HOW TO REGISTERConference registration and hotel reservations will be done entirely online. Registration instructions and the registration link will be distributed to all Torch Run Programs in July 2012. Online conference registration will open in early August 2012. The online registration system will allow liaisons to register attendees for the conference and book their hotel rooms in the same system. All conference and hotel reservations must be made through your Program’s Torch Run liaison using the online reservation system.

NEGOTIaTEd HOTEL RaTES The negotiated hotel rates for conference attendees of $175 per room, per night, for 1-4 indivduals are extended for three days before and after the conference. Attendees are invited to come early or stay late and visit some of the finest attractions Indianapolis has to offer. Within walking distance of the hotel are White River State Park, the Indianapolis Zoo, museums, world-class shopping and dining, the State Capitol, Lucas Oil Stadium and Bankers Life Fieldhouse just to name a few.

INdIaNa INTERNaTIONaL aIRPORT (INd)IND is the only airport where courtesy conference transportation is provided by the host program. The airport is located approximately 13.5 miles southwest of the conference hotel and will service all national and international travelers. Conference attendees arriving at IND will find loading areas for complimentary transportation to the conference hotel outside baggage claim. Volunteers will be on hand to guide you to the loading area for the buses to the hotel.

GROuNd TRaNSPORTaTIONCourtesy conference transportation will be offered to and from the airport before and after the conference. Arrival transportation will be offered from IND to the conference hotel on Wednesday, November 7 from 10:00 am to 8:00 pm. A limited amount of transportation will be available on Thursday, November 8 from 8:00 am to 1:00 pm. Departure transportation from the conference hotel to IND on Sunday, November 11 will start at 4:00 am and run until 12:00 pm. These are the ONLY times airport transportation will be offered. Attendees are advised to book arrival and departure flights accordingly.

Driving Option: Indianapolis is the Crossroads of America and is easily within driving distance of many US programs. Arrangements have been made for free secured off-site parking for all size vehicles and buses. Drive directly to hotel, unload, drive to shuttle lot less than one mile away, and be given a ride back to hotel. This service will be provided during the same hours as ground transportation to and from the airport.

PRE-CONFERENCE aNd COmPaNION TOuRSIn partnership with ActiveIndy Tours the 2012 LETR International Conference will offer daily, guided tours of Indianapolis to conference attendees and/or companions. These tours are unique walking or biking tours conducted at a casual pace with frequent stops where storytellers share the history and lore of the city. A full schedule of tours will be arranged for Wednesday, November 7 for everyone interested in a Pre-conference activity. Additional tours will be available during the conference (November 8 – 10) for guests (spouses, companions) not attending conference sessions.

A complete schedule of tours available during the 2012 LETR International Conference will be published through the conference website and Facebook page. Pre-registration for tours will be handled directly through ActiveIndy Tours. Registration during the conference will be possible only if space allows. A portion of the proceeds of tours is being donated to Special Olympics Indiana.

The Torch Run will be held in White River State Park (WRSP) which is located directly across the street from the JW Marriott. The Torch Run will take place on the scenic downtown canal area with a stop for a group photo with the Congressional Medal of Honor Memorial as the backdrop and conclude in front of the home of the NCAA. A cookout provided by GFS Marketplace will be available for conference attendees at the conclusion of the race. Everyone is invited to stay and “Play In The Park” as they will receive a packet with discounts for Saturday attractions including the NCAA Hall of Champions, Eiteljorg Museum, IMAX Theater and the Indiana State Museum.

These are the ONLY times airport transportation will be offered. NOTE: The JW Marriott Indianapolis does NOT provide shuttle service to/from the Indianapolis International Airport. We strongly urge all attendees to book their flights to depart so they may take advantage of the courtesy transportation being offered by the host program. The airport is located approximately 13.5 miles from the conference hotel and travel time is approximately 25 minutes.
