Introduction by Professor Simon Gaskell, Principal

Once again I am pleased to have this opportunity to introduce the Learning Institute Handbook for Queen Mary staff for the newacademic year.

The year ahead brings many new challenges for all of us. As wemove towards a new era of increased student fees, we need to besure that we offer the best possible experience to our students tomeet fully their expectations. This will apply to all Queen Mary staff,whatever their role. At the same time we are striving to assureexcellence in the research that we do across all schools and

institutes. Perhaps more than ever in our past, we need to ensure we can offer a full range ofdevelopment opportunities for all staff that can support them in delivering their full potential. Naturallythese things will happen in schools, institutes and within the Professional Service areas. At institutionallevel, The Learning Institute has developed a comprehensive programme for the year ahead that will forma sound base for staff to fine tune and enhance their own skills and abilities, according to their individualcontext and need.

I am sure that colleagues will have taken the opportunity in their personal appraisals to reflect how theycan best meet the emerging challenges over the forthcoming year. For many this may mean consideringmentoring and coaching arrangements working with trusted colleagues. This is just one example of thespecialist advice that The Learning Institute can provide.

Professional Development

Maintaining a programme of career and personal support for allstaff is identified as a strategic enabling aim for Queen Mary andthe participation of staff in career learning and developmentprogrammes is a measure of this commitment.

We offer a range of opportunities for all Queen Mary staff to becomemore effective in their current roles and to prepare for new projectsand possible career progression. The focus is on you as an individualin developing your knowledge and skills, whilst building on yourexperience. This can then be applied to your learning in yourpersonal work context, the College as a whole and the widerenvironment.

In addition to classroom based teaching and discussion, ourapproach combines a variety of learning experiences includingfaculty-led case studies, work-based projects, one to one coachingand leadership development groups. For more professionaldevelopment opportunities around your research and teachingactivities, see also the sections on Researcher Development andLearning, Teaching and Assessment.

Advice for All StaffYou may not see a course that seems right for you, or you are awareof an area where you wish to develop but are unsure whether acourse is what you need. If this is the case, please do get in touchwith us and we will endeavour to advise you.

We know that attending a course is not the only way to learn. Thereare many different ways of meeting developmental needs and someof the most effective will be informal, quick and easy to access.These include being coached or mentored, reading, distance learningand using web resources, work-shadowing (working alongsidecolleagues), etc. We can help you to identify how to close the gapbetween where you are now and where you would like to be, soplease do make use of us.

Leadership and Management DevelopmentIn 2005 the College introduced a framework for leadership andmanagement development along with a new series of programmesfor research and academic staff.

We offer an incremental series of management developmentprogrammes, on a pathway from Introduction to Leadership andManaging Teams finishing at MBA level, which are all accredited orendorsed by an appropriate body (Figure 1).

Appraisal SupportThe Queen Mary Performance Appraisal Scheme (QMPAS) has been implemented throughout the College and involves all staff as acontractual requirement. All appraisers need to be inducted into thescheme before conducting any appraisal meetings. Full details of thescheme and many supporting materials (including the relevant forms)are available on the website from the link below.

There is a series of workshops throughout the year for staff who needto qualify as new appraisers, or for those who would like to improvetheir appraisal meeting skills. If you are new to Queen Mary andwould like to find out more about the scheme, there is also an‘Introduction to Appraisal using QMPAS’ available online at the linkbelow.

Queen Mary Welcome Event for New StaffAll new members of staff are invited to a Queen Mary welcome eventupon joining the College and we run these three times a year. Theday includes presentations from senior members of the College anda lunchtime information fair with Professional Service departmentsand trades union representatives. New staff will automatically receivepersonal invitations from The Learning Institute in advance of the nextinduction event. Tailored ServicesWhilst individual development is vital for both the person concernedand Queen Mary, improvements in performance can be achievedthrough more subtle organisational development.

This might mean a department or research group reviewing and developing their effectiveness in key areas:

• Strategy – clarity of direction and values, business and operationalplanning, learning and development plans, departmentalcommunications

• Management – a shared understanding of expectations, an agreedand consistent approach to managing people and finance, teambuilding, special consideration of the issues and practicalities inmanaging research teams.

Drapers’ Award for Outstanding ServiceThe Drapers’ Awards for Outstanding Service to the College areintended to recognise and honour people whose contribution hashad an outstanding and significant impact either beyond theirimmediate School/Institute/Centre or over a sustained period of time.All members of staff- except academics - are eligible for nominationfor these awards. (Academic staff are eligible for awards awardedthrough separate schemes for academic staff.)

