How does the Pill Dispenser Advance work?

The Pill Dispenser Advance will sound an alarm, flash a red light and the display will show “TAKE MED” when it’s time for the user to take their medication.

It will make the correct dosage available at the correct time each day, at all other times the pills are securely locked inside the dispenser.

When the alarm sounds the shutter will be unlocked, the pills are removed from the dispenser by tilting it through 90

o and pouring them into the hand. The tilting action will silence the alarm then re‐lock the shutter again after 2 minutes.

If the dispenser is not tilted the alarm will continue to until the programmable “after” time has expired (5 minutes to 5 hours).

When half the “after” time expires an alarm call will be transmitted. When the full “after” time has expired another alarm will be transmitted and the shutter will lock to prevent the possibility of 2 doses being taken within a short time (i.e. potential double‐dosing).

Pills “ready” and pills “taken” times are also transmitted and logged in the Reach Plus or Advent xt. This data can be analysed using Tynetec’s iCare software. Note: Advent xt requires additional hardware.

Loading the Pill Dispenser

The Pill Dispenser is provided with clearly printed discs. These discs identify the day of the week and the appropriate number of doses per day (between 1 and 4). A blank disc is provided for those on 5 or more doses per day.

Place the appropriate disc for the required pill dosage on top of the tray taking care to line‐up the holes and push down over the 4 locating pins. Use the disc as a guide when placing the pills.

Certain medication should not be exposed to the air and therefore should not be placed in automatic dispensers; if in doubt check with a Pharmacist.

After filling, position the tray so that the compartment with the first dose to be taken by the user is to the right of the opening. The photo here shows Mon Eve is the next dose

Resetting the Doses Left Display

Each time medication is dispensed the number of “DOSES LEFT” will reduce by 1. When the tray is re‐filled it is important to reset the counter by pressing button 2 until “TRAY Z” is displayed. If the dispenser is working in the “SECURE” mode the tray will move a half turn to lock the shutter. The number of “DOSES LEFT” will now be the same as the number entered in the “FILLED” quantity setting. Close the lid and lock with the key supplied.

The refill frequency will depend on the number of daily doses; once a day refill every 28 days, twice a day refill every 14 days, three times a day refill every 9 days, four times a day refill every 7 days, etc.

INITIAL SET‐UP

From new you will need to open the battery compartment and remove the battery isolation strip.

The display will show “BOOT” followed by the software version e.g. “SW‐007” then the battery charge level “B 100%” (full charge). When the display shows “CLOCK” and flashes “00:00” the unit is ready to program.

There are 2 programming menus; Menu A contains the basic settings and Menu B contains more advanced functions. See below;

MENU A SETTINGS

Press button 1 to cycle through the following functions; CLOCK DATE DOSES ALARMS Press and hold button 1 for 3 seconds to exit the menu and revert to normal operation.

Setting the Clock Press button 1 once and CLOCK is displayed. Press button 2/3 to set the time (00:00 to 23:59) Note: press and hold for fast forward/reverse Press button 1 to end and DATE will be displayed.

Setting the Date The DATE display will change to YY after a few seconds. Press button 2/3 to set the YEAR (00 to 99) Press button 1 and MM will be displayed Press button 2/3 to set the MONTH (01 to 12) Press button 1 and DD will be displayed Press button 2/3 to set the DATE (01 to 31) Press button 1 to end and DOSES will be displayed.

Setting the Number of Doses per Day The DOSES display will change to display the number of doses per day after a few seconds. Press button 2/3 to set the doses per day (00 to 24) Press button 1 to end and ALARMS will be displayed.

Setting the Alarm Times for each Dose The ALARMS display will change to display the time for the first dose after a few seconds. Press button 2/3 to set the alarm time for the first dose Press button 1 to end then set alarm time 2 Repeat for each alarm time, the number of alarm times is determined by the “number of doses per day” set above.

MENU B SETTINGS

Press and hold button 3 until BEFORE is displayed then press button 1 to cycle through; AFTER SOUND LIGHT FILLED BATT SECURE HOURS DLS START STOP RECORD Press and hold button 1 for 3 seconds to exit the menu and revert to normal operation.

Setting the Before Time The BEFORE time allows medication to be taken up to 5 hours earlier than the next alarm time. Press and hold button 3 until BEFORE is displayed Press button 2/3 to set the before time (00:00 = not required, to 05:00 max) Press button 1 to end and AFTER will be displayed If this option is set the user may access their medication in advance by turning the pill dispenser upside down then back upright again twice in succession, the tray will rotate one step and the next dose will become available.

