Millennials and Mobility: Building the Modern Workplace

It is estimated that by 2021, 64 percent of India’s population will be in the working age group of 20-35. With this section of the population — also known as ‘millennials’ — entering the workforce, a dramatic shift in the workplace will begin to take place. Many leading organizations and forward-thinking companies are reshaping their strategies and work culture in anticipation of this change in order to attract and retain millennial employees. The question is what makes millennials so different from their predecessors?

Enterprises have, for decades, seen young talent walk in and out of their doors but that didn’t change the way they functioned. Millennials are, however, a radically different cohort for whom digital is a way of life. Millennials prefer technology-enabled workplaces that promote collaboration, transparency, and learning opportunities, and which nurture a culture of innovation. In fact, 42 percent of millennial employees are even willing to quit their jobs if workplace technologies do not meet their standards as reported by a 2016 Dell and Intel Future Workforce Study.

Today, more than 85 percent of India’s millennials use smartphones to access the internet. And, a majority of them want to continue using their smartphones and personal devices even at work. With their dependence on mobile devices and the internet to stay “connected” at all times, millennials are increasingly pinning their job choices on factors such as device flexibility and work mobility. As such, mobility is a medium for organizations to align themselves with the changing expectations of the modern workforce.

Here are some of the key trends that are defining mobility for the Indian business landscape:

Mobile-first approach is gaining traction.

With the number of mobile internet users in India estimated to double and exceed 300 million by 2017, companies are under the pressure to think mobile-first. As such, the coming years will see businesses redefine their approach from a mobile-first perspective.

App user experience is becoming more critical than ever.

User experience (UX) has always been a key factor in consumer app designs but this wasn’t the case with enterprise apps. However, IT leaders are increasingly realizing that poor UX not only limits app adoption but leads employees to use external apps, putting proprietary corporate data at risk.

Enterprise Mobility Trends in the Millennial Era

Mobility is being viewed as a cost saving strategy. With the use of mobility platforms integrated with features like video conferencing, business process automation, field workforce automation, and document sharing, businesses are realizing greater cost benefits through enhanced productivity. As such, many businesses are approaching mobility to cut costs involved with productivity losses.

Security is a key concern. With practices like BYOD and BYOA on the rise, security concerns are of top priority for employers and IT leaders. As a result, companies will be revisiting security policies to benefit from this growing trend.

Millennials are ‘digital natives’ - born in the era of digital technology - they treat their smartphones as an extension of their fingertips. For them, using the latest technology is critical to a collaborative and efficient work environment; at the same time, learning and skill development opportunities are top considerations while seeking new job opportunities.

Collaboration and Workplace Efficiency Workplaces around the world are shifting to a collaborative work

environment — a move motivated by the millennial generation’s preference of a team culture over competition. With technology enabling people to work remotely, untethered from their desks, it’s not surprising that millennials are looking for tech-enriched workplaces that allow easy collaboration with their teams and peers. Not only that; the millennial worker demands more control over the workplace, wants to work smarter, not longer, and values work-life balance. These can also be achieved through technology. According to a

2016 Samsung and Frost & Sullivan survey of 500 IT and line-of-business managers and executives in the U.S., the use of smartphones at work resulted in an average productivity gain of 34 percent.

As such, millennials are seeking out employers who empower them to not only remain productive, but achieve maximum efficiency. They are looking for collaborative workplaces that will allow them to stay connected with team members, partners, contractors, vendors, and suppliers from anywhere, anytime. However, in order to attract top millennial talent, it’s no longer enough for businesses to have the latest technology in their workplaces. They need to offer an experience of autonomy where employees can choose the technologies they prefer.

Building this type of culture will not only help businesses improve profitability through increased productivity and innovation, but it will also create a workforce that’s more engaged and productive, prepared to face the challenges of a globalized business environment.

Learning and Skill DevelopmentAccording to a survey conducted by PwC, nearly half of Indian millennials polled are

concerned with the learning opportunities that will promote their personal as well as career growth paths. And, they consider these factors more important than remuneration and financial incentives. Millennials are interested to work for organizations that can help them expand their knowledge base; money is not the top driving force when it comes to working for an organization. Not surprisingly, this is also where mobile turns out to play a major role.

Overcoming the Challenge of Training Millennials through MobilityCorporate training programs are normally conducted as lectures with little involvement from the trainees. However, this method of training does not work for millennials. Though they are strongly inclined to learn from and work with experienced mentors and coaches, and enjoy opportunities to interact and engage with senior management, conducting lectures alone to train them will not see much enthusiasm or participation. Growing up with 24/7 connectivity and evolving mobile technology, millennials are wired to think and act differently. Therefore, they require an evolved learning approach.

Here are a few ways mobility enables businesses train their millennial employees in ways that they respond favorably to;

Provide them with the ease and agility of learning using their preferred devicesOrganizations can — and should — take advantage of millennials’ interest in continuous development and training by structuring non-traditional training programs via devices of their choice — smartphones and tablets. According to a Forrester report, 66 percent of employees use two or more devices on a daily basis including desktops, laptops, smartphones and tablets. A sizeable 35 percent use smartphones at work.

Utilize their digital dependency to improve training outcomes

Due to their familiarity with digital mediums, training can be delivered through online training modules, interactive game plays or webinars that they can access from their mobile devices. Because they are innately capable of working in teams and are good collaborators, a mix of classroom instruction, self-study, group learning and coaching constitute the best way to train millennials.

Make it flexibleBeing innate multitaskers, millennials appreciate activities that they can easily fit into their paced and hyper-connected lifestyles. Mobile-based learning enables them to insert the training in their day to day lives without having to set aside dedicated time for it. More importantly, the flexibility of training through mobile digital media enables millennials to learn and gain access to training materials from wherever they are - commuting, at the workplace or even at home.

When dealing with millennial talent, it always pays to remember that their lives are embedded in the digital world, and therefore, separating them from their tablets and smartphones will lead to them feeling restricted, and have an adverse effect on creativity and productivity. Instead of viewing mobile devices as disruptive influences, they should be leveraged as powerful tools to keep the millennial workforce engaged and motivated.

With an increasing number of millennial employees carrying out work-related functions on their personal devices, BYOD (Bring Your Own Device) is today’s workplace reality. And, very often the practice comes with its own set of security threats. While millennial users prefer to collaborate, and communicate using their favorite devices and apps — they do so in order to stay productive and speed up performance. With many businesses still holding on to ‘old school’ and legacy communication solutions like email and corporate intranets, they fail to provide their millennial employees with the right set of tools to get their jobs done faster and more productively.

A report by Nimble Storage and Oxford Economics found that 77 percent of millennials found their

productivity was affected due to “sub-optimal application performance”. And, nearly 50 percent of millennial respondents also stopped using an application because it ran too slowly, while 78 percent complained of occasional or constant delays when using business software, they were provided with at the workplaces.

To enable millennial employees to perform better without compromising on security, businesses need to provide their employees with software and tools that offer ease-of-use, user experience, and interfaces similar to their favorite applications.