Nominations may be made by members of staff or students andshould be for outstanding performance which contributes significantlyto the Queen Mary’s mission. The awards for the 2011 session willbe for £1000 each.

The judging panel will be chaired by the Principal, Professor SimonGaskell, and each of the winners will be presented with their awardby him at the annual Award Presentation Reception in November2011. Every nominated candidate will receive a Certificate ofRecognition.

Professional Development Fund andProfessional Development LoansWe are sometimes able to contribute towards the cost of awardbearing professional development programmes for individualmembers of staff provided there is a strong business case andsupport from the relevant Head of School. In some cases we mayalso be able to offer Interest Free Loans to enable members of staffto fund course fees outside the College provided that the individualmember of staff meets the criteria for funding.

Learning, Teaching and Assessment

We offer services to support academic staff and other staff who support student learning in the development of learning,teaching and assessment and to enhance the studentexperience at Queen Mary. These include workshops on learningand teaching matters, accredited programmes for staff whoteach, schemes to recognise and reward excellence in teaching,and support for the development of local teaching andassessment strategies across the College.

Through these services we support the implementation of theLearning, Teaching and Assessment Strategy and the College’sStrategic Aim 2: ‘To disseminate knowledge through the presentationof inspirational and authoritative teaching programmes to a diverseconstituency of talented undergraduate and postgraduate students’.

Whether you are interested in your own development as apractitioner, good practice in the College and beyond, thedevelopment of strategy, or particular issues around - for example –good practice in assessment or observation of teaching, we hopeyou will find our services useful.

Accredited Programmes and Workshops to Support Learning, Teaching andAssessmentWe offer programmes and workshops to help you develop anddeliver the innovative and inspirational teaching programmes that arecrucial to the College’s success. These are free for academic staffand others in trust who teach our students at Queen Mary.

Our workshops, which are open to all staff, cover a range of issuesaround learning and teaching and programme design. For moredetails, see the index at the back of this book and our online coursebooking system, which you can reach from our website. In additionto the advertised workshops, we can also work with you to designand run bespoke sessions around particular topics, for example toexplore issues that may be a priority within your own subject area. If you would like to take advantage of these, please do get in touch.

We offer three accredited programmes designed to help in your roleas an academic practitioner, and to improve the student experience:

The Certificate in Learning and Teaching (CILT) is a programmefor new or inexperienced staff with limited teaching responsibilities. It is a two module introduction to the knowledge, skills and principlesrequired to be an effective teacher. It combines workshops,independent study and work-based activity such as teachingobservation. CILT is worth 30 Level 7 credits and successfulcompletion also entitles participants to Associate Membership of the Higher Education Academy (HEA) (Standard Descriptor 1).

The Postgraduate Certificate in Academic Practice (PGCAP) isaimed primarily at new members of academic staff, but is open toany other members of College who wish to gain a qualification inacademic practice (spanning teaching, research, academicmanagement etc.). The PGCAP is worth 60 Level 7 credits. It is afour module programme intended to develop the knowledge, skillsand principles required to be effective in academic practice. It placesemphasis on the development of practice at disciplinary level andcombines workshops, independent study and work-based activitysuch as teaching observation. It has been designed to enable newacademic staff who have not taught before to meet their probationaryrequirements. Successful completion of PGCAP also entitlesparticipants to membership of the Higher Education Academy (HEA)(Standard Descriptor 2).

The Postgraduate Diploma in Academic Practice is aimed atanyone who is teaching at Queen Mary and has more than threeyears’ relevant experience, or has completed PGCAP (or a similarPostgraduate Certificate at another institution). Anyone can undertakethe programme, and we have tried to make it as simple as possiblefor colleagues to enrol, study and complete the assessment for it.There are two modules, each of which is worth 30 credits at Level 7.If you are interested in enrolling on the programme, or want moreinformation, all you need to do is contact the Programme Director,David Andrew e: [email protected]

Recognising and Rewarding Excellence in TeachingThe recognition and reward of teaching excellence is central to theaim of improving student satisfaction at Queen Mary.

