SHRM WASHINGTON STATE COUNCIL MINUTES December 6, 2013 Radisson Hotel, Seattle WA 7:15 a.m. to 3:30 p.m. Welcome : (See roster below) Ruth opened the meeting with an Ice Breaker. Everyone introduced themselves with their name, position on the Council and their chapter and the TV show they are most embarrassed about watching or is their guilty pleasure . 2013 Review and WSC Board Position Transition and Recognition : (Anne Raffetto) Anne shared that the gifts that she had purchased still hadn’t arrived so she is going to be mailing them to everyone. She does have the certificates and she also bought everyone a scratch ticket. She then announced that the Council accomplished 15 initiatives this year and will be applying for Platinum status on the SHAPE program. Anne shared that Mary Nance had raised more money for the SHRM Foundation than any other year so far. Anne shared that Ruth and Josh were very successful in their membership drives, networking events, and also brought in 25 At Large members to become affiliated with the WA chapters. District Directors were successful with their initiatives. They were able to award the Leadership award to 3 chapters and then assisted with the When Works Work. Penny as our treasurer was very instrumental in helping clean up the books and getting our finances electronic. She has also assisted in getting our 3 year reserve started. Lisa Blevins as the communication director was instrumental in getting our website cleaned up and updated and has been able to get the calendar current. She also researched and found we may be able to get income from our website by having jobs posted on it. Theresa, conference chair, was instrumental in getting our first ever Employment Law Conference off the ground and it was successful given it was the first year we didn’t collaborate and do the conference with Dorsey Whitney. Julie, legislative director has been instrumental in getting our date scheduled for our 2014 Day on the Hill. Abbi is now working with our conference planner in getting our 2014 Employment Law conference and it is going well. Audi, workforce readiness director was very instrumental in getting the Veteran’s initiative together and was able to get all 17 WA chapters involved and in 2013 the initiative won the Pinnacle Award. Roshelle, social media, was instrumental in getting a power point presentation together for all of the chapters on Social Media information and has been doing awesome in getting our information out on our FB page, tweeting things, and just keeping us socially connected. Nancy Slotnick worked really hard to get a Diversity conference together and did a lot of collaboration with several key players and built some solid relationships even though the conference wasn’t able to happen. Kristina Hyak, HRCI director was successful in providing several tools and resources that she shared with the chapters regarding information about HRCI and recertification. Tika and Carole, Global co-directors have continued to have their monthly Global workshops and they are free to all. They also were successful with their Global boot camp. All of the global workshops are all on the WSC website. Christine, secretary, did excellent with the meeting minutes and was successful in getting all of the meetings posted on the WSC website for everyone to view and which is also a requirement of the SHAPE. Mary then acknowledged Anne for all the work and leadership she did during her tenure as Director and pulling the Council together to work as a team, including getting the Pinnacle award through her leadership and support for the initiative.

Review of and approval of the last minutes: (Christine DeVere) Ruth asked if there were any further corrections other than what had already been sent to Christine. There were none noted, but Nancy did indicate they were sent to the wrong email address and could they be resent to her. Christine will do that. Nothing further noted. Roshelle motioned to approve the minutes. Anne seconded. Motion Unanimously passed.

WSC Structure, State Chapter Survey Results and Discussion: (Ruth Alstadt)Ruth did a power point presentation regarding our WSC structure and affiliation with SHRM. She displayed the picture of the Council in our Green WA t-shirts with the $1,000 check for winning the Pinnacle award. She then explained the MAC which is the Membership Advisory Council and what their role is. She explained the MAC reps are very active in working with the chapters to understand what the member’s issues are and what they want and relay the information back to the Board. The MAC representatives are past State Council Directors and are appointed to these positions. There is one MAC rep per the 5 regions. Scott Washburn was the past MAC representative and currently it is Deb Horn and she is from California.

Ruth then explained the relationship with NHRMA (Northwest Human Resource Management Association) which was here before SHRM and there was an agreement that was signed between SHRM and NHRMA. We are the only region that has NHRMA and they do educational workshops. They also do the student games/conference. For 2014 it is going to work out that the PW Region and NHRMA student games will be held jointly for the first time. NHRMA provides financial chapter support and puts on the annual NHRMA conference. Ruth then explained that we are in the Pacific Northwest Region which has 69 chapters. Dianna Gould is our Regional Director.

Ruth covered the State Council mission whose focus is really centered on supporting and helping our chapters. She discussed the State Council role which is to provide a forum for the chapters, facilitate information from the chapters to the national boards and MAC, represent SHRM, adopting programs to promote progress for activities of SHRM, state, etc.

Ruth then covered the governance. She explained we are an autonomous entity that operates as an affiliate of SHRM. We are a non-profit and every chapter president is a member of the WA State Council. Our state is unique as we are a 100% chapter meaning all of our members are all SHRM members and we are afforded benefits which include additional e-blast communications, we get three nights paid for Leadership conference for the Presidents and Council director. We also get chapter financial support of $25 per member. Ruth noted that we currently have a map which shows all of our 17 chapters and we were one of the first state councils to create such a map. She explained that we are currently looking into getting a larger and sturdier one.

