CA Records Manager r12.6 is certified by the Joint Interoperability Test Command
(JITC) to be compliant with version 3 of the U.S. Department of Defense (DoD) 5015.2 Standard in the following areas of the standard:

Chapter 6 – Non-Mandatory Features CA has gained a reputation of being a leader in the market and early adopter of
new and important standards for the records management industry. Following that tradition, this release of CA Records Manager is the first Records Management
Application (RMA) to be certified with SharePoint 2007. The CA Records Manager integration with SharePoint exceeds the requirements for providing government agencies with automated procedures for managing classified working papers and
records that are specified in the standard. And the FOIA functionality to provide government agencies with automated procedures for processing FOIA requests,
Privacy Act requests, and Requests to Amend Records also exceeds the requirements specified in the standard.
NEW DESIGN FOR ADMINISTRATIVE DESKTOP INTERFACE
This release unveils a new user interface for the Administrative Desktop client
which provides a richer end user experience with an updated look and feel, more
configuration options, and the introduction of Crystal Reports.
The Desktop User interface and the Desktop Administrator component have been
completely redesigned to provide enhanced ease of use. The transition of the
previous client application from the PowerBuilder platform onto the Windows
Presentation Foundation (WPF) .NET platform improves usability and incorporates
customer-requested enhancements to the interface. The functionality of the
product is the same, but navigation through the product is slightly different. Users
of previous versions of CA Records Manager will recognize familiar features in the
new design.

Retention Module Incorporated into New Desktop User Interface
As part of the redesign of CA Records Manager, all of the features of the Retention
Module that were introduced in CA Records Manager r12 are now incorporated into
the Desktop User interface and the Desktop Administrator component. The
retention services (Calculator service, Inspector service, and Collector service) are
now available from the new Server Administration utility. There is no longer a
separate Retention Module component. This provides Records Managers and
administrators with more straightforward tools for managing the disposition
process.

ENHANCED USER INTERFACE CUSTOMIZATION FEATURES
Administrative Desktop Interface Detail Tab
Administrators and other authorized users now have much more flexibility when
configuring the display of metadata information on the various tabs in the
Administrative Desktop client. For example, when you customize a Detail tab, you
can design the layout for a one-column or two-column format, add rows, and
arrange the fields in any order. You can also size the fields and not have the field
displayed if the field is empty.
In the CA Records Manager r12 web interface, we introduced the ability to
customize the Detail page by document media type whereby each media type has
an independent set of profile configuration controls. For instance, you can
configure the Detail page for an email record to include the From, Sent, To, and

Subject fields and configure the Detail page for a digital photographic record to
include the Photographer, Copyright, Image Size, and Image Source fields. This
feature is now available in the Administrative Desktop client.
These enhanced configuration options let you tailor the Administrative Desktop User
Interface to meet the needs of your organization and allow you to create different
presentations of the interface for specific users and/or user roles.

New Interface for Configuring Data Columns
Configuring CA Records Manager using the Administrator Function of the Desktop
application is now easier in this release. The All Columns screen is used to
determine the look and behavior of data fields in the Desktop application. For
example, you can hide or expose a data field, make a data field read-only or
writable, add and remove custom fields, make a data field required or optional, and

change the label used to identify the data field. To make these configuration tasks
easier, Administrators now have a user-friendly interface.
Along with this new configuration interface, we introduced the ability to define
custom default values for data fields. This feature allows the default values to be
pre-populated for users.

INTRODUCTION OF CRYSTAL REPORTS
CA Records Manager now comes bundled with Crystal Reports, the industry leading
reporting solution. This uses more current technology and brings enhanced
capabilities. A key benefit is that customers can more easily modify reports or
design their own custom reports. Previously available standard reports have been
redesigned using Crystal Reports and several new reports have been added.
Standard reports now include reports that list user and group access rights (view,
edit, place) to categories (or client/matters) and folders.
The export option is very useful when users want to have reports exported to
popular formats such as PDF, Excel, Word and XML. Users can download reports
and store them for future use or to modify reports further.
CA Records Manager provides two methods for viewing reports using Crystal
Reports:
Crystal Reports Viewer – installed on the local workstation for users to view and print reports from the local workstation.
Crystal Reports Web Site - installed on the CA Records Manager application
server for users to view and print reports from a central location.
CA Records Manager r12.6 ships with Crystal Reports 2008 runtime components
and comes with various predefined system reports for use with Crystal Reports. Using Crystal Reports developer tools, administrators can modify system reports or
design custom reports.
ENHANCED AUDIT CAPABILITIES
CA Records Manager now provides full auditing and reporting for all actions
performed on records in the database. Now all actions are captured at the database level and the audit details identify which CA Records Manager component was used to perform the action. This provides a more comprehensive audit trail
that captures all transactions not just what was done through the user interface. For example, if a document in SharePoint is declared as a record, the audit log will
indicate this.