We run internal schemes for the recognition and reward of excellencein teaching. The Drapers’ Awards for Teaching will seek studentnominations, and one Award may be made per School for the bestteacher. In 2011/12 we will be launching the Drapers’ TeachingFellows scheme, which will invite applications from those members ofstaff who wish to make a case for excellence in teaching. It is hopedthat this scheme will enable us to identify potential nominees for theNational Teaching Fellowships Scheme, run by the Higher EducationAcademy. This prestigious national scheme allows every Institutionwhich teaches at degree level or above to nominate up to threemembers of staff. Each year, 50 National Teaching Fellowships areawarded to those judged the best performing of the applicants.

Queen Mary has an enviable track record in being awarded NationalTeaching Fellowships, having received at least one fellowship eachyear since we began to submit nominations in 2006 and QMUL nowhas won a total of 8 fellowships, making it the institution with thehighest success rate among the 1994 Group institutions and also themost successful institution in Greater London. The Learning Instituteoffers support, mentoring and coaching for potential and actualnominees for the National Teaching Fellowships Scheme.

We also offer Drapers' Prizes for the Development of Teaching andLearning. These are given to acknowledge important newdevelopments in teaching and learning that have taken place atSchool and disciplinary levels. Each year up to six prizes are awardedof £3000 each. Applications will be invited in January, so do checkour website later this academic year for details about the next roundof prizes.

We also offer support for colleagues applying for Fellowship or SeniorFellowship status of the HEA.

PhD SupervisionThe Queen Mary Strategic plan identifies an increase in the size andquality of the graduate research student programme as a key target.In order to achieve this and to ensure a high level of studentsatisfaction amongst doctoral students, we provide initial supervisortraining and the Skills Development Programme for postgraduateresearch students.

For new supervisors the Learning Institute provides workshops forstaff in disciplinary groupings to address best practice for researchsupervision and review some of the problems and solutionsassociated with this area of academic practice.

All experienced PhD supervisors must receive refresher training withintheir School or Faculty at least once every five years, in order toensure that they are up to date with any changes in Collegeguidelines, regulations or procedures pertaining to research degrees.

Small Grants for Learning and TeachingThe Small Grants for Learning and Teaching for 2011/12 offers up to£2,500 each to up to ten projects which seek to improve the studentexperience or support curriculum or educational development.

Applications will need to demonstrate a local impact on the quality of the student learning experience and to collect somequalitative or quantitative evaluation of the enhancement. Support for the Periodic Review ProcessPeriodic review is a key component of the College's qualityframework. The aims of a Periodic Review are to:

• assess the effectiveness of a School or subject area’s processesfor managing academic quality and standards

• evaluate a School or subject area’s success in achieving its aims,and to consider its future plans

• commend and disseminate good practice.

Institutional and Practice-Based Research In order to support the implementation of the Learning and TeachingStrategy of the College, research is conducted within the Institute andwith colleagues in Schools. Institutional research such as theTransitions’ Research Project (which explored the experience ofundergraduate students moving from school to Queen Mary)provides an evidence base for the development of College policy and strategy. Our practice-based research explores and evaluatesdevelopments in learning, teaching and assessment practice and isdisseminated at internal events (such as our research seminars) andin publications, internal and external.

Such research is intended to inform the development of both strategyand practice, and as such may be of interest to colleagues acrossthe College. Similarly, do get in touch if you have an idea for a usefulpiece of research about practice at Queen Mary.

E-LearningE-learning is now a mass activity at Queen Mary, and is used in some way on the great majority of programmes.

The E-Learning Unit within the Learning Institute offers a suite ofservices and tools to support the effective use of technology inteaching and learning, whether to supplement a campus-basedmodule, for fully online programmes or for using teachingtechnologies in live lectures.

We're here to support you from the inception of an idea, throughplanning, production, delivery and evaluation, and can also put you in touch with others within and beyond Queen Mary who are doingsimilar things.

Development ProgrammeThis year we are offering a wide range of activities: a scheduledprogramme of workshops and introductory sessions delivered face-to-face and online; on-demand sessions that can be delivered whenyou choose; networking events to facilitate discussion betweenpractitioners; town-hall meetings to set out the road map for e-learning at QMUL; a programme to prepare you for using theforthcoming new online learning environment; and support clinics for your students in the new Helpzones.

E-Learning Production SchemeRunning for a second year, this successful scheme is designed tofund small projects which require an element of technicaldevelopment to produce rich e-learning content.

We can fund pieces of e-learning development that an individualacademic may not have the time or skills to do themselves. We talkover the planned work with you, provide you with an E-LearningAssistant (usually a student with specialist technical skills), and justask that you feed back about the development through a short casestudy for our website and practitioners' network.