Ruth provided an update: currently there are 4,477 members in SHRM chapters. This is an increase of 10% and 2,943 “At Large members.” We currently have 9 student chapters in WA.

As the Council, we have state sponsored events such as the statewide conference, statewide communications, HR Day on the Hill, Global HR, and chapter events. Colleen shared that Scott Washburn has been student chapter president, chapter president, state council director, past director, NHRMA board, MAC rep and is now a Board of Director for SHRM. There were announcements regarding the other awards that chapters have received including the last 4 years in which a Washington state chapter has received the Randy Lundberg Northern Lights Award. We have had the South Puget Sound chapter win a Pinnacle award last year, the State Council won this year and the Lake Washington chapter was nominated this year which was huge. Mary commented we have lots of winning teams on the WSC.

Chapter Survey: Ruth will have Christine email the survey results with the meeting minutes. The first priority was membership and that is going to be a big push in the coming year. HRCI was second. Ruth asked those who participated in the survey what it was about HRCI which put it so high on the list. The discussion included getting resources to provide recertification classes for members who are going to be sitting for the exam. Another reason was ensuring getting the recertification credits for meetings, workshops, etc. Washington State has a very high percentage of certified members and it is a very competitive field now. Some of the chapters have worked jointly together to provide preparatory certification classes. Anne shared that Alaska has created a virtual model that we can use as a model here in Washington and there isn’t a need to recreate the wheel. It was noted it would be cool to get HR data regarding certification and how important it is to employers for their HR professionals to have it. Also it was noted there is more compensation awarded if you have a certification.

Third highest in priority was college relations. Ruth asked to hear what the energy around college relations was. Discussion centered around how it is really good to have the student chapters and associate closely with them so that when they graduate and become professionals, they already are familiar with SHRM and they will want to stay connected.

Ruth summarized that membership and college relations go hand in hand and at the Leadership conference they noted the path forward to recruiting members is really through the young professionals, and students. These chapters can also be virtual. Dianna has more information to assist with that avenue. Mary talked about the different member types. The young professional, “at large”, members who are gung ho, members who aren’t super engaged and the emerging talent. The membership really needs to look at the memberships differently and not keep them all in one group. It is important to address a variety of methods to reach out to all of them.

It was noted that chapters don’t receive credit or financial monies for the student members so it is disadvantageous for the chapters, but it is also very important to connect with the students to engage them and keep them connected so they will stay more loyal. The largest group that needs attention focused on them are ones who come to meetings and join for a year but then aren’t engaged or connected and drop off. This is also an area that Josh was working on this year and that Dianna noted is an area to continue focusing on. Dianna and Josh worked on developing a web presentation to address this particular concern in 2013.

Diversity and Workforce Readiness were tied. Not a lot of programs or educational opportunities to use as resources or that can be used to assist our local communities. Ruth brought up a great resource. She shared that Joe Gerstandt is a presenter and has done workshops for SHRM at their annual and leadership conferences. Joe’s outlook on diversity is “Diversity of Thought” and geared toward leadership.

Workforce Readiness is another area where there is a big issue regarding the skills gap which is something that SHRM is focusing on right now as well. Even though we receive lots of resumes, majority of them are not qualified. Working with the skills gap issue, would be a great way to get out and lead the way.

Ruth noted that since Audi has moved to College Relations there is a vacancy for the Work Force Readiness director so if anyone is interested, let her know.

WSC Focus Areas: Global showed as the least important. It was noted that we have such a strong global program and there is so much available to our state that might be the reason it was not as high a concern. It was noted that several chapters don’t have global members especially on the east side but there are still several on the west side who work for companies that are global.

Communication was the most important. It is such a constant topic and it is hard in a voluntary role to keep up/stay up to date, especially with the social media. It can’t be delegated to just one person but it has to be a group effort because it is too much for one person. Some people are social media people and some that aren’t and it is such a broad topic. However, communication is more than social media. It has been split into two positions in many chapters including the WSC. It was noted it should be phrased as “how do we best communicate to our members.” But the question then became which group are we communicating to because they are all diverse and not one method will work for all. Anne discussed looking at developing a communication plan and using the SHRM PR department to help with this area. The SHRM PR department is free to our chapters. Kimberly Goodwin can probably get everyone in touch with the contact from the SHRM end.

Everyone is always looking for professional credits and it would be nice to have recertification credits during the council meetings. It was discussed that we could have an hour presenter on a hot topic and then provide the credit, This could also help to re-energize everyone. It was noted it would be nice to recognize a chapter member or something that elevates our talent and those that are a part of our membership. There is a need to be recognized amongst the community and then with our peers as well. It was suggested it would be nice to share the accomplishments of the chapters.