As in previous releases, administrators can use the Audits node in the Configuration
section of the Desktop Administrator component to configure the types of actions and form activity to audit. In this release, the Was/Is capability was expanded so
that this audit feature can be applied to any metadata field in the CA Records Manager database. The Was/Is feature allows you to compare the current values of fields with their previous values.

SUPPORT FOR FOIA AND PRIVACY ACT REQUESTS
CA Records Manager r12.6 is certified to be compliant with version 3 of the U.S.
Department of Defense (DoD) 5015.2 Standard. This certification includes Chapter 4 requirements for managing records for Freedom of Information Act (FOIA) and

Privacy Act which include extensive workflow, notifications, tracking, reporting,
accounting, and redaction functionality. The functionality introduced in this release to meet these requirements can be used by any organization that must comply with freedom of information, right to know, or open records regulations.
Request Workflows
Requests for information are processed via automated, pre-defined workflows right within CA Records Manager. The workflow is initiated when a new request is
received and logged. Requests are stored as objects in the CA Records Manager database and have related metadata fields for tracking information about the
request, e.g., date received, requestor name and address, request description, fee schedule, request status, etc.
And the great thing is that the workflow tracks the request through the appeals process as necessary. At the completion of the workflow, all records, forms,
letters, and correspondence are filed under the appropriate retention information requests based upon full disclosure, partial denial, or full denial.

Workflow Notifications
CA Records Manager can be configured to send email notifications to the people assigned to the workflow. For example, a new request notification can be sent to
the person responsible for reviewing new requests or an appeal notification can be sent to the person responsible for reviewing appeals.
Request Correspondence
CA Records Manager integrates with Microsoft Office to help you produce request-related correspondence such as the following types of letters:
Acknowledgement letters
Clarification or perfection letters
Disclosure letters
Denial letters
Appeal letters
Extension letters
Information Searches
CA Records Manager discovery search tool, Discovery and Retention Manager is
used for locating information in response to requests. Discovery and Retention Manager allows you to search for:
records managed by CA Records Manager (in managed repositories)
non-records in the following locations:
– CA Message Manager
– SharePoint – File and Network shares
– Laptops
Tagging Search Results
A search is activated and the results, containing both records and non-records, are
reviewed and tagged -- either as disclose, redact, or as exempt. Documents can then be denied or released and redacted as appropriate. Appropriate notifications via denial record forms are also provided.

SUPPORT FOR CLASSIFIED RECORDS WITH SHAREPOINT
CA Records Manager r12.6 is certified to be compliant with Chapter 3 (Management of Classified Records) of the U.S. Department of Defense (DoD) 5015.2 Standard,
version 3. This certification includes managing classified information in SharePoint. Our solution exceeds the requirements specified in the standard to provide government agencies with automated procedures for managing classified working
papers and records.
As in previous releases, the classification feature lets organizations manage information that requires protection against unauthorized disclosure. Authorized users can manage both the classification and declassification of records. When this

feature is in effect, security clearance levels are assigned to user accounts to
control user access to records in CA Records Manager as well records managed in-place.
In this release, we introduced additional ways to search classified records. Authorized users can now include classification metadata (e.g., reason for
classification, exemption, downgrade/upgrade information, declassification type, etc.) in their search criteria. This provides more flexible searching options for classified records. In addition, this release provides the capability to transfer and
expunge declassified records from the classified repository to an unclassified repository so organizations, especially government agencies, can appropriately
segregate and protect classified records as mandated by regulations. CA Records Manager is the only product certified with SharePoint 2007 for
managing classified records. Our integration with SharePoint 2007 was expanded to handle documents in SharePoint that contain security classified information.
New features are described below.
Declaration Of Classified Records In SharePoint
Users can now declare documents in SharePoint as classified records. This means that upon declaration, the appropriate security classification as well as other
classification metadata can be entered. For example, the CA Records Manager classification guides can be applied to populate the following metadata:
Reason for declaration
Downgrading instructions
Declassification instructions
Reason for exemptions
Classification Of Working Papers In SharePoint
Working papers are security classified documents stored in SharePoint which have not been declared as records. Users tag documents as working papers and by
using CA Records Manager classification levels to assign security to these documents, other users are prevented from accessing classified working papers in
SharePoint at levels higher than their clearance level. This ensures that classified information is protected even before it is declared as a record.

