How to Book

1. Fill out the booking form below by selecting the box(es) you would like to order

2. Choose whether you would like to collect the box or have it delivered (delivery costs £40.00 + VAT

per organisation, per half term)

3. Return by email to: [email protected]

The deadline for booking requests is no later than 5.00pm on the Friday prior to the commencement of each

half term. However, it is advisable to book as far in advance as possible to ensure the box you want is

available.

A confirmation of your booking will be sent to you within five working days.

Please note that some boxes are periodically removed for redevelopment or conservation. Whilst every effort

is made to give you your first choice, we may occasionally have to offer alternatives.

You are welcome to add to or amend your allocation, although we would ask that any changes are made at

least two weeks prior to the beginning of the half term for which the box is required.

For cancellations please allow at least a full half term's notice, so that we can still allocate the box to another

customer.

Loan Period

The loan period is for a half term period. The loan dates for 2021/2022 are:

• Autumn 1 2021: Week commencing 6th September – 18th October

• Autumn 2 2021: Week commencing 1st November – 13th December

• Spring 1 2022, Week commencing 3rd January – 14th February

• Spring 2 2022 Week commencing 28th February – 4th April

• Summer 1 2022, Week commencing 25th April – 23rd May

• Summer 2 2022, Week commencing 6th June – 18th July

Collecting your Order

Museum Boxes can be collected from the Museum Collections Centre on the first Tuesday of each half term

between 3.00pm and 5.00pm. This date is subject to change and will be confirmed by email in advance.

If you do not collect your Museum Boxes, you will still be charged for your booking.

Museum Boxes must be returned to the Museum Collections Centre on the last Thursday of each half term

between 3.00pm and 5.00pm. This date is subject to change and will be confirmed by email in advance.

There will be an additional charge for late return of Museum Boxes. If you have any unexpected issues

with returning the loans boxes, please get in touch with the Museum in a Box administrator as soon as

possible.

The Museum in a Box loan service has its own car park, around the side of the Museum Collections Centre

(25 Dollman Street, Nechells, B7 4RQ), when you turn off Dollman Street it is immediately on your right.

Delivery Service

We operate a delivery service for Birmingham and the surrounding areas (up to 25 miles by road from B7

4RQ), whereby you have your loans delivered to your school. They are also collected at the end of the half-

term.

This service operates at a charge of £40.00 (+ VAT) per half term to cover costs.

On arrival at the school or organisation, the Museum Boxes will need to be signed for by a member of staff.

This does not have to be the staff member that ordered the boxes.

All borrowers must have loans boxes ready at their reception desk from the Tuesday of each loans collection

week. If boxes are not available when the collection van arrives you may be charged an additional collection

fee if the waiting time exceeds 10 minutes.

In your loan box you will find a guide in how to keep the objects and yourselves safe during the Covid-19

pandemic. You can also find this information on our schools webpage, under Museums in a box.

Payment

Your organisation will be invoiced for your order after the loans boxes have been delivered.

Payment can be made by credit/debit card and BACs.

Please make cheques payable to Birmingham Museums Trust and send them to

Care of Loans

The borrower who orders the loans is responsible for looking after them.

Most of them are irreplaceable and should be treated with respect. Please do not display any objects in direct

sunlight or subject to actions that may harm the objects such as burial or submergence. Do not affix

adhesives, labels, sellotape, blu-tack etc. to loans or loan cases.

Please keep them in a secure place, especially overnight.

If any loss or damage occurs, please inform the Museum in a Box service at once.

Do not attempt repairs.

Children can try on the replica costume, but please make sure it fits! Any damage to replica costume and

artefacts will be charged to the school concerned, so that we can purchase replacements.

Terms and Conditions

By making a booking with Museum in a Box you have agreed to abide by the terms and conditions below.

It is a condition of the loan that objects are used for educational use only and not for profit making purposes.

Due care and diligence must be taken to safeguard the items on loan.

Items on loan must be locked away when not in use.

On rare occasions we may have to supply an alternative box to that which was ordered. This will be clearly

stated at the time of collection/delivery.

Borrowers are liable for costs of breakages or loss for up to £150.00 per box.

Evaluation forms must be completed for each loan box.
