Welcome to our 2020 year A great start to our year has been had with lots of sparkly smiles and eagerness walking through the gates from day one. I trust you had time to reboot as a family—we’re ready to hit 2020 together.
Included today are many processes and procedures that relate to learning routines, expectations and safety measures. It would be appreciated if you could please take the time to read and familiarise yourself with these to begin the year.
LINKLETTER out on MONDAY each fortnight
Our Linkletter is shared every second Monday and will be disseminated via Compass. The purpose of the Linkletter is to provide relevant communication and information regarding the day to day operations at GK. This year, unlike previous years, we are going to provide a more succinct Linkletter with only key information within. We are going to remove any learning articles, curriculum information and teaching and learning communication from the Linkletter. These will be provided separately on a regular basis via Compass, providing parents and carers with the option to read at their convenience. You are encouraged to read the Linkletter to keep up to date with what is going on in any given week.
Morning routines at GK
Routines are an important part of school life and are developed to set up a strong learning culture across the school. We have developed morning routines which we believe enable all of us to support our students in starting each day positive and prepared for learning. We ask you to support the following morning routine each day:
8.15am - 8.35am: Students arrive at school between these times
8.25am: Classroom doors are open for students wishing to enter to organise themselves for the
day. This routine allows a learning routine to be put in place, anxieties to be reduced and a clam approach to the day to be fostered. This also provides a brief opportunity for any parent/carer to enter the classroom to chat informally to the classroom teacher.
Further to this: The morning is strictly focused on welcoming, settling and organising students. Parents and carers are partners in this. This is not an opportunity to discuss anything with the classroom teacher that requires more than a few minutes of conversation but rather an opportunity for a quick connect.
We encourage you to bring any problems or concerns to our attention and are very happy to meet with you about this at a more suitable time. Meetings will be organised by the classroom teacher for a time that suits all involved.
8.37am: Music begins. Students not in class should be moving promptly to class during this time.
This is also the signal for any parents or carers in classrooms to promptly depart so the next stage of the learning routine can be commence without distraction.
8.40am: The bell sounds to indicate the start of formal learning. If your child is not in class after
the bell sounds they are late. Late students need to head to the office before heading to class to log in to Compass and receive a late pass.
Further to this: Lateness can and does occur from time to time. Regular or ongoing lateness does however have a profound impact on a child’s learning potential as well as impacting the classroom teacher and other students. As adults guiding students, we all have the responsibility to work in partnership in getting students in the classroom ready for learning on time. Lateness needs an adult to intervene and reduce.

SAFETY IN OUR SCHOOL—Carpark and Drop Off An important reminder to drive safely and at appropriate speed limits in our carpark and drop off area. Here are important points to adhere to when using the drop off:
• A 15km speed limit is expected and we expect all drivers to adhere to this. Children’s lives are at risk with every increase in kilometre.
• All cars to continue driving until the point of stopping. Stopping midway to allow children to exit at a spot suitable to them is unsafe and prevents flow of traffic.
• Children exit cars at point of stopping, even if it is not at the top of the hill. A small walk up the hill will not harm children, I promise.
• All children MUST exit from the sidewalk side, even if there are car seats restricting departure. We have seen near misses of children exiting into the traffic flow and it is very unsafe.
• Drop off is a fluid process that should not see cars parked waiting for more than a few minutes for children. If your child is not present at the time of you moving through the drop off, you must exit the school and loop again until children are present.
• Adults should not be stopping and exiting cars to assist students to get out. Drop off is an independent student process. If your child can not exit independently they are not ready for the drop off process.
• Staff should not be argued with or questioned when supervising drop off and enforcing these processes. We have a responsibility to keep children safe and we do not apologise for this.
When practised by all, these procedures help keep our children safe and encourages respectful actions for all members of our community.
Can I ask all parents to inform any family members who may have the responsibility of drop Off or Pick Up of these expectations as it is commonly relatives that may not be using our processes safely and appropriately.
CHILD SAFETY & SUPERVISION TIMES What happens if my child is too early or too late at school We want your children to be safe and feel connected when they are at school. We do at times see children entering school very, very early—some as early as 7.45am. Very late pick ups from school have also occurred. We understand that sometimes circumstances prevent timely drop off and pick up and we will ensure your children remain safe and cared for. However habitual lateness should not be a norm. Our school is only supervised by yard duty teachers from 8.25am at the front of the school near the entry. Staff may or may not be in their personal classroom from 8.00am due to meetings or collegial visits. This is also the case after school.
Unless with a parent, we ask students to not be in the school yard earlier than 8.15am unless specifically requested by staff who will be meeting with them. We encourage any Prep or Junior School students to arrive even later unless with siblings. This ensures there are many people around to increase safety and limit concerns for students.
After school supervision remains at the front crossing area until 3.15pm. Staff are around the school during this time however from 3.15pm, they may be moving to meetings or appointments which removes line of sight to any students in the yard.
If your child is found to be at school very early it is our common practice to deliver them to our Out of School Hours Care Program (OSHC), which has the purpose of caring for children whose parents need morning/afternoon supervision and care for them. This is also the case after school. If your child is still at school at 3.30pm, they will join the OHSC. This is a service that will incur a cost associated with it which parents will be required to pay.
At times we may have children required to come to the front office to wait for an adult to pick them up as this has been communicated with our Admin Team earlier. This practice will be allowed occasionally but should not be seen as a normal practice for families. Like teachers, the Admin Team have responsibilities and tasks to complete before the day ends that will not allow them to adequately supervise children. The Office area is not the space for ongoing supervision and any children consistently being picked up from the office after school will be directed to the OSHC after communication with parents.
We will always ensure your children are safe, supervised and cared for however we do ask our families to be respectful of our processes and procedures and work together in this.