Budget and Treasurer Report: (Penny Roozdant)Ruth is going to pass around the list of those whose names have been provided as potentials for the 2014 treasurer position since Penny will be stepping down. Ruth explained as well that all of the reimbursements that have been submitted to date have been paid. For today’s reimbursements, she proposed that the checks be paid in January however, if it is a financial burden and someone isn’t able to wait until January please let her know and they will deal with it on a case by case basis. They will be able to get a check cut today if necessary. (Update: Ruth spoke with the nominees for this position and announced at the conclusion of the meeting that Pam Gibbons had been receptive to joining the Council as the Treasurer and accepted the position. She will be at our next meeting).

There are still more expenses that we haven’t received. The expenses from the leadership meeting and this planning meeting today are still costs that we have and we are still collecting sponsorships from the conference. Ruth shared we are actually on target with our budget. The goal for the WSC is to build a reserve which will consist of their yearly expenses times 3 which a best practice for non-profits. For the WSC, this would equate to approximately $350k.

Ian would like to talk about an exact reserve amount and how much of the net reserve we are willing to use and then how much the council is willing to give back to chapters as part of the discussion prior to voting on the 2014 budget. It was noted these were valid topics and everyone was in agreement. Several chapter presidents requested some financial guidelines and resources for their treasurers. Ruth shared there are a ton of resources including the financial tools on the VLCR. The best time for the budget session would be to have as a face to face meeting versus phone meeting, so Ruth will work with Penny and figure out which date will work and then get something out to the WSC to review before that meeting.

Penny was unable to be at this meeting so it was hard to answer the questions without the details behind the budget. Ruth suggested that the questions and any further discussions regarding the budget be postponed until the next face to face meeting when Penny/the new treasurer would be present and able to address the issues. Ruth will have Christine send the budget out with the meeting minutes.

Ruth did explain the WSC does have a proposed budget and it is within $1k of being balanced but without a treasurer present we are not at a point to discuss the proposed budget or make any motions to pass it.

Ruth proposed that instead of having the priority discussion we move this to the sticky note process/challenge and include the topic in that. The WSC was in agreement.

At Large Member Survey Results: Ruth will have Christine send this survey out with the meeting minutes. The At Large surveys are hard to get responses to. Out of about 3,000 only 58 actually responded to the survey. Ruth is going to be calling the respondents to see if they can get their email addresses so we can include them in our email distribution lists. Anne shared that at Leadership conference they shared that CA started doing this and it made a huge difference in getting connected and getting their at large members affiliated with the local chapters.

Ruth is going to be doing a drawing for those at large members who took the time to respond to the survey. She is planning on calling them and asking them directly if they are interested in affiliating with a local chapter and if they have been a chapter member previously. This will provide a good opportunity to promote SHRM and being a member of a local chapter. Nancy then shared that SHRM told them that if there is a member whose membership has lapsed if we can get them renewed within a 30-45 days, then they won’t drop off of our membership rosters. This is what was shared at the Leadership conference. Several presidents shared this isn’t how it is actually working and they have had several members who have renewed within the 30-45 days and they have still dropped off the rosters. Ruth asked if Ian would contact Kimberly Goodwin and let her know what we learned at the Leadership conference and let her know this is not what we are experiencing and what is her understanding and then share the information.

Due to that very issue, CA did a big PR push to reach out just to the at large members and ask for their email addresses and information so they don’t have to worry about waiting or getting information from SHRM. The membership directors can take the initiative to send the chapter designation forms to those who are lapsed and/or at large members.

Juanita shared that you can do auto renewal and you won’t fall off the list. Julie then explained that if you are on auto renewal, they will charge you a full month ahead of your renewal date. So you just need to be aware.

For question #2-HRCI was first at 57% and then local chapter membership. The reason for these results was again getting certification credits at the meetings that we need to attend. Ruth explained the WSC will have their map and information at a booth at the Legislative conference again in 2014 in addition to our standing booth with NRHMA for their conference. Local legislative was third. A good best practice to have is a legislative update as it brings in the highest attendance. Ruth shared it might be a good thing to promote and advertise the HR Day on the Hill as well. Several chapters shared they use local attorneys. Chris Taft is with state chamber council and local attorney firms were also suggested. Another idea was to have legislators come to the chapter meetings and be on panels. Ruth shared that another option is to reach out to Dorsey Whitney. Chapters have requested to see if our Council Legislative Director, Julie Jones can be available to come and present at the chapters.

Diversity was fourth. The question was asked what is it about Diversity the chapters and their members and at large members are seeking. Is it what types of things people can use for initiatives? Several shared there just isn’t a lot of local resources. Several presidents requested having the State Council actually do a state diversity conference. It was suggested that it is important to remember that disabilities is also a part of diversity. Several suggestions included having employers come to the chapters and tell how they are recruiting and hiring disabled people. It is going to be more of a need with the new OFCCP regulations and it is a prime opportunity to get involved and support this from the WSC and chapter levels. Ruth will talk with Yvonne, the 2014 WSC diversity director regarding looking at getting a diversity and inclusion conference or something planned.

