GLOSSARY OF TERMINOLOGY “Line” boats: technique of portaging a raft, where the guide is on the bank and uses a rope

attached to the raft , to control the raft while it is in the current without passengers and guide.

Ghost Boat: Portage technique where the raft is pushed into the current to go down a rapid

without participants and guide. The boat is collected in the pool/Eddie at the bottom of the rapid by the guide or safety kayakers.

Grade range: The grade refers to the level of difficulty of the rapids/river, and the range refers

to the rapid/river may become more difficult or easier depending on water levels that change.

Guide: The person steering the raft. Guide position: Refers to the job positon the person holds in the company. Positions may

include but are not limited to; guide, senior guide, safety kayaker. HIRA: Hazard Risk Identification Assessment In Country: Refers to anything with in the country that an expedition is being run. In country

may be used to refer to, but not limited to local staff or business. Instructor: Is a person who provides technique instruction above that of a guide and who

is locally employed in the country of the expedition. River Trip Leader: Is responsible for the overall safety and on river operation of the expedition

and must be fluent in both the local language and English. The River Trip leader works closely with the Expedition leader to ensure the smooth running of an expedition both on and off river.

Expedition Trip Leader:Is responsible for the off river operation of an expedition such as, but not

limited to hotels, transport, off river catering, and sightseeing. The Expedition Leader may liaises with participants prior and post expedition on behalf of Join Adventures & Rapidrunner Pvt Ltd and must be fluent in English. If a participant group is non English speaking then the Expedition Leader may be fluent in the participant language as well as English. This role may also be covered by the Expedition Leader.

IRF: International Rafting Federation Local Companies: Are any companies contracted to in the country of the expedition. This included

but is not limited to rafting/kayaking companies, hotels, adventure companies, restaurants, transport companies.

Local Staff: Is anyone employed by local companies. Participant: Anyone participating in a Join Adventures activity that is not employed by Join

Adventures or local companies. Portage: Is the moving of equipment and people around a rapid, after the rapid is

deemed not safe to run. R1: Single guide, guiding a raft with no other guide or participants in the raft. Read and run: Visual check, and navigation of a rapid while remaining in the raft.

Scout: Checking a rapids suitability and the way to navigate the rapid. Checking for dangers and where safety can be set up. This may be done by a Safety Kayaker from their kayak or by the raft guides, by stopping the rafts and walking to a suitable viewing location.

Staff: Anyone employed by Join Adventures & Rapidrunner Expedtions Pvt Ltd Supervisors: Parent, guardian, or elected person in charge of the decisions of a person

under the age of 18 years. This may also be a teacher or school representative.

INTRODUCTION TO MANNUAL

Join Adventures Expeditions

A program foundered by Dipesh Gurung (Nepali Guide) and Laura Oakley (Australian) that develops expeditions that go above and beyond the standard trips available in Nepal. Specializing in extended expeditions of 15-30 days, the expeditions are designed to naturally promote cultural sharing between the teams Nepali paddlers and participants. Join Adventures also specializes in developing expeditions for people of any skill level and for participants with physical disabilities.

Join Adventures Trip Leaders and Guides receive specialized training in Kayak Instruction and Program Facilitation. They are a team committed to making white water expeditions possible for people of all skill level. They have a can do attitude to work outside ‘standard norms’ which allows us to be adaptive for people with physical challenges. Above all the Join Adventure Team is welcoming and inclusive to all people regardless of nationality, gender, LGBT, religion, skill level, or abilities.

Join Adventures Community Programs

The dream of Join Adventures started with how to support local team and local community, whether that be in sponsoring training, competitions, or providing equipment loans. Join adventures create a group saving system that would let the team help each other and help the community. So this is exactly what we did. Every trip allocates a specified amount of money per participant to go towards the team savings. These saving are then used to provide the sponsorships to local paddlers and community projects.

Rapidrunner Expeditions is an environmentally friendly rafting and kayaking company in Pokhara that actively works to minimize our impact on the natural environment. We are members of the International Ecotourism Society and we encourage everyone who joins one of our trips to appreciate the fragile natural beauty of Nepalese rivers.

General Responsibilities Management

• Provide adequate management & supervision to be satisfied that all guides are trained, qualified & competent to lead each activity.

• Maintain records of all guides’ certifications, qualifications and government ID.

• Assess guides prior to approval work on each guiding position for related activity.