COMMUNICATION with staff, school We are here for you - to discuss issues, concerns and share positive growth and ‘noticings’ about your children. We sincerely want a partnership that allows us to work together to ensure every child flourishes. For this reason we encourage open, honest communication that remains respectful and aligned to the intent of GK maintaining a positive culture. To begin the school year, many relationships are new and will need to be fostered. It is critical that communication between parents and staff remains strong and open.
Staff are available for quick conversation before and after school most times (as mentioned previously). Meetings and daily preparation however can prevent staff being readily available so I ask that parents make an appointment at a suitable time to all for longer discussion. This can be requested via Compass (email), phone or a quick touch base with relevant staff.
Aligned to our desire for a positive culture, I encourage parents to seek further clarification about negatively geared schoolyard discussion and information that they may not know a lot about before sharing this further with others. This includes information regarding staff, programs or community happenings. Information and experiences can at times be misinterpreted and misconstrued which causes unnecessary concern in our community due to individual perceptions about staff or school ‘happenings’ being shared. I can assure all our parents that every action we take is done with positive intent for your child and for this reason want to do the very best we can. We actively teach your children about how damaging gossip, rumours, bullying and put downs are to each other and our environment and how we each need to be responsible in putting a stop to this. GK has no place for negativity—we’ve got bigger things to focus on and your children are right at the centre so please support us by communicating respectfully and effectively.
Our Communication process, if it is required:
Student general concern/information:
1. Your child’s classroom teacher is the first point of call. Make a time to discuss your concerns face-to-face, via email or phone.
2. If the concern has not been addressed within a reasonable timeframe, further communication with a team leader may need to occur. A leader of the team will meet with you and the classroom teacher to look into this further.
3. If the concern continues, a meeting with Shannon Whelan (Welfare), Emma Meacham (Teaching and Learning Leader) and/or myself will need to occur. Please note: This step should only be enacted once step 1 & 2 have been followed.
Student wellbeing concern/circumstance:
1. Your child’s classroom teacher remains the first point of call. Make a time to discuss your concerns face-to-face, via email or phone.
2. If the concern/circumstance is sensitive or requires a higher level of support than the classroom teacher can provide, communication with Shannon Whelan (Assistant Principal-Welfare and Wellbeing) will need to occur. Please note: You will need to make an appointment with Shannon. She is not readily available immediately through a visit to the front office or by phoning as student needs and responsibilities across the school day to day prevent this. Shannon will address your concerns as soon as possible.
3. If the concern continues or management of your child’s needs are deemed to be not being met, make contact with me as soon as possible. (phone, email, meeting). Please note: This step should only be enacted once step 1 & 2 have been followed.
Staff concern
If you have a concern or complaint regarding a staff member please contact me as soon as possible. I can be contacted via school email, or phone. A scheduled meeting time can also be organised.
If at times we fail in our intent to communicate as clearly as you would like please let us know. We will make mistakes and fail at times but, respectful communication from you will assist us in strengthening our communication means.
Hot weather
It is great to see our children coming to school prepared for our hot weather this term. We have had some terribly hot days so it is critical that a hat and water bottle comes to school daily. A nice idea on extremely hot days could be to provide two water bottles, one frozen that could be used later in the day. Using sunscreen on exposed body parts before coming to school is also advisable. Under new DET policy, we do not provide sunscreen at school but teachers will encourage children to add more before going outside if they have their own roll on in their bag. Any children without hats outside during our SunSmart months will be directed to play in the undercover area for the duration of lunch/recess. If the temperature reaches more than 35, a hot weather timetable will be called at lunch and/or recess that will see children kept inside in the cooled class-rooms. Hot or wild, windy weather could also impact our weekly Friday assembly, with a decision to cancel on the day communicated to parents as promptly as possible.