Question #3-How can WSC show its appreciation? Providing additional development events was suggested by 80%. Perhaps the diversity conference can be a part of this. Ruth explained her thought is to have the WSC focus on two goals; membership and branding. She noted NHRMA and local chapters have done a great job of branding and it would be nice to have more powerful branding for the WSC as well. The legislative conference is a good example of providing development opportunities and really advertising who we are. Sabrina noted it was really nice when David Black did the social networking and advertising last year for the HR Day on the Hill as it was well attended and perhaps we could capitalize on that again.

The other piece was networking. Perhaps the WSC can add on more networking opportunities to already established scheduled events. Mary noted the chocolate and wine tasting event that David did in conjunction with SHRM which was held in the evening after the Day on the Hill event. Mary also noted it is important to remember presentation of our branding is the key. She reminded everyone that it doesn’t always have to be a formal event because several people want more informal. Ruth noted Dianna has networking money that we can tap into as well. Theresa noted we could look at working with sponsors to see if they would be interested in supporting any future networking opportunities that are planned. Abbi noted that is how we were able to have the networking event the evening before the Employment Law conference, Alliant offered to sponsor the event.

Question #4 – The respondents agreed that SHRM satisfies their need for professional development and even some other local agencies are satisfying this need. NRHMA had over 157 attendees when they did their HR Foundations workshop in WA. Several suggested when calling the “at large” members, to ask what other groups they are involved with. When thinking about how the local chapters market, we need to remember not to just focus on the professional development but also the networking aspect. SHRM may provide all of the needs for professional development, but they definitely don’t provide the social networking and in person networking opportunities.

Question #5- What types of things do you feel are missing? Wage surveys were the number one listed. One suggestion was perhaps partnering with the companies that conduct custom wage surveys and/or have them come and present. There was discussion as to how well received the topic is at chapter meetings. Lake WA and INSHRM both have done meetings with this topic and partnered with Milliman. They indicated the information was well received. INSHRM noted Milliman is willing to come out and present right before the release of their surveys. The hook is getting them more participants with opportunity to participate. Ruth asked how often chapters put out updates. The average seems to be about once a month. Mentor programs were another item listed. Nancy shared information on her book “So You Want to Start a Mentorship Program” that she is doing with the Lake Washington chapter. She hopes to have them available at the legislative conference and would like to get all chapters in WA their own free copy. Audi suggested it would be nice to have Nancy autograph them as well. Another item they felt was missing was the ability to get SPHR specific credits. It was discussed that typically isn’t available at the chapter meetings but more at the conferences. Another idea was local social networking for global events. It was suggested doing something in the International district in Seattle. Ideas were discussed of perhaps joining in and coordinating events with SHRM national when they are in the area. Anne noted that we seem to have a lot of answers and resources for the questions or comments and the key is really getting the communication and marketing done.

SHRM Update: (Christine for Dianna Gould)Dianna was unable to be at the meeting but provided Christine with her December 2013 update which is listed below:

PW Regional Territory Changes – Dianna is going to be responsible for Guam, Northern Mariana Islands, Alaska, Washington, Oregon, California (only until new Western District Director is hired), Idaho, Montana, and Wyoming. Scott Ferrin, Field Services Director based in Arizona will be responsible for Hawaii and Nevada.

New SHRM Office in California – SHRM will be opening a new office in Sacramento on January 1, 2014. The office will initially be staffed with 2 SHRM employees; the Western District Director and a CA Government Advocacy staffer

Three Pinnacle Award Winners from Pacific West Region – Congratulations to Alaska State Council, the Anchorage chapter and the Washington State Council for being three of eleven 2013 Pinnacle Award winning affiliates. We are so proud of our region.

Volunteer Leaders Discount for Annual Conference – Online registration is open now. Coded volunteer leaders will automatically receive the discount through our e-Commerce platform as the system will recognize them at log-in. The paper application has been uploaded to the VLRC at a hidden link. The link is included in the e-blast going to all volunteers on December 5, 2013.

During 2013 SHRM acquired two new affiliates: Council for Global Immigration (formerly American Council on International Personnel) and HRPS (HR People and Strategy) as part of SHRM’s Thought Leadership Strategy. These affiliates are similar to our relationship with HRCI and SHRM Foundation – affiliates but separate legal entities.

SHRM continues to work with Work and Family Institute initiative (in the PW region WY is the target state in 2014) and the Advocacy Initiative in 2014 (in the PW region CA & HI are the target states in 2014)

SHRM Learning System Discount – The SHRM Learning System is available for purchase for Chapters and State Council. $500 for (1) Instructor manual and $495 for (5) student sets that is a $200 savings. Contact Holmes Corporation at [email protected]. There is a SHRM template letter (can be customized) to promote SHRM Learning.

SHAPE 2014 – There will be changes to the SHAPE for 2014 and they are as follows: Designate a SHRM Foundation Liaison (does not have to be a Board position) Increase your Chapter’s contribution to SHRM Foundation over the 2013 contribution. The 10%

increase requirement has been eliminated. Recognition credits (reflecting donations from individual members of the chapter) will be awarded to the chapter, and will be counted towards the chapter’s total annual contribution (in addition to their chapter’s monetary contribution) when determining if the chapter has increased their overall contribution of the previous year.

