Australian SuperStream This document has referenced information from the ATO website https://www.ato.gov.au/Super/SuperStream/ The SuperStream standard is part of the government's Super Reform package. It will provide a consistent, reliable electronic method of transacting linked data and payments for superannuation. The goal is to improve the efficiency of the superannuation system, to improve the timeliness of processing of rollovers and contributions, and reduce the number of lost accounts and unclaimed monies.

You will need to add the superannuation funds in use within your organisation. Add the details as provided by the Superannuation fund. Not all details are required on the form, for example you may use either the Fund USI or ABN. Different funds may have different products and could have the same ABN with different USI depending on the product name. If the fund has provided the details, this information should be recorded on this form.

Super Guarantee If you pay an employee $450 or more before tax in a calendar month, you have to pay Super on top of their wages. This applies to full-time and part-time employees and some casual employees, and includes temporary residents. The minimum you must pay is call the Super Guarantee (SG):

• The SG is currently a minimum 9.5% of an employee’s ordinary time earnings

• You must pay and report Super electronically in a standard format, meeting SuperStream requirements

• Your Super payments must go to a complying Super fund. Most employees can choose their own fund The Super Guarantee percentage is entered in the Employer Contribution % field on the pay type screen. The percentage is calculated on the employee’s worked ordinary time (WOTI) unless Employer Use WOTI + Overtime is ticked, and then overtime is included for the calculation.

Super Guarantee Threshold Paybiz checks on a pay by pay basis as to whether the employer contribution applies. It uses the employee’s pay frequency to calculate the expected monthly earnings based on the current pay, and if this is under the current threshold, no employer contribution is made. To avoid the $450 Threshold, or if you pay per job/tally sheet meaning the monthly income cannot be accurately estimated by the system, then tick the No Threshold box so the Super Guarantee is always calculated:

Alternatively, the Employer Super can be cleared on the payslip if the monthly earnings are below the threshold. (see Payslips section later in this document for full details).

Employee Setup for Super Guarantee

PayBiz main menu > Payroll > Employees

To enter the minimum super payments on a payslip, put the superannuation pay type code on a payslip or standing transaction with no Quantity.

The Superannuation Employer % Apportionment only applies if the employee has more than one fund that the employer contributions are being paid in to. Specify the appotionment here (Eg 60% to Fund A, 40% to Fund B). The Superannuation Member No can be entered here OR entered on the Pymt tab:

The Superannuation Member No can be entered on the Pymt tab of the employee screen. This will be used on the Superannuation Report and SuperStream file if no Member No is entered on the Standing Line/s. This also allows you to see the number in Employee lookup lists by adding the column.

The Super payslip line is added automatically from the Employee Standing Line. In the example image, the Employer Super Contribution is automatically calculated as $54.62 which is 9.5% of the gross $574.92. PayBiz checks on a pay by pay basis as to whether the employer contribution applies. It multiplies the employee pay up to see what a monthly pay would be, and if a pay is under $450 per month, it doesn’t do a contribution. To avoid the $450, add a tick to the No Threshold box on the pay type setup screen so it always contributes. Employer Super can be cleared from a payslip either by deleting the Superannuation pay type from the payslip or using the Clear Super button on the Comment/Leave Adjustment tab of the payslip:

The Clear Super button can be used on paid payslips. The Clear Super button will not allow the super to be cleared if the employee’s monthly earnings exceed the current threshold.

Salary Sacrifice Employees and Employers need to be aware of how entering into a salary sacrifice arrangement affects them:

• Employees pay income tax on the reduced salary or wages.

• Employers may be liable to pay fringe benefits tax (FBT) on the non-cash benefits employees receive.

• Employers may be required to report certain benefits through Single Touch Payroll or on employee payment summaries.

• Salary sacrificed superannuation contributions are treated as contributions from the employer and taxed in the superannuation fund.

Employees with a Salary Sacrifice arrangement will need 2 Superannuation pay types on their standing lines. 1. The pre-tax deduction from the employee’s income to deduct the sacrifice (eg 5%) from the employee’s wages,

and the employer’s contribution forwarding this to the super fund.

Salary Sacrifice and Super Guarantee A salary sacrificed contribution is counted as part of the contributions made by the employer. To ensure employees receive the minimum super guarantee amount from employers over and above any salary sacrifice made, there will need to be an agreement in place to that effect. This must specify that the employer continues to pay the minimum 9.5% super guarantee amount, without including employee extra contributions. Without this, if an employee chose to salary sacrifice 5% of their salary into their super, the employer would only have to contribute another 4.5% to meet the 9.5% super guarantee requirement. Similarly, if the employee chose to salary sacrifice 9.5% or more into their super, the employer would not have to make any additional contributions. Where contributions are paid to a complying super fund, the employee earnings base may be reduced unless the salary sacrifice arrangement states otherwise. The employee earnings base is the amount on which super contributions made by the employer are calculated. Salary sacrificed super contributions are taxed in the super fund under tax laws dealing specifically with this subject. It is advisable that the employee and employer clearly understand and agree on all the terms of any salary sacrifice arrangement.

Missed Superannuation If superannuation has been missed on payslips for an employee, you can manually add it to the current payslip using a separate superannuation pay type.

1. Add the correct super standing line on the employee

2. Create the pay type a. Go to Pay Types and add a new Pay Type Superannuation b. Tick No Threshold c. Tick Employer Contribution is Dollar d. Set Employer Contribution $ to 1.00 e. Pick the correct Superstream Fund USI and ensure the Contribution Type = Standard

3. Calculate the value of the missed superannuation a. You can use the payroll summary report to find the Taxable Gross for the payslips without Super. b. Deduct any payments that do not contribute to the WOTI (eg paid parental leave, work cover etc). c. Multiple the total by the current Super Guarantee % (9.5% at the time of printing):

eg: If an employee earned $1080 without super contributions: $1080.00 x 0.095 = $102.60
