Acceptable Use Policy

• Every employee of Wilkes County Schools who receives a laptop must read the Employee Laptop Handbook and sign the Employee Laptop Agreement and Acceptable Use Policy for internet privileges.

• You will have the opportunity to sign the Laptop Agreement and Acceptable Use Policy during policy sign-off at the beginning of the school year.

• Any questions regarding the handbook/agreement should be directed to your school’s Instructional Technology Facilitator.

• Your signature on the Laptop Agreement acknowledges your responsibility for the laptop at ALL times.

• What are your responsibilities? Caring for, keeping up with, and securing the laptop, its case, and the charger at

school and/or when you’re away from school. Following board policies for the Acceptable Use of your school-issued laptop. Reporting any damage or issue to your ITF immediately. Honouring any fees that occur as a result of misuse or damage. Following the laptop check-in/check-out procedures in place at your school.

• Wilkes County Schools will provide you with the software needed for your laptop to be used with other tools you may have access to, including: Turning Point Student Response System SMART Notebook AVerMedia Document Cameras Flip Video Cameras Additional academic software

• As noted in the Employee Laptop Handbook, you may not install any additional software or hardware to your WCS laptop.

• If you have a software/hardware request, it must be submitted to the WCS Technology Department for approval. If your request is approved, your school ITF will work with WCS Engineers to fulfill the request.

The Technology Department must approve the purchase of all new technology equipment in accordance with Wilkes County Schools’ Technology Plan.

Opening and setting up new equipment is the sole responsibility of the Technology Department.

Persons not employed or approved by Wilkes County Schools’ Technology Department may not repair, move, or tamper with school equipment or software.

Employees are responsible for securing equipment assigned to them against theft, vandalism, or abuse.

Employees should follow site-base procedures for IMMEDIATELY reporting damaged, broken, or stolen equipment. Some issues may still be covered under warranty.

Peripheral devices cannot be attached to school-owned systems except by authorized personnel within the Technology Department.

Personal equipment may not be connected to the school system’s infrastructure either wirelessly or via the LAN (Local Area Network).

• Software Policies All software purchases must be approved by the

Technology Department. Stand-alone software will not be installed except

in specialized circumstances.

The Technology Department will be responsible for software installation or for authorizing designees to install programs.

Unauthorized downloading or installing of software or files, is a direct violation of this policy. This includes, but is not limited to, Internet browsers, screen savers, games, music, graphics, instant messengers, etc.

Before leaving a computer unattended, staff members will secure programs containing confidential student information.

All employees are responsible for upholding U.S. Copyright Laws.

Passwords will not be shared.

A purchase consideration form must be submitted and approved before any hardware or software is ordered or requested through a grant or donation.

• The use of the Internet is a privilege, not a right. Inappropriate use of the Internet may result in limitation or cancellation of user privileges and appropriate disciplinary action.

• The Internet/School Network is provided for school-related purposes only. No right of privacy exists in any communication on the Internet or the School Network.

• School system equipment, software, or email may not be used for personal gain or profit, to advertise any product, or to promote a political position.

• Users may not create, solicit, or transmit defamatory, fraudulent, pornographic, harassing, obscene, or vulgar images or documents.

(Be careful what you send or forward in email!)

• Accessing programs and websites not appropriate for educational use is prohibited. Students will not participate in Internet instant message activities, visit chat rooms, access personal e-mail accounts (unless it is a curriculum-related requirement), or participate in any activity that may cause harm to themselves or others. This includes revealing personal information.

• Users may not change settings on school equipment.

• Users may not attempt to harm or destroy hardware, software, or data, or knowingly create, upload, or transmit computer viruses.

• Users will not attempt to gain unauthorized access to programs, websites, network file space, or computer equipment. Attempting to disable or circumvent system filtering software is prohibited. Promoting, advocating, or participating in hacking is strictly prohibited.

• Passwords are not to be shared with anyone or posted in a conspicuous location. Users will not attempt to log in to any system or software using credentials other than their own.

Never give any of your passwords to a student.

