Introduction

The renewal of the parish has to be a constant concern... It has to remain a place of creativity, a reference point, a mother, where inventiveness finds expression. When a parish does all this, it becomes a missionary disciple, a parish that goes forth.

Thank you’s A word of thank you, again, to Janet Dash and the Filipino parishioners of St. Francis who provided today’s food for us.   

Information overload! After our last meeting I have received feedback that I gave way to much information in way to short of time. Too much, too quick. I have also received feedback that council chairs feel rushed on preparation for meetings as the minutes come out, well… last minute ☺. So, in order to address this I will be preparing minutes the first Thursday of the month with a view to get a first draft sent to council chairs one week ahead of time. If there is information that will need to be “voted” on or discussed by the whole group I will include that material in the minutes draft for timely distribution.   

I do apologize for hitting you all with so much information last time. I will work to give you more notice and preparatory time for your meetings. 

General Topics

Google Docs Thank you to all who have been using the Parish Council google documents. It has been very beneficial to me. A special thanks to all committees on the Pastoral council who have used this method. I have all the information about the parish at my finger tips. So helpful!!! 

Christmas Party! The next parish all council’s meeting will be December 11th. It will be our annual Christmas Party. We will not be having a formal meeting. This will take place in Clare Hall. This is on the same night as the Christmas Concert for the kids. Does this need to be moved? Canceled? It was moved to Tuesday because of the Parish Penance Service. 

Council Chair Meeting I would like to meet with the 5 council chairs, Pat Burns, Mary Carter, Pat Malone, and the associate priests for a December meeting. This will be a time for us to check in and see how council structures and meetings are going and to get feedback for improvement and awareness. What date would be good for this meeting? 

Monday Dec. 10th? Monday December 17th? Tuesday December 18th?

Council Charters In the last minutes I attached the charters for each council for review. Are there any changes that each council would make to their charters? Please indicate and updates, changes, or suggestions and email them to me. Thank you. 

Stewardship Fair At this point we only have 18-20 ministries signed up for the stewardship fair. All Council and commission chairs should ensure a table is staffed to represent all councils/commission even if individual committees are not able/willing to set up a spot. To the degree possible all chairs should be individually calling all committee chairs / leads to encourage them to show. This evening is intended to be less than 1 ½ hours and will be invaluable to sharing information, gaining stewards, and promoting ministries.

VIRTUS Facilitator Training - January 5th, 2019 A New VIRTUS Facilitator Training has been scheduled for Saturday, January 5th, 2019 from 8 a.m. to 5 p.m. at St. Peter the Apostle Parish. Any interested individual must commit to the full day of training and is required to have a letter of recommendation from his or her pastor. The recommendation must be received prior to registering for the training and may be sent to Kathy Robben at [email protected] or mailed to Catholic Diocese of Wichita, ATTN: Kathy Robben, 424 N. Broadway, Wichita, KS 67202. There is no fee for this training. Lunch and training materials will be provided. 

Ordination location and date CHANGES The Diaconate Ordination will be THURSDAY, May 23rd at the Cathedral of Immaculate Conception at 6 p.m. A light reception will follow. The Ordination to the Priesthood is Saturday, May 25, at the Cathedral of Immaculate Conception at 10 a.m. A luncheon reception will follow.

An Evening with Seminarians …is scheduled for WEDNESDAY, May 22nd in Wichita. Evening prayer and program will begin at 6 p.m. at the Cathedral of the Immaculate Conception with a reception immediately following in Good Shepherd Hall. 

Topics for Discussion

Parish Hall Reservation Agreement I have taken the feedback from last meeting and made significant adjustment to the proposed parish hall reservations agreement. Feel free to look over this agreement and offer me more constructive feedback if you so wish. The agreement is in the addendums at the end of this document. 

Father Jarrod’s Letter to Parish This year’s annual pastoral address is titled: “Serve. Not be Served.” It will be held in the School Gymnasium on Sunday, November 11th, 2018 at 2:30 P.M. - OR – Wednesday, November 14th, 2018 at 6:45 P.M. 

This meeting is considered mandatory for the entire parish. The presence of one person from your household is necessary at one of these meetings. If your household is not represented at this meeting, except for a legitimate reason, that household will not be able to reserve a parish hall until they have been exposed to the information. In addition, all stewardship paperwork is due on commitment Sunday, November 18th, 2018. Hall rentals will require attendance at this meeting, Time and Talent forms on file, and a current pledge card on file. If we do not have the paperwork on file at the time of the reservation we will ask you to fill out that paperwork prior to reservation. 

In short, we ask you to: Attend the mandatory Annual Pastoral Address – and - Turn in all paperwork for stewardship on or before Nov. 18th, 2018. 

Why am I being so explicit? You, and your life in our parish, are essential to the health of our parish family. The amenities of this campus are provided by your generous stewardship. Without you, we cannot be successful. Reservations of halls are a benefit of your active participation. 

If you miss this opportunity there will be another presentation in the Spring. If, for a legitimate reason, you cannot fulfill these expectations feel free to call Pat Burns (316-722-4404), or talk to me after Mass, to be excused or ask for an extension.

