Please consider our bid for the Known World Bardic Congress and Cooks Collegium AS LXVI, April 20-23, 2012. It is easily accessible by road, and there are two major airports in the area, Denver International Airport and the Colorado Springs Airport. A shuttle service from the airports would be arranged as necessary. April in Colorado is a beautiful time of year. While there is always a possibility of snow, the weather is more likely to be 50 degrees Fahrenheit and sunny. There are numerous local attractions located near Colorado Springs, such as Garden of the Gods, Pikes Peak, The Manitou Cliff Dwellings, and Cave of the Winds.. The site features a large meeting hall, with fireplace and an industrial kitchen, and a recreation hall in the 1st floor, with bathroom and shower. The site offers many amenities, including a very large fire pit with wooden pavilion, which will allow a cooking track for fire-pit cooking, as well as evening bardics, and can provide hay rides through the beautiful countryside. There are buildings that have kitchenettes and living rooms. These can be used as additional classrooms. There are several patios, which would be used if the weather is nice. We estimate 6 classrooms/kitchens available including the fire pit for outdoor cooking classes. We can additionally sub-divide the larger rooms to give us a possible total of 10 teaching areas excluding any outdoor grill or stove that might be brought on site. Fires will depend on fire regulations in force at the time of the event though we should be able to make use of the indoor fireplace regardless (unless extra special restrictions are in place). April is not normally a high-risk month, so we expect outdoor fires will be allowed. All the buildings are separately heated by gas forced air. There are a number of heated cabins, offering a range of lodging at various prices. Attendees could choose which option works best for them. The Lions Camp has approximately 74 bunk

style beds available in these cabins for $7.50/night. There are also cabins that have hotel style

rooms and will cost $60 for the first night and $45 for each subsequent night. We will arrange

crash space in Dragonsspine. There is also camping available and of course, hotels are close by

in Woodland Park and Colorado Springs.

PLANNED ACTIVITIES:

Event Activities would be based on the traditional format of the previous Cooks and Bards

events. We plan full tracks of classes for both Bardic and Cooking arts on Saturday and Sunday.

The traditional events, such as a informal welcome party on Friday evening, the Boreal Masters

Symposium and Bardic circles at night, would be held - outside at the fire pit weather and fire

restrictions permitting. There would be a meal plan, incorporating some of the food provided by

cooking classes, for the event, and a feast Saturday night. Additionally, space will be provided

for merchants.

We will advertise throughout the Known World, for merchants and teachers, as well as

attendees.

BUDGET:

The initial budget will be used as a basis for expenses. Subsequent expenses will be approved by

the Financial Steward and at least two other members of the Financial Committee. Emergency

expenses would be approved as above.

Proposed Income would be $775.00 and would be divided between the sponsoring Barony,

Caerthe, the hosting Barony, Dragonsspine, the Kingdom, and the Corporation. Losses would be

assumed entirely by the Barony of Caerthe. Entities other than Caerthe would receive 15% of

the profits.

The site fee is planned to cover expenses other than food and lodging. Costs for lodging on site

and the weekend food plan and Saturday evening Feast will be separate. Cost to attendees

providing their own food and lodging would be only the appropriate site fee. Site Lodging costs

vary according to style of lodging selected. Approximately 101 beds are available, of which 10

will be reserved for staff, and which does not include camping. The meal plan and feast will be

budgeted on a break-even basis.

At the May 2, 2011 regular populace meeting of the Barony of Caerthe, the motion to sponsor

the event passed with 23 gentles in support and one gentle opposed. The one gentle in

opposition regularly votes in opposition to proposals to ensure that at least one dissenting voice

is present in case more vociferous dissenters are unable to attend. There were no other reasons

for the dissent. As seneschal, I fully support the vote of the populace.
