Career Awareness Programmes (CAPs) on the CS course are being conducted in various

schools and colleges by all the Regional Offices and the Chapters of the Institutethrough

the employees, committee members, ICSI Counsellors or volunteers.

In order to ensure quality and maintain uniformity in the programmes conducted by all

the Regional Offices (ROs) and Chapter Offices (COs), following guidelines are

formulated.

1. Identification of reputed schools/colleges

As per the ICSI Vision 2022, the objective of the career awareness programmes

should be to make the Company Secretary Course, a preferred choice for the

students. For this, all ROs and COs should try to organise CAPS in the reputed

schools, colleges and universities.

Identify top or reputed schools/colleges in the districts allocated to the

RO/Chapterand maintain a databasewith the relevant details.

The format is placed as Annexure A.

2. Approach Schools or Colleges and schedule CAPs

The concerned officer from Region or Chapter should approach Schools or

Colleges through mails and/or calls. A sample mail or letter which can be sent to

schools or colleges is placed as Annexure B.

Follow up with the Schools or Colleges for confirming the date and time and

schedule the programme. Also update the database (as mentioned in Annexure

A) with the response received from Schools/Colleges.

3. Identify and maintain a list of CS Alumni from top institutions and other

resource persons

With a view to project ‘Brand ICSI’ the CAPs should be carried out in the reputed

schools, colleges and universities preferably with help of the members who are

alumni of these institutions.

Identify the CS members in your area who are alumni of reputed institutions.

Prepare and maintain a list of CS alumni identified and other resource persons

like ICSI Officials, Managing Committee Members, Senior Company Secretaries,

Toppers of CS Examinations, GiriSagarDoots and ICSI Counsellors who may

conduct the Programme.

The format of maintaining the list of resource persons is placed in Annexure C.

4. Prepare for CAPs and take prior approvals wherever required

Allocate/assign the responsibility for conducting CAPs according to the

confirmations received from Schools/Collegestothe available Resource Persons.

Keep ready power-point presentation, ICSI banner/standee and brochures on CS

Course for distribution.

For all outstation CAPs, prior approval is required from the concerned RD and

the HQ. A format for obtaining approvals is mentioned in Annexure J.

5. Process to be followed during the CAP The resource person to address the students and explain about the CS Course.

Display ICSI Banner/Standee at the programme.

Run power-point presentation during the CAP.

Distribute brochures on CS Course.

Circulate and get details of participating students in the Feedback cum

Attendance sheet.

A sample Feedback cum Attendance Sheet is placed as Annexure D.

6. Conducting short quiz session for students

To generate further interest among the participants, the resource person or

speaker may also conduct short quiz session for students and winners may be

given some gifts.

The detailed manual for conducting quiz is placed separately in this Manual.

7. Receive acknowledgement from the school/college

All officers or resource persons conducting the CAP at any school/college are

required to get an acknowledgement letter from the Principal/HOD of the

institution in the Reply Performa.

A Sample Reply Performa is placed as Annexure E.

8. Identify interested students and follow-up

Maintain the database of the students who have shown interest in the course in

the Feedback cum Attendance Sheet along with their names, email ID and contact

number in the format given in Annexure G.

Assign one official or resource person associated with the CAPs to send CS

Aspirant letter to all the interested students. The students may also be contacted

on phone/by sending SMS.

A sample letter/mail which can be sent to all the interested students is placed as

Annexure H.

The Chapters/RO should also request one person in the schools/colleges where

they have conducted CAP to collect details of interested students. The students

can be asked to give details of their interest to join or know further about the

course to that specified person. Later on Chapters/RO should follow up with such

person and update the database accordingly.

This has to be carried out compulsorily once a month and updated MIS of

Students data, mail sent and response received if any should be sent to the

RO/concerned Career Counselling Officer of the region before 5thof every month.

9. Records to be maintained

List of schools/colleges in and around the chapters and districts allotted along

with the relevant details as mentioned (Annexure A).

List of CS Alumni and resource persons (Annexure C).

Records of CAP conducted (Annexure F).

Database of aspiring students (Annexure G).

Maintain a physical file with all hard copies of Reply Performa and Feedback cum

Attendance Sheets for each of the program conducted.

