1.0. Introduction

1.1. ADR ODR International A one-day boot camp followed by a negotiation competition will be delivered in partnership with the European Institute for Conflict Resolution (EICR) and has been specially designed for law and business students. We believe that strong negotiation skills can help people in all industries resolve conflicts in their workplace, in their home and in their personal life. The ability to negotiate can change how you perceive conflict and how you deal with it.

1.2. Purpose of the Boot Camp and Competition The purpose of the boot camp and competition is to:

- give you a basic understanding of how conflicts arise; - give you an introduction to conflict resolution; - enable you to critically analyse the use of conflict resolution methods and

approaches; - equip you with the basic skills needed to negotiate your way through a

conflict; - help you to understand the principles behind negotiation; - help you to understand the cross-cultural issues that can occur during

negotiations; - enable you to meet law and business students from other countries.

1.3. Location of the Boot Camp and Competition

The boot camp will be held at the Dubai International Financial Centre (DIFC) on the 5th of November. The competition will be held at the Kempinski Hotel Mall of the Emirates 6-7 November 2019. In the afternoon of the 7th, the competition will move to the desert.

2.0. Participation and Eligibility

2.1. Eligibility of Students

To be eligible to sign up, students must be registered as full-time or part-time business or law students in the academic year of 2019/2020. Students who graduate or graduated in 2019 before the competition but no longer than six months before the start of the competition are still eligible to participate.

The students must provide ADR ODR International with a student letter from their University to confirm their student status.

You may sign up as an individual. However, it is preferable if you sign up as a team of three-students. All students must comply with the above eligibility requirements.

2.2. Substitutions of Team Members

If one team member is unable to attend the boot camp and competition, a substitute may be used (providing they fulfil the eligibility criteria). The name of the substitute and a student letter must be provided to ADR ODR International as soon as possible.

2.3. Coaches

The student group may attend with one coach. The coach must be a former student or tutor from anywhere around the world.

The coach may attend the full three days.

A coach can be nominated for one team only and can under no circumstances accompany two teams to the competition (in order for a coach to attend, they must have paid the coach fee see point 3.3.).

3.0. Application and Admission

3.1. Application Process

In order to book your place for the negotiation boot camp and competition, please complete the booking form here. Upon completion of the booking form, we will email you to request a student letter to confirm your student status. The deadline to complete the booking form is 30th of September 2019.

3.2. Boot Camp and Competition Fee for Students

The registration fee per student is 935 AED. The fee includes the negotiation boot camp and competition. The fee is payable via bank transfer, PayPal, credit or debit card upon admittance of the team. The fee is non-refundable.

3.3. Boot Camp and Competition Fee for the Coach

The registration fee for the coach is 700 AED. The fee includes presence at the negotiation boot camp and competition. The fee is payable via bank transfer, PayPal, credit or debit card upon admittance of the team. The fee is non-refundable.

3.4. Expenses

Travel, accommodation, and incidental costs incurred by participants in the competition will not be reimbursed by ADR ODR International and will be the responsibility of the participants. ADR ODR International is not liable for any costs or risks associated with attending the competition.

3.5. Accommodation Our preferred and recommended partner is the Holiday Inn Al Barsha. The Holiday Inn Al Barsha is on Sheikh Zayed Road. It is easily accessible via car or metro. The closest metro station is Sharaf DG. It is a 5-minute walk from the Kempinski Hotel and the Mall of the Emirates. At the Mall of the Emirates, you will find multiple food outlets and many shops. The Dubai Mall/the Burj Khalifa is a 15-minute drive or a 30-minute journey by metro. The DIFC is an approximate 15-minute car journey or 30-minute journey by metro from the Holiday Inn. 3.6. A 96-hour visa (4 days from the arrival date) costs approximately USD 30. 4.0. The Boot Camp

4.1. The Boot Camp Structure

The students will be given negotiation training in a lecture-style. Students should be prepared to take notes and to participate in group work. You may benefit from having your laptops or tablets with you. No preparation is required by the students, prior to commencing the boot camp.

5.0. The Competition

5.1. Competition Rounds

There will be four competition rounds. The first two round will take place on Wednesday the 6th of November 2019. The third and fourth round will take place on Thursday the 7th of November 2019, with the final round taking place during a desert safari. For each round, there will be a new case study.

5.2. Entering the Competition

Upon entering the competition room, the teams will be allocated into either Team A or Team B. You will be in Team A or B for all four rounds. At the reporting zone (A or B) students will receive the background sheets and confidential papers. For each competition round, two students from each team will negotiate. You may decide amongst yourselves, who will negotiate in which round. However, over the three rounds each member of a team must have completed two full negotiations. In round four, all three students will negotiate as a team. The teams will be allocated to table numbers, where they will carry out the negotiation. For the purpose of the competition, the students must remain at their allocated tables.

5.3. Acting Team Members

Two of three students will be negotiating at any given time. The competition organisers will choose the two students negotiating in each round. The two negotiating students will sit at the negotiating table with two judges and their opposing team. The third student will sit with the coach (if present) directly behind the negotiating students. They may observe their team’s negotiation and reflection evaluation session. Each student will be given the chance to negotiate two times.

5.4. Preparation Time

The students will be given the brief and confidential information one-hour before the start of the competition. During this time, the students must complete a proforma negotiation plan document. All three students and the coach (if present) may take part in the preparation-time.

The proforma negotiation plan must be given to the judges 5 minutes before the round starts. These forms may be taken into consideration by the judges, when completing his/her scoring sheet.

