How to report your narrative information

How to report your narrative information
Each Narrative Report will be divided into 4 sections:
1. Project Summary2. Activities3. Quarterly Evaluation4. Attachments
Now I will explain each section.

Project Summary

1. Project Summary
Explain in your own words in 1-2 paragraphs:
1. What the problem that you propose to solve is; and
2. How your organization plans to contribute to the solution
This information is found in your grant agreement on Attachment A, under ‘Project Objectives.’
This summary should not change between quarters unless the organization requests and New Tactics approves a change in activities.

2. Activities
Provide an update on the progress for each of the activities proposed in the grant agreement between your organization and the New Tactics project.
These activities can be found in the grant agreement under Attachment A – Program Description.

For each activity of your project, respond in narrative form to the following questions:
• Describe the activity
– What happened?– Why?– How?– When and where?– Who participated? – If there was no action on an activity, provide information
on why, and when action will begin.

Each quarter, add the new information to this section. Do not erase what was included in the previous quarter.
Throughout the 8 months, the narrative report is constantly developing and at the end of the project will contain the entire history of the project.

3. Quarterly Evaluation
In this section, it is important to objectively evaluate the events that took place during the quarter.
Challenges will arise, and it is important to include this in your narrative. These challenges will NOT be held against you; in fact, it will help us all to learn something and look for alternatives to find a solution.

Provide detailed answers to the following questions:
What is the impact?
• What impact has the project had to this point?
• What unforeseen successes have you had upon carrying out the project activities?

• If there were any challenges, what were they and how were they resolved?
• What would you do the same and/or what would you do differently in the planning and implementation of the project? Why?

• Was there a change in the country, organization, personnel, or other unexpected event that affected (positively or negatively) the progress of the project?

Provide detailed answers to the following questions:
What are your project priorities for the next quarter?
• Now that you have described what actions have been taken, please tell us your plan for your actions in the next quarter. What will you work on next?
• If there were unexpected changes, will you need to request an amendment to the project during the next quarter? If the response is “yes,” describe the proposed change and the reason for it.

Project Materials
Including materials that have been created for the project (for example, translations, agendas, publications, pamphlets, guides, etc).
We encourage you to include materials that demonstrate the impact that the project has had (for example, testimonies, press articles, photographs, etc).
Suggestion: to save money, you can send any hard copy publications with the final report.

Additional Documentation
Financial information included with the narrative report:1. Quarterly financial report2. Receipts or vouchers for the items listed in the
financial report (include agreements with translators, interpreters, facilitators, etc)
3. Monthly staff timesheets

How to report your narrative information
Q: How do you send the narrative reports to Kristin?
A: We would like you to send your narrative reports along with your financial reports and other documents via email or yousendit.com (a free public storage website). We will talk about this in more detail in the next online training.