Review of Mass and Confession Times Below is the discussion of Mass and Confession times. It has been decided to not change the current times, except to start daily confessions at 5:45. We will revisit this topic next November, after the October counts for 2019.

The final Mass count shows that 13,309 attended Mass in October. Last year 13, 728 attended. This is a drop of 419 souls per month – or a 3% decline from last year. The average weekly attendance this year 3,327. Last year 3,432 attended weekly. This is a drop of 105 souls per weekend. This is, again, an average of %3.1 per weekend.

➢ Would such a change increase attendance at SFA? ➢ Do our Mass times truly respond to the spiritual needs of our parishioners and give the widest 

possible participation of our parishioners to attend Mass at their own parish?   

Stewardship Council initial feedback: 

Mass Times Pass on a Latin Mass since there is a Latin Mass community and opportunity to join them.  If we added a Sunday evening- 7 PM and 5 PM were suggested with 7 PM having more interest  To accommodate an added Sunday evening Mass, the suggested changes to the Sunday morning/afternoon schedule were…7 AM; 9 AM; 11 AM; 1 PM – OR- 7 AM; 8:30 AM; 10:30 AM; 12:30 PM Confessions: Have confessions after 5:30 daily Mass until the line is gone instead of having prior to this Mass.  If not after 5:30 PM Mass, start earlier than 5 PM on weekdays to accommodate more people. Add one Sunday a month of having confessions between Masses. 

My opinion I am not overly alarmed at the decline of 105 souls. I do not think we must change or add Mass times. Yet, it is a decline is the wrong direction. I had hope for an incline of 5% from this time last year. Furthermore, given the Bishop’s push to increase Mass attendance on Sunday, it seems reasonable to do whatever we can to make Mass attendance for SFA parishioners more convenient.   

Daily Mass Schedule The Faith Forward visioning feedback gave some suggestions for daily Masses. First, was the suggestion of more / 2 all-school Masses each week. The second was the addition of a 6:00 a.m. or noon Mass with confessions. I am not open to instituting these suggestions. Our school schedule is working very well. Also, we have too many funerals and parish events to assign a priest to a third Mass. This also causes a heavy burden on finding fill-ins or causing one priest to binate when one of the other priests are absent or in an emergency. SEAS has an early morning Mass that is an option for daily Mass goers. 

Sunday Mass Schedule From the feedback of the Faith Forward visioning process we can discern some possibilities for a change of Mass times:

Response to Suggestions: ➢ Traditional Latin Mass once a week –  

o while I am open to this idea, now is not the time to have this dialogue. ➢ New Sunday times: 7:00, 9:00, 11:00, 1:00, 7:00pm? Tight schedule rushes Mass. Sundays can 

feel like a Mass assembly line.  o This is intended to keep things from being so rushed between Masses. However, the 

loss of our prime Mass times (10:00 and 11:30) would be too damaging to participation. Also, the 8:30 a.m. is very valuable for all our rites and anniversaries. 

Consideration for Confession Times from Faith Forward Suggestion 1: People would like to see shorter lines before the 5:30 p.m. Masses. They suggest longer confession times, or two priests to hear. We priests are paying more attention to the lines and coming out to help when lines are long. We are also starting confessions at 4:45 p.m. rather than 4:50 p.m. Though this seems insignificant, the events and demands of parish ministry make it difficult to add more time.   

➢ Response: Confessions will start at 4:45 with one priest on-call to help when lines are long. 

Suggestion 2: More confession times for students or for parents with children. This suggestion opens the idea of a noon confession time, morning confessions prior to 8:00 a.m. Mass, or confessions for students during their lunch time. Confessions before the 8:00 a.m. Mass are not necessary as there are nearby parishes that have those times available already. I am open to considering a confession time in the late morning / noon time but the location would have to be convenient for students. Students could not walk to the church unattended. Nor can we allow general access to the school because of security.   

➢ Response: Could a weekly midmorning location be found that is convenient for both students and parishioners in general? Perhaps something in the blue carpet hallway? 

Suggestion 3: Confessions surrounding weekend Masses.   

➢ Response: We will be doing such confessions during the Advent and Christmas season. I have already put these times in the calendar. 

Director of Contemporary Music and Choirs Emergent circumstances brought a new opportunity to St. Francis this past month. Rob Tierney and I have been in conversation about bringing new opportunities to grade school, high school, and adult choirs and bands with an emphasis in contemporary music. I have dialogued about this topic with

several organists, vocalists, cantors, and directors, most especially, Sr. Stephanie. I have received much feedback and processed that feedback accordingly. The working job description at this time is: 

Job Description The SFA Director of Contemporary Worship would lead the parish community in modern contemporary worship style at SFA school Masses, PSR Masses, Confirmation Prep. Services, CYM Liturgical, para-liturgical events, as well as the 5:00 and 7:00 p.m. Masses, followed by a praise and worship prayer service from 8:00p.m. – 9:00 p.m.. He would build & direct a praise team of diverse and gifted musicians; continuously recruit musicians who will volunteer to serve on the Praise Team; select a variety of songs for the contemporary services;; hold weekly music rehearsals; promote spiritual development; oversee setup, tear down, and maintenance of equipment for practices and performances.   