• Ensure all guides are familiar with standard operating procedures.

• Provide CE or ISO certified safety equipment

• Maintain all safety equipment per the manufacturers’ recommendations.

• Provide adequate first aid kits and ensure guides are knowledgeable of contents and competent to administer first aid.

• Responsible for the safety & ability of all vehicles & drivers.

• Remain aware of weather forecasts.

• Maintain up to date emergency contact information and follow communications protocols.

• Provide pre-departure information

• Available 24 hours a day in case of emergency.

• River Guide Responsibilities

Trip Leader The Trip Leader (TL) is the guide in charge, responsible for managing all guides & trainees, providing leadership, communication & primary care for all participants & crew on trip.

• Follow management instructions & operational procedures

• Provide guides & trainees with instructions & leadership to work as a team safely.

• Will be satisfied that all guides are trained & competent to guide within the scope of each trip they lead.

• Will be satisfied that all guides are adequately outfitted.

• Will provide participants with comprehensive safety briefing, demonstration & instruction.

• Will ensure participants are empowered with informed choice to join each activity, with clear understanding that rapids may be portaged

• Maintain professionalism & lead by example, both on & off the river.

Guides / Trainees • This include all guides, safety kayakers, gear raft crew, trainees & any other river crew on trip.

• Will follow instructions & cooperate with Trip Leader in accordance with operational procedures.

• Ensure they carry required safety equipment on each trip. If a guide is unable to supply the equipment they must notify management prior to expedition so that equipment can be arranged for the expedition.

Participants’ Responsibilities • Will read, listen & fully understand the trip information provided to them by Rapidrunner

Expedition Pvt. Ltd. in order to make informed decisions while on trip.

• Will read, agree & sign the terms & conditions on booking form prior to joining. **If under 18 years of age – a parent or guardian will read, agree & sign on behalf of the participant**

• Will provide Rapidrunner Expedition Pvt. Ltd. with accurate passport information, insurance details & emergency contacts

• Will inform Rapidrunner Expedition Pvt. Ltd. of any pre existing medical, mental or physical conditions.

• Accurately inform Rapidrunner Expedition Pvt. Ltd. of their personal swimming ability.

• Will actively participate, cooperate & follow instructions provided to them by guides.

• Wear appropriate footwear & clothing as recommended by by Rapidrunner Expedition Pvt. Ltd.

• Wear PFD and helmet at all times while in or on the water.

• Will inform Trip Leader if going away from the group at anytime.

• Will abstain from the use of illegal drugs or alcohol during rafting activities. Alcohol may be consumed in moderation when in camp for participant over the age of 18.

Environmental Policies

Nepal is a challenging place to follow perfect practice to help protect our environmental; however we strive to excellence in Leave no Trace principals. We are committed to helping protect our rivers and environment for future generations. Leave No Trace

1. Plan Ahead and Prepare

• We research and know the regulations and special concerns for the area we visit

• We prepare for extreme weather, hazards, and emergencies.

• Where possible we schedule our trips to avoid times of high use.

• We keep our group size small to minimise impact.

• We do not use marking paint, rock cairns or flagging for marking tracks. It is custom for Nepali people to build rock cairns in areas considered of religious importance. For this purpose we allow our staff t continue this custom in those areas such as High Mountain Passes and Mani Walls.

2. Travel and Camp on Durable Surfaces

• Where possible we camp on river beaches, well back from the river.

• We only use established trails to access the river

• Good campsites are found, not made. We discourage any altering of a camp site, as it is not necessary.

3. Dispose of Waste Properly

Reducing Rubbish

• We shop with mindfulness to reduce packaging

• We reduce and remove all unnecessary packaging prior to bringing supplies to the river

• We use reusable bags for shopping and carrying

• We carry out all rubbish with us. Where possible we carry out rubbish left behind by others

• We treat clean local stream water & discourage participants from use of disposable water bottles

Toilet

• We bury human waste in dug pits, and build these toilets as far away from river sources as possible and in active soil when available (If possible we aim for100m-200m away from the river)

• If required to bury food scraps, bury in toilet to aid decomposing

• All toilet paper is burnt Washing Up

• We wash our dishes well away from river

• We strain food scraps as much as possible from dirty dish water and dispose of with the rest of food scraps appropriately

• We scatter our dirty water well away from river Food Scraps

• Where possible our extra food is given to local villages for personal or livestock consumption

• Food that we can not give away to villages is buried in active soil (toilet)

• Dish water is strained and food scraps are dispose of appropriately

• We DO NOT throw food scraps in river Bathing

• We encourage our guests to bucket shower well away from river

• We request participants to bring biodegradable soaps for personal use

• We do not bathe or wash equipment in river with soap

4. Leave What You Find

• We encourage our guests and staff to preserve the past: o To examine, but not to touch cultural or historic structures and artefacts. o To leave rocks, plants, and other natural objects as you find them. o To not build structures, furniture, or dig trenches.