• Users will not use personal laptops, computers, or network equipment to gain access to Wilkes County Schools’ wireless network or connect to the school network in any fashion.

• Personal laptops, computers, or iPads may not be on school premises without written permission from the Director of Technology. Wilkes County Schools cannot ensure personal computers are free from viruses and malware. In order to protect computers, systems, and networks belonging to Wilkes County Schools from harm, no personal computer use of any kind will be allowed for students and/or staff. Wilkes County Schools cannot ensure compliance with the federal Child Internet Protection Act (CIPA) for personal computers; therefore, personal computer use will not be allowed for students, faculty, or staff.

• Teachers / Assistants will supervise students’ use of computers and other technologies at all times.

• All employees are responsible for supervising their children as well as children under their care while using computers and other technologies before and after regular school hours and on teacher workdays.

• School web pages must be approved by the principal before they are posted.

• All laws and Board of Education policies apply for all employees and students, including those relating to copyright/trademarks, confidential information, and public records. Information electronically transmitted or stored is subject to the same copyright laws as non-electronic data. The intellectual property of others will be granted the respect afforded copyrighted materials.

• All staff will model and promote ethical use of technology.

• All employees must sign the Acceptable Use Policy each year. All students enrolling in a new school must sign the Acceptable Use Policy. School personnel should ensure all new students have received and signed these policies.

• Teacher Websites Each teacher will have editorial control and

responsibility for the content of his/her official website and for the content of his/her students’ websites, subject to the review by the principal, the superintendent, and the board.

Upon the knowledge and written consent of a student’s parent or guardian, a teacher may allow a student to create a website within or linked from a school’s or teacher’s website only for the following instructional purposes:

A. To teach a student how to create or maintain a website

B. To facilitate a student’s work on school assignments or research projects.

• Personal Websites Employees are to maintain an appropriate

relationship with students at all times. Having a public personal website or online networking profile or allowing access to a private website or private online networking profile is considered a form of direct communication with students. Employees are encouraged to block students from viewing any material or profiles that are not age appropriate.

Any employee found to have created and/or posted inappropriate content on a website or profile that has a negative impact on the employee’s ability to perform their job as it relates to working with students will be subject to discipline, up to and including dismissal. This section applies to all employees, volunteers and student teachers working for or in the Wilkes County School System.

• Teachers are required to teach online safety.• Applies to all students under 13• Signed parental consent must be obtained

Caring for your LaptopCaring for your Laptop• Avoid extreme temperatures. Never leave

your laptop in the car!

• If your laptop is too cold or hot, allow it to reach room temperature before turning it on.

• Never eat or drink around your laptop.

• Use on a solid surface – carpet or fabric surfaces could result in overheating.

• NEVER leave your laptop unattended.

• Shut down and power off completely before closing the laptop.

• Insert cords, cables, and storage devices carefully.

Caring for your LaptopCaring for your Laptop• Do not stack items on top of your laptop.

• Do not overstuff your laptop carrying case.

• Keep it clean! Dust can be harmful to equipment. Be sure to use products intended to be used for the cleaning of equipment. NEVER use Clorox Wipes or glass cleaner.

• Feel free to take your laptop home, but remember to bring it back each school day.

• Allow your battery to completely drain once a month.

Power SupplyPower Supply

• To charge your laptop, plug the power supply into the back of your machine and then into a wall outlet.

• Battery-power is limited and could result in a loss of data or work. Be careful by saving often!

• When storing your charger, neatly wrap the cords around the charger and loosely secure with the elastic strap. Don’t pull too tightly or it could dislodge from the unit.

• Power supplies are NOT interchangeable.

Logging InLogging In

• Usernames and Passwords WCS will provide log on credentials for each

employee. You will be given a username and password that should be used to log onto any school computer.

Always log into WILKESNET – both at home and at school.

Never log in with your entire email address. You may not share your login credentials with

anyone! Do not write it down and/or leave it where it can be

found. It is against board policy to email your password to

anybody. WCS will never ask for your password via email!