The Key Responsibilities areas of this position are as follows: 

School Masses – Monday, Wednesday, Thursday, and Friday 1. Schedule music and arrange responsorial psalms & gospel acclamations 2. Coordinate cantor & accompanist schedules 3. Singers & Concert Choir groups each sing at Friday all school Mass once a month. 

Wednesday Nights 1. 6:30 – 8:00 – PSR/Confirmation/RCIA 

a. Alternate evenings providing music instruction or leading worship with each group b. Include time to rehearse with 4-6 graders interested in joining the school Concert 

Choir singing at Saturday 5pm Mass c. Possible time for rehearsal for Saturday night HS & Adult Praise Teams 

2. 8:00 – 9:30 – Adoration/Reconciliation a. Lead music for these services b. Possible time for rehearsal for Saturday night HS & Adult Praise Teams 

3. Wednesday night God Squad Mass during Lent. 

Saturday Nights  1. 5:00 pm 

a. Alternating Children’s Choir, CYM Praise Band & Various Cantors, Accompanists and Instrumentalists.

a. Many people have approached me about providing a praise and worship / charismatic prayer community at SFA. I myself am desirous of such a stable prayer group. This position is necessary for the stability and success of such prayer. I will be the primary

leader of this para-liturgy and Rob will develop a musical team to accompany these services. 

b. The musical team of 7:00 p.m. Mass will not necessarily be the same people for the 8:00 p.m. prayer service. 

7. Saturday night God Squad prayer service during Lent. 

Choirs 1. Children’s Choir/Instrumentalist 

a. Children’s Choir would sing at 5pm Mass every 2nd Saturday  b. Rehearsals would remain on Tu & Th for School children c. Rehearsals for PSR students in 4-6 grade would be during (or before/after class?) on 

Wednesday evenings. They would rehearse the same songs and could combine on Saturday evenings with the school Concert Choir. 

d. Student instrumentalist may be added to this group based on the appropriateness and rehearsal with Mr. Tierney 

2. High School, CYM Praise team a. CYM Praise team at the 5pm Mass every 4th Saturday b. Rehearsal on Wednesday nights or Saturday day 

3. Adult Praise Team a. The Adult praise team would play every week for the 7pm Mass & Prayer Meeting b. Rehearsals for this group would be Wednesdays evenings (after CYM praise team?) or 

Saturday during the day c. Some advanced high school students may be able to participate in both groups, also 

some adults may help the CYM team as needed

Pew Tri-fold Welcome pamphlets Discussion has occurred concerning new tri-fold pamphlets to be used as Welcome cards in the pews. These would include the new Mission, Vision, Values, and Expectations of the parish. One section of the card should have a tear out of the current “request for contact” information. These are intended to be placed in the pews. 

Committee / Task Reports 1. Ministry Scheduler Pro 

yssa Standridge) Our new scheduling software “Ministry Scheduler Pro” or “MSP” went live on Thursday October 25th! It is currently up and running for Eucharistic Ministers, Master Servers, and Altar Servers.  MSP was opened with the November schedule to allow the ministers time to get acclimated to the new program, and time to make all necessary adjustments to their scheduling preferences.  So far the feedback has been wonderful, the main highlight is that families are now scheduled together and not spread out over several Mass times! And yes, we have an App for that ☺ Alyssa is working with ministry leaders to have all ministries scheduled through MSP. This process will take place over the next 6 months or so.  In addition we are working to get a computer set up in the Sacristy which will allow all ministers to easily sign in, in one location! Allowing access to the Priest and Sacristan of any open positions for that Mass time. 

2. Sacramental Recordkeeping and Parish File Retention

The Office of the Chancellor will be offering a Sacramental Recordkeeping and Parish FileRetention Workshop on 11/29, 10:00 a.m. - 2:30 p.m. at the Spiritual Life Center. Registration is $15 with lunch included. Parish personnel, parish volunteer recordkeepers, and priests are all welcome to attend. Parish Wearables: The staff at Exhibit Arts (EA) was really complimentary of all the people they interacted with on Sunday.  1. Fulfillment - At this current time the plan was to have EA take all the 

orders from the website and fill them and then they have offered to deliver them to the church for free. If we would rather not involve the office, they are willing to direct ship them but will charge the shipping to the buyer. They don't mind either way but we need to make that decision.

a. We will not stock things in the office. We will do direct buy only. 

2. Display - Father mentioned that he would like to have one of everything to display at SFA. EA is willing to help with that but we were curious where this would be done and how we can assure that the items on display don't walk away. EA has also offered to place an iPad in a stand at the church for orders for no charge. If we do have a good place for display I think this is a great idea. It would be in a locked down stand and only the ordering site would be accessible. 

a. I talked to Fran Cook. She is willing to let us display clothes in the library windows. I suggest in the windows facing the office. Both clothes and items can be displayed. The ipad can be kept in the library or in the office, or even mounted outside the office by the fire extinguisher. 

