INNReach Training:SearchOhio and OhioLink Processing Incoming and Returning Items

Hello and welcome to INNReach Training for SearchOhio and OhioLink. This video will show you how to process incoming items. 1

All incoming items come in through our delivery service, Priority dispatch. Youll know that a load is incoming when your librarys 3 digit # is listed in the To location. Each bag will contain two kinds of items; incoming items that your patrons have requested from another library, and your librarys items which are being returned. Note that both yours and the owning libraries number is located on the sticker.2Checking In Returning Items

Your own returning items will have to have the sticker or band removed and then checked in. Go to your regular check-in screen and scan the item. Pay attention to the screen as each item will produce a popup box like this one here. Click OK or press the space bar and then move on to the next item. Items that are on hold for your own patrons will produce a hold slip prompt like normal.3

Processing incoming items on Sierra will change the items status from In Transit to Received. There is no difference in the way you process a SearchOhio or OhioLink item. To do this on Sierra, go to your check in screen by choosing it from the function menu as shown here, or by clicking F2. 4

All items borrowed from another library have to have the letter b entered before every number as shown here. If you dont do this, you will get an error message saying that the barcode wasnt found. Some libraries will program their scanner to automatically enter in the b for easier processing. 5

Every item that you scan will pop up a box with information about the material. Click OK or press the spacebar to print the hold slip. If you areprinting slips and not using the paging slip, make sure to properly dispose of it as it contains personal information about the patron.6

Here is an example of Westervilles INNReach Slips. INNReach reserves are generally held for 10 days. 7

Some libraries may chose to use the paging slip that comes inside the item. The patrons name is located along the side of the page. 8Potential IssuesThere was no slip with the itemGo ahead and check the item in. Go to their account and check if the barcode is missing.

The item wont check in (error message)Make sure that you entered a b before scanning the barcode. Click F1 and enter in the patrons name. Go to their INNReach field: The item isnt there the patron cancelled the hold. Return the item. The item is there, but there is no barcode Insert barcode.

Here are some potential issues with incoming items. First, if there is no slip with the item, go ahead and check it in. In most cases the slip will print. If you scan the item and it was not located, check the sticker and make sure it was meant for your location. If it was, call the owning library and give them the barcode. They can tell you which of your patrons requested the item. Then, go to their account and see if there is a barcode associated with that item. If its missing, follow the insert barcode steps located in the next section. If you get an error message when you try to check the item in, make sure that there is a b before the barcode. If that doesnt work, go to the patrons account and click on their INNreach tab. 9Insert Barcode

Locate the item in their INNReach tab. In some cases, the item is missing the barcode. Right click in the barcode slot and choose Insert Barcode. A popup box will come up so that you can scan the number. Make sure that you click the box for printing the slip. DO NOT enter in a b before you scan in the barcode. The hold slip should automatically print. 10

This is what the patrons card looks like when they have an INNReach item ready to pick up. Note that the popup window that tells you a patron has something on hold shows 2 different numbers; one for local item holds and those for INNReach. 11
