In the last two years, thousands of trees have been planted through Ricoh’s Trees for Schools fundraising initiative. By partnering with Ricoh, schools purchase native seedlings at a subsidised rate and then on-sell the seedlings to friends and family.

The initiative is proving to be a great way for schools to raise funds. Last year, Havelock North Intermediate School partnered with Ricoh New Zealand dealer Hawke’s Bay Document Technology (HBDT), and raised more than $7,000 through the sale of seedlings. The money raised will be put towards the beautification of the school grounds, and an all-weather outdoor area for students.

School Principal Graham Ellis was enthusiastic about the programme. He says, “Trees for Schools not only benefited our school but also provided the opportunity for native trees to be planted in the wider community.”

Managing Director of HBDT, Duncan Wallace says it was great to be able to give something back to the community. “Staff enjoyed being able to actively contribute to a local school. The staff and students worked hard and the fundraiser was more successful than any of us imagined,” says Duncan.

In 2009, Fairfax Media Business Group and PricewaterhouseCoopers launched the inaugural Sustainable 60 Series. This exciting initiative was designed to foster and reward sustainable business practice within New Zealand. The Award Series saw 110 entries from around New Zealand – and winners for each category were announced in December last year.

The final stage of the 2009 series is wrapped with half day workshops in Auckland and Wellington. They covered: ‘Workplace and Environment’, ‘Strategy and Governance’ and ‘Marketplace’ and finally Community.

Businesses who attend the workshops will be given valuable knowledge on building a sustainable business model. In addition, Sustainability 60 Series Award winners from 2009: Locus Research, New Zealand Merino Company, Urgent Couriers and IAG among others – will share their successes in sustainability.

Looking ahead, the 2010 Sustainability 60 Series entry dates are set to be announced in the next few months. Ricoh is proud to continue to provide sponsorship of this important series.

Members of the cardiology community and other supporters embarked on a mammoth journey to cycle the length of New Zealand. The event, known as The Great Ride for Heart’, saw cyclists riding 2,117km to raise one million dollars for the Heart Foundation’s Cardiovascular Research Fund. Held over 14 days in early February – the event pitted rider against terrain in the aid of saving Kiwi hearts.

Twenty-four core riders undertook the immense challenge of cycling the entire way from Cape Reinga to Bluff, and all had pledged to raise $10,000 each towards the cause. Forty-three supporting cyclists also joined in the fundraising effort by riding different legs of the journey.

Dr Malcolm Legget, a cardiologist at the Auckland Heart Group, was one of the many cardiologists who took part. He says that the concept of the Great Ride for Heart was an interesting, if not slightly crazy idea. But with numerous keen cyclists in the cardiology community, this type of fundraising venture was bound to appeal.

“Many of us in this field are very keen cyclists,” says Dr Legget. “Some of us have had a long-standing ambition to ride the whole length of New Zealand. It seemed like a good idea to combine this ambition with a really worthwhile cause.”

And it is a good cause. Cardiovascular disease (heart disease and stroke) is New Zealand’s number one killer of men and women. It is responsible for 40% of all deaths and many of these are preventable. The money raised in this event will go towards establishing a Chair in Preventative Heart Health at the University of Auckland. This will enable new preventative heart health research specific to New Zealand’s needs.

“Raising money to research better ways of preventing and detecting heart and blood vessel disease will enable us to prevent New Zealanders dying prematurely of heart disease. These types of events are very important to help both raise funds for vital research, education and heart health awareness” says Dr Legget.

The fundraising began well before the Great Ride for Heart officially started. Participants raised money through online fundraising pages, and encouraged friends, family and the general public to support them through sponsorship.

Businesses such as Ricoh also got behind the effort by becoming major supporters. Many, including Ricoh sent their own teams to cycle part of the journey. Ricoh Managing Director, Mike Pollok was part of the Ricoh team that completed the 1,026km South Island leg. His preparations had him spending many hours training over the summer – just like many other riders.

