~ Workflow for cataloging/metadata creation

Metadata is commonly divided into three types:

DESCRIPTIVE - that which describes the object, relating to what the object contains or is about

ADMINISTRATIVE - that which indicates the who, what, where, how aspects associated with the object’s creation and preservation

STRUCTURAL - that which relates to the formal set of associations within or among individual information objects, i.e., how a system functions

Structural metadata is embedded in the SADiE Workstation and in the way the MARC records are parsed in the online catalog (Innopac)

After the digitization process, the Catalog Librarian creates the descriptive metadata for the original item (disc), cataloging it directly into the OCLC Online Computer Library Catalog national database (Passport).

This descriptive metadata record (bibliographic record) is then exported into the local database, MERLIN, where it is also directly accessible to any MOBIUS library within Missouri.

The OCLC / MERLIN bibliographic record numbers are e-mailed to the Special Collections student assistant. A Dublin Core template has been set up in OCLC’s Connexion database to describe the digitized version of the original objects.

Cutting and pasting from the original record in MERLIN, the student assistant adds information and access points specific to the item (such as listing of contents).

The Dublin Core “save numbers” describing the digitized version are e-mailed back to the Catalog Librarian, who reviews the metadata record in Connexion.

The Catalog Librarian “crosswalks” the record from Dublin Core to MARC, corrects any anomalies, and adds authoritative access points (such as Library of Congress Subject Headings and names from the OCLC Name Authority File)

The record is updated into the OCLC database (Worldcat).

The OCLC record is then exported into MERLIN.

The OCLC / MERLIN bibliographic record numbers are given to the Library Assistant in the Cataloging Department, who adds the URLs for the corresponding .RAM sound files into the MERLIN bibliographic records.
