How to set up your first jam session and invite your friends

Use this document as a guide to configuring your first webinar with

WebinarJam Studio.

We’ll walk you through how to create a webinar, invite your friends,

and get the webinar started!

Configuring Your First Webinar

Congratulations!

You are going to set up your first WebinarJam session!

Let's face it, practice makes perfect. Whether you're an old pro at setting up webinars or just starting out, creating a “Jam Session” is a

great way to get familiar with setting up WebinarJam and running a

webinar.

So let’s get started!

1. From your WebinarJam Studio Dashboard, select New Webinar.

2. You want a "test webinar" since this webinar is testing WebinarJam

with friends but still has all the normal features.

3. Webinar Name is for your internal reference. It appears on the

dashboard so you want a name that's descriptive and easy for you

to identify, like "First Jam Session."

4. Webinar Title is the title that appears for the public, so you will type

in "Jamming with Friends". This is also going to be the title of your

video on the replay video in YouTube.

5. Here you'll add a description like "My first Jam Session with my

friends". This description will be public

6. Do you speak a language other than English? Choose one

here. Your webinar interface and pages will change to your chosen

language for your audience.

7. Schedule your webinar for a future time and we’ll show you in a

step coming up how to let your friends know about it.

8. This icon header shows you how far you are in the steps of webinar

creation

9. At every step there’s a help video, which you can see by clicking on

this arrow.

Scheduling Your Jam Session

Since you picked Schedule it, a few more questions appeared at the

bottom!

1. You can choose from a One-Off (single) Webinar or Multiple (which

is great for a series). Since this is just a Jam session with friends,

you are going to choose a one-off.

2. Click the calendar. From there you can easily pick the best date for

you and your friends!

3. We use a 24 Hour clock.... So you want to choose 19 for 7pm (7am

is right under it) After you choose that, you'll get another clock

allowing you to choose what minute you want to start.

4. What time zone are you in? Choose your time zone here.

5. Webinars-On-Demand is a directory where we publish upcoming

webinars to the general public. Webinars that are listed there can

be found and joined by anyone. Since you don't want strangers at

this webinar, you will want to choose "Don't List Your Webinar."

Save and next!

NOTE * If the "Save & Next" button is not green, or if you click it and

nothing happens, take a look at the form on the page. If you forget to

fill out a mandatory field (or fill it out incorrectly), the box around it will have a red highlight, and the system will not allow you to go to the

next step until it’s completed.

Setting Up Presenters and Admin

Now we are going to set you up as webinar owner and set up one friend as a co-presenter. Most of the registration pages will only

display two presenters, so I'm only setting up two.

In this image you can see, Donna and I are the admins for this

webinar. However I made a mistake in setting up my information.

1. Click the pencil to change the admin information

2. Add a 80x80 image. If your image is not square, it will distort like

the image I used for Donna.

3. Add Name and a Google email address * see below

4. For the first person, you can choose if this person is the Webinar

Owner and if the person is an Active Speaker. Make certain to save

the person. ** See Note

Google Email: Because WebinarJam is based on Google Hangouts, all

webinar admin / presenters will need an @gmail.com address, an

@pages.plusgoogle.com address, or a Google Apps email address (this is a private domain, managed by Google).

Webinar Owner: You want to use the @gmail.com account connected to the YouTube account where you want the webinar replay video

posted. This is also the G+ account where all webinars will be

automatically announced.

Active Speaker: Someone who will be speaking and/or seen on the webinar, even if all the person does is introduce the other speakers. If

this box is left unclicked, the person can be in the live session, but

won’t be able to speak or be seen (this is a great option for a chat moderator).

There will be a blue button that will allow you to add additional

admin/presenters. While this is a Jam with Friends, we're still limited to just your and 9 others who can be setup in advance, but we're

going to use a new feature of WebinarJam Studio to bring in additional speakers.

Registration Page

Webinars that are scheduled for "Right Now" skip the registration page, since if the webinar is now your invitations will direct them right

to the webinar room.

Since you picked a "Schedule It" for later webinar, you are sent to this

page to set up your registration process.

1. First click the pencil on the upper right.

2. Click next and previous to find a template you like.

3. Add your headline, like "Hey Friends! Join me in a Jam Session."

4. Click right here to either upload your own image or to use one of

our predefined images. * NOTE * the image to the left will not

change.