5. Minimize Campfire Impacts

• We use gas for cooking meals (when possible)

• We minimize campfires based on sustainable availability of wood in local area

• We keep campfire small to preserve our environment.

• We use Himalayan Bricks (sustainable fuel source – when available).

• We try to burn all wood and coals to ash and then scatter the cool ashes

6. Respect Wildlife

• We encourage our participants to observe wildlife from a distance, and not to follow or approach them.

• We do not feed wild animals

7. Be Considerate of Other Visitors

• Our teams honour respectful behaviour and uses respectful behaviour towards others

General Safety & Risk Management

Providing Safety on the River Trip Leaders, Instructors and Guides are trained in swift water rescue. Rafts provide cover at the bottom of a rapid, and kayaks are used to provide cover both in and after rapids. Safety Kayakers, kayak instructors and guides can perform bow and stern rescues, assisted ferries, assisted kayaking and deep water rescues.

River signals River signals are as per the International Rafting Federation (IRF) Standards.

Drugs and Alcohol Rapidrunner Expeditions Pvt Ltd has a zero tolerance to drug use on the river and alcohol may only be consumed on a social level after making camp for the evening. 1 beer per guide per day is the accepted level of alcohol a guide may consumed while employed on expedition, this includes rest days as all staff are on call. A guide must have a zero blood alcohol level during river guiding activities.

Right of Refusal Join Adventures & Rapidrunner Expedition Pvt. Ltd. reserves the right to refuse participants at the discretion of the Trip Leader, for part or the entire expedition should the participant present;

• Intoxicated by drugs or alcohol

• Abusive/Harmful behaviour to themselves or others

• Disregard for instructions

• Overweight (Our PFD’s can accommodate a maximum weight of 110kg)

• Unable to understand instructions due to language barrios. (We try to be as accommodating as possible, however safety is our first priority).

• Under age (Each activity and season has different minimum age limitations)

• Physical, mental or medical condition which could create a risk to the participants’ safety or the safety of our other participants or crew.

Training & Certification Standards Join Adventure & Rapidrunner Expeditions Pvt Ltd operates to international standards. Over and above the minimal Nepalese industry requirements. Owners/Management will maintain records of all guides’ certifications, qualifications, & government ID.

River Guides Qualifications All River Guides must maintain the following training & certification. Trip Leaders - Raft & Kayak

• Rescue 3 WRT (or equivalent)

• Wilderness First Aid (16 hrs minimum)

• NARA license

• Assessed by In House Training

• RAFT - IRF Trip Leader – class III & above. This qualification is preferred but not required as it is not always possible for staff to complete or afford the assessments.

• KAYAK - IRF Safety Craft – class III & above. This qualification is preferred but not required as it is not always possible for staff to complete or afford the assessments.

Guide & Instructors – Rafting & Kayak

• Rescue 3 WRT (or equivalent)

• Wilderness First Aid (16 hrs minimum)

• Assessed by In House Training

Trainees - Raft & Kayak Trainees are in a process of learning. They will only be asked to preform tasks which the Trip Leader feels is within their skill set. A trainee will not be made responsible for the safety of participants, although they may assist in safety should their skills be of sufficient standard.

In House Assessments In-house assessments must be completed by all guides prior to approval for work.

Equipment Standards Guide Safety Equipment Guides are responsible for supplying their own personal safety equipment & outfitting. Financial assistance and pro-deals can be applied for with Owners/Management. Trip Leader

Lost & Damaged Equipment Lost equipment must be reported by the Trip Leader on the trip debrief form and submitted to management immediately upon return. Equipment Maintenance Equipment is to be maintained according to international manufactures’ recommendation. Appropriate PFD floatation tests & helmet checks should be completed as required. Equipment must be loaded, rigged, used, unloaded, re-used, cleaned & stored appropriately according to management instruction & training.