We will fund small projects that are tightly defined in scope and canbe completed within a single academic year. The scheme is not ableto supplement general teaching budgets nor provide regular fundingfor ongoing projects, but exists instead to provide a 'kick–start' tonew initiatives.

E-Learning StudioWe run an E-Learning Studio on the Mile End Campus which offers acomfortable and well resourced area for staff to come in and work one-learning projects. The studio provides staff the (free) use of varioustechnologies to support your use of technology in education. Theroom can also be booked for small events related to the use oftechnology to support teaching and learning. There are comfortablechairs where you can sit and read (and free coffee).

You can conference, edit video, record teaching content, try outteaching room technologies, do web development, work with audio,talk, read, eat and drink... a place to escape from your office and useup to date equipment on your e-learning projects, or just experimentwith possibilities.

Practitioners' NetworkWe manage a network of e-learning practitioners, so that we canpublish news and gauge interest in new initiatives, and so that peoplecan share ideas and experiences across the College. Research Excellence is a key component of the College’sStrategic Plan (2010-15). This is underpinned by a fullcommitment to supporting and developing all members of theCollege research community including research students,research staff and independently funded research fellows.Recognition of the vital contribution that this group makes isdemonstrated by the College’s commitment to the Concordat toSupport the Career Development of Researchers(www.researchconcordat.ac.uk/), and to the ResearcherDevelopment Framework (www.vitae.ac.uk/policy-practice/234301/Researcher-Development-Framework.html).

All full-time PhD students at Queen Mary are expected to take part in70 hours of transferable skills development activities or equivalent peracademic year. From 2011-2012 academic year activities for firstyear research students activities will be recorded on the centraldatabase and a report for each individual PGR student will begenerated for the annual doctoral review and progression purposes. It is expected that a selection of the appropriate activities andcourses should involve discussion with doctoral supervisors and form part of the normal supervisory process.

We offer advice and a full range of services for all research staff andstudents to support their development and meet the aboverequirements.

Postgraduate Research StudentsPostgraduate Research Student Development Programme:This programme of workshops and courses runs throughout the year,to help research students develop the skills and attributes necessaryfor the effective management of their research and to aid planningand preparation for future careers. The programme combinesdiscipline and faculty based provision and Learning Instituteorganised courses. This rich and varied programme includes eventsdesigned to help with specific aspects of the PhD (e.g. ‘Writing yourThesis’, ‘The Viva’) as well as more widely applicable topics such as‘Time Management’ and ‘Critical Thinking’. For added value, livelycompetition events are run to provide more intense developmentopportunities. These include:

‘Junk the Jargon’Communication CompetitionThe ability to communicateresearch in clear and simpleterms is essential for PhDstudents and indeed researchersat any level. This competitionencourages researchers topractise this skill by presentingtheir research in an exciting wayto a non-specialist audience.

Café ScientifiqueCafé Scientifique evenings areregular events for PhDresearchers and research staff.The idea of the event is to create an informal, relaxed atmospherewhere researchers from alldisciplines can meet for informaldiscussion and present their workand ideas to a general, friendlyaudience. A typical evening wouldconsist of three short presentationsfrom researchers, refreshments, andother activities such as a quiz, adebate or a creative challenge.

Programmes in Academic Practice Many PhD students undertake some teaching whilst they undertaketheir research, so a key part of their development is support andtraining in how to teach.

We are developing resources and workshops for PhD students. Wehave inaugurated a number of day workshops called ‘Teach Your FirstSession’ and we currently run discipline-based training for individualSchools. Over the course of 2011/12, we will be carrying outresearch to identify the ways in which we can support those who are setting out on a career teaching in higher education and will bedeveloping a more detailed set of workshops and supportingmaterials.

We also offer accredited programmes which help you to functioneffectively across all areas of academic practice, including yourcapabilities as a researcher. These are:

The Certificate in Learning and Teaching (CILT) is a programmefor new or inexperienced staff with limited teaching responsibilities,and is worth 30 credits at level 7. We also offer an open programmeof workshops for academic staff which includes sessions aboutenhancing your research capabilities.

The Postgraduate Certificate in Academic Practice (PGCAP)is aimed primarily at new members of academic staff, but is open to any other members of College who wish to gain a qualification inacademic practice, and is worth 60 credits at level 7.

