5 Ways to Delegate Effectively:

1. Treat them like equals (they own a biz too)

2. Let go of your Inner Control Freak & trust

3. Understand there is a ramp-up period (2-4 mo)

4. Don’t micromanage

How do you start delegating a task? You write out a system for that task, for example: Here is a New Contact Follow Up Delegation System you can use:

1. You network, collect cards and writes notes on all cards or leads come in from other

sources.

2. You organize the cards and information received and categorize for Hot, Warm or

Cold Prospect or Referral Source. You mark where met and any notes. You note

whether Auto Add or Not Auto Add to ezine list.

3. You send your contacts weekly to your Virtual Assistant (VA) either by mail, email,

fax or pickup.

4. Your VA enters everyone into new Excel spreadsheet by Auto Add or Not Auto Add,

sorting by category and where met and adding your notes as needed.

5. Your VA mails initial letter, handwritten note or postcard (depending on what you

have set up to go out first)

a. Then 1 week later, your VA schedules to send or mails out your second follow

up marketing piece

b. Then 1 week after that (2 weeks after initial mailer sent), your VA schedules

to send or mails out your third follow up marketing piece

6. During that same time period, your VA enters all email addresses into Constant

Contact (or your preferred email marketing program) by Auto Add or Not Auto Add

list

7. Your VA sends out Initial Follow Up emails (templates) separately to Auto Adds vs.

Not Auto Adds

a. Then for Not Auto Adds your VA schedules the 2nd Email Follow Up to go out

1 week later.

b. Then for Not Auto Adds your VA schedules the 3rd Email Follow Up to go out

2 weeks after the Initial Follow Up Email.

c. For Auto Adds, your VA will merge the Auto Add contacts and email

addresses into your master ezine list to start receiving the regular ezine.

8. During this time (within 1 week of new contact) you should send a personal email

and/or call any hot or warm prospects or referral sources or personally follow up with

those who had specific questions or needs.

a. Then if they want your help, product or service give them quote, link to buy or

whatever you need to do to get them to sign up and keep checking in with

them until they make a purchase.

b. If they say no or not now then get them on or leave them on your ezine,

mailings and annual follow up plan. Of course you can contact them more

than once and take up to 4-5 nos if you want for best results.

Now, take this copy it into a new sheet of paper, revise it to fit your needed follow up tasks and whoalla!

Then do this for every task you want to delegate – get it out of your head and onto paper. Write out the first 5 tasks you want to delegate then take out a clean sheet of paper

for each one and write out your system.
