Registration

Early registration on the evening of Sunday 12 April will take place in the foyer area of the Jurys Inn Hotel. On all

other days the IOP registration will be located in the Southampton Solent Conference Centre Foyer. Times are as

On arrival, each participant will receive a delegate pack containing a pen and pad, an abstract book, programme

and a lanyard badge. Please wear your badge at all times because this will help with security, catering and enable

you to identify your fellow delegates. Replacement badges can be issued at the registration desk. On your

departure, please return your badge to the registration desk so that it can be recycled.

Payment

The organiser reserves the right to refuse admission to any participants who has failed to pay their registration fee in

full prior to the start of the event.

Notice board

A notice board will be placed near the registration desk. Participants should check the board for the latest

programme updates and conference information.

Southampton Solent Conference Centre facilities

Internet and ICT

WiFi access is freely available throughout the conference centre. Individual log in details and passwords will be

available at the conference registration desk. Please note that you will be allocated one password to use for the

entirety of the conference. A computer suite is located in the basement of the Conference Centre building.

Cloakroom

The venue does not facilitate a manned cloakroom. Coat rails will be available in the conference centre. A luggage

storage room will also be available throughout the conference, please visit the conference centre reception desk

should you wish to make use of this storage facility. All goods left in these areas are left at the owner's risk and

neither the IOP nor Southampton Solent University accept any liability for any loss or damage to personal goods.

Local amenities

The Solent Conference Centre is located within the main City Centre where you will find an array of high street shops

and local amenities. The closest ATM (cash machine) can be found along Above Bar street, which is left out of the

conference centre main entrance and a 3 minute walk down the high street. A number of banks can also be found

on the high street.

A prayer room is located over on the main East Park Terrace campus (approx. 5 min walk)

Participants with special dietary requirements are asked to notify the conference office by e-mail prior to their arrival

if they have not already done so when registering. Those with special dietary requirements other than vegetarian are

asked to make themselves known to the catering team. It will not be possible to provide an alternative menu unless

prior notification has been received.

We are aware that nut allergies in particular present a serious problem to some people. The venue catering team

can provide details of the ingredients of any particular dish, but cannot provide assurances that the food has not

been cross contaminated with traces of nuts during ingredient processing at manufacturer’s site or during food

preparation/service on site. For these reasons, we regret we are unable to provide guarantees that any of the food

Return coach transfers will collect from the Yacht Club at approximately 22:30 and will return delegates to the Jurys

Inn Southampton. Should delegates wish to drive to the dinner venue, Ocean Village has plenty of parking, spread

across a surface car park and a multi-storey car park. The parking tariff is £1.00 per hour, 02:00 to 18:00 daily.

There is no charge between 18:00 and 02:00.

Thursday 16 April - excursions

Excursions have been planned for the afternoon of Thursday 16 April. Places are limited and offered on a first-come,

first-served basis. Places can be booked when you arrive at the conference for registration at a price of £9 per

person. If you would like to reserve places in advance, please email [email protected].

1. SeaCity Museum private one hour guided tour of ‘Southampton’s Titanic Story’ and entrance to all three

SeaCity exhibitions; ‘Southampton’s Titanic Story’, ‘Southampton: Gateway to the World’ and ‘War Games’

The group will depart the conference centre at 13:45 (meet at the IOP registration desk) to walk to the

SeaCity Museum for a 14:00 tour (report to the museum front desk). For more information please visit

2. Private guided walking tour of Southampton (90 minutes) – walking tour of ‘old town’ Southampton

‘Walking the Walls & Exploring Vaults’. For more information, please visit http://www.stga.org.uk/walking-

the-walls-and-exploring-vaults.html. The group will depart the conference centre at 14:00 (meet at the IOP

registration desk) to walk to the south end of the high street at “Bargate” to meet the tour guide for a 14:15

tour.

