Scenario 1: Phil is constantly having the priorities shift on his project

Active Listening:

• What is the sponsors true need and desire (intuition)

• Have you showed the sponsor that you understand them and their need

Clarifying Questions:

• What has changed on this project

• Why is that important

• What will happen if

• Tell me more about…

Scope Creep

Scenario 2: Oh, that is easy!

Clarifying Questions:

• What is the scope of this project

• What will happen if we add this in

• How would this effect the project outcome

• Who’s is going to sign off on this change and project budget increase

Scenario 3

Priorities aren’t set correctly which causes workers to work on the wrong project first.

Ask yourself these questions:

• Who should I meet with today and follow up with?

• How could I have handled this more effectively?

• When should I touch base with ______ and get clarity?

• How can I assure that we are all on the same page?

ROOT YOURSELF IN THE PRESENT MOMENT!

• Know what the priorities are

• Don’t be afraid to ask questions

• Know and communicate why you are prioritizing one project over another

• Communicate how weights are produced

• Allow questioning when someone changes a priority

• The biggest task isn’t always the most important task

• Who is waiting on your task?

• Is your task part of the critical path?

• Focused blocks of time are necessary (Multi-tasking myth)

• Constant reprioritizing is a symptom of something larger

• Are you being consistent in your message?

• Are you giving the most important initiatives every opportunity to succeed?

Review

• Know your organization’s priorities

• Understand how your project(s) fit

• Work on your own personal efficiency

• Help your team successfully prioritize

• Be willing to quantify the impact of not prioritizing
