A PWS education

Every effort was made to include all those who contributed during the 2016-17 school year. We apologize for any errors or omissions. Please contact the development office with any questions or corrections. 626-765-9978 or [email protected]

One of the educational goals we have set for our students, a goal that can be extended to every member of our community, child and adult alike, is to “leave PWS valuing, at some point, what you have received, confident about your next educational experience, and knowing you were loved and will always be welcome here.”

Message from our Pedagogical AdministratorIt has been a year of ‘Realization’ in our school programs. Many seeds and intentions, lovingly tended and planned for in the previous years were able to bloom and blossom in our classrooms and on our campuses.

From the forming of their first beautiful letters and numbers to publication of the school’s first HS literary journal, our students honed and polished their academic skills this year. Mastery of complex clapping and movement rhythms led through the grades to the focused practice of arithmetic operations. In middle and high school this became a developing facility with higher mathematic functions such as graphing and calculus that will be used in further college studies and careers such as arts, engineering and science. Scientific explorations such as the number of insect species in the garden, the best way to solve every day physics challenges and the effects of blood sugar on a teenage mood and attention were covered in class and independent student research.

Artistic pursuits were practiced and polished to deepen, enliven and entertain through the year. The students performed in class plays - including one written and scored by a student in the seventh grade, in our first Eurythmy assembly for parents, in orchestral, band, and choral concerts, and in larger events for the community such as the Festival of Light and the high school talent show. Practical and visual arts were also showcased in rotating displays of student work at the lower school and in the high school art show held in Pasadena.

With the opening of the campus on Mendocino we were able to realize our plans for an integrated preschool, high school, administrative building, and school garden space. The youngest and oldest students shared many moments over baked goodies, festival experiences, songs, and joint fire drills. In addition to the lower school garden - lovingly tended by the third grade - we now have the benefit of a organic garden at the Mendocino campus. First and third grade students spent one morning a week working and learning in the garden. Preschool students and camp attendees benefitted from the flowers and produce as did many families, neighbors and community food charities. High school classes used the space as an outdoor classroom for biology, art, botany, zoology and organic chemistry lessons. Our deepest appreciation to all who built out and care for this garden, most notably gardening teacher Walker Rollins and her dedicated handful of neighborhood and parent volunteers.

On the courts and playing fields our student sports teams showed strength in the middle school and prowess in the high school. Our middle school volleyball, basketball and soccer teams all competed strongly in their respective leagues. Strong student presence at the local Waldorf events of the Pentathlon, Medieval Games and Waldorf Track Meet allowed our lower school students to compete and shine. The high school girls’ varsity team brought home league championships in both basketball and volleyball as did the boys team in flag football. The PWS sports reputation is beginning to grow!

The faculty and College of Teachers continue to work thoughtfully to enhance and develop our program offerings in a way that meets the deep and mighty aims of Waldorf education as well as the students who stand before us today. We look forward to another exciting year of this work!

College of Teachers

• Interviewed and hired several new teachers for positions in the lower school, middle school, and high school

• Re-hired our teaching staff for the 2017-18 school year

• Supervised the regular evaluation and mentoring of teachers for full-time high school, lower school, and preschool teachers

• Mandated a new Human Resources Committee to oversee handling of applications for vacant positions, new hires, and employee paperwork

• Approved and implemented a transitional kindergarten program in which older preschool children of eligible age may be considered to move into kindergarten

• Implemented a pilot program in the second grade to add two periods a week to the schedule in order to meet the needs for more practice in academic subjects

• Approved and implemented Cyber Civics in grades seven and eight, in conjunction with the high school

• Worked with the faculty to form a joint committee of high school and middle school teachers to help bridge between the two parts of the school

• Approved the opening of PWS Break Camps for February, Spring, and Summer breaks

• Approved a recommendation from the language department to host a visit of eighth graders from a Japanese Steiner school in September 2017

• Worked closely with the Board of Trustees following budgetary difficulties to ensure the integrity of the program and support communication and morale amongst all factions of the school

