WHAT'S DIFFERENT If you are a member or if you have been to stay with us before, you’ll notice that we have had to make a number of changes in your cottage and across the resort to help keep you safe.

We have removed all non-essential cushions, ornaments, games & books from our cottages. We’ve also removed the DVD’s from Reception, so remember to pack your favourite books & films for cosy cottage days. Board Games are still available from Reception on a request basis, please call to find out what’s available before coming in to collect.

Your cottage will have been thoroughly sanitized ahead of your arrival and the crockery will be washed and ready to use in your dishwasher.

Of course, once you arrive if there is something you need that we haven’t provided, please call Reception and we will leave the item outside your cottage in a sealed bag and knock your door before departing.

There are a number of hand sanitizer stations across the resort in key areas such as the laundries, the games rooms, the tennis court, the bin area etc. Shared areas of the resort are now being cleaned twice during the day and high-touch areas such as door handles even more regularly. We have also left a stock of hand gel, disposable gloves and cleaning products in your cottage.

If there are times when we need access to your cottage during your stay to carry out essential maintenance and social distancing cannot be maintained, we’ll ask you to leave and we’ll give you a call when it’s safe to return.

BEFORE YOU TRAVEL Read through our Holiday Guide & Essential Information which will be sent to you in advance of your arrival. You might want to pack a few items to use whilst you are here, such as:

X Your own face mask(s)/covering X Disposable gloves X Hand sanitiser

GUEST INFORMATION We need a bit more information about your party before you come to stay. All members and rental guests will be asked for the following information which will be kept on file for a period of 4 weeks to facilitate "Test & Protect/ Track & Trace" enquiries, if required:

X Guest Health Questionnaire This questionnaire is to be completed by a nominated “lead guest” on behalf of your party.

X Guest Details We need the name and contact information of everyone in your party including any day visitors (details of whom can be emailed to reception).

X Cottage Set-up Questionniare As part of our safety charter, we have to do things a bit differently when it comes to getting your cottage ready for you. This questionnaire is required so that our Housekeeping Team can ensure you have everything you need for your stay, sanitized and ready for your arrival.

WHAT TO DO IF YOU FEEL ILL If you develop any Covid-19 symptoms whilst staying with us on holiday, you need to:

X Inform Reception

X Contact NHS Direct by calling 111 and follow the guidance given

X If you are contacted by Test & Protect/ Track & Trace to say that you may have come in contact with someone who has Covid-19, we ask that you follow the same procedure.

If you are tested positive for Covid-19 we ask that you return home to self-isolate.

ESSENTIAL COVID-19 INFORMATION Melfort Village has been welcoming members & guests to our wonderful part of Scotland for over 30 years. The unprecedented arrival and subsequent impacts of Coronavirus have led us to change how we do some things to help stop the virus spreading and to look out for the health of our guests, our team and our wider community.

We have been working hard throughout lock-down to develop new policies and measures which adhere to Government guidelines. As a result, we have produced our Melfort Charter which details how we are changing things to make holidays at Melfort Village safer and also what we need you to do to help us maintain our goal of a Covid-free resort.

For now, Government guidance means we can’t offer everything we used to, but this is a constantly changing landscape and we promised to keep you updated on what’s available as part of your holiday here at Melfort.

Whilst we are doing everything we can to keep Melfort Village Covid-free, please be aware that the contagious nature of Covid-19 means that, although The Melfort Club has put in place preventative measures to reduce its spread, the risk of becoming exposed to and/or infected by the virus is still present. The Melfort Club cannot guarantee that you will not be exposed to Covid-19 and cannot accept any liability relating to this.

PLEASE DON'T TRAVEL IF YOU HAVE:

X A high temperature (37.8 degrees or higher). X A new and continuous cough. X Loss of taste or smell.

DURING YOUR STAY X Stick to Scottish Government guidelines and

any procedures we and other local businesses have in place – we can help advise you on the requirements of immediate local businesses.

X Wash your hands frequently for a minimum of 20 seconds with warm water and soap.

X Make use of the plentiful hand sanitiser stations.

X Need to cough or sneeze? Catch it in a tissue and bin it.

X Keep your distance from others. X Pay by contactless where you can or add to

your cottage account.

OUR TEAM To help stop virus spread our team are all:

X Trained on Covid-19 safety and sanitation protocols, and what they do if a guest or colleague becomes unwell.

X Washing their hands and using hand sanitiser on a regular basis. Gloves are also worn where appropriate.

X Trained on physical distancing guidelines and protocols required both behind the scenes and when when working with guests.