Ratios Management may increase ratios depending on water levels and participant dynamic if required. Trip Leaders should consult management if a change to guide scheduling is requested. Final guide allocation is the discretion of management, but must be satisfied by the Trip Leader before departure. Support Raft accompanies all Beginner Kayak Clinic’s & Expeditions, providing additional safety & back-up support, unless discussed and approved by all participants in advance. Kayaking for Experienced Kayakers 3 participants to 1 guide School groups & Youth groups Join Adventures requires the ratio of a minimum of 1 Supervising Adult Participant (representative of school or kayak group) to every 10 Students. This person may be an outdoor education instructor, teacher, parent or school/club selected representative. This person is in addition to the Join Adventures or local company staff. Where schools require a higher ratio with in their own safety standards, we require this ratio is met. Gender Ratios for school groups & Youth groups: A minimum of one supervising adult of the same gender as participating school students is present on any trip. This gender ratio can be met by the Expedition Trip Leader, River Trip Leader, Guest Instructors, Teacher, Guardian or Parent. Gender ratios do not apply for group over the age of 18 or for participants accompanied by a legal guardian. Debriefing & Incident Reporting It is critical to communicate and report all accidents and potential accidents or “near-miss” situations. This helps monitor operations carefully and allows us to learn from each experience. Trip Debrief Form – (Minor Incident report form) Monitor trips and provide an easy reporting system for Trip Leaders to share both problems as well as successes with management. It is the responsibility of the Trip Leader to complete the trip debrief form and submit to management immediately after each trip. Major Incident Reports must be completed by entire team in the following situations:

When the difference between charges reaches a potential greater than the ability of the air to insulate, lightning reaches out to equalize the difference. The bolt of electricity is a direct current that may reach 200 million volts and 300,000 amps, with a temperature of 14,432° C. The bolt may reach out over 1 ½ kms in front of a storm, and move through a channel 8 cm wide. Prevention

• Be as proactive as possible, read the weather. Look for cumulonimbus clouds (large, dense, anvil-shaped) and be aware of specific weather patterns in the region.

• Avoid likely target areas.

• When you see the lightning flash, begin counting, until you hear the thunder. Sound travels at about 1.5 km per five seconds. If you are within 30 seconds between flash and thunder, it is time to act preventively (see 30/30 Rule below).

The 30/30 rule I30 seconds or less from the lightning flash to the thunder. Groups avoid high and exposed areas. seek shelter if available and get off the water. Groups will wait at least 30 minutes after the last thunder before assuming that it is appropriate to continue the activity. The 15-second rule 15 seconds or less from the lightning flash to the thunder, groups prepare to get into a ‘lightning position’. The 5-second rule This means if there is 5 seconds or less from the lightning flash to the thunder the group will seek an appropriate place to get into a ‘lightning position’. Lightning Position Crouch or sit on back packs, sleeping pads or some other nonconductive object, and make yourself as small as possible.

• Take off any backpack or similar load

• Remove, and stay away from, all metal objects

• Spread the group out, approximately 15 metres apart if space allows, reducing risk of multiple injuries. Ensure you maintain communication within the group

• Crouch down, feet and knees together, put your head down, cover ears with hands and try and make yourself the smallest target possible while minimising your contact with the ground If anyone is struggling to maintain this position, use a backpack, rolled up mat, stuffed sleeping bag or bag of clothes to sit on. Do not touch the ground.

Groups will not seek shelter in

• Shallow caves, overhangs, rocky outcrops, towers, tall trees, fences, telephone lines, power lines and metal objects

• Single large trees in the open

• Rivers, lakes, and other bodies of water. If on the water, get off and seek appropriate cover Groups will avoid

• using communication devices

• Find a suitable location to park

• Avoid hazardous areas as described above

• Turn off radio equipment

• Stay in the vehicle, stop the engine and avoid touching anything metal Treatment of Lightning Strike Victims Ensure you and the rest of the group are in the safest place – do not add to the casualties. If moving in convoy to safest place get the group to continue to keep moving.

• Follow emergency procedures as outlined in this operations manual.

• CPR can be successful with lightning strike victims if administered quickly, therefore treat those who appear dead (not breathing) first.

• Treat all obvious injuries – burns are a likely consequence.

• Evacuate all patients – some could have received minor shocks without obvious symptoms.