Conduct a Leadership Campaign – encourage donating to the foundation but there will no longer be the $25/board member requirement. No more having to worry about who has donated and trying to keep tabs.

Hold at least one special event to benefit the SHRM Foundation – not new but only one of the four items listed here is required for the Chapter Champion eligibility

Staff Changes at SHRM – Two very popular speakers, Eric Peterson (Diversity Manager) and Curtis Midkiff (Direct of Social Engagement) have left SHRM. If you have secured either person as a speaker at a future chapter or state council event, you will be contacted by our Speaker’s Bureau Department soon to discuss a replacement speaker.

District Director Report: (Mike Nelson, Jennifer Richards, Colleen Cliff, Deb McCormick)Jennifer talked about the annual chapter leadership award and clarified that it is an ongoing award and wasn’t just a one time deal. She explained the eligibility for the award is posted on the WSC website and encouraged everyone to go and review the criteria and put in their nominations. The purpose of the award is to recognize three chapters, one from each district. Some of the criteria is the chapter has to be in good standing, the chapter president has attended all council meetings, promoting all council and SHRM events on their local chapter websites, and to submit one or more of their chapter accomplishments. For more details, go to the WSC website. The criteria are things we have been discussing all year and also that SHRM is promoting. The goal was to make it easy to be able to cut and paste information from the chapter SHAPE plans right to the applications. Jennifer encouraged everyone to go out and review the information and apply. Last year the recipients were the West Sound, Yakima, and Skagit Island chapters. West Sound won based on their veteran’s initiative, Yakima’s was based on 100 jobs for 100 kids.

Colleen then talked about the When Work Works community partnership. She requested the chapter presidents please send the information they have worked on with this initiative to their district directors so we can continue to collect data. Now that we are community partners, we have three responsibilities: 1) Engage community leaders in workplace flexibility efforts, 2) Educate employers about workplace flexibility and its benefits for workplace effectiveness and productivity and 3) Promote the Sloan Awards and recognize the winners.

Currently, SW Washington and INSHRM are both chapters who are community partners and the goal is to have these two chapters with WSC collaborate and work together as partners. Colleen then shared ideas from the link on the When Work Work’s website. The WSC website will also have those ideas and links. She suggested announcing Sloan awards in local newsletters and encourages employers to apply and promote educational information such as when Lisa Horn came out to present. Colleen will continue to send out more information as she receives it from SHRM. Colleen shared she is the WSC When Work Works Coordinator for now.

Juanita shared that her company applied for the SLOAN award the past 4 years and it has been a really good experience. Even if you don’t receive the award, your company receives all of the data for free and are provided with great feedback and benchmarking data and this is something that her company has used and built on. It has also been really beneficial in gaining senior management support. She explained that the SLOAN awards are getting more recognition and awareness since SHRM has partnered with them. Juanita explained that you can nominate your own company and it is regarding your workplace flexibility programs. She encouraged everyone to just submit an application because you can then maintain the data every year and then build on the data with your work place flexibility programs. The When Work Works brochure is a great resource. They make it really easy to administer the process. The winners receive really nice acrylic tombstones.

District directors thanked everyone for their work and all they accomplished this year. Colleen shared they would like to just keep building on existing initiatives. This year there were 11 chapters that participated in the When Work Works initiative and the goal is to have all 17 chapter involved and the council will be a resource to help roll things out.

KEY UPDATES:Employment Law Conference : (Abbi)Abbi shared that as of yesterday, we already have 35 people registered for the Employment Law conference. Andrea, our conference planning consultant sent out information to Chapter leaders about the conference to put on their chapter websites, Facebook pages and Linked In sites. The WSC has received money from sponsors for the networking event, $2500, Alliant is the sponsor. We are looking good with our Sponsors and so far we have 9 silver still open. Andrea and Abbi are making phone calls to vendors. Sheraton Bellevue will be the hotel we will be with and we have a block of rooms already confirmed. The amount for the rooms will be $109. The date of the conference will be March 28th. HRCI and CLE credits have been applied for. HRCI has been called to see if they can provide us with the mobile app like they have used with other conferences. We have heard that HRCI may not provide the money for this but will get us information as to vendors that we can use. It was suggested it would be a good idea to look at potential mobile app sponsors. She also indicated they are looking to get some volunteers (students) and there will be a call out for getting volunteers shortly. The speakers have all been confirmed, including SHRM sending someone out to speak on advocacy. The keynote will also be doing a breakout session. On March 27th there will be a networking event, which is the evening prior to the conference. It will be from 6-8 at the Meydenbauer Center.

