    NDI Online Asset Management

    Overview

    The NDI Online Asset Management tool provides customers with the ability to trackmoves, adds, changes, deletions (MACDS), RMAs, and credits via a web-basedsolution.

    What differentiates this solution is that it is integrated into the Cisco Service ContractCenter (CSCC) as well as the Cisco ordering tool (CCO) so that all the actions that takeplace in the asset management tool then get updated within Cisco so the customer'sdatabase matches the Cisco database. Renewals that currently take weeks andmonths to complete now take a couple of days. Cisco will now know where thecustomer's devices are located and what level of maintenance those devices are underso there is no more confusion when an RMA is created. If the customer removesdevices from maintenance the system will automatically calculate and track the creditsgenerated from the remaining maintenance on those devices.

    There are numerous standard reports that can be run but customized reports can also

    be created. Some of the reports available to customers are End of Support reports,Activity reports, RMA reports, Contract reports and Lease reports. The solution alsotracks the financial information surrounding each device for Sarbanes Oxleycompliancy. The customer will be able to see exactly what they are paying per deviceon SMARTnet.

    The NDI Online Asset Management Solution puts the customer back in control of theirnetwork and the assets tied to their network. They will be able to customize the solutionbased on how they want to see and manage their data and also have complete controlover who has access and what levels of access they have.

    Financial Implication Reporting - Custom reporting provides the CIO, CFO, andCEO financial information related to both maintenance agreements and the associated vendorhardware contracts.

    Audit Capabilities With Online Asset Management, you can easily audit your

    inventory with the vendor inventory database.

    Maintenance Support Team- We assign a specialized support team to monitor andmanage your maintenance contracts.

    Parent/ Child Asset tracking You can track modules that are configured within avendor chassis, making management of moves tremendously easy.

    Flexible Location Tracking - Each item can be tracked by any number of locationvariables, customized by the customers needs.

    Virtual Inventory - Why pay for maintenance on equipment that is sitting in your labwaiting to be deployed? With the virtual inventory feature, you can still track the asset andbegin maintenance when you place the items into production.

    Data Integrity Your data will be continuously audited throughout the maintenanceagreement so the Cisco database matches your internal database.

    Credit Tracking The system will track Cisco credits when a device is removed fromproduction or if a device has maintenance extending beyond the end of service date.

    RMA Tracking RMAs will be tracked and we will make the necessary updateswithin Cisco and in your inventory

    System Features

    Power Search: Allows the user to search by Name/IP Address, Serial Number, PartNumber, Asset Tag and Warranty End Date. It is possible to search all fields at once byentering search criteria into the field, Search All Fields. Parent Part Number: Allows the user to select specific parent part numbers from alist of part numbers in the system. Multiple part numbers can be specified within thesearch. Location: Allows the user to select specific or multiple locations from the list ofusers locations. Contract Number/Type: Allows the user to select contracts from the list of userscontracts. Asset Status: Allows the user to search Live Inventory, Virtual Inventory, or bothLive and Virtual Inventory simultaneously. Parent/Parent and Child Assets: The user has the option of searching for ParentAssets or Parent and Child Assets.

    List of Assets: Once the criterion is submitted, a list of assetsmatching the criteriais displayed below the main search area. From here, the user can click on an assetsserial number to view a variety of details pertaining to that asset.

    Asset Details

    There are multiple areas of detail that can be accessed on any asset.

    Details

    View and edit/update basic Asset Information, such as Asset Tag and Serial

    Number.

    View an assets Location Information, move the asset to a different location orremove it from inventory.

    View Child Assetsfrom the list or add new ones.

    Maintenance

    View basic Asset Information, such as Part Number, Serial Number and Description.

    View an assets Contract Informationor move asset to a different contract. An assetcan be removed from Maintenance by selecting No Contract.

    Asset Action Items are listed in order by request date along with each actions

    status, initiating user and description.

    Cisco SCC Audit

    The Audit Match page compares data in our system with data in SCC. When amismatch is detected, it is indicated with a red dot.

    RMA

    This function allows for the tracking of assets returned to manufacturer, RMAinformation should be updated every time a device is replaced.

    RMA Informationshould be entered by the user after RMA requests are placed with

    Cisco.

    RMA is pending completionand will be marked accordingly until the user receivesthe replacement device.

    Replacement Informationshould be updated after the user receives the replacementdevice. New Serial Number, Received Date and Close Notes should be entered beforecompleting RMA request.

