VOLUNTEER TO BE ON A COMMITTEE We are currently seeking homeowners to volunteer for the 2019-2020 committee year that commences November 1

st.

Committee/Task Force Member Application Forms are available at the Administration Center or can be downloaded from our website: www.cottonwoodpaloverde.com under "Downloadable Forms." Completed forms must be returned to the Administration Center.

Deadline for application is September 15th

Tenure on committees is limited to two years. If you are finishing your first term on a committee and plan to reapply for a second term, you must complete and turn in a new application.

RECREATION/ENTERTAINMENT COMMITTEE When you live in Cottonwood Palo Verde, the health and vitality of the community can be attributed to the variety of activities and amenities available to you. It is the responsibility of the Recreation/Entertainment Committee to be the eyes, ears and voice of the residents to make recommendations to the Board and/or Management concerning a variety of topics relating to our recreational activities and amenities.

The Recreation/Entertainment Committee Charter states the Committee: recommend procedures for the use and reservations of all recreational facilities and activity rooms; recommend procedures for monitoring of recreational facilities to ensure they are used primarily for Association members; propose changes to the recreational facilities and maintenance on an as needed basis; recommend specific rules for use of the facilities in the balanced best interest of the Association membership; conduct regular reviews of all recreational facilities to ensure they are being used for the best interest of the membership and Association; assist the Recreation Manager in coordinating some selected special events, concerts, etc. requiring additional planning and execution.

Serving on the Recreation/Entertainment Committee is a great way to give back to the community and to have a voice in how to maintain our communities' quality of life. The Committee meets the first Monday of each month at 1:30pm in the Phoenix Room. Applications can be found on our website, or at Homeowner Services.

ELECTION COMMITTEE The Election Committee consists of five (5) to seven (7) members. The committee is very active throughout the winter months but often suspends meetings during the summer.

The Charter of the Election Committee states that the committee plans, organizes and conducts all activities associated with any voting by the Association members in response to an election and/or a Special Meeting called by the Board of Directors.

The primary responsibility of the Election Committee is to design and maintain a vote counting process, approved by the Board of Directors, ensuring only Members in Good Standing of the Association have voted and that the vote counting is accurate, crosschecked and audited.

The committee meets on the first Wednesday of each month at 1:30 pm in the Ceramics Room. The meetings are all working meetings to either plan for an upcoming election/vote or to work on policies and procedures that guide the committee and the voting process. All matters pertaining to an election/voting must adhere to State laws and the Association Bylaws.

It’s an exciting committee to belong to and is a good learning experience. Members become familiar with some State Statutes, Association governing documents and our Charter, to understand the requirements needed to maintain an accurate and secure voting process.

Members receive a manual with all the information necessary to allow them to become a functioning, participating member. As the year progresses, these manuals are updated as necessary by the committee. Your role on this committee, should you decide to accept it, is an important one and we encourage your application and questions.

AUDIT & FINANCE COMMITTEE The purpose of the Audit and Finance Committee is to review and audit the financial operations of the Homeowner Association of Cottonwood Palo Verde at Sun Lakes and to perform other tasks as required by the Board of Directors.

A&F is an advisory committee established to assist the Board in its oversight responsibilities concerning audit, compliance and the implementation of the financial reporting systems.

A&F is composed of seven members. We review the monthly financial statement, provide financial forecasts to the Board and Management and conduct special studies and audits at the request of the Board. Our committee meets on the first Thursday of each month at 3:00 PM in the Phoenix Room unless otherwise posted. Join us.

SAFETY, SECURITY & ACCESS COMMITTEE (SSAC) The SSAC’s purpose is to serve as the eyes and ears of the residents by defining safety and security concerns and providing recommendations to Management and the Board of Directors. We strive to reflect the residents' wants and needs in community safety and security for Cottonwood and Palo Verde.

Our SSAC members come from all walks of life: former and/or retired police officers, fire fighters, insurance employees, military, attorneys, corporate management, health care administration, customer service, etc. Our only real requirement to be on SSAC is to truly care about the well-being of our community and a willingness to become actively involved. Pick up an application and join us….or attend one of our meetings and share your ideas. SSAC meets on the first Wednesday of each month at 9am in the Saguaro Room. We invite everyone to attend!