Once the training had been completed, and the bulk of the fundraising done – the participants finally lined up to start the journey on 1 February. The first day was an 196km journey from Cape Reinga to Rawene and was the first of 14 legs that spanned the entire country.

The journey was to be no easy task. Each day a distance of at least 165km lay ahead – and one particular tough day’s

cycle, had the riders pedalling 225km. The cyclists battled sun, testing winds and long arduous hill climbs that left legs like jelly, and the body gasping for water. Crates of anti-chafing cream were at the ready. This was no walk in the park, yet everyone remained in good spirits.

Along the way the riders helped to promote awareness of heart health in the towns they visited, and kept supporters updated through regular blogs.

Quite aptly, the event finished on a day concerned with matters of the heart – Valentine’s Day. As the cyclists rode into Bluff, they were met with a traditional Maori welcome. There were speeches and after the epic journey that had taken place, a few tears as well. The journey may have ended, but with the money that was raised, there’s now hope for the future for heart health in New Zealand.

Centralised, time saving printer fleet management,

plus control of printing costs – sound interesting?

That’s what this government ministry* achieved

with help from Ricoh.

BackgroundThe ministry has created a collaborative working

environment at their national office, with printing facilities

playing a leading role.

RequirementsThe ministry wanted to create a printing and copying

environment that could be efficiently managed, whilst

increasing the flexibility and quality of output for staff.

In particular:

• They wanted to understand how printing costs were

spread across the organisation. This meant auditing of

printing, copying and scanning by device, department

and user.

• Secure printing to shared **multifunctional devices

(MFDs) in order to remove the large number of personal

printing devices, which were proving expensive.

• Staff needed to be able to send a document to print, then

release it from any MFD in the building.

• A centrally managed printing solution. For example, when

a change was configured on one device, it would be

replicated on all machines.

• The solution needed to integrate with the ministry’s

centralised fax server (Message Manager).

• Efficient network scanning direct to email.

• Print, copy and scan jobs were not to be stored on the

MFDs hard drive.

• The solution also needed to comply with The Records

Management Act, requiring Government departments to

store scanned documents in a specific electronic format.

• The new system also needed to cater for staff visiting

from other offices.

“ It’s a great system. The machines are user friendly and we can see when and where our printing budgets are being used.” Ministry Support Services Manager

SolutionFirst, the Ricoh account management team spent time

with the Support Services Manager and other internal

stakeholders to ensure they fully understood the ministry’s

requirements. The solution from Ricoh incorporates:

• Equitrac Office software for print and copy control,

which provides detailed print, copy and scan reporting.

• Secure and Follow-YouTM printing. Staff simply swipe

their building access proximity card at any MFD in the

building and select the print job they would like to print

at that time. In addition, to help reinforce efficient staff

behaviour, the cost of each print/copy session is shown

on the MFD’s screen. Staff visiting from other offices can

still print by typing in their staff PIN code.

• Ricoh Web SmartDeviceMonitor for fleet management.

• The MFDs are linked to the ministry’s fax server, enabling

easy, compliant faxing.

• All MFDs are connected to the ministry’s internal staff

directory, allowing staff to scan a document and easily

email it, directly from the Ricoh MFD’s touch screen.

• Ricoh data overwrite security units fitted to each MFD

ensures sensitive information is automatically overwritten

so cannot fall into the wrong hands.

• ScannerVision software has been adopted to save

scanned documents in secure PDF Archive (PDF-A)

format. The files can be directly routed to the correct

location within the ministry.

Ministry Support Services receive emailed monthly usage

reports automatically generated by Equitrac. At a glance,

they can see how printing costs are distributed - even who

the high users are. The next step will be to implement

Ricoh’s ‘Green Reporting’, for clear monitoring of paper

and electricity consumption.

The new devices print faster and produce better quality

documents than the old desktop devices. As a result, the

ministry has been able to reduce the amount of work they

outsource to external printing firms.

If a print job is not released within 90 minutes, it is

automatically deleted from the print queue, minimising

unwanted printouts and decreasing waste.

