Travel Procurement: Don’t let your budget fly away! By: Jorge E. Gómez, C.P.M.

As our global economy grew in the healthy past years and businesses expanded throughout the globe, the need for corporate travel rouse. Executives needed to travel for many different purposes. Whether to visit clients or to hold departmental meetings, the truth is that people were traveling for business. You may ask yourself why corporate travel is so important. The answer is very simple. Travel is typically amongst the highest ranking line items in the expense section of the corporate financials. While the actual raking may vary by industry, the fact is that travel is generally on the highest spending line items. For the above reason and as sourcing becomes a key player in controlling costs for the corporations, travel is an area where we are seeing more procurement involvement. But, Stop!!!! Are you ready to board this plane? Make sure that you either have the require skills to source the different components of travel for your firm or that you bring on board a subject matter expert (i.e. SME) before engaging suppliers. In order to make a program effective, we need a combination of skills typically found in both sides of the business (i.e. Procurement & Travel). While you develop the needed skill set to create a specialized travel procurement SME or organization, it is imperative that Procurement and Travel departments work together. The travel expenditure is typically divided into two main areas. One area focuses at corporate travel or individual travel. The other area is focus at group travel. The expenditure is divided into these two categories for they generally have different business requirements and negotiating conditions. The travel program is usually divided into several sub-categories for sourcing and supplier management purposes. Following the most commonly used categories, although this may vary by industry and corporation: Travel Management Company, Air, Hotel, Ground Transportation, and Technology. From a program management perspective, focus must be given at effectively influencing travelers’ behaviors and manage the travel program in general. The travel programs in the corporate world are maturing. Corporations are having better control on their spending through policy implementation and compliance. As the programs continue maturing and through this hard-hitting economy, some corporations are taking tougher stance in regards to travel policy compliance. The idea at the end of the day is to ensure that the corporation maximizes its savings opportunities while continuing to provide corporate travel services that meet the needs of their traveling community. Hence, you must make sure to prepare yourself and to board the plane heading to the city of savings. end
