CONFERENCES P&I VIRTUAL EVENT USER GUIDE To get the most out of your conference experience, here is some key information: System check: Before the meeting we suggest running the below system check links to ensure you are able to connect to both meeting platforms being utilized for the virtual conference. General Session system check: https://event.webcasts.com/test/ Virtual Roundtables system check: https://collaborate.tallen-inc.com/systemcheck Personal portal access link: IMPORTANT: Watch your inbox – an individual link to access the event will be sent to you. This link is unique to you and will allow you access into any conference session. If you forgot to register for a session – no worries. Your personal link will allow you to get in anyway. Join us for one or all of the sessions! Desktop browser: The conference is best viewed on a desktop. Mobile viewing is not advised. The best browser experience is via Chrome or Firefox. Internet Explorer and Microsoft browsers are not recommended. At the end of each session a feedback survey will appear please fill it out to help us plan future events. When instructed navigate back to the schedule tab to choose the next session. General sessions and Q&A will be listen only, questions may be submitted by typing them into the “Ask a Question” field and pressing ‘Send’. Interactive sessions: Several sessions are interactive featuring virtual roundtables where you will be funneled into facilitated small group discussions. Make sure you are able to fully participate using your computer’s video and audio capabilities. When joining, “Accept” or “Allow” prompts for access to your camera and microphone. When these sessions begin you will be given 3 options “Just Listen”, “Turn on microphone” or “Turn on microphone and camera” - See Below. Be sure to select the correct Camera, Speakers and Microphone for your setup. Ethernet is better than WiFiConnect your computer with ethernet directly to your router and turn off wifi. If you must use wifi be as close to your wifi router as possible to reduce interference & latency.

Avoid windows & other bright lights in the backgroundWebcams adjust to the brightest part of the picture, if that’s behind you then you end up being a faceless shadow.

Brightest light should be facing youThe brightest light in the room should be in front of you, that’s how they make people look good on TV.

Webcam should be at eye levelStack some books or other sturdy items to raise your laptop up so your webcam is at the same height as your eyes while you are comfortably seated.

Check your surroundingsA plain background keeps the focus on you. Also avoid anything too personal, openings or doors family members or house mates may walk by.

Wear bold solid colorsBold colors will set you apart from your background, and solid colors will look better on camera. Stripes and patterns tend to accentuate any drop in video quality.

Find a quiet placeEven small background noises can be distracting for your viewers so you’re best located in a room where you can shut the door. Rooms with lots of soft surfaces, furniture & carpet will make you sound better & avoid echos created by hard surfaces or empty rooms.

Use a headsetA USB or Bluetooth headset provides the best vocal clarity and quality. Built in microphones frequently pick up computer fan noise, can cause feedback or sound like speaker phone which can effect audio quality and audience perception. Apple Users, your iPhone headset or AirPods also work with your Mac.

Turn off programs that upload or download files in the backgroundCloud backup software and file synchronization software like Dropbox can suddenly consume large amounts of bandwidth causing your audio and video to cut out or drop completely.

Close any programs you don’t needEven web extra web browser tabs or windows can eat up valuable resources. Notifications from email, chat/messaging programs, etc. can interrupt your presentation and be distracting for others.

Ask others sharing internet to reduce or refrain from bandwidth intesive activityOthers download or uploading large files, participating in video conferences, face time sessions, video games, etc. can reduce available bandwidth very quickly causing difficulties for everyone.

Test in advanceSystem Check will make sure your internet browser is compatible and you are able to connect to the virtual meeting platform.

1. Select the Gear Icon on lower left side2. Select ‘Video and Audio’3. Choose your Camera, Speakers & Microphone*

• Typically ‘Default’ works for most users or you can manually select specific devices which may be necessary if your computer has multiple cameras or audio devices.

*Be sure your volume is turned up and not muted in your computer or operating system settings.
