JOB DESCRIPTION
POST TITLE: Festivals Assistant – Freelance Role
LOCATION: Dartington Hall
DEPARTMENT: The Arts at Dartington
RESPONSIBLE TO: Jude Wright, Creative Producer: Space
MAIN PURPOSE: To assist the producer in administration and operations forThe Tagore Festival produced by the Arts at Dartington.
Duration: April to July 2013
KEY RESPONSIBILTIES:
1. Communication and Working Relationships
1.1. Deal with telephone and email enquiries from public and artists.
1.2. Work closely with the Festival Producer, Jude Wright.
2. Planning and Organisation
2.1. Assist with documentation, including the drafting and issuing of; contracts, production
schedules, internal briefing information, risk assessments, and accommodation and arrival
notes.
2.2. Assist with all the day-to-day demands of festival planning and delivery, including but not
limited to; artist liaison, briefing other DHT departments, and ensuring that high quality
audience experience is always at the forefront of what we do. The Festivals Assistant will
also be required to support the delivery and demands of artist residencies, where artists are
developing work for inclusion in the festivals.
2.3. Collate documentation and data for evaluation, prepare evaluation for funders post-festival.
3. Administration
3.1. Support the Producer with administration of the festival including maintaining up to date
records, filing, photocopying, and archiving.
3.2. Attend festival meetings and take minutes as required.
3.3. Work with the Marketing Administrator to ensure all required information, including copy
and images, are available to agreed deadlines for the appropriate marketing of the festival
and souvenir programmes, and to support distribution of marketing materials and social
networking as required. Support also includes proof reading, and ensuring the festival web
pages are up to date.

3.4. To maintain a dynamic online profile for the festival via Social Media.
3.5. Provide the necessary information on a day-to-day basis to the Box Office Manager in order
that they can suitably manage the ticketing and box office requirements for the Festivals.
4. General
4.1. Manage the festival office during the festivals, including greeting artists, dealing with
enquiries, and giving out information and arrival packs including meal vouchers, maps, and
keys to accommodation.
4.2. There may be the opportunity to, produce a specific element of each festival (such as a
family activity or visual arts exhibition).
4.3. Provide excellent customer service with internal and external customers.
4.4. Promote anti-discriminatory practices in all work undertaken.
4.5. Have an understanding of the work and aims of Dartington.
4.6. Undertake training and development relevant to the role.
4.7. Any other duties commensurate with the level of the post.