Lifecycle Management for Working Papers in SharePoint
To ensure that classified working papers are declared as records, managed, and
protected appropriately, CA Records Manager allows you to manage their lifecycle in SharePoint by providing the capability to configure expiration and grace periods for when working papers must be declared as records. When this feature is in
effect, SharePoint users are notified by email upon the expiration date to declare working papers and if no action is taken within the grace period, working papers in
SharePoint are automatically deleted. The email notifications can be scheduled to be sent to users as frequently as desired up until the expiration date.

NEW SERVER ADMINISTRATION UTILITY
The new CA Records Manager Server Administration Utility, carmserveradmin.exe,
replaces the previous server administration utilities, and provides a single administrative console with enhanced capabilities for configuring CA Records Manager components on the application server. This provides the administrator a
single console to work from, consolidating various tools sets. This interface incorporates administrative functions that let you enroll, configure, and manage CA
Records Manager servers and services such as COM+ services, database registration, repository management, integrations, and auto declaration rules.
Features of this utility include configuration functionality for the following components:
CA RM COM Applications
Registered CA RM Databases
CA RM Repositories
Scheduled Jobs
CA RM Services
Websites
System Analysis
You can install, reinstall, or uninstall all CA RM COM applications at one time. And there is now a default option for registered CA RM databases, just like the default
database option available in the Web Administrator component. This new functionality makes system administration a lot easier.
The Indexer service for enrolling databases for the web interface is also available from the Server Administration Utility. This is the same service that is available in
the Web Administrator component. You can now define schedules and choose the type of database job to run based on those schedules.

NEW CLIENT CONFIGURATION UTILITY
The new CA Records Manager Client Configuration Utility provides a convenient
interface for configuring connectivity between the local workstation and the CA Records Manager application server. This utility replaces previous client
configuration methods and is used to specify the CA Records Manager COM server and the database connection type. This utility makes it easier for IT and the administrator responsible for the components of the software to troubleshoot and
monitor the system.

LOCAL TIME ZONE SUPPORT EXTENDED
In CA Records Manager r12.5.1, we introduced local time zone support in the Web
interface. In this release, we extended this feature to the Desktop interface. This feature is important to global organizations with geographically distributed offices. Previously, users viewing date and time information of a record in the CA Records
Manager Desktop interface would see the date and time of the database server which may be in a different time zone from some users. For example, if a global
organization has users in San Francisco (GMT-8), New York (GMT-5), London (GMT) and Milan (GMT+1) and the database server is in London, date and time
information for all records would be displayed in London regional time (GMT) and format for all users. With localization, the date and time information of the record is converted to the Desktop user’s local time zone and date format. For example, a
user in London files a record on March 17, 2009 at 14:00 local time. Viewing details of this record at the different locations will produce the following results:
3/17/2009 6:00 AM in San Francisco
3/17/2009 9:00 AM in New York City
17/3/2009 14:00 in London
17/3/2009 15:00 in Milan
RECORD AUTHENTICITY
CA Records Manager now provides an enhanced method of authenticating electronic
records in its repositories. In the current e-discovery environment, record authenticity helps organizations with defensibility and the assurance that a record is indeed authentic as declared. A record is considered authentic when it can be
proven that it is what it purports to be and is free from manipulation. Without a tool to help prove that what you say is an authentic record is actually an authentic
record, discovery efforts to determine a record’s authenticity as fact-based evidence can be very costly and time consuming.
Record authenticity in CA Records Manager is now additionally achieved by the
application of hash algorithms. In the past, authenticity was ensured purely through a combination of features such as record id, repository integrity checking,
and audit capabilities. This new electronic fingerprint provides a unique identifier to a particular record. When an electronic record is filed, the hash is calculated and stored in the database. During any access of the record, such as a view, download
or export, the hash of the current document is compared to the original value of the hash in the database. This functionality is transparent to the end user except when
a record’s authenticity is called into question. If the comparison determines that the record is not authentic, the record is blocked and the user is notified that there

is a discrepancy. Notification processes can be set up to alert the system
administrator of the discrepancy after which proper action can be implemented.
Record authenticity is an optional feature and can be configured differently for each repository. Configuration options include:
No hash – does not check or calculate hash
Calculate Only – Calculate hash for documents that do not have hash
Calculate and Check - Calculate hash for documents that do not have hash and compare hash for documents that have hash

FOLDER DEFAULT STATUS
Administrators can now define a default status for when users need to create a new
folder during the declaration of electronic records. In previous releases, only the status of “Virtual” could be assigned to folders created when declaring electronic records. This has been expanded to include the status of “Waiting”. This feature
is useful if your business process requires that the creation of new folders be reviewed for quality purposes.

