healthcare Issues and Convention Medical Team We’re fortunate to be joined by a talented medical team: Cynthia Miller, Diane Liebeskind, Lawrence (Je!) Je!ries and Elaine Tennen. You can #ind them in the International Convention Operations HQ (Magnolia 1) from 8AM to 11PM each day. Med call will take place each day after breakfast and dinner at the Maryland Registration Desk C. You MUST be accompanied by an IC sta! member to see the nurse AT ANY TIME other than for the meal med calls.

If you require medicine or medical attention, please see an IC sta! member who will contact a nurse. In the case of emergencies that require a doctor, we will utilize the nearest hospital. If additional information, extended care or out-of-hotel medical services are needed, a nurse or the Convention Director will contact your parents or guardians. For your own protection, you should carry health insurance numbers and information with you while traveling outside the hotel.

Specialty Meals, Food Allergies and Glatt Kosher ArrangementsAll meals provided are either vegetarian or will include kosher meat from Glorious Kosher Caterers. For meals including meat, vegetarian options will be available inside the dining rooms.

If you have identi#ied any food allergies (lactose, gluten, eggs, etc.) on your medical form or through the participant survey, please know that there will be a speci#ic meal station in the Dining Room for ONLY those who have specialty food needs and sensitivities. All Glatt Kosher food is being catered through Washington’s premier kosher caterer, Glorious Kosher Caterers. If you have food concerns, please see Ira Dounn, Rebecka Handler, Callie Rosenfeld or Judi Youngman. They will help you get your meal.

Please note that the Dining Room where we eat is NOT a restaurant and cannot honor special requests.

Other Dining OptionsIn addition to the meals that will be provided, during free time teens will have access to the Gaylord Hotel’s various food vendors, which have a wide variety of beverages, snacks and to-go meals.

To accomodate those who would like additional food, IC-speci#ic room service menus will be provided to teen participants each day. This service is pre-paid cash-only, and the arrangements are explicitly between the teen customer and the hotel. Vegetarian options are available, and any meat options are not kosher.

O!-site vendors will not be permitted to deliver food to hotel rooms after curfew.

Valuables, Passports and VISAsThe opportunity to check valuables during registration is intended to help prevent property losses in the rooms and around the hotel. Please note: under no conditions does BBYO accept liability for items brought to the hotel. For this reason we ask that you do not leave your room without locking it, even if you are just going to the ice machine.

Canadian delegates and international delegates should have a copy of their passport with their families for easy faxing/e-mailing, as a back up.

Visitors PolicyThere are no visiting days during International Convention. Please explain this to your friends and family so there are no misunderstandings or disappointments. The schedule is simply too packed! Under no circumstance can any person not participating in IC come to the Convention hotel.

Lost and FoundThere will be a ‘Lost and Found’ box located in the IC Operations HQ (Magnolia 1) throughout Convention. All items will immediately be brought there. If it’s not there, your missing item hasn’t yet been turned in.

Nametags and Room KeysAll participants must wear their nametags throughout the entire day, including meals, for security purposes. If you do not have your nametag around your neck, you will be asked to go back to your room to retrieve it. Please do not switch nametags. With more than 2,000 guests, it is important that we are able to keep track of everyone at all times. Anyone who loses his or her nametag or key will need to pay for a replacement at $3/piece.

Need Assistance?BBYO Convention Sta! will be wearing red vests throughout Convention. Convention Volunteers will be wearing blue vests. Please connect with any of these adults should you need assistance.

CELEBRATING PLURALISM AT AZA BBG IC 2013BBYO strives to create an environment where all Jewish teens and sta! can explore and cultivate their Jewish identity. One of the ways we promote this growth is through encountering new traditions, beliefs and practices, and interacting with others from di!erent backgrounds and perspectives. During Shabbat (from 5:30 pm on Friday through Havdallah at 7 pm on Saturday), all public spaces will be Shomer Friendly. To enable that, we encourage all participants, sta! and volunteers to put away their electronics during Shabbat, and to be as fully present with the IC 2013 community as possible. If you would like to use electronics, we ask that you please do so only in your room. IC 2013 is the largest convention in BBYO’s history. Let’s also make it the most meaningful and impactful convention in BBYO’s history! Nobody can build community alone – we do it together.