• Organized and held a meeting for faculty, staff, and board members, as well as other members of our community, to work toward a shared understanding of the effects and impact of recent years’ rapid growth, focusing on what we could have done differently, and what we will do differently moving forward

• Along with the Board of Trustees, mandated a Healthy School Committee to explore issues concerning best practices for Waldorf schools, including financial, structural, and administrative topics to create a shared vision for the healthy growth of the school into the future

Together with the Board of Trustees, the College of Teachers is one of the two policy-setting bodies of the Pasadena Waldorf School. The College’s primary role is in leading the pedagogical aspects of the school. The College of Teachers is responsible for determining who stands in front of the children as their teachers, as well as the content and gesture of curriculum and programs. The College is comprised of full-time teachers and administrators who meet each Wednesday after school throughout the school year. During the 2016-17 school year, the College of Teacheers:

As we look toward the 2017-18 school year, an exciting focus for the College will be the re-accreditation process. The College, along with mandated groups from the faculty and staff will be responsible for completing the self-study and documentation preparation for a spring 2018 re-accreditation visit from representatives of both WASC (Western Association of Schools and Colleges) and AWSNA (Association of Waldorf Schools of North America).

One of the Board of Trustees’ main tasks it to adopt sound, financial management policies to ensure PWS has adequate resources to provide its current educational programming while simultaneously securing a sustainable future. This task was challenged this year when the school year started with a large, unexpected budgeted deficit. However, through the strength of many and the unending support and commitment of our faculty, staff, and parent community we were able to bridge the gap without losing any employees, without decreasing our high educational standards and programming, and without borrowing any funds. Instead, our development office exceeded their annual goals, our business office worked diligently at designing and implementing new budgeting and accounts receivable systems, parents responded with timely payment of invoices, resources were allocated towards training on our financial software, and parents increased the donation of their time, talent and money. We are truly blessed to have such a wonderful, committed community.

In addition to the financial concerns, the Board:

• With its First and Second Grade Building Committee, provided oversight and direction for additional classroom space to replace the burned down First/Second Grade building

• Through the work of its Finance Committee provided oversight in developing new financial and cashflow management systems

• Identified the need for a new strategic plan to be implemented

• Instituted a Healthy School Initiative wherein each constituent group of the community will be asked to set forth self-developed criteria that defines success within their group

Thank you to the entire community for your patience and support over this challenging, by highly rewarding school year.

PWS administrative staff serves the education of the children through service to the adults of community – the parents and faculty. This also includes the school’s many relationships with governmental entities and our many wonderful vendors. Staff is charged with implementing the policies and procedures adopted by the Board of Trustees and the College of Teachers to fulfill the mission of the school.

During the 2016-17 school year administrative staff, working together with others:

• Successfully incorporated into operations the care and maintenance of two campuses, opening the expanded preschool and high school grades 9-12 on the Mendocino campus

• Strengthened the stability and accuracy of financial reporting to leadership groups and the community

• Streamlined the flow of information between admissions inquiries and contracts, improving efficiency and clarity for parents

• Returned the green lawn in front of Scripps Hall

• Helped maintain the traditions of school events and festivals, and ushered in a new spring event, Farm-to-Feast, with a new outdoor performance stage

• Produced the first all-school (Parent-Child through High School) PWS yearbook

• Convened a diversity study and discussion group

• Supported implementation of new camp programs for the school

I hope you enjoy reading this Annual Report. With this report, and the mid-year community update meeting in January, we hope to keep you informed and inspire your continued interest, participation, and support in building our wonderful PWS school community.

Parent CouncilThe Parent Council of 2016-17 was a dynamic, engaged and passionate group of parents, representing Sweet Peas to Grade 12. We met monthly with liaisons from faculty, administration, and the Parent Enrichment Mandate Group to hear reports from all leadership areas, discuss ways of welcoming and guiding new families, and talk about pertinent topics relating to the parent community. We coordinated community-building events, and as always welcomed all parents to our meetings.

