Austin Chinese Church Full Time Office Administrator Position: The Office Administrator (OA) is a full time position responsible for management of ACC's office and facilities. For the office, the OA is in charge of managing all the paid and volunteer office staff and coordinating all office duties. For the facility, the OA is in charge of managing all facility related staff and ministry. The OA position is a full time position. However, as an office staff, the OA will be evaluated for extension on a yearly basis. Job Description: The Office Administrator's responsibilities include the items listed below. The OA is supervised by the Coordinating Pastor and the responsibilities may change based on ministry needs and the availability of other staff/volunteers. Office Related Responsibilities A. Building teams of volunteers that assist paid office staff in carrying out the work of the various ministry B. To provide leadership and decision making when needed for office administration C. Work in conjunction with the pastors and ministry leaders to create, manage, and maintain all church policy handbooks. D. Takes part in some staff and church leadership meetings E. Contact point for all weddings/funerals using ACC facilities and act as Wedding Director defined in ACC wedding policy. F. In charge of managing office facilities and duties: phones, network, mailbox, bulletin boards, staff schedule, etc. G. In charge of new staff orientation, office staff meetings, and in general promote a positive workplace environment. H. Work on other duties assigned by the Coordinating Pastor. Position:

Facility Related Responsibilities

All Facility Related Responsibilities will be functionally supervised by the General Business Committee (GBC)

A. Maintenance/Repair:

1. Weekly walkthrough all the church buildings to perform basic inspection of all facilities for repair needs or cleaning needs.

2. Manage minor repairs: receive facility problem reports and notify either church maintenance person (for minor problems), appropriate vendors (copier, security system, electricity, phone), or GBC. In case of emergency, call outside repair persons as needed (examples are busted pipes, security/safety issues, AC problems)

3. Initiate regular maintenance (fire inspection, elevator inspection, change filter, etc.)

4. Manage lawn service, tree trimming etc.

5. Upon GBC's request, open/close doors for contractors (working on projects managed by other church departments or deacons).

B. Cleaning

1. Be aware of church cleaning contractor schedules and be observant of cleaning results. Communicate to contractor of special needs or problems.

C. Manage Facility Usage

1. Manage Church Facility Reservation system for room and equipment (projectors, laptops) usage

2. Focal point for outside organization usage request and forward to designated authorities to decide.

3. Notify vendor for chair/table setup requirements

D. Manage church key assignment and usage

E. Purchase of bathroom supplies and other GBC related supplies

F. Bill payment for utilities, cleaning, repairs and supplies

G. Attend GBC regular meetings

H. Other duties requested by GBC and general office duties requested by the Office Manager

Qualifications:

The OA must be a person:

A. Who has a growing faith in God, and is willing to serve the church office as a ministry

B. Who has been attending ACC services regularly (in any of the three congregations) and is either a current member or is willing to join as an ACC member

C. Who is mature and has demonstrated leadership abilities to plan and lead office ministries.

D. Who speaks English fluently enough to communicate with vendors and subcontractors effectively.

E. Who has strong skill and experience in office software

F. Chinese language ability (speaking and typing) are desirable but not required.
