Ifyoudon'twanttheQuickAccessToolbartobedisplayedinitscurrentlocation,youcanmoveittothe
other location. Ifyou find that thedefault locationnext to theMicrosoftOfficeButton is too far
fromyourworkareatobeconvenient,youmaywanttomoveitclosertoyourworkarea.Thelocation
belowtheRibbonencroachesontheworkarea.Therefore,ifyouwanttomaximizetheworkarea,you
maywanttokeeptheQuickAccessToolbarinitsdefaultlocation.

Minitoolbar
Whenyouselecttext,youcanshoworhideahandy,miniature,semitransparenttoolbarcalledtheMini
toolbar.TheMinitoolbarhelpsyouworkwithfonts,fontstyles,fontsizing,alignment,textcolor,indent

InsomeMicrosoftOfficeprograms,menusandtoolbarshavebeenreplacedbytheRibbon.However,if
youhavememorizedandgottenusedtousingtheaccesskeysfromMicrosoftOffice2003,youcanstill
usethem.
Note:inMicrosoftOfficeOutlook,menusandtoolbarsarestillpartofthemainwindowoftheprogram.
However,inopenitemssuchasemailmessages,theaccesskeyshavebeenreplacedwiththeRibbon.
WhenyouareusinganaccesskeyfromOffice2003,amessageisdisplayedtoalertyouandtoremind
youwhichkeysyouhavepressed.
Forexample: If,youwantto insertahyperlink inyour file,andyouareusedtousingtheaccesskey
sequencefromOffice2003,soyoupressALT+I.Thefollowingmessageisshowntoremindyouofwhich

Thegalleriesof formattingchoicesgiveyoua livevisualpreviewof the formatting inyourdocument
before you commit to making a change. Thus Word eliminates the guesswork when you apply
formattingtoyourdocument.Andnowyoucanspendmoretimewritingandlesstimeformatting

you
can
select

agallery
of
preformatted coverpages,pullquotes, andheaders and footers tomake yourdocument lookmore

Ifyouwanttocustomizethepreformattedcontent,orifyourorganizationoftenusesthesamepieceof
content,suchaslegaldisclaimertextorcustomercontactinformation,youcancreateyourownbuilding
blocksthatyouselectfromthegallerywithasingleclick.Thusaddingpreformattedelementswithjusta
fewclicks
OverviewofQuickStyles
QuickStylesarecombinationsofdifferent formattingoptionsandaredisplayed ina thumbnail in the
variousQuickStylegalleries.WhenyouplaceyourpointeroveraQuickStyle thumbnail,youcan see
howtheQuickStyleaffectsyourSmartArtgraphicorshape.
QuickStylesforSmartArtgraphics(SmartArtStyles) includeedges,shadows, linestyles,gradients,and
threedimensional(3D)perspectives.TrydifferentcombinationsofSmartArtStylesandcolorsuntilyou
findonethatmatchesthemessagethatyouwant tocommunicate.Youcanpicka layout,aSmartArt
Style,andacolorvariationthatyou like,andthenchangethe layoutagainyourSmartArtStyleand
colorswillstaywithyourSmartArtgraphic,sothatyoudonotneedtoredothem.
SmartArt Stylesmap the theme effects(theme effects: A set of visual attributes that is applied to
elements inafile.Themeeffects,themecolors,andthemefontscomposeatheme.)ofthedocument
theme(theme: A combination of theme colors, theme fonts, and theme effects. A theme may be
appliedtoa fileasasingleselection.)totheshapeswithintheSmartArtgraphic.Forexample,shapes
mighthavethick linesoredges,whilearrowsmighthaveamoresubtlestyleappliedtothem.Youcan
alsoapplycolorsfromthethemecolors(themecolors:Asetofcolorsthatisusedinafile.Themecolors,
themefonts,andthemeeffectscomposeatheme.)ofthedocumentindifferentways,suchaschanging
thecoloroftheshapeborder.IfyoucreatemultipleSmartArtgraphicsandwantthemtolookalike,you
canapplythesamecolorsandSmartArtStyletoachieveaconsistent,professionallook.
You canhave shapes thatdisplaywith edges,depth, and rotate in 3D space. Tomake an SmartArt
graphicthreedimensional,applyan3DSmartArtStyleormanuallyapplya3Drotationtoeachshape.
If the entire SmartArt graphic is threedimensional (called scene coherent 3D(scenecoherent 3D:
Cameraanglesand lightsettingsthatyoucanusetocontroltheorientation,shadow,andperspective
forgroupedshapes.)),youcancontinuetoeditthetextandformattingofeachoftheindividualshapes,
but the shapes cannotbe repositionedor resized.Youcanonly repositionor resize shapes ina two