The Postgraduate Diploma in Academic Practice (PGDip) isaimed at anyone who is teaching and researching at Queen Maryand has more than three years’ experience, or has completedPGCAP (or a similar Postgraduate Certificate at another institution).The PGDip has two modules, each of which is worth 30 Credits atlevel 7.

For Queen Mary students to compete in an increasinglycompetitive and unpredictable world they need to develop theiremployability alongside their subject and professional expertise.Enhancing the employability of our students is core to theCollege’s Strategic Plan and Learning, Teaching andAssessment Strategy. The Graduate Attributes Statement,launched in 2010, makes explicit the knowledge, skills,behaviours and values expected of our graduates. This providesa framework for developing student opportunities for learningthat are consistent with our academic programmes but are alsofocused on preparing graduates for their future careers.

Within this context we offer a range of services aimed at helpingCollege staff to support student learning for employability, throughcurricular and extra-curricular activities. We also deliver some servicesdirectly to students, including opportunities to obtain certificatesendorsing their development of employability.

Accrediting Students’ Development of EmployabilityUndergraduate students can have their learning for employabilityaccredited by registering on the Drapers’ Skills Award or the Drapers’Skills Certificate. To receive the Certificate, students complete anaudit of their attributes and attend an interactive debrief event inwhich they are supported to reflect on the substantive elements oflearning associated with their extra-curricular activities. Studentsaiming to further develop their understanding of employability canapply to join the Drapers’ Skills Award, a supernumerary module thatprovides structured support to students to identify the learningachieved through study and engagement in extra-curricular activities.The Award is recorded on a student’s transcript and announced atgraduation. Incorporating Graduate Attributes in Curricula Curriculum change can ensure curricula remain relevant in acontinuously changing world and requires careful management byprogramme leaders. The Queen Mary Statement of Graduate Attributes describes theknowledge, skills values and behaviours expected of Queen Marygraduates. The Finance Department’s training focuses on understanding of thefinancial processes in the College.

Financial PlanningThis course is to assist those involved in planning both in academicand administrative departments. It gives an overview of the financialplanning process in the College and how the resources are allocatedto schools, institutes and faculties. It is also useful for those whohave a general interest in the financing of the College.

Budget managementThere is an annual course on budget management. In addition theFaculty financial managers will assist with training appropriate staff onmanaging their budgets. Please contact your financial manager forfurther details.

Manual Lifting and Handling This is a 2 hour course which is suitable for all levels of staff, particularly managerswith health and safety responsibilities.Course covers current legislation, common hazards, potential injuries, riskassessments and handling technique.

COSHH Risk Assessment in Laboratories This is a 3 hour course for all staff and students who use, purchase, control theuse of, handle, dispose or store hazardous chemical substances. The course isprovided in the context of risk assessment in research and teaching laboratories,based on the Health & Safety Executive’s ‘Five Steps for Risk Assessment’ and theCOSHH ‘Hierarchy of Control’ of hazardous substances.

Stress Awareness Course This is a half-day course. Stress can be an unnoticed and gradual build up of themany pressures experienced in work, at home and in everyday life. Stress effectspeople in different ways that can either be dealt with or if not spotted or understood,or adequately tackled lead to more problems both physical and mental.The aim of the course is to equip employees to manage their private and workinglives that stress is minimised and ill health due to stress is reduced.

Working Safely with Biological Hazards and Genetically Modified Organisms

This is a 3-hour course which is suitable for research, technical and teaching staffworking with biological material, clinical samples, pathogens and geneticallymodified organisms. Topics include Bio-containment, handling biological waste,disinfection and decontamination, personal protective equipment, transport, storageand Bio-COSHH risk assessment, legislation requirements for biological hazardsand genetic modification (GM) work will be covered.

Containment Level 3 – Principles and Practices This is a full-day course which gives an overview of the legal requirements for highbiological containment (ACDP Containment Level 3) laboratory work and facilitydesign features, operational practices and safety management principles andpractices which enable safe working. Suitable for research, technical and teaching staff and postgraduate studentsstarting work at ACDP Containment Level 3, other staff closely involved with facilityoperation, and those requiring a ‘refresher’ session.

Introduction to Biohazards and Genetically ModifiedOrganisms

This is a 1.5 hour course suitable for Clinical Research Nurses and Associatesconducting clinical trials involving Genetically Modified Organisms.