    RMA History can be tracked by viewing the asset action items on the new serialnumber.

    Add Asset

    There are four ways assets can be added to inventory. Assets are placed in VirtualInventory first, and have to be made Live in order to move to Live Inventory.

    Add Asset from Cisco Configuration

    User adds assets from a pre-set Cisco Configuration, capturing information about aparent device and its related child devices at any time.

    Add Asset Manually from Cisco Product List

    User adds parent and child assets manually form Cisco Product List.

    Upload an Asset File

    User uploads a spreadsheet or similar file of assets. NDI Customer Service willvalidate the file and import assets to the system. This option may take time toprocess and will not be immediately reflected in the asset database.

    Add Asset Manually

    User adds assets manually. This option allows the user to add Part Number,Description, Child Assets and Quantities. NDI Customer Service will then verify theinformation and enter it into the system. This option may take time to process and

    will not be immediately reflected in the database.

    Virtual Inventory

    Virtual Inventoryis a holding area for an asset until maintenance is purchased on it.

    Details

    View an Assets Location Information, move the asset to a different location orremove it from inventory. View Child Assetsfrom the list or add new ones.

    Make Live

    An asset can be moved to production with or without maintenance.

    Serial Number and Location information should be updated when making an assetLive With Maintenance. Contract Information should be selected from the list andcontracts Start Date should be updated.

    Purchase Maintenance

    Maintenance is purchased on assets in Virtual Inventory. Purchase order should be

    fulfilled within 48 hours.

    Select Assets from Virtual Inventory on which to Purchase Maintenance,Maintenance can be purchased on multiple assets at a time.

    Update Asset Information: Serial Number and Location are required fields,Asset Tag and Name/IP address are optional.

    Update Contact Information by selecting desired contract from the dropdown.User enters Start and End Date and the approximate price is calculated.

    Update Billing Information by selecting Existing Billing Address or by entering anew one.

    Enter PO.

    Credit Bank

    A Credit Bank entry is created when an asset is removed from contract or inventory.Initially its in the system as Estimated Amount and its status is pending. Once credit isapproved by Cisco, the actual credit amount is entered by Customer Service and the

    credit bank entry is approved.

    User can View a List of all credit bank entries to date, displaying description,location, status, estimated amount, actual amount and balance.

    Credit Bank Statscredit amount to date.

    Credit Bank Entry Detailspage displays al available details for the selected CreditBank Entry as well as its Status History.

    An Approved Credit Bank Entrydisplays all available details for the selected entry aswell as its Status History and Credit Memo Number.

    Audit

    Data in our system is compared with data in SCC on a daily basis.

    Online Asset Management vs. SCC Matches is a list of al assets in thesystem. If a mismatch is detected between our system and SCC, the mismatch type isindicated with a red dot. The usercan select a mismatch type byclicking on a link and go directly to alist of those mismatches only.Available mismatch types are: Partnumbers, Contracts, Start Date,Site ID, Pending Contracts andVirtual Inventory.

    Mismatch Details is a list of displaying asset details in our system comparedside by side with details in SCC.

    Assets Only in NDI Online Asset Management is a list of assets that werefound in our system but do not exist in SCC. The user can click on a serial numberwhich will lead to the assets Details page.

    Assets Only in SCC is a list of assets that were found in SCC but do not exist inour system. The user can click on Serial Number which will lead to the SCC assetsDetails page.

    Action Items

    Every action creates an Action item so the user can efficiently track the history of anyasset. If there is an action required, an action item will have an open status untilCustomer Support acts on it. If theres no action required, then the Action item is closedautomatically, but is still searchable.

    Search

    Action Item Typeallows the user to search by type within the various categories ofaction items. Status allows the user to search by an action items possible status levels:Cancelled, Closed, Open, Pending and Future. Criteriaallows the user to search by Description and Start and End Date. Action Item IDallows the user to jump to a specified Action Items Details page.

    List

    A list of Action Items matching search criteria is displayed below the main searcharea. The user can click on a ticket number to view the details of any listed item.

    Details Action Item Infodisplays the ticket number, date initiated, initiating user, status anddescription. Details area displays the details of an asset, both old and new information,depending on the item type.

    Action Item Historydisplays the history of an item from open to close. Action Item Notesdisplays all the notes that were added to an item.The user canalso add notes in this area. Related Action Itemsarea displays all other action items related to a particular asset.
