Exhibitors and their agents are responsible for complying with applicable federal, state and local laws, including music licensing, hazardous waste handling and disposal, and the American with Disabilities Act.

Illinois State Council Emergency Nurses Association (Illinois ENA) reserves the right to restrict exhibits that for any reason become objectionable, and also prohibit or evict any exhibit that, in the opinion of Illinois ENA, may detract from the general character of the exposition. In the event that such restrictions or eviction, Illinois ENA will not be liable for any refunds, rentals, or other exhibit expense.

BOOTH SPACE CONSTRUCTIONEach booth space is comprised of one six-foot skirted table and two chairs.

BOOTH SPACE ASSIGNMENTEvery effort will be made to assign booth spaces as requested. In the event this is not possible, Illinois ENA reserves the right to assign the exhibitor to a similar booth space. Illinois ENA reserves the right to make the final determination of any and all space assignments and to modify the floor plan in the best interest of the overall exhibit hall.

BOOTH SPACE STAFFINGExhibitors should staff their booth space during the Symposium hours. The Illinois ENA appreciates exhibitor booths staying open until the dismantle time. The exhibitor is responsible for all costs incurred in the removal of the booth from the exhibit hall/area.

PAYMENT DUEFull payment for booth space rental is due by Friday, March 30, 2018.

CANCELLATION POLICY AND REFUNDSCancellation of exhibit space must be made before Monday, April 2, 2018. In the event of cancellation, Illinois ENA has the right to use said space, including selling space to another exhibitor, without rebate or allowance to the cancelled exhibitor. No refunds will be issued after exhibit space has been registered.

DEMONSTRATIONS AND INTERVIEWSDemonstrations by exhibitors should contribute to the attendee’s knowledge in a professional way. Demonstrations and adequate space for interviews should be available within the confines of the individual exhibitor’s booth. Interference with normal traffic flow and infringement on neighboring exhibits is not permitted.

EXHIBITOR MEALSEach exhibiting company/organization will receive two tickets for complimentary continental breakfast the day of exhibiting. Additional tickets may be purchased separately. Lunch is included for Thursday, April 19 exhibitors only. Exhibitors and sponsors may register to attend the Welcome Party, which includes dinner, for a separate fee.

LIABILITY

The exhibitor assumes responsibility and agrees to indemnify, save, and hold harmless the Illinois ENA, Hilton Lisle-Naperville Hotel, the Village of Lisle, the State of Illinois, its officers, employees, and agents, arising out of or resulting from any damages, injuries, losses, and expenses, including attorney fees and costs. The exhibitor understands that neither the Illinois ENA, Hilton Lisle-Naperville Hotel, the Village of Lisle, nor the State of Illinois, maintains insurance covering the exhibitor’s property and it is the sole responsibility of the exhibitor to obtain such insurance. Should any contingency prevent the holding of Exhibit Hall, Illinois ENA is not liable for any expenses

incurred by the exhibitor.

PHOTOGRAPHY NOTICEOn occasion, an Illinois ENA photographer may take photos of participants at the Illinois ENA Spring Symposium. Please be aware that these photos are for Illinois ENA use only and may appear in Illinois ENA symposium/educational programs, brochures, newsletter or on the Illinois ENA Web site, in other Illinois ENA materials or as part of Illinois ENA media outreach efforts. Your attendance constitutes your permission and consent for this photography.

PROPERTY CAREThe exhibitor is not to affix, nail, or otherwise attach anything to walls, doors, floors, or columns. Exhibitors may not apply paint, lacquer, adhesives, or any other coating to the building columns, floors, or standard booth equipment.

PACKAGE SHIPPINGExhibitor packages for meetings may be shipped directly to the hotel. Shipment should arrive no earlier than 72 hours prior to the meeting. Only prepaid packages will be accepted, no CODs. The hotel cannot assume responsibility for storage of boxes received more than 3 days prior to the Spring Symposium. Each package must be labeled as follows:

PUBLIC SAFETYThe exhibitor must comply with all laws, ordinances, and regulations pertaining to health, fire prevention, and public safety while participating in this event. Compliance with such laws is mandatory for all exhibitors and the sole responsibility is that of the exhibitor. No combustible decoration or materials shall be used at any times. Open flames, butane gas, oxygen tanks, etc., are not permitted without permission of the Illinois ENA. Balloons filled with helium are not permitted.

SELLING IN EXHIBIT SPACEThe selling of any products for delivery in the exhibit hall/area and related taxes are the sole responsibility of the exhibitor.

TOBACCO AND ALCOHOLIllinois ENA Spring Symposium is a smoke-free meeting. It is hotel policy that no food or alcohol beverages may be brought into the hotel from outside sources for consumption in common areas or meeting spaces.