3. Scheduling/order timeline - With the cards, cups, blankets and other items that aren't size specific they will order in bulk and store them until they are ordered. SFA will be responsible for purchasing this initial order and EA will reimburse the church as they sell them. The initial investment will between $4k and $5k. I will send a detailed estimate soon.  

4. Orders will be placed at the end of each month and fulfilled by the 15th of the next month. Some orders would turn more quickly. 

5. At this time we only have printed what was shown on Sunday. This was mostly due to timing and the fact that we didn't want to print a lot of items before we had orders. This is why no orders have been placed or fulfilled for any items. We can get some limited items for the priests if needed and we'll fill the display as soon as we can. 

a. I shared my preference with Bryan about clothing for priests. 6. There were questions about if the school kids can wear these items 

to school. I'm guessing that is a yes but I think we need to verify that with Mrs. Carter just to be clear. 

a. Mrs. Carter will discuss this with the school council. 7. I am willing to continue working with EA moving forward but is there 

someone else on staff that you would recommend being a point of contact with questions?  

a. Alyssa will help with this. 8. There were questions about if this was a fund raiser or not. At this 

point it is NOT. That was the original direction I received. If that has changed we need to change the prices to reflect that. This was always about church pride more than $. We may need to make that clear in stories going forward.

I would like to get help taking pictures of liturgical vestments, articles, and spaces for a new server manual here at SFA. Anna Harter just lost her father. Is there another photographer I can ask to help with this project?  

I have begun working with Anna Harter on developing a photographers guild. Mission: To photographically document parish functions in order to promote and increase awareness. 

Activities: Photographers will be a part of an email / text group who will receive regular updates on parish events. They will then take pictures and upload them to a single common website. From that website all parish communications can pull pictures. Anna proposes to use www.smugmug.com.

Meeting Called to Order Brad called the meeting to order at 7:30 p.m. and led us in opening prayer. Joe recorded the meeting minutes. 

Pew Cards Fr. Jarrod and Rick discussed some changes to the card in order to convey the new branding and our revised mission, vision, etc. Ann volunteered to assist Rick with layout, editing and design of the revised Pew card.  

Pillars We discussed the advantages of using the Vernacular as the mechanism for communicating a Pillar article to the parish. The Stewardship Council is asked to forward the Pillar article to the Vernacular editor each month. 

Parish Branding Style Guide We will schedule a meeting for parish communication leaders during the first week of December to discuss implementing the branding guide as it affects the Vernacular, bulletin, web, and other parish documents. 

Parish-wide Communications Options (exploring systems similar to School Reach) Fran has previously presented her research for both GroupCast (a product offered by West Corporation - the same company offering the SchoolReach product used by our school) and Flocknote (used by St. Mark and Christ the King parishes). She has placed her research in our council’s Google folder, making it available for Fr. Jarrod’s use and future discernment. We recommend using Flocknote due to perceived ease of use and integration with PDS. Additionally, a service like phonevite could provide the same type of phone messages that School Reach provides for times when parish-wide phone announcements would be helpful. 

Stewardship Renewal Fair We will ensure several members of the Communications Council are at the fair on Sunday and Wednesday, representing all committees of our council.

Scheduling Software Alyssa discussed the challenges and status of implementing Ministry Scheduler Pro software for scheduling various liturgical ministries (Mass Servers, Eucharistic Ministers, Ushers, Lectors, Commentators, Music, etc). Each ministry will be added as data entry allows. We also discussed the importance of conveying information about the new scheduling software to each ministry’s leadership and also the parish as a whole as this is a change from previous ways of scheduling. It is hoped that the ease of using the system in the future will outweigh the initial frustrations with a new way of scheduling. 

Parish Directory Began discussion on the coming parish directory for 2020. Fran will contact Sandy Ranney for her insight and report back to the group. 

Photography Ann will invite Anna Harter to our January meeting as an ad-hoc council member representing the photography guild. 

Logos on Doors into Parish Rick plans to contact Pat Malone about removing the old logo from the decals on the church doors. 

Bell Tower Condition Rick plans to contact Pat Malone about current condition of bell tower since we’re emphasizing it so much within our communications. 

Mailings Rick plans to contact Mary Ann Werner regarding the postage for various mailings to determine if the parish is receiving the best rate.

First topic was transparency / cash in bank disclosure.  Pat provided the finance summary for both the church and school the council approved as published.  Our cash position remains strong and Pat mentioned he may be suggesting moving some of our cash to savings in the coming months.  We then spoke about the upcoming Stewardship fair of having guild signup sheets available and to ensure we have coverage at both Sunday and Wednesday.  Pat asked if anyone had heard comments on not publishing the collection information in the bulletin weekly, as we have moved to monthly, and the council agreed to stay with the monthly process and listen for feedback. 