Alliant is the sponsor for this event and there will be more information forthcoming. They are thinking about making it open for At Large members too. Abbi noted if anyone had any further questions please feel free to contact her. She thanked everyone for their ideas for speakers and topics. Ruth noted they have verbiage on the Conference that will be going out in an e blast which chapters can use to promote the conference as well. Abbi thanked Roshelle, our social media chair who has been very helpful in getting the information out on the WSC Facebook page, Linked In site and Tweeting the information.

Legislative: (Julie Jones)The HR Day on the Hill has been scheduled. The room has been scheduled but she hasn’t received anything from Chris Taft yet but hoping to get a hold of him soon. She is using the feedback from the information on speakers last year in getting speakers this year. She has been talking to a potential sponsor who is going to be able to sponsor at $2500. Last year the budget was $1500 but we spent $1700. The date for HR Day on the Hill is March 7, 2014. Julie did ask what the budget for the HR Day on the Hill was that she had to work with. Ruth let her know she would look it up for her in the budget. Ruth did let her know that since the budget hasn’t been passed yet, there is tentatively about $2,000 for 2014. Ruth also explained there weren’t any sponsors last year for the event so it would be great if we can get this sponsor confirmed for 2014.

President’s Roundtable:Adams Grant: JohnathonFound that when they do HR specific events unless it is strategic only seem to get 10-15 but when they did their Supervisor training program they got about 100 attendees. It was a standalone event and they charged $75 for two days with multiple sessions for half day training. It netted about $1500 for the chapter. It was held in October. The presenter was from Yakima. Johnathon shared it was Diane Welch. There aren’t a lot of HR Directors or Managers but more one person HR departments and so it is important to reach that market. It is important to increase the HR knowledge in the businesses. CBSHRM- JessicaBiggest thing they are doing right now is their December Half Day Seminar on the 18 th. It will be a breakfast event held at the Kennewick Red Lion. We have two presenters one will be presenting on conducting investigations and another speaking on Disastrous interviews. They have their planning meeting every year in January. They haven’t really gotten their 2014 initiatives but have had some discussions around ideas. One of them will be working with the skills gap and will probably going into the Workforce Readiness. The big issue she is facing right now is getting the 2014 board positions filled all of which are key core leader areas. Wentachee shared that doing the Direct Ask of people to join the Board was really successful for them. Just by reaching out and calling the members directly and asking if they will participate on the Board. Jessica shared that she has already requested her Board to provide her with names so she can contact them directly. She also shared that their board positions are two year terms. Chance suggested adding a volunteer Chair. They just added that chair position to their board and that is all they would be focused on is getting volunteers together so they can deal with the succession planning. She also shared that CBSHRM is just about on the cusp of moving into the bracket for becoming a large chapter so that is important to keep the members engaged. She also shared that at the November meeting they had a local attorney come and present on PIPs and the feedback was really positive. The members found the information was really valuable.

Walla Walla-Lisa WhitedIn 2013 the chapter focused on the needs of the smaller employers. A lot of the employers are just one manager shops. Jennifer, their program chair set up their programs early in the year. They partnered with the Chamber and topics that were very popular were HR basics and safety. They partnered with the local police and chamber regarding the workplace safety and drug free workplace and also the Affordable Care Act. For 2014 they really haven’t developed their initiatives. But they still have three weeks. They are planning on having a chapter social for chapter members only that will be free for them. They are planning a face to face event where they will be talking with the members to recruit for board positions.

Apple Valley-MelissaTheir goal is to increase their membership and reach out to their At Large groups. Their membership is currently at 95. They have continued to increase their numbers. Their push will be to retain their members and convert 10% of their at large population. They are also going to focus on their networking/social events. They are looking to increase the number of events they do. They are also going to try and hit more of their higher level professionals that aren’t really engaging and are planning on doing a CEO panel. Anne suggested that working with their local Chamber of Commerce when doing the CEO panel would be beneficial. The Chamber is another avenue for them to help with the advertising. It will also help to increase attendance. The CEO panel or CFO panels are very popular. They are really trying to reinvigorate a 20-30 member group and bring them back and get them engaged.

Yakima-TravisTheir goal was to get their program calendar a year in advance which would give them more time for planning. They were able to get all of the programs scheduled for 2013 and they already have all of 2014 scheduled. They just roll out three months at a time on the website. It has helped increase a little in their attendance and they also switched the time of their meeting. They are continuing to work with the 100 jobs for 100 kids. They will be assisting with the stand-down for veterans in 2014. They will also continue to partner with their local Chamber of Commerce. Snohomish-They were not present at the meeting Lake WA-Carole/NancyThey have started the process toward a more strategic board and have decreased the number of their board members. They have given the committees more work so the directors were able to do more strategic work. One volunteer was honored as a volunteer leader. They have also transitioned to a new website vendor. They were with Affiniscape and now are with Yourmembership.com. They have had a lot of the same website issues that CBSHRM has been experiencing until they bumped the complaints up to higher management. Their Symposium will be held in Feb 2014 and will have several presenters that tend to be of a National level. They have a lot of committees and had a number who were transitioning off and so Jennifer suggested doing a volunteer fair. Twenty four new volunteers were gained from the event. One of the things they realized was they hadn’t helped communicate what their chapter committees do and so that is something they want to improve. They want to have more engaged members so they will want to stay and remain involved. They will also focus on increasing their number of volunteers and increasing their membership while retaining the members they currently have. “Be bold and don’t wait for SHRM” is one of the 2014 initiatives. Another one is communicating WIIFM (What’s In It For Me) about what it means to be a member and be involved. Mt. Baker-ErikaTheir focus is going to be membership and being able to retain star status, increase their “at large” delegation and then programs. Their highest attending event was the employment law update that is a half day event. They are finishing up their SHAPE and going for Platinum again. They have redone their By Laws and they have a full 2014 board. They will be doing a YWCA event to honor them and it is also a way of their giving back to community. They will also work to get their HRCI study classes together so they can promote it and advertise so it is quality preparation course. They are going to do another CEO panel as well. Skagit Island-They were not present on the phone at the time of chapter reports.