Laboratory Safety for Non-academic Staff This is a 2.5 hour course which gives an overview of the hazards,(e.g. biological,chemical, radiation) and potential risks, which non-academic staff may encounter in the laboratory environment during their duties, such as maintenance works,transport of packages, goods and waste, installation of equipment and services and security patrols.

Suitable for College staff and students undertaking fieldwork for research purposes in any setting (e.g. geological, geographical, botanical, zoological, social surveys,interviewing, home visits for clinical trial work, filming).

Introduction to Laser Safety Management Course(provided by external trainers)

This is a full day course for staff and students who intend to handle high risk lasersources. Provides a balanced view of the risks associated with working with lasers,practical measures for reducing laser related risks, current safety standards andlegislation and key points of a laser safety management program.

Transport of Dangerous Goods (provided by IATA/ADR accredited external trainers)

This full day course gives an essential introduction to the air and road/rail transportof dangerous goods regulations, covering the classes, packing groups anddangerous goods list as well as marking and labelling, tailored to dangerous goodsshipped from/to College premises. Suitable for shippers, packers and receivers ofdangerous goods.

Working at Height This is a 2 hour course which is suitable for all levels of staff, particularly managerswith health and safety responsibilities and those who regularly work at heights.Course covers current legislation, common hazards, ladder safety, accessequipment safety and risk assessments.

Asbestos Awareness This is a 2 hour course which is suitable for managers and staff who work ormanage work relating to the fabric of buildings/cables/supply or extract mechanicalequipment or any areas where asbestos may be suspected.The course covers asbestos related hazards/illnesses, asbestos identification andaction to take if unrecorded asbestos is discovered.

IOSH Working SafelyThis is a one day course and is suitable for all staff.This Institution of Occupational Safety and Health (IOSH) accredited course providesgrounding in the essential basics of health and safety. The course covers: • Defining hazard and risk• Identifying common hazards• Improving safety performance • Protecting the environmentThere is a written assessment at the end of the course. Delegates achieving therequired standard will be awarded an IOSH certificate.

IOSH Managing SafelyThis is a five day course which is suitable for those staff with management/supervisory responsibility for health and safety.This Institution of Occupational Safety and Health (IOSH) accredited course providesdelegates with the knowledge and tools to tackle the health and safety issues theyare normally responsible for. It explains why health and safety is an essential part oftheir job.The course covers• Legal responsibilities• Assessing risks• Controlling risks• Identifying hazards• Accident investigation• Health and safety performance • Protecting the environmentThere is a written assessment at the end of the course and a project to completewithin 14 days. Delegates achieving the required standard will be awarded an IOSHcertificate.

Suitable for all staff who are required to provide emergency assistance to injuredpersons in low risk environments.

Full First Aid Training course(Three-Day Course)

Suitable for all staff who are required to become First Aiders.

First Aid Re-qualifier(Two-Day Course)

A two-day re-qualifying first aid course.

Fire Marshal training This 4-hour training course includes: the nature of fire, basic risk assessment,common fire hazards, facing the fire, extinguishing the fire (practical) and role of afire marshal. A multiple choice test paper to gauge competence is also undertakenat the end of the training.A refresher course will be necessary every two years.

Evacuation Chair Training (nominated staff only) Practical demonstration and training in the use of disabled evacuation chair. Staff must be able to display confidence and competence in its use and handling..

Temporary Summer conference staff Basic fire awareness and use of fire extinguishers. (approx 1 hour duration)

Student stewards Fire evacuation procedure, basic fire awareness and use of fire extinguishers(practical) and safe evacuation routes. Approx 2 hour duration.

First year student induction Presentation of do’s and don’ts in Halls of Residence and keeping safe whilst atQMUL. Approx 15 mins duration. This is now available on-line through e-learningand is monitored by SCS.

Training in Human Resources Policy, Process and SystemsHuman ResourcesThe courses provided by Human Resources focus on diversity, recruitment and selection and disciplineand grievance. We also contribute and design generic management courses as well as providing trainingon MyHR self-service for employees and managers.

Recruitment and SelectionThe College’s policy requires that all members of recruitment panels complete the fair selection recruitmentand selection course, unless they are able to produce certification of having completed a course at aprevious place of work.

Whatever your role at Queen Mary, freedom of information, dataprotection and records management will affect you and how you do your job. Everyone in Queen Mary creates, handles or otherwiseuses information and records, and requests for information can comein to any part of the College. For example, at some point, you mayneed to handle information about an individual; you may need toknow what to do when someone asks for information; or you maybe asked to organise information so that you, or your colleagues,are able to find specific information quickly.

