for 2017/18. It is very much appreciated
and this contribution will help us keep our
school in good repair.
For parents who have not yet paid their £30
contribution we would be very grateful to
receive your contribution in due course.
Don’t forget you can now pay your
contribution on Parent Pay or by sending in
cash or a cheque in a sealed envelope
marked clearly with your child’s name and

Family Learning Projects

Dear Parents & Carers,
Before we all break up for the Christmas holidays, we just wanted to let you know that our AGM will take place on Friday 12th
January 2018 at 9am in the new Food Tech & Music Room. We’ll be giving a rundown of the past year ’s events, the funds
raised and what the money has been spent on.
Committee members in key roles will be standing down at the AGM, so we have summarised the main responsibilities for all named
roles as a guide for parents who may be interested in these in 2018. If this all sounds a bit formal, please don’t be put off, it is very
much a team effort and this summary is meant to be an information tool, especially for those new to the school or committee. If there
is anything you would like to know, please ask any of the current committee members: Susie Hall (Chair), Dolina Logan (Treasurer)
and Deborah Barran (Secretary).
We hope as many of you as possible will be able to come along to our AGM. We really need some more volunteers to help next year
and keep building on our success! Your time commitment can be as much or as little as you like.

Your PTA
Roles and Responsibilities of the PTA
Chair
The Chair provides leadership and governance for the PTA committee, sets the agenda for meetings and manages
meetings in line with the Agenda. This role has significant interaction with the school head, the Treasurer and PTA
Secretary.
Key responsibilities:
Provide leadership.
Set the agenda for meetings and control the meetings, making sure everyone has an opportunity to speak.
Ability to remain impartial – make sure contributions are brief and ensure everyone’s views are respected.
Welcome and involve new Members.
Sign cheques for the PTA with one other Committee Member.
Meet with school head and the Treasurer to agree PTA financial commitments for the year.
Treasurer The role of the treasurer is to manage and control the funds the PTA raises. The Treasurer should record all income and
expenditure, details of the amounts received and spent, and have the information available for every Committee Meeting. The
Treasurer should report on the current financial position at each Committee Meeting and this should be recorded in the Minutes.
The Treasurer also:
Liaises with the bank.
Maintains the financial records.
Advises the bank of agreed changes to the bank mandate, i.e. those authorised to sign cheques.
Raises and signs cheques with a second Committee Member co-signing.
Withdraws money to provide a cash float for events.
Charity registration and Gift Aid.
Draws up the annual accounts.
Secretary Secretary is a key Committee Member as they are responsible for ensuring effective communication links between Committee
Members and between the PTA and the School. The Secretary deals with all the correspondence that the PTA receives and helps the
Chair ensure that Committee Meetings run smoothly. The PTA Secretary liaises with the School Secretary about any newsletter
notices. The Secretary will make arrangements for the Annual General Meeting (AGM) and help the Chair prepare the Annual Report.
The Secretary may also be involved in co-signing cheques on behalf of the PTA.
Key responsibilities:
Deal with correspondence.
Send email to committee to confirm date of next meeting.
Prepare Agendas along with the Chair.
Write up and distribute the Minutes of Meetings.
Co-sign cheques as required.
Write the Annual Report with the Chair.
Prepare and distribute newsletters and other
communications to parents.
Prepare notices/posters for events and distribute to class reps as necessary.
Manages PTA members email list.
The New Music/Food Technology Extension
Dear parents and carers,
I am really excited to inform you that our new extension is now complete and ready for the children
and teachers to use!
This week we were busy unpacking all the wonderful resources that have been purchased with funds
raised by our PTA. These resources included Food Technology Kits for Key Stages 1 and 2, as well as
crockery sets. Tables and chairs for the room are on order and will also be with us soon.
There is also dedicated storage space now for our Steel Pans and the musical instruments.
Children have been using the room for circle times, and as a music space this week. As you can see,
Year 6 have been busy rehearsing their song for our Christmas performances!
The KG Doodles Breakfast Club and Six O’clock Club will be using the space from next week.
The entrance and exit for these clubs will be on Herne Place from next week onwards, Eboney will be
in touch with parents about this.
As many of you will know, this is a flexible learning and teaching space with soundproofed bi folding
doors to separate the food technology space from the music area. The external bi folding doors fac-
ing out onto the Key Stage 2 playground will also offer an open, flexible space when we are enjoying
warmer weather.
The School Council have been tasked with gathering ideas for a new name for the building – so we
are all looking forward to lots of creative ideas! There will be an official opening in January which
School Council are also planning – we will keep you posted!
Thank you to all our PTA members for your continued hard work with fund raising, and for agree-
ing to support this project! Thank you also to our skilled and dedicated Resource Committee, who
have worked strategically to initiate and support the extension work from the beginning.
We are all looking forward to this new space being enjoyed by all our St Jude’s Community.