• Maintain communications.

Landslide

Nepal witness’s multiple landsides every year due to the mountainous landscape & subtropical climate. Landslides can vary in size & the related damage they cause. Landslides are caused by a number of different factors. One of the main contributing factors to landslides in Nepal is ground saturation from the Monsoon. Nepal has many steep hills and mountains. The Monsoon saturates the hillsides and leaves the earth nothing to hold onto. Gravity then takes over and pulls the excess loose earth to the ground. Landslides normally occur during the Monsoon season late June – mid September. Most of the trips we operate are outside this period. Landslide Precautions - Road Travel

• Management, Drivers & Trip Leaders to observe weather reports & patterns.

• Seek out local advice & road condition information from authorities and other reliable contacts in landslide prone areas. Keep up to date. Assess & plan accordingly.

• Seek out up to date information on river condition from river guides, local authorities and other reliable contacts with current access to the area. Assess & plan accordingly.

• Avoid driving to areas renowned for landslide history whenever possible, especially following heavy rainfall.

Landslide Precautions – While on the River

• Trip Leader & guide team to use their knowledge of the river to keep keen observations of the environment surrounding the river and any unusual changes.

• If a potential landslide zone is spotted the trip is to stop whilst a safe scout of the area in concern can be taken.

• Seek out up to date information on river condition from other river guides, local authorities and other reliable contacts with current access to the area. Assess & plan accordingly.

• Clear communications to be given on a dynamic basis to ensure client safety.

• Listen to the local population on the river banks to learn of any changes in the local area.

Flash Flood Foods can vary in size & the related damage they cause. Flooding normally occur during the Monsoon season late June – mid September. Most of the trips we operate are outside this period. Flash floods occur in Nepal due to 3 main causes:

1. Heavy rainfall 2. Glacial lake outburst floods (GLOF) 3. Dammed river due to landslide or other foreign blockage

Flash floods occur over a short period of time from intense rain normally after 6 hours of continual heavy rain. As the land is saturated by the rain the land fails to absorb the continuing rain. Flash floods can also be a result of a landslide blocking a section of river. When the dam breaks, the build up of water pressure causes the river to flood. The intensity of flood depends on many factors including how much water was blocked, for how long and the geography of the area Glacial lake outburst floods (GLOF) occur when a large section of ice breaks free from glacier. As the Ice meets lake a tidal wave is sent downstream causing a surge in the river water level. The volume of water carried in the GLOF is proportional to the size of the ice falling into the lake. Flash Flood Precautions

• Owners/Management, Drivers & Trip Leaders to observe weather reports & patterns.

• Seek out up to date information on river condition from river guides, local authorities and other reliable contacts with current access to the area. Assess & plan accordingly.

• Do not operate trips on any river with uncontrolled dam or blockage situation. Warning Signs of Potential River Blockage or Dam = Potential for Flash Flood

Earthquake

An earthquake is caused by a sudden slip on a fault. When the stress on the edge overcomes the friction, there is an earthquake that releases energy in waves that travel through the earth's crust and cause the shaking that we feel. Earthquakes are often the cause of landslides in Nepal. There are no warning signs for earthquakes. There are no specific precautions we can take for earthquakes except to remain vigilant, up to date in our training and emergency protocols. Earthquake Procedure 1. Assess situation & Signal trip to STOP. 2. Ensure you and the rest of the group are safe. HEAD COUNT. 3. Keep/put PFD & helmets on. 4. Instruct the participants to leave all personal belongings behind. 5. Reach for safe open ground with as little threat of landslide or falling debris as possible. Higher

ground is best to protect against potential landslide and flood as a result of tremors. 6. Stay clear from power lines, buildings or anything that could fall towards you. 7. Follow emergency procedures as outlined in this operations manual. 8. Help keep group calm. 9. Maintain communications. 10. Remember aftershocks are to be expected. Remain in safe place. 11. Contact management to provide briefing and request information. 12. Assess situation, understand epi-centre location & severity of earthquake to help to decide

whether trip can continue. Work with management to seek out up to date information and make final decision.

13. Road conditions back to Operations must be checked carefully to assess potential damage / threat of landslide.

STUDENT & YOUTH SPECIFIC Join Adventures specialise in building programs for youth teams. We work closely with the groups leaders to give youth participants every opportunity to explore Nepal, share culture and develop independent life skills, while our having their safety as our number one priority.