Data Protection relates to personal data, that is, information about an identifiable, living person, such as data in the Student InformationSystem and including expressions of opinion in emails. The DataProtection Act 1998 allows individuals access to any informationabout themselves held by Queen Mary and regulates its collectionand use of information about individuals.

Under the Freedom of Information Act 2000 any individual from anycountry has the right to access information held by Queen Mary. Thisinformation can be in any format, including paper files and electronicrecords and requests are purpose and applicant-blind. The Act alsorequires the College to manage its records in line with good recordsmanagement practice. If you receive a non-routine enquiry (forinformation that you would not normally provide), treat it as a freedomof information request. Even if the enquiry doesn’t mention freedomof information explicitly, Queen Mary is obliged to respond within 20working days of receiving it.

It is important that staff know their responsibilities in these areas andso the Records and Information Compliance Manager can offercourses which will give participants a basic understanding of the DataProtection Act and the Freedom of Information Act and their impacton Queen Mary. These cover the main points of the Acts and theirimplications for work areas including:

• understanding of key terms

• recognising a subject access request, and what to do with it

• recognising FOI requests and how they are handled

• understanding offences under the Acts

• best practices to adopt

• managing records to be able to comply and respond

• understanding some relevant exemptions

Writing Retreats for staff and postgraduateresearch studentsThinking Writing runs retreats for writers wishing to make progress on a writing project. Examples to date are research articles, thesischapters, a professorial lecture. As well as providing a supportive andfocused environment for 2 days of productive writing, we aim to helpparticipants develop writing habits they can continue to employ inother contexts - and pass on to their students.

We are also pleased to help departments and faculties set up theirown retreats for themselves and/or for students. This year we areparticularly interested in developing retreats (or retreat-styleopportunities) for undergraduate and taught postgraduate students

The Learning Institute working withQueen Mary Innovation Ltd

Supporting Student Enterprise andEntrepreneurship at Queen MaryThe Learning Institute, Queen Mary Innovation Ltd and the CareersService have been collaborating on a range of activities for studentsaimed at developing their commercial awareness and supportingstudent business ideas. A number of these activities have beensupported through the Knowledge East Enterprise Network (KEEN)and Higher Education Innovation Fund (HEIF) funding awarded to QMI Ltd.

Xing Business Strategy GameOver 100 students in three Schools have developed their knowledgeof business strategy through use of the team-based Xing strategygame. Teams allocated key team roles (e.g. Managing Director,Finance Director) and created an elevator pitch to describe theirbusiness proposition succinctly. These events require teams to pitchto a panel of business experts.

Flux 2010 Annual National Inter-University Business Planning CompetitionA team of six students represented Queen Mary at the University ofBristol and competed against 24 other teams in this annual nationalbusiness plan competition.

Journey of an Idea – Business Plan CompetitionStudents worked in teams of five to develop a new business,including a cash flow, patent specification, summary business plan, marketing plan and a prototype model of their product.

Entrepreneurship Apprentice ChallengeTen Queen Mary students attended a two-day Apprentice stylechallenge hosted by London South Bank University. The studentswere set a marketing strategy and sales and negotiation challenge. A team from Queen Mary won the overall challenge.

Entrepreneurship FundingIn 2010-11 13 Queen Mary students have ‘won’ start up grants to support the early stage development of projects that showcommercial potential. The grants can be as much as £2000, with the average grant being £1400. Each grant applicant was also offered space in Whitechapel Innovation Centre.

RegistrationThe first time that you visit the site, you will be required to register.Registration is a simple process that takes a few minutes and you willreceive an email with your login details for future reference. Note thatwe will not use your registration details for any purpose other thanmanaging your course bookings, nor will we pass them on to anythird parties. Once registered you will just need to log in to beginbrowsing and making bookings on to courses.

Finding coursesBrowsing our programmes of courses is made simple with the inbuiltsearch facility. All the courses are listed chronologically, allowing youto browse through courses that are coming up. Courses that havealready been held, or that have been cancelled, are greyed out.

Alternatively you can search for a specific course, perhaps one that islisted in the index of courses in this handbook, by typing the coursecode or title in the ‘search’ box.