In Fall 2016, PC hosted the All School Back to School Meeting and the Hoe Down. For the first time, nearly 20 PWS HS student volunteers fulfilled community service hours at the Hoe Down. Thank you! Winter 2016 brought our Third Annual Community Meeting, hosted by PC, with updates from school leadership and open discussion/Q&A with the parent community. In Spring 2017, PC coordinated the Second Annual Anonymous Parent Survey. 166 people responded with over 1,000 comments. And just before Summer 2017, PC hosted its final event - Coffee & Gratitude. Parents from all classes enjoyed complimentary tea and coffee drinks, and made bouquets for anyone who made a difference for them at PWS - teachers, staff, board members & parents. Live music by PC reps filled our hearts with joy!

Thank you, PC reps & liaisons. Your love and integrity make Parent Council a vital part of the collaborative leadership structure at PWS, and a powerful conduit for the health of our school. We thank the Board of Trustees, College of Teachers, and PWS faculty & staff for their commitment and work, and for supporting the efforts of the PC. And thank YOU, each and every PWS parent, for your enthusiasm, service and support, which you give generously to our school. Our community is strengthened by every individual’s participation!

“As a parent at PWS, what is your greatest joy?”: seeing the children develop positive qualities such as being happy, well-rounded, caring, competent, creative, knowledgeable, independent, compassionate, relaxed and joyful learners. Next

frequently mentioned was the parent community and the sense of community as a whole. There were also many comments about witnessing the beauty of community events, such as festivals, rituals, and culminations of studies in projects and plays.

“As a parent at PWS, what is your biggest challenge?”: finances, including tuition increases and worries about being able to continue at the school. Next in frequency was parents’ wishing they could be more involved, but having time limitations due

to work schedules or more than one child, thereby feeling disconnected from the school and community.

85% of parents reported feeling confident with the educational experience of their children at PWS, citing the Waldorf curriculum and teachers as contributing to this confidence. Most frequently mentioned

areas for improvement included classroom management, consistency across teachers, and greater need for academic and remedial support.

The generous contributions of our donors enable Pasadena Waldorf School to fulfill its mission of providing our students with a rich education that supports the development of free-thinking, self-directed young adults capable of becoming global citizens who can make a meaningful contribution to the world. The Annual Report recognizes the many aspects of our community’s generosity, and gives a picture of a community committed to philanthropy and the caretaking of Waldorf educational values.

The role of development is to create a vessel into which volunteers can pour their creativity, donors can contribute financial and in-kind support, parents can become part of a community with shared values, and the social ideals of Waldorf education can find expression through philanthropy.A few development highlights for the 2016-2017 school year include an increase in Annual Giving, an Elves Faire that brought over 4,000 guests to our campus, and an annual spring dinner/auction entitled “Celebrating Our Heritage – A Farm to Feast Experience” that took place on our new Mendocino Campus.

The development work at PWS, both through events and Annual Giving, is vital to balancing our budget. The financial success of development fundraising efforts could not be accomplished without leadership parent volunteers willing to contribute their time, talent, and heart forces. We are deeply, sincerely, and humbly grateful to all our donors and all the volunteers who made 2016-2017 an outstanding year for our school.

It was a beautiful day for our 31st annual Elves’ Faire. Under perfect skies, our incredible community of parents, students, teachers, and staff produced a magical day of games, arts & crafts, unique shopping experiences, delicious food, and thousands of smiles. Attended by over 4,000 people, this event continues to be a great “friend-raiser” and fundraiser for our school.

Thank you to Heidi Rose Robbins for leading the Faire with love and grace. Extra special thanks to the entire Elves’ Faire Committee for their passionate work in creating a beautiful gift for the children and their families that attended the Elves’ Faire.

Thank you to all parents who volunteered on the day of the Elves’ Faire, the days leading up to this magical day, and the days following. It takes a village to raise an Elves’ Faire and it couldn’t be done without all of you.

