    NEW ITEM CODING IMPLEMENTATION IN ACCPAC

    Management decision

    New item coding should be used and incorporated in all concerned system.

    Strategy for ACCPAC

    All old item codes whether these are 10 digit, 15 digit or codes used formanufacturing will be deactivated and will remain in DB for reporting purpose. Newitem codes will be imported for future use. All current old items having ero balancewill be deactivated by !"# $uery. %his $uery will be scheduled in !"# on daily basesand all old items having ero balance during period interval will automatically bedeactivated. %his process will be going on till all old items are deactivated.

    Below all steps will be done by system administrator after having proper bac&up ofDB.

    'e have built some $ueries which will be e(ecuted on DB to achieve the purpose.

    Adding new )eld as *ag

    +irst of all a new )eld will be added in -%/ table to identify whether it is old ornew item code. (ecute below attached $uery to add )eld. !&ip this step if )eld hasalready been added.

    Marking ag as od item

    (ecute below attached $ueries to segregate old or new item code. %his step can berun before or after importing new item codes in A--A-. 2ef 3 see item code importstep4

    (ecute below attached $uery to deactivate old items having ero balance. %his$uery should also be scheduled on daily bases so that all old items having erobalance during period interval may be deactivated automatically. %his process willbe going on till all old items will be deactivated.

    Ne% Item Code Im&ort

    New !/A2% has facility to e(port item codes in e(cel sheet in a speci)c format. %his

    format is compatible with below attached $uery to import item codes in A--A-.!/A2% will e(port all codes every time, but only newer codes will be imported inA--A-.

    %his is strongly recommended that all codes should be imported and 7Item Master8permission should be bloc&ed for all users to avoid any data entry mista&e. 9oweverthis permission can be given to speci)c roll as per local circumstances andre$uirements.

    n below attached $uery, )le name including path will have to change manually. %hisis recommended that e(cel )le should be placed somewhere on !"# server8s localpath and variable :;path< should be changed as per re$uirement.

    E'tend Item Code to Store Location

    As you &now that item cannot be processed in A--A- until it is not e(tended tostore location. At this stage =# codes have to assign and this is critical area becausethis con)guration can e>ect on +inancial 2eports.

    %here are two options to e(tend item code to store location.

    ption 13 /anually at the time of entry.

    %his option can be used as local management discretion. 9owever entry mista&emay e>ect on +inancial 2eports.

    ption ?3 (tend all items to speci)c store location by below attached $uery. %hisoption is recommended.

    @sing option ?, be careful about variable 7;loctid8 and about =# codes for 7%#!8items.