If you want to browse a particular programme of courses or type ofcourse, such as Personal Effectiveness or PGCAP courses, simplyselect the course type from the drop down menu in the course ‘type’box above the chronological list, then click ‘search’. Making BookingsOnce you’ve found the course you want to attend, securing yourplace is easy. Just click on the blue booking icon for the course, anda space will be reserved for you. The ‘My CPD Record’ area allows you to review all of the coursesthat you have attended using our database. You can also see thecourses you are currently booked on to, or awaiting a place for. Fromhere you can also cancel your place or you can choose to removeyourself from a waiting list.

LI Short Courses Programme - Booking Arrangements

1. The Learning Institute offers an open programme of courses,workshops and short programmes which are advertised through the Learning Institute website and in our Handbook (published eachautumn). This programme is open to all staff members at QueenMary and is planned taking account of budget available and learningand development needs that have been identified by heads ofschools and institutes, and others in the College.

2. The programme aims to provide activities for all categories of Collegestaff, with many courses and workshops being targeted at specificgroups of staff. It also supports all categories of researchers.

3. Bookings for courses offered by The Learning Institute may be made through our website, by email or by telephone. For operationalreasons, some categories of staff will need to obtain permission fromtheir heads of school, institute or line managers in order to bereleased to attend staff development activities.

4. Bookings for courses are accepted on a first come, first served basis.The Learning Institute will normally acknowledge receipt of a bookingwithin two working days by email (if possible) and we will confirmwhether or not you have been booked onto a course or workshop.

5. Sometimes when courses are fully booked, a waiting list will beopened. You will be informed if your name is held on a waiting list and you will be offered a place if one becomes available.

6. Queen Mary staff and students are not normally charged fees forattendance at courses, workshops or short programmes offered by The Learning Institute. Other staff in NHS Trusts who teach Queen Mary students are also normally able to attend courses free of charge.

All others will be a charged course fee at the following rate:

Half day activity £95Full day activity £170Other course fees as advised

7. Exceptionally, participants may have to cancel places at coursesbecause of illness or for operational reasons. Cancellations for otherreasons received less than two working days before the scheduledstart of a course may incur a cancellation fee equal to the full coursefee given above. You may also incur a fee if you do not attend acourse on which you have booked, and have not cancelled yourbooking beforehand. This is to minimise unnecessary wastage ofresources. This fee will be charged to your head of school or institute.Schools/Institutes are free to substitute names of staff attendingcourses.

8. Staff and students attending courses, workshops and shortprogrammes can receive a Certificate of Attendance to help them log their own record of continuing professional development.

Educational and Staff Development

Academic Practice

The TeamThe Academic Practice team is part of Educational and StaffDevelopment. We support learning and teaching throughconsultancy, educational research, courses and workshops.

Our programmesThe team runs a number of programmes to support staff in learningand teaching, including the Postgraduate Certificate in Learning andTeaching (which is primarily for new full-time academic staff), theCertificate in Learning and Teaching (which is for part-timeeducators), the Demonstrators’ Academic Development Programme(which is for demonstrators in science and engineering disciplines)and the Postgraduate Diploma in Academic Practice (which is forexperienced staff who wish to carry out an educational researchproject). There is also a wide-ranging programme of stand-aloneworkshops in various areas of academic practice which would be of interest to any staff involved in teaching or the support of learning.

For postgraduate research students there is an exciting programmeof courses, workshops and events designed to help them recogniseand develop the key skills they will need to effectively manage theirresearch and plan for the future (see page ?? for further details)

Recognising and rewarding excellenceWe also run and manage schemes to support and reward innovationand excellence in learning and teaching. These include SmallGrants for the Development of Learning and Teaching, Drapers’Prizes for Developments in Learning and Teaching and the Drapers’Awards for Excellence in Teaching. We also manage the College’sprocess for the National Teaching Fellowship scheme, includingcoaching applicants and assisting in writing documentation.

Research and eventsWe also carry out educational research and organise events to fosterdiscussion of education within the College. These include theannual Drapers’ Lecture on Learning and Teaching, which is givenby an expert in learning and teaching from outside the College, theannual Learning and Teaching Forum, which aims to spread goodpractice from within the College, an annual student experienceseminar and the series of Educational Research Seminars, whichare presented by a mix of internal and external speakers on currentresearch into higher education.

ConsultancyWe also offer consultancy services to departments and individualsfrom across the College. This is usually in the form of one-to-oneguidance and advice from an appropriate member of the team.Issues which we have worked on recently include: Developingassessment criteria for engineering projects, developing learningoutcomes and module descriptors for Law, redesigning practicalclasses in biological sciences and developing skills in mathematics.
