Purpose The purpose of the following guidelines is to better manage the expectations of a range of stakeholders through the provision of a comprehensive overview of the policies and procedures which underpin appearances by the club’s players and coaches.

Player and Coach Appearance Request Guidelines The Newcastle Jets’ commitment to authentic engagement throughout our community is reflected in the Club’s Vision and Defining Values. Availability The team’s performance in the Hyundai A-League (HAL) and other competitions such as the Westfield FFA Cup is of paramount importance to the club’s members, fans and commercial partners. In response, the players’ commitments to their playing, training, injury prevention, travel, rest, and injury rehabilitation must take precedence over appearances. The number of appearance requests received is far greater than the number that the club is able to fulfil. Therefore, submitting a request unfortunately does not guarantee a player appearance. Players and coaches are available for a limited number of appearances depending on the time of year requests are made. The majority of appearances are assessed in relation to their relevance to community service, local schools, football clubs, nominated charities, hospital visits and the club’s valued commercial partners.

Appearances are not usually approved: • On match days (unless undertaken by injured or non selected players linked to

commercial or community appearances conducted at Hunter Stadium); • On either of the two days immediately prior to match days; • On days designated as a player’s day off; • The day immediately after match day; • During players’ contracted annual leave (from the date of their final game to the

start of pre-season training); • On days that consist of double training sessions i.e. when training is scheduled

in the morning and afternoon; • Throughout the HAL Final Series; • To schools that are not linked to Jets: Learn schools program; • In support of charities which are not linked to one of the club’s nominated charity

partners; • At destinations more than 1 hour or 100km away from the club’s training base at

the University of Newcastle;

1. Application Process: Ø Requests must be submitted on the attached Request Form. Requests which

are not submitted on the attached form will not be considered; Ø Email Request Form to: [email protected] or

Ø Commercial partners are encouraged to submit requests through the Partnership Executive

Ø Requests must be submitted at least 4 weeks in advance of the proposed appearance date

Ø Requests will not be considered until the monthly training schedule has been confirmed. Requests submitted in advance of the minimum four weeks will not be prioritised and are in no way guaranteed of being confirmed.

Ø Requests will be considered on a fortnightly basis. Every effort will be made to respond to all requests 14 days prior to the proposed appearance date.

2. Appearance Policy

1. A minimum of two players will be in attendance at each appearance unless the

appearance relates to a Player Sponsor; 2. The club will use best endeavours to ensure that a member of the club’s

administration accompanies players on each appearance; 3. It is the hosts’ responsibility to provide players with bottled water; 4. It is the hosts’ responsibility to provide Sharpies for the purpose of autographs 5. Appearances should not exceed 90 minutes; 6. Appearances that coincide with normal meal times will require the host to provide

a light meal such as a sandwich or salad in addition to the provision of water; 7. Appearances are encouraged to be interactive, however the activities should not

be strenuous and place players at risk of injury; 8. An event should not focus solely on a player appearance; instead the appearance

should be used as an added ‘bonus’ to your event, program or activity; 9. Player appearances are limited to one (1) per organisation, event or activity per

year (except for nominated charity and commercial partners); 10. Due to the high demand for player appearances it may not be possible to

reschedule an appearance if an event is cancelled or postponed for any reason; 11. Unfortunately all appearances are subject to “last minute” cancellations due to

changes to the training and/or travel schedule; 12. The club will make every effort to organise a replacement player in the event that

the nominated player is sick or injured. Please not that this may not always be possible; and

13. All decisions in relation to player appearances are final and at the sole discretion of the Newcastle Jets.