On May 21, 2016 our community gathered under the stars for the school’s annual spring event. Celebrating our Heritage, a Farm-to-Feast event was a beautiful evening hosted on our new Mendocino campus. Attendees marveled at the development the all-school garden and our new performance stage, while connecting with families and the greater community here in Altadena. The entertainment featured a rich narrative and performances about the history of Altadena. Thank to Michele Zack and Altadena Heritage for helping our parents craft the beautiful stories and opening up the photography archives of Altadena.

Thank you to Gala co-chairs DeAnne Todd and Walker Rollins. The entertainment and food were second-to-none.

Thank you to our stage building leaders Tobi Datum, Caro Foellmer, Johannes Gross, Stephen McKinney, and Tamlyn Wright. And thank you to everyone (parents and high school students alike) who helped build the new stage in just ten days.

Thank you to all of our Gala chairs and their teams for the weeks and weeks of pre-work, and staying calm in the creative madness that happens in the hours before an event.

Thank you to our numerous volunteers the night-of ... we couldn’t do this event without our volunteers.

And thank you to all who gave donations to the school at the gala. Your gifts were received with love and gratitude.

Grants Received

Deep gratitude to these three organizations who believe in our school and have helped vital programs with support.

Passive Giving

Thank you parents!

Our Passive Giving program, aimed to help our community raise funds for our school - without doing or buying anything “extra” - was a great success this year. Parents who shopped on Amazon by clicking through our Associates Link (found on our website at www.pasadenawaldorf.org/amazon) helped make this our greatest year in recent history. Amazon Smile continues to be popular with grandparents and other family members who might not click through the Associates Link with every purchase. Benefit Mobile started off strongly this year but was passed in popularity by our Amazon Associate link. Our Ralph’s Club partnership continues to yield small but on-going contributions, and Mighty Nest continues to be popular with the parents of our youngest students.

Information and links to all of these organizations can be found on our website under the Giving tab at www.pasadenawaldorf.org

Coming to terms with our growth: a facilitated community conversation with Lysbeth Boire.

Having used reserve funds in service of growth and expansion of our mission, facilities, and program, the school faced a period of financial challenge in this year. While this is not an uncommon experience for a growing Waldorf school, it became clear that some outside support was needed to help us come to terms with our growth.

In order to convert the intensity of many individual and group experiences of the last few years into a picture that was better understood and held by a wider section of the school community (turning ‘heat’ into ‘light’), the College and Board enlisted Lysbeth Boire and Mariah Acton from the Alpha Institute. Lysbeth and Mariah led us through a process to discover what we could learn from our history and what might be needed in the future. Faculty and staff members, College and Board members, representative parents, and key professionals who worked in the building and expansion

projects were assembled at a community conversation in May that resulted in a deep look into the period of growth, factors that led up to challenges in organization, financial situations or communication, and identified some themes and lessons for us to hold together.

Overall, there was a strong sense that through dialogue, the energy of the group had shifted significantly. Building a year-by-year timeline together contributed to greater understanding of the history of the school, and the effect of previous events on more recent developments. Hearing about the number, complexity and timing of the many challenges that were faced and how hard many people had worked to address them, as well as hearing some painful impacts on individuals in the community, helped everyone to understand the situation from other points of view. This began to provide some healing. There was an increased understanding that the leap of growth—to open a high school, to move to a new campus, and to put in place all the organizational supports needed to implement these—required a large expansion of both the physical site and the organization. While our school had been a stable and well-established for many years, this growth spurt introduced a dramatic influx of “pioneering” energy, with new elements of complexity and some creative disorder in the process. Understanding was deepened of the overall picture, which was one of growing pains—and also an affirmation of the tremendous, successful achievement of expanding to a new campus and all that it entailed.

We identified both lessons learned and larger patterns that still need to be addressed. This work has shifted our energy to a post-crisis chapter; we can now “turn the page” and move forward, incorporating the lessons learned and continuing to work together on the areas of challenge that were made evident. In the coming year school leadership will continue to work with these “Lessons Learned”, incorporating them into process reviews, strategic priority making and planning, and other work among the constituencies of the school.
