Motivation
Organize 10 years of accumulated research information
Create a comprehensive list of all works cited and created by CEGIS
Manage this list as a library that represents a comprehensive bibliography of GIScience
Eventually make the bibliography available on the Internet
Background – Center of Excellence for Geospatial Information Science (CEGIS)
Established in January 2006CEGIS research is focused on The National
MapConducts, leads, and influences the research
and innovative solutions required by NSDI and the emerging GeoSpatial Web
Virtual center within USGS and with affiliated scientists from other organizations
There are currently 6 PIs

Background – Research Materials
Huge array of hardcopy journal articles – scattered among various files and storage locations
Large volume of digital PDF files – scattered among various folders and server locations
Considerable amount of CEGIS publications-- fortunately, mostly on our website
References collected over email for in-progress projects (coming from the library or other researchers)
No indication of whether an article was referenced by CEGIS work or not

Tools
After analysis of a few reference management programs, a combination of two programs was selected for the project
EndNote was selected for day-to-day management (single license, user only) Provides faster data input and more navigable search
features, including keywords EndNote was already in use within CEGIS, and familiar to
the researchersWikIndx was selected for exposure to the
GIScience community and the public (open source software) Investigation into other open source reference management
software is ongoing
Building the CEGIS On-Line Bibliography
There were several different mediums of information that had to be dealt with File created for email; flagging system to mark
entered items Stack and file system for hardcopy items; titles
were searched online for faster copy-and-paste entry
Recorded date system for Lotus PDF email archives; similar system for the citations collected from the web
Some methods of collection were only possible from certain locations or at certain times
Metadata and information

Documentation
EndNote’s fields didn’t always meet the needs of the information we stored, so we had to create our own conventions
This information was stored in a private Wiki for future reference of the CEGIS Bibliography conventions

Confusion created among the 6 PIs by the reference style display
--Newly installed versions of EndNote will overwrite custom field headings
Copyrights on Abstracts
Initially, there were plans to include abstracts that would create an easy-to-search comprehensive database for CEGIS researchers
Was not possible due to murky copyright lawsCEGIS has a paid subscription through the USGS
library to view databases, but is not permitted to re-host information, including many abstracts