5.5. Negotiation Time

The students have one-hour to negotiate each round (from rounds one to three). The students may start negotiating once the bell has rung. There will be a 5-minute warning at 55 minutes. After one-hour the students must stop negotiating. Students must comply with the time, otherwise, there may be a deduction in points. Students are not required to reach an agreement during the negotiation.

5.6. Evaluation Time

Upon completing the negotiation, the negotiators will have 15 minutes to complete a negotiation reflection form. The form may only be completed by the two students at the table. The form must then be handed to one of the judges, sitting at their table. This form may be taken into consideration by the judges, when completing his/her scoring sheet.

5.7. Scoring and Feedback Once you have handed-in your evaluation forms, the judges have 15-minutes to complete their scoring sheets. During this time, you must step away from the table to give the judges some privacy. Once they have completed their forms, each judge may give you feedback for a maximum of 5-minutes. The judges will not give you any indication of your scores.

5.8. Finals

We organised a finale adventure. All teams will move to the desert after the third round of negotiations. In the desert all teams will negotiate the final round (round four). The desert safari includes:

- transfer to and from the hotel; - dune drive through the desert; - sunset photo stop in the dunes; - tea, snacks and an evening meal under the stars at a Bedouin-style camp; - negotiation finale; - DJ set-up; and - live performances.

If you are unable to go to the desert, due to medical or personal reasons, please do let us know in advance.

6.0. Competition Details

6.1. Language

The competition will be in English. All oral or written communications in the presence of the judges must be in English. If English is not your first language, you should have a score of 7 in ILETS.

6.2. Duration

As noted in rule 5.4.-5.7., each round will last 160 minutes. The 160 minutes consist of:

- 60 minutes preparation time (to sit at negotiation table after 60 minutes, ready to start);

- 60 minutes negotiation time; - 15 minutes evaluation time; - 15 minutes scoring time (you must step away from the table at this time);

and - 10 minutes feedback (5 minutes per judge).

6.3. Timekeeping

There will be a bell to announce:

- negotiation start time; - a 5-minute warning at 55 minutes; and - negotiation end.

Students are permitted to take in a stop watch or timer if they feel that this will assist them. However, due to the bells we suggest that it is not necessary. It is essential for students to listen to the bells. Non-compliance may lead to penalty (deduction in points). If the teams completed the negotiation prior to the 60-minute bell, the students must remain at their tables and refrain from disturbing other teams who continue to negotiate.

6.4. Materials

The negotiating students may take any notes to the negotiation. This includes notes taken throughout the preparation time and notes taken throughout the boot camp. However, students should take care, that notes do not become a distraction or disruption to the negotiation.

6.5. Dress Code The dress code for the boot camp and competition is business casual. No ripped jeans, no flip flops or trainers and no shorts. Please also be aware that Dubai has its own dress code. You may wear shorts and flip flops in the desert safari, if you wish.

7.0. Awards

7.1. Judges

Each round will be observed and evaluated by two judges. The judges will complete a scoring sheet on which the awards will be based. The judges are the sole decision-makers. Judges will be independent, impartial and neutral of teams and/or coaches involved in the competition. Teams, coaches and/or judges must declare any conflicts of interest to the organising committee.

7.2. Scoring

Judges will have 15 minutes to complete the scoring sheet after completion of each round. The scoring and recommendations for any award must not be revealed by any judge to any competition participants or coach. Judges will hand-in the score sheets to the Competition Secretariat after every round.

7.3. Reasons for Point Deduction and Disqualification

If the teams do not comply with the time-limits there may be a reduction in points. It is at the judge’s discretion, to deduct a maximum of 5 points if one/both teams failed to comply with timekeeping. Further, only the two students allocated to the negotiation round may take part in the negotiation. Neither the third student nor the coach may assist. This includes communication such as hand signals, passing documents or talking to one another. Any attempt of communication, verbal or non-verbal, can be made subject to an immediate reduction of a maximum of 20 scoring points as determined by the judges. If it occurs more than once, the judges may disqualify the team from the round.

Moreover, if one of the teams feel that the actions of their opposing team leads to a grave reduction in their performance, the team should notify the Competition Secretariat of this. The team will be asked to write down the specifics and the Competition Secretariat will speak to the judges, to seek

clarification. If the judges agree that the actions may have disrupted their performance, there may be a deduction in points.

Reduction of scoring points and recommendation of disqualification by the judges will be made in writing on the score sheet before the scores have been handed over to the Competition Secretariat. Reduction of points shall be shared with the coach upon completion of the round. Any point reduction(s) and/or disqualification of the team are final and not subject to appeal.

7.4. Award Types

Best Negotiation Team Overall (Top 10) This award will be based solely on the points scored by each team. Each round will be scored out of 100 points. The total points of all four rounds will rank the teams. The students will have the opportunity to be in the top ten negotiating teams of the 2019 ADR ODR International ad hoc Negotiation Competition. Top Negotiation Pair Each judge may make a recommendation for this special award. This award will be based on the pair’s ability to work as a team. The top negotiation pair will have demonstrated the ability to work exceptionally well as a team. Judges will consider your ability to communicate, assist, cooperate, support and align yourself with one another. Special Award from judges for best phrase or negotiation strategy used Each judge may make a recommendation for this special award. Judges may take note of phrases and strategies used throughout the rounds. Where judges find that they were exceptionally well said or done, he/she may include this on their scoring sheet.

7.5. Certificates and Awards

Certificates of participation will be issued for all participating students. ADR ODR International cannot issue additional certificates. When a student team wins a prize, each team member will receive an award.
