Approved Vestry Meeting Minutes…………….. Page 1 of 3

ST. MARY’S EPISCOPAL CHURCH VESTRY MINUTES December 17, 2019

PRESENT: Father Mark Story, Sr. Warden Andy Smith, Jr. Warden Mike Ryan, Jr. Warden-Elect Tim Bridges, John Harrison, Debbie Hand, Traci Hampton, Bill Lambert, Mark McLochlin, Treasurer Ben Kenyon ABSENT: Kyle Baker GUESTS: None I. MEETING Andy Smith called the December meeting of the Vestry to order. II. AMEND OR APPROVE MINUTES Minutes from the November meeting were reviewed. A motion was made by Mike Ryan to approve the minutes, as amended, with a second by Tim Bridges. PASSED (1) III. SR.WARDEN’S REPORT a. Chairs. There are some sample chairs in the library that we are leaning toward using in the new church building. Andy invited the members of the vestry to try them out. b. Organ contract. We have a proposal from the Reuter Organ Company for $272,000 to refurbish the organ and in-stall it in the new church (the new organ will be comprised of the organ that Roger and Betsy Banks gave the church plus parts of other organs that Reuter has in stock). We are getting close to signing the contract and we would like to have it signed by the end of the year. A motion was made by Bill Lambert to table discussion of the organ contract, so that Andy and John will make the changes they think are needed to the contract and will send it to the Vestry for review and approval. Second by Deb Hand. PASSED (2) IV. FINANCE TEAM REPORT Ben Kenyon. a. November financials. We were $5500 in the hole for the month and $35,000 for the year. b. Wells Fargo account. Investments grew $27,000 for the month. c. Year-end finances. We currently have $94,000 in the EDO Unrestricted Fund, which has a corpus restriction of $50,000, leaving an amount available of $44,000. If December is a breakeven month, and we apply the $35,000 current deficit against the available $44,000, it will leave only about $10,000 as our reserve going into 2020. d. Budget for 2020. The current budget for 2020 provides for $419,000 in revenue and $406,000 of expense, which is projecting a $13,000 surplus. The budget is based on $320,000 in anticipated pledge payments. e. Pledge report. We currently have pledges of $265K, which puts us about $54K short of the $320K budget goal. There are still about $82K of potential pledges among the 31 active members who pledged for 2019 but not for 2020. d. Construction finances. We will be making our first progress payment to the contractor. A $208,000 payment with a $20,000 retainer, having to do with dirt work.

Approved Vestry Meeting Minutes…………….. Page 2 of 3

A motion was made by Deb Hand to move the January Vestry meeting from January 21 to January 14 to have more time to work on the budget. Second by Traci Hampton. PASSED (3) Motion to receive the financial report made by Deb Hand, second by Bill Lambert. APPROVED (4) IV. RECTOR’S REPORT a. Praise ensemble. We have enough money in the budget for 38 Sundays at $500 a Sunday. Currently we do not have that amount in pledges. If we do not have substantial pledges in the next couple of weeks Fr. Mark is going to give the praise ensemble off for January. For the future we can’t support the praise ensemble if we don’t have the money. For the long-term future of the parish it is essential to have the praise ensemble. b. Youth ministry. Fr. Mark sent out an informational note about possibly sending the youth on a “racial reconcili-ation pilgrimage” (from New Orleans to Selma and Montgomery and up to Memphis and then Little Rock). The Diocese did it last year and Fr. Mark sent out to the parish the itinerary that they used and other information about the trip. He is waiting to hear back who is interested in going. Because of our new families we have a small core group of the youth (all girls). c. Fr. Mark will be out on vacation December 29 and January 5. Bishop Ohl will be here. d. Fr. Mark received a call from a man named Will, who is our southern neighbor to the Mary Lee Lane house, and they want to replace the fence if the church will split the cost. He has a bid for $2160. Ben will call him and talk to him about it. V. JUNIOR WARDEN’S REPORT a. Mary Lee Lane house. No contractors will be in to work until after the first of the year. VI. OLD BUSINESS/NEW BUSINESS a. Traci Hampton developed talking points for the Vestry to use to call people who have not yet pledged for 2020 and update them on what’s going on in the church with a bullet point outline and ask them to turn in their pledge card if they have not already done so. b. Ben said that we are not going to be able to use the school for the church office during the building phase. Tim Bridges suggested that we might be able to use the Cochran house as an office. We have money in the construc-tion budget to use for a trailer for an office. Financially it is basically a wash either renting a trailer or using the Cochran house. Ben suggests that if we use the Cochran house that the money be paid out of the construction finances into the operating account. There is a 3 ½ car garage with the Cochran house. The Cochran house can also be used for acclimatized storage for some objects that would otherwise have to go into storage that we pay for. There is also space for meetings in the Cochran house. No further business being brought forward, following prayer, the meeting was adjourned. Submitted,

John Harrison, Clerk
