How to set up sending domains?Sender Domain
Sender domain is the address which recipients see in the from field when they open your emails.
Eg. when you see sign up confirmation email of Pepipost, you see it coming from
[email protected]. Here “pepipost.com” is the sender domain.
To start sending emails to your customers, you can use either your top-level domain eg.
mycompany.com or you can use a sub-domain like email.mycompany.com.
Set up sending domains
To start sending emails, you need to add and verify your sending domains. The verification is
done to ensure your sending domain’s security.
Go to Settings --> Sending Domains
In Add your Domains field, type the name of the domain that you want to add. e.g.
mydomain.com.
Sending domain verificationSPF validation
Next step is to verify the ownership of your domain and authenticate your domain to send emails
using Pepipost. This verification/authentication will be done once you successfully completes the
SPF (Sender Policy Framework) setting.
The steps is quite simple. You need to go to your hosting provider’s panel (e.g. cpanel) and
update the TXT record of your sender domain with the one suggested on the Domain Settings
screen.
DKIM validation
Similar to SPF, add the TXT record suggested on the Domain Settings page to complete the DKIM
validation.
Please ensure you have created the TXT record for the hostname mentioned in the screen.

TTL dependancy
Once the record is updated successfully, based on the set TTL it might take a couple of
hours to reflect the entries globally. This is because most of the DNS server cache the
entries.
Hence, you’ve to wait for some time (approx. 1-2 hours) in order to get the domain
authenticated on Pepipost. In case your domain is still not authenticated on Pepipost, you

Domain Approval
All verified sender domains will be automatically sent to our Deliverability Experts Team for
review. Once it is approved by our team, you can start using this sender domain for sending
emails. Generally, domains are reviewed within 1-2 hours of submission, however, during peak
hours it might take up to 12-24 hours.
We consider many factors while reviewing a domain. Some of the possible reasons for not
approving a domain are:
Domain doesn’t have a website representing its core business area.
Domain is getting redirected to some other website which is not associated with the
same owner.
The content of the website seems to be phishing or belongs to a business which is under
our
blacklisted list.
There is no subscription/signup form on your website or if it’s there then it’s not
functioning.

What is domain approval process?We review all new sender domains to ensure the validity of all our new customers and their
businesses. As an email provider, it is important to protect our system as well as inboxes around
the world from spam email.
By verifying domain ownership, evaluating every website, determining what kind of messages
will be sent and to whom, we maintain our credibility as an email provider and also help you get

Time taken for Approval Process
The review process takes 12-24 hrs to complete and you will be intimated over your

What to do if your sender domain isrejected?Don’t panic! A rejected sender domain just means that there are a few matters we need to clear
up before approving your sender domain.
We send a message to your registered email address containing information that explains why
your sender domain was not approved. Here are a few common reasons for rejection:

What is Fast Track approval?Fast Track approval process is a quicker way to get your sender domain approved. It takes only a
span of 4-6 hours to get your sender domain approved.
All you’ve to do is answer a series of question and submit them.
You’ll get the series of a question when you click on Fast Track Approval under the Approval
column in Domain Management

How do I start sending email?Once you have configured the sender domain and our compliance team has approved the same,
you are actually ready to shoot out emails from Pepipost using the approved domain.

Things to remember when choosing a domain:
This is the most crucial part when you start off your email activity, be it transactional or
promotional. Remember that you do not change the domain name frequently and ensure that it
makes a lasting impression on your end users.
Here I list few generic guidelines to choose a domain:
Different name for domain & sub-domain: A completely different domain than your business
domain, or a sub-domain of your business domain. Ex: myshoppingsitemails.com is a completely
different domain and email.myshoppingsite.com is a sub domain of your business domain.
Different name for Transactional and Promotional sub-domains: In this case,
Trans.myshoppingsite.com for transactional and email.myshoppingsite.com for promo.
If you plan to keep your mailing domain separate from your business domain, please make sure
that you choose a name that is similar to your business domain and redirect the mailing domain
to your business domain. End user should feel the connectivity between the domains.