SMA-IanThey are one of 15 free standing SME chapters and have about 100 members. They focus on talent acquisition. 2013 was a year they called a success. Attendance was down slightly but they felt they had quality presenters. Louis Von from TMP talked about the website accessibility. Michael Kannesto-out of the East Coast presented on workforce planning. The attendees were engaged and provided with practical toolsets. They also held their second annual Best Practices event. This is an event in which the speakers rpesent for 5 minutes on best practices. Geriatics for hiring managers was the winner this year. Timing is challenging and they are looking to change up the date in 2014 for this event. Their 9thannual staffing Symposium went really well. They actually had a waiting list of sponsors for this event. Their closing speaker was Jennifer McClure. She geared it towards the challenge of HR is like working in a circus. At their 10th annual symposium, John Valesico will be the opening keynote presenter. They are moving it to the spring now and they have a great line up again. The date is May 21 st at the Meydenbauer. They are trying to remember that sometimes a role is too much for one person and doing co-chairs is a really good idea. Mary asked Ian if he had a job description for his sponsor chair and he said he would be very happy to share his resources regarding this position. South Puget Sound-SabrinaTheir offered a half day seminar. Carole Bowser presented on mediation and conflict resolution. For their Workforce Readiness they reached out to the Women in employment to help get clothing donated for women looking to reenter the employment. At the local Veteran job fair they got a booth at the Chamber of Commerce job fair. They are going to continue focusing on assistance with the Veterans and Women in Employmnet and then giving back to the members. They did their membership appreciation night at the Car museum and it was well attended and everyone had a great time.

South West WA-They were not present at the meeting to report Olympia-Abbi She announced she is going to be the President Elect next year. The chapter had a lot of turnover this year. President and President Elect are not two year positions but treasurer, secretary and membership are and they are turning over this year. The folks leaving are also long time Board Members/volunteers and have lots of the chapter history. In October they did a huge job fair partnering with ABLM and they found it was one of the largest in state. The event had tons of employers and was also on TV. SHRM national has talked with Wayne to see about making it a national model. Audi shared that homeless veterans are a big population and that 35% are veterans/military. Their chapter membership has half of the membership from the various state agencies. Most of these agencies won’t pay for the SHRM membership or to attend the meetings. They are maintaining numbers with respect to membership and will also continue to work with the Veterans.

Seattle-They were not present at meeting to report

West Sound-Joy They worked with Goodwill last year and will continue working with them in 2014 as well. They will be working with the Goodwill stores to help with interviewing skills and resumes and will continue to work with the Veterans. They also are partnering with the Purdy Women’s Correctional Facility in doing classes on getting back into the work place. They will continue to provide College scholarships like for Goodwill. They want to do more member engagement to help get them engaged and more involved.

INSHRM- Andrea They had a conference last month with a panel regarding Disabilities with an employer that is Disability friendly and a vendor that makes equipment and items for those who are disabled. They also had an attorney who is an expert in the area of disability and reasonable accommodations. They learned that one of the biggest accommodation requests that comes through is for additional time off which is really a very easy accommodation to provide. They have their first SLOAN award planning meeting coming up. They just had their Holiday party with a live auctioneer with wine tasting and beer tasting. The members and attendees were able to mingle with one another and then they did the raffle and live auction. This year they were able to bring in $2000. They did the swearing in of their new Board Members at their last meeting as well. One of the things they are looking at is a new membership and event planning for a new website program and are doing a reference checking right now with Your Membership Clicks. They are also working on the NHRMA conference which will be in Spokane in 2014. Juanita shared they still have some of the orange water bottles that people can get. She shared they just need to email her. She is also going to be sending out communication to the chapter presidents to include on their Facebook pages, Linked in pages, and chapter websites. She is trying to get the information on every chapter website by year end. She is looking to do a competition to help get this done. The dates are September 29-October 1 2014. Mary reminded everyone that it is a chapter requirement to have this information on their chapter websites. Sabrina shared that they also had a booth at the conference when they hosted the conference and did a wheel of fortune type activity to help brand and market their local chapter. They did gain 4 new members from that event. They also tied in the activity to their social networking event so they could get a lot of advertisement.

