Role Folder- Zonal Valuation Coordinators (ZVCs)

1.Responsible for internal valuation work for the zone & assisting the National Manager in loss control work in motor insurance claims.

2.All Valuation request to be received by ZVC from Sales. He is the single contact point for Asset Valuations for the Zone.

3.Valuation within Geo limit to be allocated by him to AVOs based on location of vehicle & availability of AVOs.

4.Valuations out of geo limits to be allocated to Approved External Valuers.

5.Regular Tracking & follow up for both Internal & External valuation to Ensure availability of valuation report within stipulated TAT.

6.Responsible for Quality of reports in terms of capturing all check points correctly & providing the valuation amt correctly.

7.Ensuring achievement of Productivity of AVOs as per norms.

8.Ensuring sufficient No. of AVOs on board for provided stipulated TAT

Do’s

1. Allocation & re-allocation of Asset Valuations to AVOs based on availability of vehicles to ensure min. TAT.

2. Maintaining Tracker & daily sharing the same with EMG, Claims & Sales capturing the status of completed & pending valuation reports.

3. Maintain Data & relationship with all live external Valuers for getting valuations done for "Out of coverage Area" cases.

4. Regular Monthly Sample checking of Actual Valuations at Field level for quality control.

5. Regular monthly training of AVOs on valuation aspects for quality control

Don’ts

6. Allocate cases within "Coverage area" to external Valuers.

7. Get influenced by others for valuation amt & on report quality

1. Asset valuation within 125 kms of branch radius

2. Receive allocation of valuation from ZVCs

3. Identify “within coverage area” or “outside coverage area” cases for valuation

4. Inform the "Out of Coverage Area" cases to ZVC

5. Complete valuation as per standard format & report within 48 hrs of receipt of allocation

Do’s1. Call up the customer/representative for place & time of availability of vehicle for valuation and

arrangement of necessary docs for vehicle age identification.

2. Inform ZVC for non availability of party/his no. and/or vehicle for valuation

3. Get proper & clear chassis no. pencil Imprint on white paper

4. Take clear Photo of Chassis no. for Car & Commercial Vehicles . For Machines & Tractors clear photograph of name plate also is to be taken.

5. Doctored chassis no. or abnormality thereof to be reported correctly. Judgment relating to possible reason is to be provided

6. Assets under Body Building, assets undergoing painting, under refurbishment are to be marked as Incomplete. Such cases are to be informed to ZVC & therefore to sales for a future valuation date post completion.

7. Ensure that all assets within geo limit of 125 kms are covered for valuation. Assets which are Out of Coverage area are to be reported correctly.

Don’ts8. Delegate the valuation to a non-AVO. No valuation report w/o physical inspection should be

submitted.

9. Get influenced by others on valuation amt and or vehicle condition

Steps to be taken for Asset Valuation1. Full view Photograph of 4 sides of the vehicle.

2. Under Carriage photograph.

3. Odometer reading photograph,

4. Engine no. & Chassis no. photograph along with chassis no. tracing.

5. Close photograph of Damages if any.

6. Under Bonnet & Tail Gate photograph.

7. Cabin/Body-shell interior photograph.

8. Photograph of All Tyres & Battery. Steps to be followed while preparing valuation reportReport is to be prepared as per the prescribed format.

Valuation calculation is to be done on the basis of current market value, vehicle condition, current ex-showroom & vehicle age.

Compulsory Remarks to be filled in the report

1. Specific tyre condition with respect to wear & tear.

2. Battery condition.

3. Roadworthiness of the vehicle.

4. Engine condition of the vehicle (Exhaust smoke , Engine Sound)

5. Any tampering of chassis no.

6. Any other observation like rusting/welding etc.

Common Observations/issues

• Body condition is captured as average in all cases which does not represent the actual body condition.

• Tanker body type is generally not captured as MS/SS.

• Valuation in Bus cases do not typically capture whether1. Route Bus or Luxury/semi Luxury bus2. AC/Non AC bus3. No. of seats

• Car valuation typically does not capture SLM valuation

• Many cases do not capture front & back photo does not reflect vehicle registration no.

• Chassis impression is must, in exceptional cases where chassis impression is not clear, photo reflecting clear chassis no. would be accepted, however both are required.

• Year of manufacturing in valuation report is captured as date of 1st registration in many cases, it needs to be as deduced from chassis no.

• In chassis replacement cases, in many valuations chassis replacement is not captured. It is must.

PROCEDURE TO IDENTIFY VEHICLE & MONTH/YEAR OF MANUFACTURE – TATA Till Mar’09

Till Mar09, Tata Motors vehicle had 15 digit chassis no. 7,8 & 9 places were Alphabets depicting Month & Year of manufacturing of the asset.The first alphabet indicates the month and second and third alphabets indicate the year. For clarity sake, it is mentioned that the last right side alpahbet is constant (e. G. Q. Stands for 19 th century and z stands for 20th century), the second alphabet prior to last alphabet is derived in discending order indicating year-wise. For example, if a vehicle is delivered in the month of march 2000, the chassis coed will appear as czz