Staff Group Leader Is the adult responsible for organising the group from their country of origin. This may be a team’s coach, school teacher, parent, or specialised outdoor instructor who represents the group. This person is not employed by Join Adventures (Rapidrunner Expeditions Pvt Ltd) Country of Origin Leader (COL) Is an experienced outdoor education, kayak or raft leader with international guiding experienced, who is known to Join Adventures and whom we can recommend for an international leadership position. A Country of Origin leader is a huge benefit to the leadership team and holds qualifications in;

• Outdoor Education/recreation

• Wilderness first Aid (min 60 hours course)

• CPR

• Raft or Kayaking Qualifications or extensive experience

• Previous international travel experience in developing countries and or leading groups on international destinations in developing countries

• Working with Children’s Check (Australia, state specific to group)

• Working with children certification specific to the country of origins (Non-Australian Groups) Western guides cannot be employed legally in Nepal. Therefore our Country of Origin Leaders are able to be directly employed in either a paid or unpaid position with the youth groups school or club. If employed in a paid position, payment details are arranged directly with Country of Origin Leader and the school/club/group. If employed in an unpaid role, school/club/group and Leader of Origin should clearly agree what is financially covered for the Country of Origin leader, including insurances. Join Adventures Trip Leader Is employed by Join Adventures/Rapidrunner Expeditions Pvt Ltd and is responsible for all aspects of the expedition. The Join Adventures Trip Leader will remain with the group for the duration of the expedition. If they need to attend to expedition needs away from the group another staff member of the expedition will remain with the group. Guide Team – Youth Group Specific Our local guide team is specifically trained by our Team Leader, Laura Oakley, a highly experienced Outdoor Education Instructor from Australia who has more than 16 years guiding experience. Our Guide Training for Youth Teams includes;

Group Safety - Off The River • Group Leaders and Nepali Join Adventures Trip Leader will remain with the group for the

duration of the expedition. From arrival to departure at Kathmandu Airport.

• Our Join Adventures Trip Leaders (or senior staff member) speaks both Nepali and English. In case of emergency they are able to communicate quickly and effectively in both languages.

• All Group and Join Adventure Leaders will provide their contact details to each other and each participant of a student/youth group. All leaders will remain on call for the duration of the expedition.

• At each location on the expedition student/youth participants will be given clear boundaries as well as a briefing of what to do incase they become lost.

• Tight group management is required in the urban environment; especially on public transport.

• If youth/student groups are to be given free time in an urban setting they must be given clear boundaries, travel in a group of 4 and meet with leadership staff every 2 hours. This independence is only given at the discretion of Leadership Team.

o Set meeting times and places o Point out obvious landmarks that can be used to relocate o Ensure everyone carries details of accommodation or knows how to find it o Ensure everyone carries contact details for Leaders o If lost and no means of communication, seek help from the police or local officials

Accommodation • Hotel accommodation/Guest Houses Hotel accommodation/Guest Houses are normally pre-arranged. Each accommodation venue we check;

o There are no gas appliances in the room o There are no electrical hazards o Rooms are secure with internal locks on doors and windows as appropriate (A window

on the 4th floor with no means of access does not require bars on the window) o Balconies are visually checked by staff for structural soundness o Are barriers on balconies at least 1m tall & secure o Accommodation is arranged in reputable tourist locations

• Homestays o Are arranged with pre-approved homestays only o A groups leader or our Join Adventures Trip Leader/s will stay at the homestay with the

group o If a group is split between 2 or more houses in a village the adult leadership party will

separate to ensure one adult is in each home.

Cooking & fires • Students/youth will be supervised at all times while cooking by Group Leaders or Join

Adventures staff.

Dietary Management • All Staff will be briefed on any participant dietary requirements

• Staff will cater for all participants dietary requirements to the best of their ability.

• Participants will be given assistance to purchase extra snacks and emergency meals when in suitable towns, in case an unplanned meal stop occurs on the expedition.

Smoking • Smoking should not be condoned or encouraged

• Staff will not purchase cigarettes/tobacco for student/youth participants

• Smoking in tents and other sleeping accommodation is forbidden for safety reasons

• Staff will not smoke in the presence of student/youth participants

Alcohol • Alcohol consumption is forbidden for student/youth groups.