5. Then add "Join the Jam" to customize the button. We're not going

to do a video, but if we did, we would use the YouTube link.

YouTube is encoded to work with the program.

6. Click Confirm

You will then be able to edit this template or preview it. Preview it to

confirm things are lined up correctly for you. Videos sometimes don’t play in the preview screen. If you added a video and it doesn’t play

when you preview, don’t worry… it will on the live page.

Then click Save and Next! which will then be green

Background Image

Some templates give you the option of setting up a background image. There are several great images preloaded into the system, or you can

choose Custom Image.

NOTE: You can either use your own URL or upload an image. If you use Image URL, make certain the URL ends with .jpg or .png.

NOTE: The page won't look right if the image is too small so you want at least 1250 x 750. Also, in the case of the templates with the large

background image, your images will be stretched to fit an individual

user’s browser. So if you choose an image with words on it, those

words will warp and distort if the image is too small. Different parts of the image may be covered with the form, or cut off because the device

is smaller.

Setting up Notifications

Of course after all this work, you don't want your friends to forget

about the webinar, so you'll want to set up some notifications so they'll

be reminded!

1. Click the pencil

2. Select email notifications.

3. In the popup screen that will appear you can choose "Use Our

Server" or "Use Your Server" You are going to pick "use your

server" and add your name and email

4. Choose how many hours before you want your PreWebinar

Reminder and your Last Minute Reminder to go out* NOTE * You

can only edit the time when you use our servers, for more control

of what is said in the message, you’ll have to use your own server.

For now, we’ll stick with our servers.

5. Confirm, then press Save and next!

Integrations

Since this is a "Jamming with Friends" session; integrations are not

necessary, so you're going to just click

Save and next!

Setting up the Thank You Page

Your friends deserve a proper thank you for joining in this Jam Session!

1. So you are going to click the pencil, next to "Display a custom

video"

2. Then you want to add a thank you video, so you will add the URL

from the top of the YouTube video you want to use as a thank you.

In this case, the link is:

https://www.youtube.com/watch?v=1TO48Cnl66w

3. Now you preview the thank you page

4. Confirm and Save and next!

Live Page

While you can pre-configure several things, with your "Jamming with

Friends" webinar you just want "Display social media share buttons."

This way your friends can share the webinar and bring more friends to

this webinar. So click the pencil and make certain "Yes, show social

media buttons" is displayed.

Confirm then Save and next!

Setting up the Replay

Some friends may want to see "Jamming with Friends" over again, but

you don't want this on your YouTube channel for everyone to see. So make certain the replay is enabled and set your recorded replay as

private, then Save and next!

Finish Set Up.

Monetization isn't necessary since you aren't charging your friends to register, so click Save and next and you will see this screen!

Your "Jamming with friends" is all set up!

Before Your Webinar

Now you want to do a bit of Pre-Webinar work. Your Jam Session with

Friends is going to help you test the program, but you need to have

your pieces in place before you get started.

First, make certain you have a quality external webcam. Then print the checklists at the end of this document. There’s one for you and one for you co-presenters!

Getting Links

Now that you are finished setting up, you need to send out links to

your friends.

1. Select My Webinars

2. Select Attendees

Get the Attendee Links

1. You want to send this link to your friends so they can join your

webinar. This is where your attendees go to register.

2. ONLY FOR EMERGENCIES This is the link to by pass registration if

one of your friends lost their link...

3. ONLY FOR EMERGENCIES The Registration link will automatically

switch to this link after the webinar is over, but you can give this

link out if someone has lost their link

Get the Presenter Links

1. Again you are going to go to My Webinars…

2. Then you click Presenters.

3. You are going to login via the live room.

NOTE: It is very important to login via the LIVE ROOM link and

ENTER ROOM see page 26 "Start Jamming with Friends" before

your presenters login or you load the Control Panel.

4. The Control room is a separate link that gives you a wide dashboard

to control the chat and questions, and give you information about

the attendance on the event. It’s a great resource for an admin

that’s helping you monitor the chat.

5. You can either select "Send Via email" to email to your friend or

copy the link to give to them.

6. They can use the control panel as well..

Your Webinar LIVE

It is NOW time for your webinar. You are going to use your Webinar Owner Link to login to WebinarJam and Google Hangouts.

You'll see this screen. Go ahead and name it "Jamming with Friends"

and "Start hangout on air" then leave the "add names" part blank. And Start your Hangout on Air.