10. MIS to be sent

Send monthly MIS of CAPs in the format mentioned in Annexure F tothe

RO/concerned Career Counselling Officer before 5th of every month.

A soft copy folder of Reply Performa along with the Feedback cum Attendance

Sheets for each program shall be sent to the RO/concerned Career Counselling

Officer of the region for records.

MIS of interested students data, mail sent and response received if any should be

sent to the RO/concerned Career Counselling Officer of the region before 5th of

every month.

A MIS from all the ROs and Chapters should be send to the HQ regarding the

career awareness activities, registrations, targets achieved etc. The concerned

Career Counselling officer of all regions would take this MIS from all ROs and

Chapters compile it and send to HQ for uploading on website by 5th of every

month. The format of MIS is placed asAnnexure I.

All Regional Offices and Chapters of the Institute should organise atleastone

Mega CAP to create awareness about CS Course and Profession among the

students and parents in large scale.

Regional Offices and Chapters should approach schools, colleges, universities

seeking support to organizing the Mega Career Awareness Programmeand

inviting all students of Management, Law and Commerce streams of nearby

colleges the ICSI Mega CAP.

The ROs/Chapter Offices should finalise the Programme with Vice- Chancellors

and Registrars of the University and convince them to send invitations from their

good office to all the colleges under the particular university.

The Mega CAP may also be conducted in collaboration with ICSI Study Centres or

with the Universities with which we have signed MoU for Signature Awards.

Around 800-1000 participants from various Universities, Colleges and Schools

should participate in the programme.

The ROs/Chapter offices should explore utilising University/College Auditorium

for organising Mega CAP and finalise the dates of the programme accordingly.

It would be a half day/one day programme to provide a brief overview on the

aspects of course and profession of Company Secretaries along with some other

emerging corporate topics

The Regional Offices and Chapters will support and manage the programme.

Somesenior dignitaries or members may be invited for inaugurating the Mega

Career Awareness Programme.

Eminent speakers and expert Company Secretaries would address and interact

with the participants.

The participation in the programme would be free of cost and it may be attended

by all the interested students and parents.

The RO/Chapter should strive to utilize the premises of the programme

wherever available. For eg. If a programme is scheduled for half day and the

premises has been booked for whole day then the RO/Chapter should strive to

organize a Teachers Congress in the same premises before or after the

programme.

The School/College/University approached for Mega CAP should be made the

academic partner for the programme.

The tentative details of the programme along with date, venue, speakers, no. of

participants expected, and budget should be prepared and sent for prior

approval to the RDs and concerned career awareness officer. (The format for

the same is placed in Annexure J.)

The RD would do an impact analysis of the programme in terms of expenditure

to be incurred and expected impact analysis and recommend the same to HQ for

approval through respective Career Counselling Officers at the Regions. (The

format for the same is placed in Annexure K.)

The office of ICSI mooting the proposal of participation in Career Fair should

mention advance payment, if required, at the time of forwarding the proposal

to Career Counselling Officer for required approvals/ action from HQ. Advance

Settlement should be done properly as per the directions from Dte. of F & A.

ROLE FLOW FOR MEGA CAPs

Chapter will moot the proposal with cost benefit analysis after getting

discount and mentioning last year payments (if this is a repeat case).

Career Counselling team member will evaluate the benefit (even help the

chapter in developing one)in consultation with RD.

Entries like proper discount, payment made last year and as defined by JD

Career Counselling will be evaluated herein consultation with RD.

RD will approve and give his recommendation and forward to HQ- Career

Counselling (as per Annexure K).

Recommendation should be sent to HQ at least 7-10 days before the event

from RO.

Promotional Material will be organised on requisition basis of RC/Chapter

from HO.

After the event submit all the bills/ vouchers along with the report on the

programme to the Career Counselling officer of your region.

Career Counselling Officer of that region would verify all the claims of RO and

Chapters and after complete verification (in the format given in Annexure M)

send the claimsto the Career Awareness Cell, HQ for re-imbursement.

All Regional Offices and Chapters of the Institute should organise atleastone

Teachers’ Conferenceto create awareness about CS Course and Profession among

the teachers/faculty.