Instructions for presenters

Oral presentations

The lecture theatres are equipped with the following audio-visual equipment:

Data projector and screen with PC and monitor

DVD/Blu-ray/Video playback

Remote mouse/laser pointer

Lectern and microphone

Lapel and hand-held radio microphones

Speakers are requested to bring their presentation on a USB memory stick in either Office 2010 or .pdf format and

preload it onto the PC/laptop located in the lecture theatre. To optimise compatibility, particularly for the inclusion

of multimedia components, speakers should include the original files so that it can be re-embedded if necessary.

Direct connection of personal laptops (with set up in the break prior to the corresponding session) is an acceptable

but not preferred alternative. Mac users should ensure that they bring the correct connection cable (VGA) with them.

The lecture theatre is reasonably large, and speakers should use a minimum 16-point font size in PowerPoint slides

to ensure legibility. Presenters are asked to prepare their talks to match the allocated times which will be rigidly

enforced.

Please note that all oral presentations and accompanying Q&A will be recorded as an audio sound recording only.

This audio recording will be used to transcribe some of the Q&A for the conference proceedings. If you have any

queries regarding this, please visit the IOP registration desk and speak to a member of the IOP conferences team.

Poster presenters

Posters will be on display in the Avon/Meon Suite with dedicated poster sessions as scheduled in the programme.

There will be two poster sessions (1 and 2), so please check which session your poster presentation is allocated to.

Please note that during this poster session, authors should stand close to their boards to answer questions and

facilitate discussions on their work. If you are presenting a poster please ensure that you display your poster on the

board number that matches your poster number in the programme.

Posters must be no larger than A0 in size (118.9 x 84.1cm / 46.8 x 33.1 inches), in a portrait format. If your poster

does not fit within these dimensions, we cannot guarantee it will be displayed. Posters must be prepared in advance

of the conference as it will not be possible to print posters on-site. Fixing material will be supplied.

Posters are a visual presentation of your research and as such we recommend that you use schematic diagrams,

graphs and tables, where possible, rather than just text. Please use an appropriate sized font so the information is

legible at a distance of 1 metre.

Your poster should include the title, author's name, and affiliations with the presenting author underlined. We

recommend that this information is placed top centre of the page. For the poster, we recommend that you include

an abstract, method section, results section and a conclusion or summary. You might also want to list key

references or acknowledgements. If you decide to structure your paper differently, please ensure you format the

poster with clear headings and keep text to a minimum.

Poster Session 1 - Presenters in Poster Session 1 should mount their posters between 08:00 and 10:50 on Monday

13 April. All posters from Poster Session 1 must be removed by 18:00 on Monday 13 April.

Poster Session 2 - Presenters in Poster Session 2 should mount their posters between 08:00 and 10:50 on Tuesday

14 April. All posters from Poster Session 2 must be removed by 18:00 on Tuesday 14 April.

Safety and security

Personal property

Southampton Solent University, Jurys Inn and the Institute of Physics do not accept responsibility for the loss of or

damage to personal property. Visitors are advised to keep personal possessions with them and lock doors and

windows when leaving the bedrooms.

Evacuation policy

If you discover a fire;

1. Raise alarm by operating the nearest fire alarm call points

2. Leave the area using the nearest marked exit route

3. Go to assembly point and stay there awaiting further instruction.

If you hear the fire alarm (continuous signal)

1. Please evacuate by the nearest fire exit to the assembly points situated at:

Guildhall Square

Watts Park, Commercial Road

Do not stop to collect personal possessions

Do not re-enter the building until advised to do so

Do not use lifts (the lift will automatically return to the ground floor in an emergency)

Disabled persons above the ground floor will be accompanied by a helper, but may need the help and

assistance of the fire brigade. They are to proceed to the South East (staircase 'D') or North East (staircase

'C') escape staircase

The Solent Conference Centre fire alarm is tested every Thursday at 08:30.

If you are in the building at this time, you do not need to act unless it continues to sound

or you are otherwise instructed.