dimensionalscene.Toswitchbetween2Dand3D,underSmartArtTools,on theFormat tab, in the
Shapesgroup,clickEdit in2D.TheEdit in2Dbutton temporarilyunlocksyourSmartArtgraphic for
editing so thatyou canmoveand resize shapesbut the3DSmartArtStyle is stillapplied toyour
SmartArt graphic and reappears when you click Edit in 2D again. When your SmartArt graphic is
displayedina3Dscene,youcanrotateitasawholeandpositionlightsourcesandthe"camera"such
thattheentireSmartArtgraphicappearstopopoutofthescreen.
SmartArt Stylesaffect anentire SmartArt graphic,whileQuickStyles forShapes (ShapeStyles)affect
onlytheselectedshape.Youcanmanuallycustomizeashapebychangingthecolor,effects,orborder,
orbyreplacingitwithanothershape.ItisrecommendedthatyoucustomizeyourSmartArtgraphiconly
after you settleon its content and layout, as some customizations arenot transferredbecause they
might not look good in the new layout. Formore information about switching layouts for SmartArt

DocumentInspector
Inspectdocumentsforhiddendataandpersonalinformation
Before sharing a file or documentwith clients or colleagues, it is good to review the document for
hiddendataorpersonal information thatmightbe stored in thedocument itselfor in thedocument
properties.
Toavoidrevealingdetailsaboutyourorganizationoraboutthedocumentitselfthatyoumightnotwant
tosharepublicly,youmightwant to remove thishidden informationbeforeyou share thedocument
withother
people.
MicrosoftOfficedocumentscancontainthefollowingtypesofhiddendataandpersonalinformation:
Comments,revisionmarksfromtrackedchanges,versions,andinkannotations
If you collaboratedwithotherpeople to createyourdocument, yourdocumentmight contain items
suchasrevisionmarksfromtrackedchanges,comments,inkannotations,orversions.Thisinformation
canenableotherpeopletoseethenamesofpeoplewhoworkedonyourdocument,commentsfrom
reviewers,andchangesthatweremadetoyourdocument.
Documentproperties
and
personal
information
Documentproperties,alsoknownasmetadata(metadata:Datathatdescribesotherdata.Forexample,
thewords inadocumentaredata;thewordcount isanexampleofmetadata.), includedetailsabout
yourdocumentsuchasauthor,subject,andtitle.Documentpropertiesalsoincludeinformationthatis
automaticallymaintainedbyOfficeprograms,suchasthenameofthepersonwhomostrecentlysaved

YoucanusetheDocumentInspectortofindandremovehiddendataandpersonalinformationinWord
documents thatwere created inOfficeWord 2007 andearlier versions. It is a good idea touse the
DocumentInspectorbeforeyoushareanelectroniccopyofyourWorddocument,suchasinanemail
attachment.

OpentheWorddocumentthatyouwanttoinspectforhiddendataandpersonalinformation.
ClicktheMicrosoftOfficeButton ,clickSaveAs,andthentypeanameintheFilenameboxtosave
acopyofyouroriginaldocument.
Important ItisagoodideatousetheDocumentInspectoronacopyofyouroriginaldocument
becauseitisnotalwayspossibletorestorethedatathattheDocumentInspectorremoves.
1. Inthecopyofyouroriginaldocument,clicktheMicrosoftOfficeButton ,pointtoPrepare,

IntheDocumentInspectordialogbox,selectthecheckboxestochoosethetypesofhidden
contentthatyouwanttobeinspected.
3. ClickInspect.
4. ReviewtheresultsoftheinspectionintheDocumentInspectordialogbox.

ClickRemoveAllnexttotheinspectionresultsforthetypesofhiddencontentthatyouwantto
removefromyourdocument.

StylesandStyleSet
Changeastyle
InMicrosoftOfficeWord2007,Quick Stylesare setsof styles that aredesigned towork together to
create an attractive andprofessional lookingdocument. Inmost cases, youwon't change styles in a
QuickStylesetbecausethestyleshavebeendesignedtocomplementoneanother,andit'seasiertouse
adifferentQuickStyleset.But,undercertaincircumstances,youmightwanttochangetheattributesof
astyleinaQuickStyleset.
1. Selecttextthatisstyledwiththestyleattributesthatyouwanttochange.

NoteAlltextwiththestylethatyouchangedwillautomaticallychangetomatchthenewstylethatyou

TipIfyouchangedthestylesinadocumentandthestylesarenotupdatingthewayyouexpected,click
theStylesDialogBoxLauncher,and thenclickStyle Inspector to findoutwhether textwasmanually