X Carrying their own pens to reduce contact. X Having their uniforms washed above 60

degrees. X Provided with the right PPE for their role and

trained in how to use and dispose of it safely.

GROCERY DELIVERIES If you are ordering a grocery deliver to arrive on your check-in day, please note that we cannot accept deliveries on your behalf as your cottage will be sanitized and sealed, so you must choose a delivery slot which will be after your arrival time.

Please be aware that grocery delivery slots are limited as we still have vulnerable community members who are shielding. If you are fit and able to do your own grocery shopping locally, we would encourage you to do so.

WHEN IT'S TIME TO LEAVE We will contact you to arrange a safe time to read your meter on Friday morning. Your final bill will be prepared and emailed to you and we ask that you call us to make payment over the phone before you leave.

We ask that you vacate your cottage by 9am on your morning of departure. Before you leave, please:

X Strip the beds in your cottage and place all the linen and towels into the designated laundry bag provided and leave this outside your cottage door.

X Each room should have a window left open before your departure to fully air the property.

X Please boost the hot water before departing to ensure our housekeeping team has sufficient hot water to clean the cottage for the next guests.

X Keys are to be left in the key-safe at your cottage entrance.

YOUR ARRIVAL & CHECK-IN Your cottage will be ready from 6pm on your day of arrival.

We ask that all members and guests report to Reception and park where directed by our “welcome team”. PLEASE REMAIN IN YOUR CAR. Our team will take a temperature reading for all guests in your party and make sure we have your pre-stay mandatory information. You will then be directed to your cottage and given your key-safe code. Each cottage has its own key-safe which stores your santized cottage keys.

If you’re arriving after Reception is closed, please phone Reception before 7pm for your key-safe access code and then contact Reception on Sunday morning to arrange a time for your temperature reading and to ensure we have all your required details.

WHILE YOU ARE HERE We have developed enhanced cleaning to help stop virus spread amongst our guests and our team. From front of house to behind the scenes, enhanced cleaning measures not only mean that we are cleaning more regularly, but that we are zoning in on more high contact areas. A check-list of all property sanitization activity will be left in the cottage for your review.

After your cottage has been sanitized and checked by our Head Housekeeper, it will be sealed to ensure no further access until your arrival.

For extra hygiene, we have introduced the use of Ozone Machines which purify & clean air without the use of chemicals or intoxicating perfumes.

WHEN VISITING RECEPTION Face Coverings are mandatory.Social Distancing - Stay apart and keep your distance from guests and our team. We’ve plenty of visual reminders to help you remember.

Protective Screens - We’ve installed a protective screen/sneeze and cough guard to help stop virus spread.

Check-in/Check-out – Contactless check-in and check-out is available as detailed in this guide.

Card Payments - Payment is requested by debit or credit card ideally over the phone where possible. If you need to come to Reception to pay, credit card machines are regularly sanitized and you’ll find wipes next to the machines.

Gift Shop – Our gift shop at Reception is open. Please follow social distancing guidelines and don’t the handle items unless you are intending to purchase them. We ask that you wait to enter Reception if there are 2 guests already inside. When one guest leaves you can enter. To minimise the wait time for other guests, we ask that only one member of your party enters when browsing.

PUBLIC AREAS Social Distancing - Like everywhere else in the resort, stay apart, keep your distance, follow any markings and reminders.

Enhanced Cleanliness - In addition to extra cleaning to help stop virus spread, some of our housekeeping and maintenance team may be wearing personal protective equipment whilst keeping our public areas, cottages and facilities clean.

WELCOME MEETING Olwen our Holiday Maker is going digital! We know how important it is to keep up to date on what is happening in the area, now even more so than before, so Olwen has been keeping on top of developments so that our members and guests have current information on what to see & do.

Because we never know how many of our lovely guests will be coming along to welcome meetings, we’ve decided to do them online via Zoom until further notice. We’ll let you know before arrival the zoom meeting details so you can join in from the comfort of your cottage!

Of course, there are still leaflets available in Reception and we are always available for local advice and bookings. If your enquiry can be emailed or made by phone, we ask that you do this to keep visit to Reception to a minimum.

THE ROOM AT THE TOP RESTAURANT & BARInitially The Room at the Top Restaurant & Bar will be open for Takeaway only from 3pm to 8pm Friday & Saturday throughout July. Please see our website for menu details.

The team ask that you call ahead with your order, pay by card over the phone and agree a collection time where they will have your order ready and waiting for contactless pickup.

The team have opened a new courtyard dining area outside the swimming pool entrance which you may use to eat your meal, whilst adopting social distancing measures.

As things relax, The Room at The Top will be increasing the service offered and we will keep you informed on changes as they happen.