Next we moved to Facilities next steps.  Mike Hybl plans to set up a 2-3 hour planning meeting in the next month to further the process of segregating the items into categories, for example items that guilds can do vs outside hired resources.  We also discussed looking further into how we may use an intern type of program to work on some of the items.  We also spoke about the value of having before and after photo’s for improvements made to show the parish what items are getting done and with what resources. 

Since some of our council members (John, Kristen) will be rolling off soon Ryan opened the conversation how suggested names to contact for interest to join.  The team gave a few names out to

We are currently settling on some dates for our first ACTS retreat in the Wichita Diocese.  Maria Newman and Emmett Kraus are working to bring this retreat to Wichita. I have invited the Parish Staff to go to OK to experience it. The women’s retreat in Broken Arrow, Oklahoma is 3/7/19 to 3/10/19. And the men’s is 2/21/19 to 2/24/19. If we can bring it to SFA it will take about 2 years to get it implemented.

Could the Marriage and Family Life Commission work with him on this?  Safe Haven Sunday is an initiative inspired by the United States Conference of Catholic Bishops' formal statement Create in Me a Clean Heart: A Pastoral Response to Pornography. Safe Haven Sunday is a weekend set aside within the liturgical calendar by the Diocese to directly address the societal harms of pornography. Within the context of the Mass, parishes will be able to provide teaching and resources that will support and protect individuals, marriages, and families in making all homes a safe haven. HOUSE OF FORMATION Thank you for all of your support over the last year for the staff and seminarians at the House of Formation. The men continue to mature and grow humanly, spiritually, academically, and pastorally. It is a great joy to see them grow ‘in wisdom and stature before God and man.’ Because they are good and talented young men, we receive a lot of requests and invitations from pastors or diocesan entities for the men to participate in various events. Unfortunately, we are not able to fulfill these requests. Recognizing that these are good events and may be helpful to the men or the diocese, the House of Formation must remember its first priority, which is crafting a formative community that allows the men to withdraw (albeit in a limited way) from the world they know and focus on discernment and growth. To say yes to these invitations could easily overwhelm the men by the sheer quantity as well as be disruptive to the community. The men are still free during their breaks and summers, like any other seminarian, to participate in the many good activities that take place in our diocese. Thank you for understanding. Every classroom had a game booth which made the lines much shorter. It was a great night!

Fun Night Fun night was a great success! Thank you so much to all the men and women stewards who put this event on. It was wonderfully decorated and very well planned. We pulled in over $40,000 dollars.

on Thursdays is what hurt this club. We couldn’t figure out a good day to do this. 

10. Parish Dinner -Councils 

Over 600 people attended the annual parish dinner. Thanks to the council chairs for presenting on the current state of the parish and progress on the parish vision. Thanks also to the children for singing for us and to the dueling piano’s for a great time. More information to come.   New Date? With the establishment of the Novena for the Deceased, the timing of Fun Night, and the addition of Wildfire (whose date is not fixed) it occurs to me that moving the Parish dinner to the first Sunday of October due to its proximity to October 4thmight be a good move. I can obtain permission from the Bishop to have the weekend’s Masses be the Solemnity of St. Francis for us. This can then serve six purposes: 1. An act of gratitude to the parish for all its stewardship, 2. A launch for the stewardship renewal to give a few weeks advanced notice, 3. To celebrate the Solemnity of St. Francis as a parish-wide celebration, 4. To introduce the new Catholics to the parish as a celebratory act, 5. To give a state of the parish address, 6. To grow in our social community through continued use of children’s choir and something like dueling piano’s each year. What would be each council’s opinion about this idea? New Leadership Next year, all members of all councils will be responsible for set up and take down of the parish dinner. This is a formal gratitude from the parish to parishioners. It is appropriate that parish leadership take the brunt of the work for this act of gratitidue.

Meeting Called to Order Mitch called the meeting to order at 7:40 p.m. Mitch led us in prayer. Mitch asked for approval on the minutes from the October meeting. There were no minutes from that meeting as the All Councils meeting went over on time so the Pastoral Council did not conduct a regularly scheduled meeting due to time concerns. 

Topic 1 Stewardship Fair  All leaders of the council are asked to reach out one last time to all their ministry leaders in hopes to get more representation at the Stewardship Fair for Sunday, November 11 and Wednesday, November 14. Fr. Jarrod mentioned during the All Councils Meeting that ministry leaders were indicating they were not being contacted. Stewardship Committee is setting up for the fair each day and each members job of this council is to make sure there is representation for their respective ministries table.  

Topic 2 Google Docs Google Forms was discussed again. Some council members have been learning this new reporting system and others still are working on this. This new reporting system is a work in progress. Fr. Jarrod mentioned in the All Councils Meeting that this is a top priority of his to get this rolled out and all leaders get familiar with it and forward it to their ministry leaders. 

