In order to demonstrate the entries in this module, there must be lost and on-hand baggage records in the system.

Upon End Transaction of a newly created record, the Sabre system places every record on a list of similar file types for each individual station. For example, all lost baggage records are collected on the lost (tracer) list, while the on-hand records are placed together on the on-hand list.

The baggage lists may be displayed at any time. A station may display a list of records created at any other station. The baggage lists assist users with organizing their files and updating their status.

Baggage Lists

On-hand, Damage, and Pilferage records remain on the station lists for a period of 180 days in open status. Lost records that are over five days old automatically transfer to the Central Baggage Service queue for additional tracing. It is usually the responsibility of the baggage service user at each station to attempt to trace and return all mishandled baggage to its owner within these five days.

The baggage programming within the Sabre system uses these lists to search for all similar bags in the system database, looking for exact or near matches based on data in the baggage description fields of the baggage record. A program called Nightly File Maintenance processes the files created and attempts to match bags on the lost list to those on the on-hand list. All possible matches are placed on the baggage queues of the city that owns the baggage records.

The baggage queues are addressed in greater detail in the module on Reservations And Departure Control Interface, Baggage Management Analysis System – Queues.

When the system is unable to find possible matches, it may become necessary for the user to manually search for a match by displaying various Baggage lists from other stations.

To display a list of baggage records:

Select Display Lists <Shift+F3>

The Display List Options popup window displays:

• Select Option: Display List

• Select <OK>


The Display Lists pop-up window displays:

• City: Enter the three-letter city or airport code where the queue is to

be accessed

– If left blank, the AAA city is assumed

• Select List Type: Choose from:

– On-Hand

– Loss

– Forwarding

– Damage

– Pilferage

– Settlement

– Mishandling

The first two Select List Type options are discussed in detail below.


Depending on the Select List Type option, other options in the popup window may be required.

• Display Option: valid only for On-Hand or Lost list types.

– Alphabetically

– Tag Number

• Bag Type: enter the numeric IATA bag type code

– edits the list display to show only the bag type indicated

• Color: select from pull-down list

– edits the list display to show only the bag color indicated

• OA Code: enter two-letter airline code

• Create Date(s): enter date or date range

• Commuter Equate Code: enter the one-letter commuter equate code

– used when accessing a list for an airline’s commuter partners

• Display Codes:

– When selected, the Commuter Equate Table for your airline immediately displays in the work area.. See the following example:

The selected list type displays in the work area. See the following details:


Once an on-hand record has been created, it is added to the station’s on-hand list. The on-hand list can be used to assist users in searching the Baggage system for any on-hand bags that match the name, bag tag number, or description of a lost bag.

To display a station’s on-hand list:

• City: enter the 3-letter city or airport code

• Select List Type: On-hand

• Select <OK>

The response is a numbered list of on-hand records for that station. An example is shown below.

Each column is explained below:

PSG-NAME CLAIM-CHECK CL TY ELE DATE FN

This column displays the passenger’s name as it appears in the record. If there is no name available, this area will be blank.


On-hand

This is the bag tag number, preceded by the destination city and the OA carrier code (if applicable). If the bag tag number is not known, then UNK will appear in the column.



This column contains the Color, Type, and Descriptive Elements, as entered in the Bag Description line, per standard IATA codes.


This column shows the date that the baggage record was created.


This is the record locator (or File Number) of the baggage record.

When a Baggage list is displayed on screen, the Select From List pop-up window displays:

• Line Number: enter a line number from the displayed list


• Select <OK>

The selected baggage record displays in the work area.


To display another record at any time from an active list in the work area: Display From List

Select Display Lists <Shift+F3>

The Display List Options popup window displays:

• Select Option: Display from List

• Select <OK>

The Select From List pop-up window displays:


• Line Number: enter a line number from the displayed list

• Select <OK>

The selected baggage record displays in the work area.