Efficiency

Users love being able to send a document to print, go to

a meeting on another floor and pick up their documents

from the most conveniently located MFD. There is no PIN

or code number to remember and no extra swipe card to

carry around!

The Ricoh MFD’s user-friendly, full colour touch screen is

consistent across all models, meaning staff can efficiently

use any MFD in the building.

“ We get monthly reporting from Ricoh – it shows the volumes, the price, machine servicing… it shows you everything!” Ministry Support Services Manager.

Fleet management

Ministry Support Services are on the ‘front-foot’, receiving

automated email alerts when paper or toner supplies are

running low, if machines have paper jams or other faults.

With Ricoh Web SmartDeviceMonitor, 15 minutes is all

it takes to configure all of the building’s MFDs. So, for

example, it is easy to set all MFDs to default to copying

double-sided in black and white.

Why RicohRicoh New Zealand’s account management team built a

solid relationship with Ministry Support Services and other

key ministry staff.

Other manufacturers also said their solutions could meet the

ministry’s needs, but when trialled, Ricoh’s hardware and

software were found to be the most user-friendly - both at

administrative and end-user levels.

Each month, Ricoh produces a performance report for

the ministry, providing a transparent account of machine

performance and Ricoh services.

It has been building momentum for many months now, but Google Wave is yet to make major ripples in the world of communication. If you‘ve not yet heard the buzz, Google Wave is one of Google’s online tools for real-time communication and collaboration.

1. Rationalise your office automation

2. Reduce paper waste – start printing on both sides of a sheet

It’s simple but effective: set ‘duplex’ as your default preference for all your office printers and copiers. By printing on both sides of a sheet you’ll reduce paper usage by as much as 50%.

3. Reduce paper waste – prevent uncollected printouts

Everyone gets annoyed when they see uncollected and forgotten printouts on the office printer and MFP. One way to prevent this is by using Ricoh’s Enhanced Locked Print (ELP) feature. ELP means that when a document is sent to print, it is stored on the printer and will not be printed until it is ‘unlocked’ by a user at the device. Punch in a user code, or make your staff ultra efficient by enabling them to release jobs with a simple proxy card swipe. ELP will not only reduce paper waste, but it will also increase your organisation’s security as well.

4. Reduce paper waste – digitally archive documents

By using Laserfiche technology, you can eliminate the need to access hard copy documents. Instead of reproducing and storing hard copies of documents, you scan them and use soft copies. All records are archived electronically, alleviating the need to print and store paper documents, with the added advantage of having a fully searchable archive repository. You can then offer your clients the option of receiving electronic invoices and statements.

5. Reduce paper waste – use recycled or sustainable paper and recycle paper

Embark on an office policy to only use either approved recycled paper or paper that is certified as environmentally sustainable. There are different certifications available, including the Sustainable Forestry Initiative (SFI), Forest Stewardship Council (FSC) and Program for Endorsement of Forest Certification (PEFC).

Contract a paper recycling service. Then embed paper recycling ‘wheely’ bins for each department and empower each employee with their own paper recycling box.

6. Reduce power use – ‘power save’ mode

Make it a mandatory policy in your office to have every office printer on ‘power save’ mode when it sits idle for 20 minutes.

And to ensure your office remains efficient use Ricoh’s Quick Start-up (QSU) Technology, for a quick recovery from energy-saving mode, allowing users to output and pick up prints whenever they need to.

7. Reduce land fill – consumable products recycling

By using Ricoh’s Toner Cartridge Takeback Program you can be assured that 100% of toner cartridges, toner bottles, waste toner containers, photoconductor units, fuser units, maintenance kits and other consumable products used will be recycled, achieving a recycling ratio of 100%. Simply register for a collection box to be sent to you. You can place consumables from any manufacturer’s facsimile machine, printer or photocopier for free collection.

Once a Ricoh machine has reached the end of its useful life, upgrade to a new Ricoh model and you can be assured that all recyclable components will be sent for recycling and not end up in landfill.