Logging InLogging In

• Access There will be nothing on your desktop. Programs should be accessed through the Start

Menu and the Teachers Menu Internal Drives in the Teachers Menu provides

access to your USB flash drives and the Group Shared and Public Drives.

To see all your drives, open your documents or Windows Explorer.

Teacher accounts have more open access to the internet. This is set when you log onto the internet for the first time from your account. Because of this, you should never allow students to use a computer that is logged onto your account.

• WCSPrivate (Teacher Network) Your laptop will be connected to the WCSPrivate

wireless network before it is assigned to you. If you find you have lost wireless connectivity, check

the wireless switch on your laptop before you report the problem to your ITF or technician. It often gets switched off accidentally during transport.

From the wireless utility in the system tray, you will see other school networks. WCS and WCS_Students are student wireless networks. WCSGuest requires a passkey and is not intended for teacher or student use. You can try to reconnect to WCSPrivate from here if needed.

You can connect to wireless networks at home, restaurants, hotels, etc. if you feel the network is secure and safe.

• Outlook Access Microsoft Outlook from the Start Menu

when logged onto your computer. Your ITF will have to setup Outlook email before

you can use it. Your space on the email server is limited. Once

filled up, your mailbox will close. Messages sent or received while your mailbox is closed will not be accessible even after your mailbox is reopened. Avoid this by keeping your inbox, sent items, junk mail, and trash cleaned out.

Personal folders (.pst file) will be set up to help you manage emails you don’t want to delete. Emails stored in your personal folders are actually on our file servers, not the email server.

Email can be checked from any computer connected to the internet through the online Outlook Webmail App. Check your email on the internet using the following address: https://webmail.wilkes.k12.nc.us/owa. Log in using your WCS username and password.

Personal folders are NOT accessible through the Webmail App.

WCS contacts are available through the global list. Email is not private. Keep your computer activities

professional and education-related. You’re responsible for what you send and forward!

Users may not create or transmit chain letters via email (AUP).

Email, including attachments, is archived by law.

Network PrintingNetwork Printing

• Your laptop is set to print wirelessly.

• You will receive an email from Equitrac that will explain how to set up your printing account. The subject line will read “DO NOT DELETE”. This email will contain a temporary password and directions for resetting this password. You are encouraged to use the last five digits of your WCS password as your Equitrac password.

• You must have an Equitrac password to walk up and use school copiers.

Network PrintingNetwork Printing

• Conserve paper by using print preview before sending jobs to the printer.

• Printing to a SHARP copier is the most economical printing option at a school.

• Print jobs may be retained in the memory of a SHARP copier until your are available to walk up, print, and retrieve it.

• You have the option to scan to emails or to a flash drive from a SHARP copier.

Saving your WorkSaving your Work

• My Documents Documents are not saved on the hard drive of any

school system computer. The “My Documents” folder for each log in account

is saved on our school file servers. When you are off-campus and not connecting to

our school servers, you will not be able to access your My Documents folder.

Files needed at home should be transported with a removable device like a flash drive or external hard drive. Always back up your files!

Saving your WorkSaving your Work It is recommended that all files be stored within

folders in My Documents. Should you notice that files have been dropped or

accidentally deleted from your My Documents folder, you should notify your ITF immediately. Files MAY be able to be restored from backups if the request is made in a timely manner.

• Shared Server Space Files may be saved to the Groups and Public

Drives. Both drives are accessible to any user logged onto a school computer.

Within the Groups Drive, you may save to the Shared Students or the Shared Teachers folder. Files in the Shared Teachers folder are only accessible to computers logged on with teacher accounts.

• When you have a technology request concerning your laptop and any other equipment provided to you by WCS, you will report this to your ITF and they will complete a BWA ticket for it.

• ALL requests for technology services (including questions you need to ask your ITF) should be submitted through your ITF’s technology wiki using the form on the Request for Services page for your school (www.juliebenton.pbworks.com).

• When requesting work on your computer, you’ll need to communicate the computer’s name. It will be 12 characters long and will look something like e337__0_____.