Topic 3 Leadership Retreat Leadership Retreat was discussed as the need for volunteers was requested. Volunteers are needed for mailers/invitations, centerpiece and setup of tables are a few of the areas where help is requested. Johanna who will be chair in 2019 will be presenting at this meeting. She said it would be best not to worry about the Leadership Retreat until we get past the Stewardship Fair with the fair being so different as in years past. Mitch suggested we might look to meet in December to get organized for

Topic 4 Leadership Rotation We briefly discussed leadership rotation. Marie is scheduled to roll off this year to maintain the rotation.

School Advisory Council Minutes November 8, 2018 

Chair Sean Hudspeth called meeting to order, starting with the opening prayer. Attendees were Mrs. Carter, Mrs. Bird, Sean, Fey, Heather, Matt, Billy, Danny, Kathy, Chrissy, Bernadette, Crystal, Jamie, and Megan. 

Sean asked for any amendments to last meeting’s minutes. No changes were requested and there was no further discussion. Minutes stand as noted. 

Strategic plan and subcommittees were discussed next. Each new council member selected a subcommittee and everyone else reported out on their current subcommittee. 

- Catholicity: Fey and Trish. Focus on Catechesis of the Good Shepherd. - Communications: Jamie, Megan, Chrissy (new). Focus has been on matching donations 

and grant applications.  - Facilities: Billy and Trish. Matt (new) may join this or Technology. Focuses on discussing 

school building needs when Facilities discussions are happening. - Technology – Danny, Sean, Crystal. Working with Mr. Camacho on things the school 

needs. Increased technology fee, which has led to more computers and ability to host

things like seminar on cyberbullying for parents/parish. Plan is to continue things like this and on aging projectors.  

- Academics/Enrollment –Bernadette Kathy and Heather There is an enrollment plan meeting coming up on Wednesday, November 14 at 5:45 with Mrs. Carter. We will meet to get finalized enrollment plan to be discussed at next school council meeting. 

Stewardship Fair is this coming Sunday, Nov. 11 and Wednesday, Nov 14. School council will have a display with pictures from old yearbooks and lists of all the volunteer opportunities. There will also be half sheets with sign-ups available for those opportunities, but parents will still need to sign up for those things on their stewardship form as well. It wouldn’t be possible for every volunteer opportunity to have representatives at the table, so school council will be able to speak to each of those. On Sunday, the pastoral address is at 2:30 so Mrs. Carter requests setup at 2:00 and 2:15 at the latest for those doing check in. She needs more help on Sunday, so a few volunteers said they would be there. On Wednesday, the address is at 6:45 so anyone there for the enrollment plan meeting at 5:45 can stay to help set up at 6:15. Those for check in will need be ready by 6:15. Mrs. Carter has enough volunteers for Wednesday. 

Mrs. Carter gave the principal’s report next.  

1. Sean gave a great report at the parish dinner. Thank you to Sean for representing us so well. 2. Enrollment plan is a big focus and anyone who wants to help is welcome to come to the 

meeting on Wednesday. We will discuss this further at the next council meeting. 3. Technology has some upgrades coming over Thanksgiving break that have been pending. 

Fiber wiring is going in between gigabit switches. Currently these at CAT5 and have proven to be a problem due to lightning strikes. Two years ago, lightning burnt up everything. The fiber wiring removes the metal and speeds up the network between those switches. This is a $22k project, but through E-Rate, they will reimburse for ½ of that cost. Capital technology outlay and possibly some of the Fun Night funds will cover the rest.  

4. Book Fair is upcoming. Family Read Night is Tuesday, November 13th from 5:30-7:00. There is a 50s theme with sock hop, drive in movie, etc. 

5. There will also be a smaller spring book fair this year. This will be 3 days only and timed around preschool literacy night. 

6. The Frank Awards were given to Miss Brenner, Mrs. Schmidt and Mrs. Wescott. These are given out to those staff who are doing a great job with Capturing Kids Hearts. Kid’s choice awards will be happening next time, for both kids and teachers.  

7. Principal of the day (Silent auction item from Fun Night) is happening next Thursday, November 15th.  

8. Wellness Committee is hosting a Turkey Trot on Saturday, November 17th at 9:30 a.m. Participants will have 30 minutes of exercise. Giveaways will include turkey charms, turkey certificates and a drawing for a turkey (Dillon’s gift card). 

9. ACT Aspire is happening on November 28th and 29th for 8th graders. 10. Huge thank you to the Fun Night committee. Great feedback was received.  

Sean discussed the upcoming teacher and staff Christmas party, to be held on Friday, December 7th. There will be a dinner followed by a casino night from Knights of Columbus. Tickets that are won from the casino games are put into raffles for each of the baskets. Typically there are 15-20 baskets, around $50 value each. Sean would like to ensure that no teacher or staff member goes home empty handed.

He’s asking school council to reach out to their employers or others for items that could be given out as well, i.e. free oil change gift certificates from Davis Moore. Matt offered to do some wine or rumchata creamers and coffee mugs. Everyone should email Jamie with what gifts they or their employers can donate. 

Next was a vote about whether wearables from St. Francis parish should be allowed on spirit days. After some discussion about the spirit shirts having some fundraising aspect to them, and the school purchasing one spirit shirt for each teacher, it was decided that parish wearables would be acceptable. This will not be a large change to the dress code as it currently says spirit day shirts must say “St Francis of Assisi Catholic School,” so now it can say “School” or “Church.” 