The school/college/university approached for the Teachers Congress and Mega

CAP can be made the Academic Partner of the program.

Regional Offices and Chapters need to approach schools, colleges and

universities to invite the Commerce, Law, Management Faculties and Principals

of Schools & Colleges to the ICSI Teachers Conference.

The ICSI Study Centres or Counsellors may also be utilised for the process of

approaching University Vice- Chancellors/Registrars/College Principals/school

faculty.

The programme can also be conducted in co-ordination with Universities with

which we have signed MoU for Signature Awards.

The ROs/Chapter Offices should finalise the Programme with Vice- Chancellors

and Registrars of the University and convince them to send invitations from their

good office to all the faculties under the particular university.

Around 300-400 teachers from various Universities, Colleges and Schools should

participate in the programme.

The ROs/Chapter offices to explore utilising University/College Auditorium for

organising ICSI Teachers Congress and finalise the dates of the programme

accordingly.

It should be a one day programme with emerging corporate topics which would

appeal to the teachers along with a session to showcase ICSI and CS profession to

the teachers.

The teachers will also be provided with a Participation Certificate and Kit at each

Teacher’s Conference.

The teacher’s data should be collected by RO/Chapter and utilised for opening of

Study Centressending promotional material on “Career as a Company Secretary”.

The RO/Chapter should strive to utilize the premises of the programme

create awareness about CS Course and Profession among the students and

parents in large scale.

Regional Offices and Chapters should approach schools, colleges,

universities, newspapers and other entities organising career fairs to

participate in fairs having adequate presence of students and parents for

varied fields.

The Career Fairs may also be conducted in collaboration with ICSI Study

Centres or with the Universities with which we have signed MoU for Signature

Awards.

Target of around 800-1000 participants from various Universities, Colleges

and Schools should participate in the Career Fairs organised by ICSI.

The Regional Offices and Chapters will support and manage the participation

in Career Fairs etc. and Career Fair programme if organised by RC / Chapter.

Depending on the reach of the program some senior dignitaries or members

may be invited for inaugurating the Career Fair or members on voluntary

basis to associate during the fair to interact with potential students and give

them insight about the course.

The participation in the programme by prospective stakeholders would be

free of cost and it may be attended by all the interested students and parents.

RDs and concerned career awareness officer. (The format for the same is

placed in Annexure J.)

A. Checklist for reimbursement of expenses for CAPs done by ROs/Chapters in their

city

The maximum amount reimbursable per CAP would be Rs. 1500.

All the Chapters should submit their reimbursement claims to ROs along with the following documents.

Reply Performa as mentioned in Annexure E.

Feedback cum attendance Sheets as mentioned in Annexure D.

Local Conveyance Form for travel expenses.

Distinguished Photographs of the participants attending the program and of the

Officer addressing the participants.

Miscellaneous Expenses if any on food, photo copying etc. (Attach Original Bills)

Career Counselling Officer of that region would verify all the claims of RO and Chapters and after complete verification (in the format given in Annexure M) send the claims on monthly basis i.e. by 5th of every month to the Career Awareness Cell, HQ.

B. Checklist for reimbursement of expenses for CAPs done by ROs/Chapters outside

their city

For travelling and accommodation, expenses would be allowed as per the TA/DA entitlement of the employees as mentioned in ICSI Service Rules.

Prepare an estimate of expenses to be incurred for conducting CAPs outside the city before each tour and sent to respective Career Counselling Officer (designated by HQ) handling the particular region for getting the approval of the Competent Authority.

For CAPs reimbursement, send your claims to Career Counselling Officer of your region with the following documents.

TA/DA form along with original invoices, tickets for travel expenses,

accommodation etc. along with the approvals and required signatures.

Reply Performa as mentioned in Annexure E.

Feedback cum attendance Sheets as mentioned in Annexure D.

Distinguished Photographs of the participants attending the program and of the

Officer addressing the participants.