• It is at the discretion of the School/Club if the Group Leader can consume alcohol, but at no time may a group leader be intoxicated

• Join Adventure Trip Leader will not consume any alcohol for the duration of the expedition

• Join Adventures Staff will not consume alcohol while on river expeditions. If staff have been allowed to go home on rest days, there is no restriction. However if a staff member is ‘On Call’ they may not consume alcohol.

Lost Procedure In the case of a missing person, an initial brief “hasty” search will be conducted by the leadership team:

• Clear searching areas and return times will be established, with audible or visual contact with remaining members.

• Leaders to identify the student’s last known point.

• Identify what they were wearing and other relevant information.

• Record all this critical information, call their phone if they have one

• Move to an elevated position to gain a better vantage point If the participant has not been located within 1 hour:

• Contact Join Adventure and Rapidrunner Expeditions Pvt Ltd management who will engage the assistance of local authorities.

Travelling on Public Transport Expeditions generally use private transport, however should a group travel on public transport the following will be followed;

• Participants will be accompanied by Join Adventures Trip Leader on public transport.

• Leadership will implement a “lead and sweep” group management system, with the Group Leader and Join Adventures Staff when using public transport.

• All participants will be travelling with a valid travel pass.

• All travel safety briefings will include, as applicable to the program.

• Participants to be seated where possible, where seats are unavailable participants may stand with feet shoulder width apart and three points of contact (e.g. holding a post or handle)

Sexual Relationships All reasonable precautions should be taken to prevent sexual relations between student/youth participants. Communal sleeping in open tarps is common on the river, tarps for each gender will be provided. Tents may only be shared with members of the same gender.

• Sexual relations between student/youth participant or adult staff and local people is not condoned – not least due to the risk of infection or unplanned pregnancy

• Sex between members of the Leadership Team can be highly damaging to group dynamics, is unprofessional and is expressly discouraged

• Sexual relations between Leaders and Challengers (of any age) during or on return from expedition is absolutely forbidden

Bullying All reports of bullying should be taken seriously and addressed appropriately

Mandatory Reporting/Child Protection Should a student/youth participant disclose information, or a leader suspect due to behaviour the following:

• Abuse o Physical o Emotional o Sexual (includes sexual harassment) o Neglect

• Mental health

• Eating disorders

• Suicidal comments/behaviour Staff member will report to Join Adventure Management, who will work with the Group Leaders and their appropriate chain of command. A staff members roll is not to investigate or collect evidence to indict an offender, but to support the student and take them seriously, to support the Group Leader and report the incident/information immediately.

If the alleged offender is on expedition. In the case that the alleged offender is another person on the expedition, staff members will immediately notify the Join Adventures Trip Leader and Join Adventure Management. The accused staff member or student must not be left unsupervised and evacuation is the most probably outcome. It is not the role of staff to judge the validity of the accusation and the alleged offender. Staff responsibility is to minimise the risk of harm and respecting each parties’ rights and confidentiality.

INSURANCE

Many of the locations of the rivers we explore are in remote areas far from roads. Therefore,

participants must hold valid travel insurance which covers participation in white water activities (up

rescue). If your insurance company refuses payment of emergency transportation, by signing this

form you are accepting responsibility to cover all expenses involved in getting you to a medical

facility.

ALTERATIONS

Rapid Runner Expeditions reserve the right to make alterations to expedition details, and any other

company documents, before and after booking have been received. Most of these changes will be

minor and we will inform you at the earlies opportunity.

GENERAL

Rapid Runner Expeditions cannot be held responsible for weather conditions and we reserve the

right to alter/substitute the events/disciplines/activities due to weather, transportations strikes,

mechanical failure or in the interest of safety.

ALCOHOL/DRUGS

Any persons who is suspected of being under the influence of alcohol or drugs will not be permitted

to participate in any activities. No alcohol may be consumed until all activities have ceased for the

day. Please inform your trip leader if you are taking any medication while on the expeditions.

PRESUMTION OF RISK

Rapid Runner Expeditions, its agents, associates and suppliers does not accept responsibility for any

illness, injury or death, traveling risks, loss or damage to your possessions, or for medical and rescue

expenses. You are acknowledging that this is a liability release and is a legally binding contract

between you and Rapid Runner Expeditions PVT LTD and that you are signing of your own free will

on behalf of yourself. In the case of minors under the age of 18 years, this form must be signed by

the parent or legally appointed guardian.
