Start Microsoft Word XP

To make things simple the first thing you want to do is turn on the Mail Merge Toolbar. In Word, click on View / Toolbars and put a check mark next to Mail Merge. Select Tools / Letters and Mailing /Mail Merge Wizard.

In the right hand window of Microsoft Word is Step 1, make sure the option Letters is selected and click on Next: Starting Document.

In Step 2, make certain Use current document is selected and click on Next: Select recipients.

In Step 3, make certain Use an existing list is marked and click on Browse… (This is where we will select the management database.)

Browse for SMCORE32.MDB – typically found in c:\mitchell 1\manager\series(1 or 2)\mdb or c:\mitchell\repair\series(1 or 2)\mdb . Double click on SMCORE32.MDB when you find it.

When the Select Table window appears, double click on MAILMERGE2. (MAILMERGE2 has more stuff that MAILMERGE1.)

Next you will select the Mail Merge Recipients, simply click OK.

In the right hand window of Microsoft Word is Step 3 of 6. Click on Next: Write your letter.

Start writing your letter with merged data… Click on More items to select fields from the database.

Notice in the example below, I have typed my own text and inserted several fields. For example, in the document <<firstname>> will insert the customers first name in the document.

Next, save the document for use by the management software. Save the document in a convenient location.

The last step is to configure the management software to use your saved mail merge document.

Create a Mail Merge Letter called whatever you like… in this example we have named it john and tim. Use the Browse button to locate the document you saved. You Must also set the location of the Microsoft Word executable (WINWORD.EXE). On our example, MS Word was found at: C:\Program Files\Microsoft Office\Office10\WINWORD.EXE, use the browse button to locate it. You are done; you may now use the Mail merge document repeatedly.
