The BackgroundMany music therapists record music therapy sessionsThis is a powerful way to review sessions - noticing anything that may have been missed in the moment, and clarifying moments of significance through a process called ‘indexing’ - a method of analysing extracts or whole sessions.Having video or audio extracts is one way of evidencing the benefits of music therapy and sharing the music therapy process with a multi-disciplinary team (MDT) as well as parents and carers....

Managing large quantities of audio and visual data

Greater use of existing data means a greater potential for research, evaluation and evidencing impacts of music therapy

AV data is not linked to other client data, including progress notes, assessment scales, clinical aims or referral documentation
Solutions & Benefits for MT:
Makes client data management more efficient – saves time for the music therapist
Links up written notes about a particular therapeutic moment directly to the recorded evidence (where available)
Assessment tools/ rating scales attached to client data – progress in relation to goals can be tracked visually by radar chart

Problem #3
Indexing audio or visual files can be clumsy and time-consuming (switching between windows, hitting start/stop/rewind).
It can be a challenge to have time to do this valuable analysis with large numbers of clients
Solution & Benefits for MT:
The annotation tool means more sessions are reviewed in detail and annotated quickly in an easy-to-use interface
Improved quality and effectiveness of work through more focussed reflection and analysis

Record keeping for each individual music therapy session.
Record a clinical summary (for patient notes) and progress notes
(for the music therapist)Add annotations throughout the

Annotations can be indexed to any point in the recording - allowing
instant recall of significant moments
Tag specific clients when working in group sessions: allowing a session index to generate individual client
notes.
A plugin architecture allows different rating scales to be used selectively - either
for a session as a whole - or a particular moment
Thematic tags and free text space allow trends across sessions to be identified, and
specific observations recorded.

Problem #4: It’s difficult to find the right AV extracts to share with multi-disciplinary team (MDT), family, carers etc
Solution and Benefits for MT:Sharing AV extracts with families and MDT becomes quicker and easier, as all the key moments are tagged and linked to the client record
More perspectives and feedback on the music therapy process
Sharing audio or visual extracts aids a music therapist's communication and relationship with MDT/families - good for clients

With common standards, sensor data can be used to bootstrap new
sensor records
A range of export options can help generate clinical records, or an audio
and video compilation for review.

Runs entirely offline ensuring security. HTML5 application.
AV data can be pulled off an encrypted external hard-drive
Password protected app.

Problem #6Managing Client Data (as distinct from the AV files)
Solutions & Benefits for MT:In accordance with HCPC/BAMT guidelines, a 'clinical summary' (legally required) is followed by 'progress notes' – which are optional and can be hidden from view
A client 'front-page' with details such as reasons for referral, contact information, scanned copies of consent forms etc. Sessions can be accessed from this page for detail and access to AV.

Further Developments (the wish-list!)From the selected extracts, create an mp3 / mp4 track of significant moments for ‘easy’ listening
Music therapists using this tool could add set questions to prompt reflection – for example: 'SOAP' or '5 things'
Additional bolt-ons /plug-in options to use different rating scales/ assessments e.g. music therapy specific such as the Nordoff Robbins scales, or population-specific scales such as the Glasgow Coma Scale