South King County- ChanceThey will be focusing on their Membership. They hope to be able to find out or try to figure out who is a member and who isn’t. INSHRM shared they use their website, indicating that if you can log in then they are a member. If they don’t log in they aren’t members and they will pay the higher non-member price. Lake WA has the same thing in which it will default them to the non-member amount. Ruth suggested having a box where they check a box if they are a member and provide their SHRM number to get the member price. They are also looking at what type of software or website programs to use for registration of their events and the meetings. It was shared that the Legislative conference for State Council uses Event Brite. Some chapters use YourMembership.com. Chance did ask about Cvent but Theresa mentioned this company was more for high level associations and companies not so much for like smaller SHRM chapters. Member engagement is a focus for them in 2014. They have about 200 and they continue to just get the same 50 or so showing up. They are looking to figure out how to reach out to these members and get them more engaged. CBSHRM shared that perhaps changing the time of the meetings around might help. Wenatchee shared that they had a networking event with a raffle prize for an evening event and it was very successful. Mary shared that with Snohomish they did 1 breakfast meeting a quarter and switched it up so that it met the needs for all members. Jessica noted that switching the location has made a difference for CBSHRM. Chance also asked if any other chapters were doing webinars. Ian shared that there really wasn’t a good networking advantage for it since there is a lot free webinars out there already. Chance shared they did 4 throughout the year and had 60 attend on one of them. They were free to chapter members and $15 for non-members. Chance thought it might be a good idea to use some branding with the WSC to partner with the local chapters. All of the speakers they used already had webinar ready presentations. They also then uploaded the webinar that had the credit available all year. They would just go in and check to ensure they did go and watch the webinar.

Sticky Note Challenge: Ruth asked all of the chapter representatives to please write at least three sticky notes on “How Best the WSC can help the chapters.” She requested that the ideas be done in complete sentences. The purpose is to use the notes from the chapters when the executive team does their strategic planning. She provided 10 minutes for the activity. Ruth provided an example: We would like the WSC to do a Diversity conference and share the profits with the chapters. This is a two part activity. The second part consists of the presidents going to the board with the sticky notes and condensing it down to the top common themes. The top high level themes were Diversity Conference, Webinars Programs, Memberships, College Relations, WSC Visits to chapters, Best Practices, Appreciation and Networking.

Membership Challenges: A lot of it was in part for the I-Fail (I-Chapter) and also help with recruiting members and at large members.

Webinars-Dealing with technology- how to make it affordable and easily available

Programs-Getting together a database of speakers and perhaps feedback on those speakers-This had the most energy

Diversity Inclusion Conference-Just do it

College Relations-more focus on the student chapters and letting them know who the local chapters are and what they do and also more about the WSC and how they are associated with the local chapters. Having presenters go to the local colleges-can use the information on VLRC and resources that you can use.

WSC Visit local chapters-see more of the Council presenting at the chapters to help them understand how we are all connected.- Ruth will take the presentation she used this morning and electronically send it to the chapters for them to use at their meetings.

Networking events-more social networking, matching funds or contributions to the events, less structured events, less formal

Best Practices-This is a variety of ideas. Have collaborative initiative that involves several chapters and would require flexibility with the chapters. This was provided to the District Directors so they could also assist with this suggestion. Send the Board meeting minutes out shortly after the meeting so they can share with their chapter boards. Use table name tags at council meetings. Consistent messaging, don’t change days. Budget for those rainy day funds. Consolidate all messages from SHRM, Council, and others for the chapters into a single email message and include links to these messages. Anne suggested taking this idea to MAC and getting our suggestions to SHRM so they will also address it. It was also noted that funneling the information through the district directors has really been helpful. Roundtable discussion at the council meetings sharing best practices and struggles has been helpful. Using Drop box for the whole state to file share. Help chapters share best practices for membership ideas. Can use the Speakers Bureau but let the Council know if they are using them so there can be some sharing. WSC should provide the means for chapters for sharing best practices. Best conference and financial presentations would be helpful.

New Business (Ruth Alstadt)Anne won the bid at the Leadership Conference Silent Auction to have Mike Aiken come and be a presenter for us at the Employment Law conference. Ruth shared that the executive board will continue to meet and continue their executive session planning using the input from the Chapters. Ruth also noted they will send out the common theme ideas and best practices to the chapter presidents through the District Directors.

As for the CLIF they will be putting a box into the CLIF report which will let you indicate if you would like to have the CLIF report sent to someone else. Then you will be able to put in your district director’s email address.

Jennifer shared that at the Leadership Conference they announced the new replacement for Membership at SHRM and her name is Alise and her background is HRIS so hopefully she will have some influence in getting more things electronic.

Ruth shared that once the Executive Board confirms the dates of the meetings for calendar 2014 they will get sent to the chapter Presidents. Ruth also noted she will not be sending out any communication during the next week and half due to some personal commitments. She asked that everyone please be patient with that.