Delete Your Google+ Notice

While you marked the video as private, Google + wants to find your

friends... so you may want to delete this post immediately after you

start broadcasting.

I keep my G+ account open in a separate tab, refresh it immediately

after starting the broadcast, and delete the one (or two) posts that are automatically created when the webinar starts.

Start Jamming with Friends Session

Once you see screen below, you can turn off your microphone and camera. You will see them in the top center of the screen. If they are

red like in the image below, then they are turned off. You

NOTE: It is very important to do the following steps in order.

1. Select your webinar (marked #1 above)

2. Select your schedule (marked #2 above) NOTE: This appears for

webinars with more than one session

3. Press the GREEN "ENTER ROOM" (marked #3 above)

Once the WebinarJam Chat box loads, you can invite in other

presenters, and start the control panel (see the section above.

4. Then press the GREEN "START BROADCAST", at the bottom center

(marked #4 above)

Sidebar Control Panel

Depending on the app that you use on the left side, your control panel on the right may disappear. If it does click the WebinarJam Studio

Logo on the left.

1. Depending on the app that you use on the left side, your control

panel on the right may disappear. If it does click the WebinarJam

Studio Logo on the left. If you have two of them, like I do, (one is

my old WJ app and one is the new WebinarJam Studio) then you

want to hover the logo to see which one says Studio.

2. On the right, you want to click the sprocket. Here you can change

who sees the messages, but you want to add a sticky to welcome

your friends.

3. So type "Hello Friends" above the Green "Display a sticky Message"

click the button. And the button will change to red and will put

"Hello Friends" at the top of your chat page.

4. Also note my microphone and my camera are now off. I can also

see the red microphone on the box at the bottom.

Attendees - Request to Speak

Ask your friends to look in the sidebar and they'll see a button where they can request to speak

Invite as Presenter

When you see a red hand, that person wants to become a presenter. You can mouse over other people and ask them as well.

Your Friend Becomes a Presenter

First they will see a Google Verification Screen. Then they will be

shown a screen like the one shown above, which tells them they are about to join a Google Hangout On Air. This will bring them into your

WebinarJam. When they click "Join," you'll see them at the bottom of your screen like in the next image.

Pinning - Focus on one Person

While you are live, Hangouts usually automatically switches screens to whomever is making the most noise.

This can mean that there is quite a bit of jumping around if you and your friends get to talking quite a bit. So, as the Webinar Owner, you can control things a little better, if you wish, by "pinning". Whoever

you, as the Webinar Owner, click on will be what appears to the audience and shows in the recording. Not to worry, it's only clicking on

a thumbnail and unclicking it when you want to change to someone

else.

Return Presenter to Attendee

You want to have less than 10 people talking on your webinar, so on

occasion you'll want to return presenters to attendees. All you need to do is hover by their name and the red button will allow you to "Return as attendee"

Also in this image you can see the blue envelope lets you message any

of your attendees. And the black circle with a line lets you ban an attendee.

Get Your YouTube Link & End The Webinar

1. Click Links at the bottom right, and you'll be able to get your

YouTube Link.

2. At the bottom of the screen you'll see a red Button with "Stop

Broadcast" on it. You'll press that to end your "Jamming with

Friends" You may see the following message "A recording of the

broadcast will now be uploaded to your YouTube channel and will

automatically replace the live video players that were shared.

Please allow a few minutes for the upload and processing to

complete. You will be able to view the recording in your YouTube

Video Manager."

3. Your friends can continue to chat via the chat box. But you can

also click the sprocket to download your chat.

Seeing Who Attended

1. Select the "Analytics" tag

2. Select the webinar you want, in this case "First Jam Session"

3. and then choose the session time.

4. Hit the down arrow on "Analytics: Traffic" and a section will open

showing you more information. You can see 5 unique visitors here,

and 4 registrants. 4 Live attendees and 0 replays

5. Hit the down arrow on "Analytics: Inside Your Webinar" and you

can see more about your webinar and

6. Click "Download chat history" so you can remember who chatted

and what was said!

Seeing Who Attended

1. Now you can go to "Analytics: Registrants & Attendees" and see

who actually visited your webinar.

2. You can sort the list so you only see who attended live, who saw

replays... and more.

3. The gray bar can be used to scroll further right to see more

information on the attendees.