First aid

There are first aid trained staff available 24 hours a day, please report any incidents to the conference centre

reception desk or call 3700 from any internal line in the Sir James Matthews Building.

Security

The Conference Centre and Sir James Matthews Building is open from 06:00 - 22:00 Monday to Friday and 08:00 -

17:00 Saturday and Sunday. A member of Facilities, Reception or Security are on site during opening hours. If the

reception desk is unmanned then a number to call will be displayed.

Smoking

In compliance with the current UK legislation, smoking is not permitted within any enclosed area of the conference

centre

Behaviour and conduct

The Institute of Physics and Southampton Solent University reserve the right to charge in full for loss or damage to

the property. Whilst on the site, all guests should show respect that the conference centre is a working environment.

Travel The Southampton Solent University Conference Centre is located in the centre of the city. Travel to and from the

Conference Centre is easy and convenient; it is just a five-minute walk from Southampton Central train station and it

is within easy reach of motorways, ferries and Southampton International Airport.

Walking directions – Southampton Central Train Station to Southampton Solent Conference Centre

From platform 4, leave the station, turn left, walk along Western Esplanade and up the hill. On reaching the top of

the hill (500 metres), the Civic Centre will be in front of you with the clock tower to your left. Continue in the same

direction as before and cross the road using the pedestrian crossings, and walk a further 200 metres, until you

reach Above Bar Street (High Street). At this stage you will see a large crossroads with traffic lights, and KFC on your

left next to you. Turn left here, onto Above Bar Street, and continue for 150 metres where you will find the Sir James

Matthews building on your left.

From the exit on platform 1, turn right and continue along Blechynden Terrace, behind the Mayflower Theatre.

Continue along this road up the hill to the top. Cross the road using the pedestrian crossing and continue on to

Commercial Road, where the SeaCity Museum and library will be on your right. The Sir James Matthews building will

now be in front of you. Turn right into Above Bar Street to find the entrance.

By air

Southampton International Airport is situated on the outskirts of the city and is convenient for the M27 and M3.

There is a full UK domestic service, as well as flights to mainland Europe and the Channel Islands. There are regular

buses, trains and taxis from the airport to the centre of Southampton. Buses and taxis are right outside the

entrance, whilst the train station is located a couple of minutes walk away and is called Southampton Airport

Parkway (one stop to Southampton Central).

By sea

Cross channel ferry services by Brittany Ferries and LD Lines operate out of the nearby port of Portsmouth (21

miles) offering fast and regular crossings to the near continent.

By train

From London, please travel from London Waterloo station. The closest train station to the Conference Centre is

Southampton Central Station. For information contact National Rail Enquiries (Tel: +44 (0)8457 484950) or Visit

Southampton - Rail Services.

By coach

Greyhound , National Express and Megabus all travel to Southampton. Southampton coach station is at Western

Esplanade, in the city centre. Regular interurban services link to Southampton operated by First BlueStar Buses and

Wilts and Dorset and Unilink. Details of all services above can be found at Traveline.

By car

Southampton is just 75 miles from London and 21 miles from the Channel ports. From the North, London and the

Home Counties, the M3, M27 and A34 provide fast, direct road links into the heart of the city, The A36 is the major

route from the West Country, Bristol and Wales. From the East: Follow the A27/M27 and leave at Junction 8. You

can plan your route online using one of the free route planners - examples are The AA or The RAC.

Money - Britain's currency is the pound sterling (£). There are cash machines throughout Oxford and major

Electricity - British electrical standards are 50Hz 230 volts, so some North American and European

electrical devices may require converters; all will require plug adapters (please bring your own to the

conference).

Medical services - Some medicines are available over the counter from pharmacists. Medical advice is

available through the 24-hour NHS 111 service (dial 111 – see

111.aspx). In case of an immediate, life-threatening medical emergency dial 999 and ask for the

ambulance service.