Setting the After Time The AFTER time sets how long the alarm sounds and the pill shutter remains unlocked after the medication is due. After AFTER is displayed; Press button 2/3 to set the after time (00:05 to 05:00) Press button 1 to end and SOUND will be displayed. If half the AFTER time expires an alarm call will be transmitted. If the full AFTER time expires another alarm call will be transmitted and the pill shutter will lock shut.

Setting the Alarm Sound The alarm SOUND will play to alert the user when it is time to take their medication. It will sound every 5 seconds for the first minute, then every 8 seconds up to 1 hour then once a minute until the medication is dispensed or the AFTER time is reached, maximum 5 hours. After SOUND is displayed; Press buttons 2/3 to select the preferred sound (01 to 04) Select 00 for no sound Press button 1 to end and LIGHT will be displayed.

Setting the Light On/Off The LIGHT will flash to alert the user when it is time to take their medication. It will flash every 5 seconds for the first minute, then every 8 seconds up to 1 hour then once every 16 seconds until the medication is dispensed or the AFTER time is reached, maximum 5 hours. After LIGHT is displayed; Press button 2 for no light (display shows OFF) Press button 3 for light (display shows ON) Press button 1 to end and FILLED will be displayed.

Setting the Filled Quantity This is the number of doses placed in the medication tray when filled and allows the DOSES LEFT display to be shown. After FILLED is displayed; Press button 2/3 to set the FILLED quantity (00 to 28) Press button 1 to end and BATT will be displayed.

Setting the Battery Type It is possible to use 4 x AA size alkaline or 4 x AA size rechargeable batteries in the ‘Advance’ Pill Dispenser. After BATT is displayed; Press button 2 to select alkaline (ALC) Press button 3 to select rechargeable (NIMH) Press button 1 to end and SECURE will be displayed.

Setting the Secure Mode With SECURE mode ON the pill shutter will be locked except at alarm time and for the subsequent after time. With SECURE mode OFF the shutter does not lock. After SECURE is displayed; Press button 2 to select secure mode ON Press button 3 to select secure mode OFF Press button 1 to end and HOURS will be displayed.

Setting the Hours Mode The clock can be set to display the time in 12 hour AM/PM mode or 24 hour mode. After HOURS is displayed; Press button 2 to select 12 hour clock (AM/PM) Press button 3 to select 24 hour clock Press button 1 to end and DLS will be displayed.

Setting the Daylight Saving Mode To clock can be set to automatically adjust +/‐ 1 hour every March/October for GMT/BST. After DLS is displayed; Press button 2/3 to select OFF/EU/US Set EU for Europe, US for America or OFF to disable. Press button 1 to end and START will be displayed.


MENU B SETTINGS ‐ CONTINUED

Setting the Start Time It is possible to delay the time at which the dispenser will start to operate (useful if the dispenser is being filled off site and being delivered to the user at a later date). After START is displayed the display will change to YY after a few seconds; Press button 2/3 to set the YEAR (00 to 99) Press button 1 and MM will be displayed Press button 2/3 to set the MONTH (01 to 12) Press button 1 and DD will be displayed Press button 2/3 to set the DATE (01 to 31) Press button 1 and HH will be displayed Press button 2/3 to set the HOUR (01 to 23) Press button 1 to end and STOP will be displayed. The time (HH) should be in advance of the first dose to be dispensed for the user.

Setting the Stop Time It is possible to stop the dispensers operation at a future date and time. This is useful if two dispensers are being used by one user in sequence and this ensures only one dispenser is active at one time. After STOP is displayed the display will change to YY after a few seconds; Press button 2/3 to set the YEAR (00 to 99) Press button 1 and MM will be displayed Press button 2/3 to set the MONTH (01 to 12) Press button 1 and DD will be displayed Press button 2/3 to set the DATE (01 to 31) Press button 1 and HH will be displayed Press button 2/3 to set the HOUR (01 to 23) Press button 1 to end and RECORD will be displayed. The time (HH) should be after the last dose to be dispensed for the user. If the function is not required set the year to 99.

Record Function The dispenser will record the actual times the previous 28 medications were dispensed. After RECORD is displayed; Press button 2/3 to scroll through the actual times the last 28 medications were taken. Press button 1 to end.

