PRIMSTAT, A MENU-DRIVEN SYSTEM FOR INFORMATION RETRIEVAL USING SAS/AF SOFTWARE

Esbj6rn Lindhoff - PRIMDATA AB

The company

PRIMDATA is a subsidary company of Swedish Steel. The company has 250 employees at 4 locations in Sweden.

We run the SAS system on IBM3083, VAX and PS/2 and are SAS users since 1981.

About six persons at Swedish Steel are familiar with the SAS-system in detail. Fifteen persons can use the DATA-step and the most common procedures in SAS. About 30 persons can use SAS menu-driven systems.

Background

The reason for building PRIMSTAT was that we wanted a flexible menu-driven System for Information Retrieval. We found that the menu-driven systems we built previously always needed to be complemented with new menus, panels and functions. After a while we found that we needed a generalized. Information . Retrieval System that could be called from more specialized systems with fixed choices. We needed flexibility.

We also wanted a System for Information Retrieval that could be used by new groups who were not familiar with computers or did not have enough time to learn the SAS language.

The fact that a skeleton menu-system, the SMSsystem, was available to go on with prompted us to start the development of PRIMSTAT.

255

Functions

The system is designed for generation of reports containing listings and statistics. It can also be used for statistical analysis.

PRIMSTAT is very user friendly and contains menus, panels and help texts in two languages, English and Swedish.

Help text is always available at menu/paneland element-level.

Input data is validated to a high degree.

The system contains "icons" and templates for maximum user support.

Lead- and help texts are made in colors and sometimes reverse video to make the menus/ panels very user friendly.

PRIMSTAT can read and write SAS-files, ordinary files and DB2-files.

Listings containing detail rows and totals can be produced as well as just totals per one or two classification variables.

Many types of diagrams such as vertical- and horizontal bar charts, pie-, radar- and blockcharts can easily be produced in black and white or in color. The diagrams in color graphics can be stored in a graphics catalog for later modification, retrieval and plotting.

Subsystem

PRIMSTAT can be accessed from other SAS/AF menu-systems. This is the way we mostly use the system to get maximum flexibility.

Documentation

Three kinds of documentation are available. There is a general manual, a manual focusing the functions in the system and a manual containing examples. The exampels shown below are extractions from this later manual.

Courses

PRIMDATA has a one day course for persons who want to use PRIMSTAT.

256

Lets look at some examples.

Example 1

We want a pie-chart from The Market Statistics File showing the number of plates per external quality.

We start the PRIMSTAT system and the startmenu will appear on the screen. Se fig 1.

(Unfortunally some blank lines disappear when making a hardcopy of the screens. This happens in some figures. In reality there are blank lines att proper places on the screens sO the text can easily be read)

We select point 2 to get to the Main Menu of the english part of PRIMSTAT. Se fig 2.

On this menu we select point 4 and arrive at the panel for producing pie- and star charts in color (fig 3).

The panel is filled in. The system detects that the name EXTKVAL is not in the file (fig 4) and that an invalid selection is made at "Type of statistics" (fig 5). The user can now, to get a valid s~lection, press the HELP-key and get the help text shown in fig 6.

The user goes on specifying that the classes HX40Q and 8l2E are to be moved out from the pie. The user also specifies that the chart is to be saved in the graphics catalog. See fig 7.

The output is shown in fig 8.

Example 2

In the next example we want to produce some statistics in a form of a vertical bar chart. Mean absent time per type of work injury is wanted from the Work Injury File.

The menus and panel in fig 9 to 15 are filled in. The "icons" in fig 12 makes it easier for the user to make selections. The "icon" in fig 13 makes it easier to fill in the parameters and data. The user can for example directly see where to put the classification variable(s).

257

The resulting diagram is shown in fig 16.

In this example the user had to use several menus to get the result. We have observed that initially the users have some problems finding their way in the menu hierarchy~ Because of this, we developed the function oriented PRIMSTAT manual. In this the user can see that, for example, a vertical bar chart in black and white can be produced with panel 12351. This unique panel identification is constructed so that the user can find his way to the paneL The first character says "choose menu 1", the second "choose point 2". on menu 1. The third character says "choose point 3 on menu 12 and so on.

Example 3

The next example shows PRIMSTAT used as a subsystem to The Work Injury System.

In this case we want the number of accidents plus total and mean absent time per department and type of injury.

The system is started and we enter the main menu of The Work Injury System (se fig 17).

Since there is no preprogrammed function for this report we choose point 5, PRIMSTAT.

The menus and panels in fig 18 to 25 are filled in. The result is shown in fig 26.

The "icons" in fig 22 and the templet in fig 23 are supporting the user to a great extent.

Example 4

In the last example we want a report from a COBOL-file.

We want mean order weight per Denmark, Norway and Sweden shown in a block chart.

In this case we have to first produce a subfile containing records for the countries concerned including the variables land code and order weight.

258

Panel 123212, fig 27 and 28 is filled in. There is a possibility in fig 28 to specify a copy-name. If such a copy exists the user does not have to fill in data names, positions and so on.

At last the panel in fig 29 is filled in.

The block chart is shown in fig 30.

There are also panels for producing SAS-files from other SAS-files. One example is shown in fig 31 and 32. The user is supported with lead texts to a great extent. Sometimes, however, the user needs a more flexibel panel for. producing new files. In this case the panel in fig 33 and 34 is used. To use the panel in fig 34 the. user has to know some SAS-instructions.

The PRIMSTAT system contains many more functions than can be shown here.

The system has made it possible for persons not very familiar with computing and computers to learn how to produce information from a flexible menu system. After that they can, if they want, go on learning SAS-instructions and procedures and thus get a still more flexible way of producing information.

The system has also relieved us from time to time making changes in our SAS/AF menu systems.