The lost baggage list (also known as the station tracer list) is similar to the on-hand list. The loss list is the second option on the Display List pop-up window. When this option is selected, the list displays in the work area. A typical response is shown in the following example.

The top line of the example shows the entry to display the loss list for city code TIJ. The next line is the list header, showing the city code of the list, the type of list being displayed, and the date the list is being displayed.

The fourth and fifth lines of this list identify the column headings for each item, beginning from the left with:


• Passenger name

• Bag tag city of destination, airline, and bag tag number

• The color, type, and descriptive elements of the bag

• The create date of the file

• The record locator (or file number)

Use the Page Down key if necessary to view the entire report.

The Select from List pop-up window displays, to permit accessing any record from this list.

Notice the other types of Baggage records for which lists are maintained: Other List Type Options

• Forwarding

• Damage

• Pilferage

• Settlement

• Mishandling

The resulting display for each of these list options is very similar.

A program is run nightly which attempts to match bag records on the tracer list to those on the onhand list. The Sabre system responses are queued to the various station queues.

A Baggage Auto Trace (or BAT) option is offered to allow an user to request additional tracing of specific baggage records. This entry sends a request to the Sabre Baggage system to search for alternate bag types, colors, and elements that might further describe the mishandled bag.

Access to the Baggage Auto Trace option is provided via the Tools menu.

• Select the Tools menu

• Select the Baggage Tracing option

Two options display: Auto Trace and World Tracer.

• Select the option for Auto Trace


The Auto Trace popup window displays:

• Baggage Locator: enter the 6-letter baggage record locator

Note – must be a locator in Open status

• Color: select from the pull-down list

• Bag Type: enter the two-number bag type code

– Display Bag Type: select for immediate display of a Baggage Information pop-up window, containing the Bag Code Table Display

• Descriptive Element: enter up to three descriptive elements, selected elements must be in alphabetical order

• Select <OK>

The response is similar to the one shown below:

TRACER ENTRY ADDED TO LIST

The system is searched for bags created within the past 10 days, including the current date. The Sabre response(s) are queued to one of the queues at the user’s AAA station.


As a result of the Bag Auto Trace entry, the following types of responses may appear on the queue:

When a Bag Auto Trace request is received, the system searches baggage records for a match of the data in the Baggage Description (DB) line. In order to be considered a match, a certain match criteria must be met. Each criteria is given a point value. The highest value a criteria may be given is 10.

Match Criteria

The criteria and their point value are:

Descriptive elements 1 point

Initials 4 points

The definition of a match according to point value is:

• Exact match 24 or more points

• Near match 8-23 points


• No match less than 8 points

A maximum of 30 matches will be displayed, with the highest point valued being displayed first.

The name used in the Bag Description (DB) line is used for the match criteria. If a name is not present, the system searches the name field of the baggage record. Full name match is considered when all 8 characters of a name match.

Match Notes

The bag color and type must be exact to match.

The system also performs automatic alternate searches of color:

The purpose of this function is to communicate between stations by using queued messages. If, for example, an user has found a possible on-hand match at a different station for a lost baggage record, they can send a message to the other station to inquire about more information, or to request for the other station to forward the bag.

Queue messages are also sent to stations through the Sabre system automated baggage tracing process.

Messages are sent to specific queues for different purposes and are given unique queue message designators:

– Tracer Matches to Primary Trace (BAT) (queue J)

– Lost and Found Messages (queue L)

– If Other is selected, the Other fill-in box becomes available:


– Other: enter the letter of the queue where the message is to be

queue placed

• Enter Cities to Queue Place To:

– City Code: enter the 3-letter code of the city or cities where the message is to be queue placed

– Commuter Equate: enter the 1-letter commuter equate code (if applicable)

• Select <Next>

The Queue Place Message popup window displays:


• Enter Message (free text field, wrap-around text)

• Select <Finish>

The message is sent as a queue request to another station.

The response is: OK – MESSAGE SENT.