Father Jarrod reiterated the Diocesan vision of taking back Sunday as a holy day of rest, followed by the Church vision, then the school vision. He has 55 conversations that will be happening in regards to families going to church every Sunday.  

Father Jarrod was asked to clarify charismatic prayer group. He explained it as an ecstatic form of prayer. Weekly on Saturday night, there will be an hour of guided prayer and meditation, focused on, “How can I open myself up to the Holy Spirit?” 

Sean reminded everyone that the December all council meeting is the Christmas party on December 11th. Due to this, our next meeting will be in January. If subcommittees have things to work on, please get together prior to the January meeting and be prepared to report out.

Nov 11 & 14 Please do everything in your power to invite the whole parish – pledge parents or not. If people are not personally invited they many not feel personally welcome.   I wrote a letter accompanying this year’s stewardship packet letting the parish know that the mandatory Annual Pastoral Stewardship Address is necessary to reserve parish rooms and to get children pre-registered in the school or a signed PFA for Bishop Carroll. 

6. Pillars D 

I would like to begin discussion of producing the Pillars publication again. It is possible to use the Father’s Focus and new digital abilities in the bulletin to make the Pillars a page of the bulletin. These are good spotlights on parish stewardship and could be produced once a month. Would the Stewardship council be open to this idea.    Here is the text that is currently on our website: Pillars The Vision Stewardship as a way of life began at St. Francis of Assisi in 1968 when Monsignor Thomas McGread arrived as Pastor. There were approximately 600 families in the Parish at that time. He did not come empty handed, as he brought with him a vision from the words of St. Peter, "As each one has received a gift, use it to serve one another as good stewards of God's varied grace." ( I Peter 4:10 ) This vision was not to be denied. Father Tom's message was simple: Strive to share our gifts of time, talent and treasure for the service of God and all His people. We do this out of thanksgiving to God for all that He has given to us. Having initiated the Stewardship Way of Life, he encouraged the parish to grow and prosper in unity, harmony and spirituality.  How Many Parishioners Participate? The answer is always changing and probably known only by God.  St. Francis is a very active parish of over 2,700 families, more than 300 parishioners participating in Perpetual Adoration, some 700 students attending the Parish grade school and Pre-School, another 300 participating in the Parish School of Religion program and more than

250 attending the area Catholic high school.  There are approximately 90 organizations active in the parish, made up of more than 2,100 volunteers. The Stewardship Way of Life has also significantly contributed to helping develop 12 priests and 10 religious from St. Francis since 1968.

I would like to consider a three year rotation for this fair combined with the annual pastoral address. The three years could rotate focus on Time, Talent, and Treasure. SFA Stewardship Council Minutes November 8th, 2018

again on the 14th at 6:45. He will be walking through the renewal form and encouraging, promoting, and advertising various opportunities. Council members present sign-up to support set up and take down after both event times

Clean-up check list

Trash 

 During the event - use containers provided. 

Decorations 

 Clear all decorations or decoration residue. 

 Clear all tablecloths, plates, cups, etc.. 

 Remove all candles from the tables carefully, so that no wax is spilled.  Do not pour wax in sink. 

Floors 

 Clean all spills immediately to avoid slip hazards. 

Tables and Chairs 

 Wipe off with damp cloth. 

 Put on racks.

Kitchen 

 Ensure doors to refrigerator and freezer are closed

Rules, Regulations, and Cleaning Procedures USE OF HALL  Halls are available to registered parishioners who are current with stewardship documentation.  

The fact that you desire to have your event at St. Francis does not guarantee a hall for your use.   Outside agencies, schools, etc. will not be permitted to use the halls. Diocesan events may be able to reserve halls for use. Non-Catholic religious ceremonies (e.g. funerals, weddings) are not permitted. Halls used for a wedding reception can only be used if the couple is married within (or blessed by) the Catholic Church. Rice, Wheat, Bird Seed, and/or Confetti should never be thrown inside or outside the Church or School. 

PARISHIONER RESERVATIONS 

Early reservations are suggested. You must personally visit the front office to reserve a room. No call-in reservations. You must: 

● Have attended the Mandatory Parish Pastoral Address (unless for legitimate excuse). ● Have current stewardship paperwork on file.

…after which you can pick up the key during normal business hours in the office.  PARISH MINISTRY RESERVATIONS 

If you are reserving a room for a parish ministry: ● Receive the clean-up check list. ● Receive your cleaning-supplies bucket. ● Pick up the key during normal business hours in the office.  

DEPOSITS   $400.00 or $100.00 deposit (respective to the area reserved) is required.  Deposits will be returned if: 

● no damages are incurred ● the clean-up checklist is thoroughly completed.   ● post-inspection is completed and keys turned-in with Patrick Malone within 3 working days of the event. 

