Project Definition & Scope
To upgrade the SAP Enterprise System from the current 4.0B release to 4.6C (The latest version of IS-OIL). The upgrade is required to maintain ongoing support and provide a platform for future initiatives such as Procurement, Financials and Plant Maintenance.
The project is a Technical upgrade only. Current functionality will remain and no new functionality will be added.
Only SAP is being upgraded, other systems such as CFS will remain intact with no change.

50 plant trainers identified, trained and provided training materials.
Plant trainers trained all SAP plant associates.
Corporate trainers trained all SAP corporate associates.
Project team members personally certified all key positions such as order taking, inventory and shipping (320).

Business develop 200 cycle tests scripts (etc. take an order, tie into load, drop to plant, PGI & ship, and bill the customer, & apply credit memo)

Cutover
SAP Blackout for 40 hours to allow conversion to new version.
Cutover begins on Saturday at 6am and is returned to the business on Sunday at 10pm.
Shipping activities at plants during blackout period will be using CFS generated manifests. (Est. 50 – 75 shipments)
Business will conduct dry run as last step in cutover to verify system is functioning

Consulting Strategy
SAP Project Management consultant onsite for 1 week of project planning. Provided ongoing QA 1-2 days per month.
SAP Technical support brought in as needed. Many issues resolved offsite and onsite averaged 1-2 days per month. (Jason Fox)
SAP expertise onsite for Cutover and Go live. Released early in week.

Results
Implementation was a Non-Event to the business. Orders, inventory, shipping activities occurred as planned.
Minor issues were quickly resolved.
Project ahead of schedule and under budget.
Maintained a 4.0 environment to troubleshoot issues called in.
Lunch recognition given to team 2 weeks later.
Team members given Chainman’s Excellence Award for outstanding effort.