N.B:- The Chapter/RO may keep photocopy of the Reply performa and the Feedback cum attendance Sheets for follow up action in future. With a view to generate interest of students in the Career Awareness Programmes (CAPs), the resource person or speaker may conduct short quiz sessions and distribute gifts to the winners according to the guidelines specified in this manual. The quiz session may be conducted during the CAP or after completing the CAP depending upon the situation. A Question Bank comprising of questions pertaining to the CS course, roles and responsibilities of Company Secretaries, Companies Act 2013 and other relevant matter is given hereunder for your reference-

Guidelinesfor distributing gifts

Small gifts may be distributed to the winning students.

Currently upto Rs.1500 is being reimbursed per Career Awareness Programme.

The ROs and COs should try to include the cost of the gift in the same for normal

CAPS and for Mega CAPs any specific gift costs may be placed in the estimated

expenditurebudget for approval by the competent authority.

Implementing Proposed ‘Action Plan’ for achieving the targets regarding Career

Awareness Activities in coordination with Regional Offices and Chapters

To Coordinate with Regional Councils and Chapters in conducting of Career

Awareness Programmes in School and College under their jurisdiction.

To monitor the career awareness programs based on the Districts allotted to

each chapter in region for better reach in career awareness activities.

To coordinate on behalf Headquarters with Regional offices and chapters for

arranging meetings with Principals, HOD of Commerce Departments, Deans,

Vice-Chancellors and Chancellors regarding permissions orother

requirements of School and College for conducting Career awareness

Programme .

Coordination for Career Awareness Programmes with requisite approvals,

Career Awareness Materials , monitoring , once RCs and Chapters gets dates for

conducting Career Awareness Programmes organising rational disbursement of

Chapter and get it uploaded before 5th of every month.

To coordinate with RC/Chapters for Organising and Recommending ICSI

participation in large scale Career fairs, Exhibitions/book fairs , College fests

/School Fests and other relevant Platforms in Tier I, II,III cities and also far flung

rural areas across India.

To coordinate with the respective Regional director/s on MEGA CAP and

TEACHER’s CONGRESS proposed by the RC /Chapter.

receiving requests received from chapters and along with recommendation

through Regional office for conduct of program

RD will approve and give his recommendation and forward to JD Career

Counselling (as per Annexure K).

Process of registration of ICSI Counsellors

1) The person interested to register as Counsellor would submit Performa A of the

Guidelines to the Chapter or RO.

2) The Chapter and RO would forward the Performa A along with their

recommendation to Career Counselling Officer.

3) Application forms will be received by Career Counselling Officers (CCOs) for

their respective regions. It will be evaluated and recommendation would be

send to HQ for Approval.

4) Interaction /interview of Counsellor may be conducted through video call,

Skype, Whatsappetc Ensure that highly qualified People having good

communication skills, presentation skills, who are also alumni of our Institute

and are interested to represent ICSI as Counsellors, join us as Counsellors.

5) After the approval by HQ, the RO/Chapter Official shall procure and sign that

agreement as per instructions of the HO representative.

6) Hard copies of all agreements would be sent to Career Counselling Officer.

7) A link would be provided to the Counsellors for online registration.

8) On successful registration, all the approvals of CAPS, students’ registration,

registration of companies for imparting training and reimbursements would be

done through SMASH online portal.

9) Reimbursement Claims to be approved on SMASH and Hard Copy to be sent to

Fair/CAPS as new EXCEL file in the same data which will be placed on

www.icsi.edu/CC.

Checklist for reimbursement of expenses for CAPs done by ICSI Counsellors

The amount of reimbursement would be as per the revised ICSI Counsellors Guidelines.

All ICSI Counsellors would submit their reimbursement claims to respective ROs/Chapters. Chapters would verify the documents at their end and send to ROs. The ROs would submit all the claims received from ICSI Counsellors (under their region) by 15th of every month to the HQ.

The claims should be sent to along with following documents- a) Reply Performa as mentioned in Annexure E.

b) Feedback cum attendance Sheets as mentioned in Annexure D.

c) Distinguished Photographs of the participants attending the program, of

the Officer addressing the participants, ICSI Banner/Logo/PPT in the

background reflecting the program being conducted and Board/ fascia of

the venue where the programme is being conducted.

d) Miscellaneous Expenses if any on postage or courier (Attach Original

Bills).

For all the above reimbursements from HQ: NO E-MAIL Requests will be

entertained, till further orders.