Library 2020
Welcome to all new families to the library. Prep students will be able to borrow 2 books for 2 weeks, grades 1-4 can borrow 3 books
for 2 weeks, grades 5-6 and borrow 4 books for 2 weeks. Please ensure your child uses a library bag to transfer books to and from
school.
Scholas�c book club
Book club catalogues will be sent home today and will be due in by 11th February. Orders take 2-3 weeks to arrive at school and are
then distributed. Please note cash orders are not accepted all payments need to be completed online through Scholas5c.
Library dona�ons
We are very grateful to the many generous families that have donated their excess books to the library. We can accept dona5ons if:
• the books are in good condi5on
• the books are less than ten years old
• we haven't already got a copy.
Volunteers
Thank you to the generous help given every week shelving library books for our students. Shelving help is always welcomed, especially
if you have a spare ten minutes before assembly or school pick up.

• Please remember that Qkr is to be used to pay Canteen, Uniform & OHSC. General school payments
are to paid via Compass.
• Please note that as of today, Monday, 3rd February the St Helena Secondary College carpark will be
out of ac5on due to construc5on works star5ng on St Helena's new gym. No parking will be available
in their carpark & pedestrian access will be limited - if you are walking through St Helena to GK you
will have to walk around the gym, on the oval side near the portables and walk down the stairs onto
the court. This will be un5l at least September so please make alterna5ve arrrangements.
• Monday 10th February is a Curriculum Day - a student free day.
• Parents who received CSEF at the school in 2018-2019 do not need to complete a new applica5on
form in 2020, providing there has been no change in their family circumstances.
You will only need to submit an applica5on form in 2020 if your child has started or changed schools in
2020 or you did not apply at the same school in a previous year or if you changed family circumstanc-
es: such as a change of custody, change of name, concession card number, or new siblings commenc-
ing at the school in 2020. Applica5on forms are available from the office.

2020 STAFF LIST
PRIVACY INFORMATION for parents and carers
During the ordinary course of your child’s aCendance at our school, school staff will collect your child’s person-
al and health informa5on when necessary to educate your child, or to support your child’s social and emo5on-
al wellbeing or health in the school context. Such informa5on will also be collected when required to fulfil a
legal obliga5on, including duty of care, an5-discrimina5on law and occupa5onal health and safety law. If that
informa5on is not collected, the school may be unable to provide op5mal educa5on or support to your child,
or fulfil those legal obliga5ons.
For example, health informa5on may be collected through the school nurse, primary welfare officer or wellbe-
ing staff member. If your child is referred to a specific health service at school, such as a Student Support Ser-
vices officer, the required consent will be obtained. Our school also collects informa5on provided by parents
and carers through the School Entrance Health Ques5onnaire (SEHQ) and the Early Childhood Interven5on Ser-
vice (ECIS) Transi5on Form.
Our school may use online tools, such as apps and other soHware, to effec5vely collect and manage infor-
ma5on about your child for teaching and learning purposes, parent communica5on and engagement; student
administra5on; and school management purposes. When our school uses these online tools, we take steps to
ensure that your child’s informa5on is secure. If you have any concerns about the use of these online tools,
please contact us.
School staff will only share your child’s personal or health informa5on with other staff who need to know to
enable the school to educate or support your child, or fulfil a legal obliga5on.
When our students transfer to another Victorian government school, personal and health informa5on about
that student will be transferred to that next school. Transferring this informa5on is in the best interests of our
students and assists that next school to provide op5mal educa5on and support to students.
In some limited circumstances, informa5on may be disclosed outside of the school (and outside of the Depart-
ment of Educa5on and Training). The school will seek your consent for such disclosures unless the disclosure is
allowed or mandated by law.
Our school values the privacy of every person. When collec5ng and managing personal and health informa5on,
all school staff must comply with Victorian privacy law. For more informa5on about privacy including about

Welcome to start of another GK year. Canteen starts tomorrow & there may be a couple of things limited until the last of our deliveries arrive today. A letter will go out soon to new families that may have children with allergies, explaining our optional Allergy Alert Tub system for the canteen. If you have any questions about the products being used, please don’t hesitate to contact me & I will do my best to assist you.
Included in this week’s Linkletter are copies of our Menu, Request for Help & the Roster as it stands at the moment. A copy of the menu will also be available on the GK Website. A hard copy of the roster will be sent home to the relevant families as soon as it is filled. I have 12 Family cook books to give away to the first 12 new volunteers to join our crew!