The default status defined by the administrator is reflected in the title of the form
used to enter the profile information for the new folder. If the profile form is configured to include the folder status, it is grayed out and cannot be modified by
the user.

DISCOVER AND RETENTION MANAGER ENHANCEMENTS
Greater Efficiencies - Performance and Scalability
In this release of the Information Governance common component, Discovery and
Retention Manager, our focus has been on creating greater efficiencies in the most critical intersection points of the discovery process – search and production. In
addition to speed, Discovery and Retention Manager users will see added value in the ability to run concurrent search and production jobs leading to improved efficiencies and time saving during these critical points of the discovery process.
Along these same lines, improved production or export capabilities in this release reinforce this theme as well and enable faster response time overall for discovery
requests end to end.
Search Enhancements
Discovery and Retention Manager offers a richer search experience in this release by both expanding how search results are handled and greater flexibility in date
searches executed. Discovery and Retention Manager users have the ability to merge multiple search results together under a new or existing matter. This is particularly important as discoveries evolve and more is known about a case. From
a search perspective, Discovery and Retention Manager now supports relative dates (i.e. @today-2) when searching. Since dates typically begin as ranges or
guesstimates this provides greater variability in date searches for end users.
Legal Hold Enhancements
As the discovery matters evolve and the discovery environment expands, tracking holds associated with content can be challenging. In response, this release of
Discovery and Retention Manager provides an overview within the legal hold feature set that allows end users to view all items associated with hold in single view.
Security Enhancements
Discovery and Retention Manager provides more stringent security controls.
When a Discovery and Retention Manager user includes CA Records Manager in a discovery search, the search results are filtered based on the permissions of the user in CA Records Manager. This ensures that only appropriate users have access
to secured records.
Re-Declare Content As Record
There are scenarios in which a content item already declared in CA Records Manager must be “re-declared”. Re-declaration is the process of creating a new
record that is a copy of the original record. For example, when a document is

Because records are not always in the form of a document, we have expanded the CA Records Manager integration with SharePoint 2007 to include SharePoint tasks

Customize SharePoint Parameters for Document ID and Record Indicator
You can now customize the columns that indicate that a SharePoint item is a CA Records Manager record to reflect your organization’s terminology. These
customized names will appear in the list of customizable columns in the CA Records Manager section of the SharePoint Site Column Gallery.

We have added more flexibility and transparency to the record declaration
functionality in SharePoint 2007. Configuration options now include being able to assign default record declaration locations (Category or Matter and Folder) to document libraries and folders in SharePoint. When you declare a record, the
record declaration form is automatically populated with the default location and the record will be saved to the default location. This takes the burden off the end user
of having to determine a filing location.

Automatic Enrollment of New SharePoint Sites
SharePoint has taken off like wildfire in the enterprise, and IT is often overwhelmed
with the volume of sites being created by departments in the organization. Rather than having to keep up with every new SharePoint site that pops in your organization, administrators now have the option to have the CA Records Manager
integration automatically enrolled when a new site is deployed. Timer jobs scan specified Site Collection, discover new sites and document libraries and
automatically activate CA Records Management features and add CA Records Management fields to document libraries. This not only makes the administrator’s life easier, it also helps to ensure that you are managing and applying retention
policies consistently across your organization.

Moving Records Within SharePoint
Many of the qualities that make SharePoint so accessible to enterprises can also cause trouble for the IT groups charged with governing the environment. Because
users can control so many elements of SharePoint from provisioning new sites to new document libraries to security, IT shops are often overwhelmed with site-
creation volume, storage consumption, and managing the growth. Not to mention that it is all too common to let SharePoint sites live on forever, even after the need for the site has ended. To help administrators manage scalability, decommission
sites and comply with regulations that mandate the long-term storage of certain records, we have introduced the capability to move SharePoint content from one
SharePoint 2007 site or site collection to another. Configuration options include:
Move SharePoint documents declared as records.
Move all SharePoint documents.
Move SharePoint documents that satisfy a rule condition.
More Options for Auto-Declaration Rules
In keeping with our theme of minimizing the SharePoint user’s burden in the
records management process, we have introduced some new capabilities for creating auto-declaration rules. The following enhancements have been made to
the auto-declaration rules engine service for creating rules that integrate with SharePoint:
Use SharePoint site and library attributes in rules to trigger record
declaration or to move records.
Define the order in which sets of rules are executed.
Use SharePoint attributes for auto-classification.
Define rules to declare records upon the decommissioning of a SharePoint site.
Automatic categorization of records using enhanced mapping of CA Records Manager record attributes to SharePoint list item attributes.
UPGRADE PATH
Legacy versions of CA Records Manager may upgrade to r12.6.