SELF TEST MODE

The tray rotation, light and alarm sound can all be tested and demonstrated by pressing and holding all 3 buttons down together until TEST is displayed. Press button 3 to start a whole alarm sequence, the display will show “DEMO”. Close the lid and the tray will turn to the open position. The alarm will sound, the light will flash and the display will show “TAKE MED”. Pick the dispenser up and tip forward to demonstrate dispensing the medication. The display will show “CLOSE” and the tray will turn to the locked position. Press button 3 to repeat or press and hold button 1 for a few seconds to end.

This mode is also used when learning the Pill Dispenser onto the warden call system, at‐home alarm unit or Nursecall system. See the following pages for how to put each of these products into “Learn Mode”.

ERROR ALARM

If the tray fails to rotate due to an obstruction an alarm will sound and the display will show ERROR 01, 04 or 08. This can be cleared by pressing button 3. Any obstruction should be removed. When the obstruction is cleared retest the unit. If the fault cannot be rectified contact your supplier.

LOW BATTERY WARNING

If the battery level falls below 20% the display will show “LOWBATT” in sequence with the DATE and TIME. If the batteries have not been replaced by 00:05:10 (five minutes and 10 seconds after midnight) the unit will transmit a low battery warning at that time. This will repeat every night at 00:05:10 until the batteries are replaced. If the battery percentage falls to 0% the pill dispenser will cease to operate, it will bleep and the display will show “ERROR 10”.

The battery level can be checked at any time by tilting the dispenser forward (between 15 and 40 degrees); after the “NEXT DOSE” and “DOSES LEFT” information the battery level remaining will be displayed e.g. “B 75%”.

All programming is retained when the batteries are changed. The time may need correcting if the batteries are left out or are completely out of charge. Replacement batteries: 4 x 1.5V Alkaline AA Rechargeable batteries may also be used but ensure the “BATT” function in Menu B is set as “NIMH”.

DISPENSER LEFT UPSIDE DOWN

If the dispenser is upside down when an alarm occurs, the alarm will sound as normal but the tray will not turn until the dispenser is returned upright.

If more than one alarm time has passed whilst the dispenser has been upside down the dispenser will present the correct medication for that time.

CLEANING

Dispenser Unit: do not place in water, wipe clean with a damp cloth only and polish with a dry duster. Avoid using strong detergents or furniture polish. Internal Tray: may be washed in warm water or in a dish washer (max 70C).

3. Exit radio device learn mode…

4. Check with the Control Centre that it is convenient to perform a test call. Check a pill dispenser alarm is reported by letting the pill dispenser deliver a dose, DO NOT tilt the unit to TAKE the dose, and let half the AFTER time expire. HINT: to speed‐up the test adjust the CLOCK to few minutes before the next dose time and reduce the AFTER time to 5 minutes. Don’t forget to reset the clock/after time when the test call is complete.

Deleting a Pill Dispenser from a Reach at‐home alarm unit

Enter 1 6 7 0 using the keypad on the rear of the Reach unit – the front light will FLASH FAST GREEN and the unit will announce “Program Mode ‐ Ready”. Enter # 0 4 1 and the Reach will announce “Delete Radio Device” followed by a “Beep”. Enter the 8 digit pill dispenser ID to be deleted; after the “Beep” press # to exit. Press the key to exit Program Mode; the unit will sound a “Double‐Beep” and the front light will return to STEADY GREEN.

The 8 digit ID can be found on the label on the back of the pill dispenser – it will always start with 31xxxxxx

The instructions given above for the standard Reach product also applies to the Reach Plus, Reach Plus GSM and Reach Ultra models. Refer to the instruction booklets provided with these products for more information on programming and testing radio devices.

Open the lid, press and hold all 3 buttons together until TEST is displayed.

Press button 3, the display will show DEMO and the Reach will announce “Pill Dispenser”.

Press and hold button 1 to exit the DEMO mode.

“Trigger Radio Device”

Press and HOLD the GREEN button on the Reach unit.

When the front light FLASHES FAST GREEN release the button and the Reach will announce “Trigger Radio Device”.

You now have 1 minute to activate the pill dispenser.

Press the GREEN button on the Reach unit.

The front light will return to STEADY GREEN and the Reach is back in normal operating mode.

Don’t forget to reset the clock/after time when the test call is complete.

Deleting a Pill Dispenser from an Advent xt warden call system

Press the LINE key and wait for the “Ready” prompt. Enter 5 0 0 1 followed by the key. Enter the flat number the pill dispenser is being deleted from followed by the key. Activate the pill dispenser to be deleted. Wait for the “Pendant Disabled – Enter Flat” prompt. Press the # key and wait for the “Ready” prompt, then press the LINE key to clear the connection.