FEES  A clean-up fee is mandatory for events larger than 30 people.  Fees are to be paid in person at the church office between the hours of 8:30 am and 4:30 pm, Monday through Friday.   Fees must be paid prior to reserving the hall.  A fee, in addition to one’s deposit, will be charged for all events involving alcohol. 

INSURANCE  Insurance liability (minimum $1,000,000) required for all events. You may either provide proof of insurance coverage or purchase event coverage for $100.00. 

DAMAGES  Any damage that may occur is to be reported immediately to maintenance (Telephone: 316-290-9457) or priests ( Telephone: 316-531-0184). If damage does occur, the costs will be charged to the responsible party, in addition to the forfeiture of the deposit. 

ALCOHOL USE  A professional security guard is to be provided at the renter’s own expense if alcohol is used.  No person under 21 consumes alcoholic beverages. No alcohol is allowed outside of the hall that has been rented. This means no alcohol outdoors, in the hallways, or in any other room adjacent to or near the hall rented. 

INSPECTIONS  Responible party will meet with Patrick Malone for a pre- and post- inspection. CLEANING SUPPLIES  A bucket appropriate to each hall will be provided for your use. Bucket, with remaining contents, will be returned to 

front office. Contents will include trash bags, hand towels, and disinfectant wipes. KEYS  Keys may be obtained from the church office during normal business hours.  

Lost keys result in the forfeiture of the $400.00 deposit DOORS  Do not prop doors wide open so as to avoid dirt, pests, or varmints from entering. 

Obey all "Closed Area" signs.  Guests are to remain in rented Hall, and are not permitted to wander through the school or buildings. 

AIR CONDITIONERS  In cold months… do not turn heat above 75 degrees. In warm/hot months… do not turn AC below 68 degrees. 

CURFEW  The music must stop at 11:00 pm  All guests must be gone by 11:30 P.M. . 

CLEAN-UP  Smoking is prohibited indoors. Use proper receptacles when smoking outdoors. Complete the cleaning check list. Turn checklist into Patrick Malone during post-inspection. 

LOST ITEMS  St. Francis of Assisi Parish is not responsible for items left behind or discarded. LADIES AUXILIARY  The Ladies Auxiliary is available to assist with wedding receptions and other events 

The Ladies Auxiliary also has a selection of supplies to rent.  The Ladies Auxiliary is happy to: 

Arrange or help arrange the cake table (napkins, candles, nuts and mints, plates and cups).  Arrange the nuts, mints, and punch bowl are kept filled during the reception.  Pick up guests' dishes and trash as they finish eating.  Wash dishes. Clean the kitchen. 

The Party Provides:  All cake, punch, nuts, mints, napkins, ice rings, and dripless candles.  Coffee, tea, sugar, cream and cups.  Ready-to-serve trays, plates and service ware.

USE OF CLARE HALL AND CLARE HALL BASEMENT  

Unsupervised children are not allowed on stage. Follow all posted instructions concerning the A/C. Do not block the exits on either side of the stage as these are both FIRE EXITS. 

USE OF STEWARDSHIP HALL 

Follow all posted instructions concerning the A/C. Check playground for trash or discarded items. 

USE OF BONAVENTURE HALL  

Unlock using the entrance in the office hallway. This door can be left unlocked by toggling the button near the latch on the door itself. The front door can be unlocked and opened from the inside.  Never lock the door between the kitchen and the down-stairs. 

USE OF NURSERY / MOM’S DAY OUT 

Ensure that all parents sign a current liability form (since Jan. of this year) for their children  Ensure all sitters have completed the Virtus Training. 

USE OF CANA HALL  If Cana hall is already decorated for any reason, especially Christmas, the decorations cannot be tampered with or moved.  Cana Hall key unlocks door #12 (southwest door).  After entering the hall, you may open the entrance nearest the school office for the use of your guests.  The kitchen in Cana Hall is not available for use, except for the icemaker.  One refrigerator is available in the kitchen for event use. Other refrigerators and freezers may NOT be used.  One metal cart is available in the hall for your use. If you throw the breaker box or otherwise turn off cooler and freezers call maintenance (Telephone: 316-290-9457) or priests ( Telephone: 316-531-0184). Do not use the A/C timer. Do not use or impede the setback system in Cana Hall. Doing this can cause the entire system to fail.  

HALL SETUP AND DECORATION 

You are responsible for setting up the room. One week prior to the event the church office can be contacted to reserve the time for set-up and decoration of the hall to be used for the reception.  The set-up and decorating time will depend on the availability of the hall the afternoon or evening before the event.  If the hall is available the day before the event, it can also be reserved at this time for set-up and decoration.  In Cana Hall, during the school year, decorating and set-up should not begin until after Extended Day Program is dismissed at 5:30 pm. No tape, pins or strings are to be attached to the ceiling or walls.  All decorations must be removed completely after use. Candles must be in containers such as votive cups and place on protective covering or mirror.  No tapers may be used except at the cake table, and then they must be dripless or wax less.  Tables and chairs cannot be moved from one building or room to another.  If additional tables or chairs are needed they must be rented from and outside source.