Refer to the Advent xt operators manual (Doc No. FM0420) provided with the warden call system for more information on programming and testing radio devices.

Using the Manager’s DECT telephone;

Press the LINE key and wait for the “Ready” prompt.

Enter 5 0 0 0 followed by the key.

Enter the flat number the pill dispenser is being installed in followed by the key.

You now have 1 minute to activate the pill dispenser.

“Ready”

Using the Manager’s DECT telephone;

Press the # key and wait for the “Ready” prompt.

Press the LINE key to clear the connection and the warden call system is now back in normal operating mode.

Open the lid, press and hold all 3 buttons together until TEST is displayed.

Press button 3 and the display will show DEMO.

Wait for the “Enter Location Code” prompt then press 0 (no location) followed by the key.

Wait for the “Pendant Enabled – Enter Flat” prompt.

Press ENTER to activate the wake‐up display then ENTER again to display the main menu Press ENTER to select Radio Devices Press the key to select Delete Device then press ENTER The display will prompt you to “Trigger the Sensor” Activate the pill dispenser to be deleted ‐ the display will show the device type and its 8 digit ID number If this is the device you activated press the key to select Delete then press ENTER If it’s NOT the device you activated press the ENTER key to select Reject then try again To exit the mode select Exit then press the ENTER key.

Refer to the Altec Response installation guide (Doc No. FM0548) provided with the portable alarm unit for more information on programming and testing radio devices.

Open the lid, press and hold all 3 buttons together until TEST is displayed. Press button 3 and the pill dispenser display will show DEMO.

The Altec Response display will show Pill Dispenser and its 8 digit ID number. Check the ID is correct, press the key to select Accept then press ENTER. Note: if another device has been picked‐up press ENTER to Reject and try again. The display will show Flat , use the & keys to choose the dwelling type. Press the key to select No: 000000 then press the ENTER key. Use the & keys to select each digit of the flat number and the & keys to move between digits then press the ENTER key. Press key several times to select Exit then press the ENTER key. The display will prompt you to “Trigger the Sensor” again.


Press ENTER to activate the wake‐up display then ENTER again to display the main menu.

Press ENTER to select Radio Devices

Press ENTER to select Learn Device

The display will prompt you to “Trigger the Sensor”.

You now have 20 seconds to activate the pill dispenser.

From the Learn Device menu select Exit then press ENTER.

From the Radio Devices menu select Exit then press ENTER.

The display will return to the wake‐up screen and go blank after 10 seconds.

The Altec Response is now back in normal operating mode.

Registering a Pill Dispenser onto a Touchsafe Pro Nursecall system

1. Put the Touchsafe Pro Master Panel into Telecare registration mode; touch the screen and Logon as an Engineer or a Manager (password required), then from the main menu page touch the Telecare button to open the screen shown below…

2. Enter the pill dispenser ID…

3. Press the Close button to exit Telecare mode and the Nursecall panel is now back in normal operating mode. 4. Check a pill dispenser alarm call is displayed on the Nursecall panel like below by letting the pill dispenser deliver a dose, DO NOT tilt the unit to TAKE the dose, and let half the AFTER time expire. HINT: to speed‐up the test adjust the CLOCK to few minutes before the next dose time and reduce the AFTER time to 5 minutes. Don’t forget to reset the clock/after time when the test call is complete.

The screen banner is black for a pill dispenser alert (Touch the banner to display notes). Press the Accept button on the banner to silence the alarm ‐ this will also notify all other panels the call is being dealt with. The screen banner changes to purple when a call is accepted. You must visit the appropriate Nursecall Call Point to cancel the call.

Deleting a Pill Dispenser from a Touchsafe Pro Nursecall system

Select the pill dispenser ID to be deleted from the Delete Telecare Device pull‐down list box (prefixed with a “T31”). Details of the pill dispenser selected will be displayed in the Room, House Code and ID boxes below. If the details shown are correct press the Delete button. Press the Close button to exit.

The 8 digit ID is printed on the label on the rear of the pill dispenser. Note: this ID will always start with 31xxxxxx.

Touch the Add Telecare Device box then use the on‐screen keypad to enter the ID.

Hint: enter a zone in the Filter box to narrow the search for the room (see below).

Select the users Call Point ID from the Room pull‐down list box then press Save. Note: this is the room unit that will be will be used to cancel the call.
