Of course, planning began months in advance. This comprehensive, labor-intensive event leveraged the complete coordination and seamless execution of metroConnections’ four service centers: conferences, events, production and transportation.

Lighting It Up in Orlando

The ten general sessions were brought to life by a branded, illuminated stage. This creative and impressive stage set featured three panoramic screens and two vertical screens that utilized a spectacular LED concept to showcase branded imagery and presentation details in a truly powerful way. Managing the technical audio-visual requirements for the event included translating the general sessions into French for Canadian attendees.

Laughing in the Face of Rain

While metroConnections is known for logistical wizardry, the weather is still beyond our control. But, we always adapt quickly when Mother Nature throws us a curve ball, implementing contingency plans with lightning speed. As the Orlando skies darkened, we fully relocated the massive outdoor welcome reception to an indoor space that allowed attendees to mix, mingle, rejuvenate with a chair massage and reconnect without rain delay.

Fun and Fan-tastic Events

An amazing off-site event was held at the Epcot Showcase Pavilion with metroConnections transporting all attendees and guests smoothly to and from Epcot. The next evening, our team created a huge tailgating party at the hotel featuring stadium-style food booths, servers dressed as referees, and games ranging from group PacMan to arcade bowling. The general session stage was repurposed for a full band that energized and entertained the crowd.

Kudos All Around

While the behind-the-scenes coordination was extensive, meticulous attention to detail made the entire experience look effortless. Both attendees and Patterson leadership raved about the successful event and left for home with important business insights and unforgettable memories.

Big Numbers for a Big Event

• 1,800 registrants with more than 930 registration, air travel and hotel room/roommate changes

• 5,400 pieces of luggage handled

• 204 breakouts completed

• 1,600 rain ponchos distributed to attendees

Last fall, metroConnections activated in force to “Advance Dentistry,” the theme of Patterson Dental’s North American Sales Meeting held at the Swan and Dolphin Hotel in Orlando, Florida. With metroConnections on site, every detail was precisely managed and big smiles radiated from the 1,800 attendees during this multi-day event.

HB Cares: Impacting NOW!

A Gala-Style, Feel-Good Event

HB Cares, is an annual, hands-on event hosted by HelmsBriscoe that exemplifies corporate social responsibility at its best. People fly in from around the country to attend this popular event, which combines a gala ambiance with the feel-good impact of rolling up one’s sleeves to help others. Employees and company partners network and celebrate while engaging in team building activities to benefit the community.

This year’s event, “Impacting Now,” took place at the JW Marriot in Bloomington, MN – the new hotel space attached to the Mall of America. As expected, site selection was a slam-dunk for HelmsBriscoe. And, as a trusted collaborator, we were tapped for event management, custom builds, branded signage, décor, on-site social media engagement and our signature team building activity expertise.

Team Building with a Rainbow of Good Will

The Ballroom was transformed into a branded, multi-purpose space where attendees worked together side by side on activities to serve local, non-profit agencies.

Corporate Social Responsibility (CSR) Activities for Local Organizations: • Building small libraries for Little Free Library

to support free community book exchanges throughout the city.

• Wrapping gifts for Urban Ventures to support their vision of a city without urban poverty.

• Creatively painting a piano for Keys 4/4 Kids to be placed in the community, encouraging spontaneous music and building awareness for the organization.

For each activity, attendees were awarded a crayon to fill the empty crayon box they received upon arrival. Additional crayons were also obtained by visiting with representatives from other charities at the event.

After collecting a full set of crayons, attendees dropped their crayon boxes off at the custom-built Impact Wall, designed by our artists and shop staff as a focal point in the crowded ballroom. Here, wooden bins represented the different charities and each attendee used the crayon box to designate an extra monetary donation to the charity of his or her choice.

Send Attendee-Grabbing Graphical Emails

Q: When should graphical emails be utilized for a meeting or event?

A: LC: We see them used for meetings that include vendors and partners, along with employees. They’re also great for company celebrations such as holiday parties. SP: Graphical emails are for everyone! They are great for generating event attendance.

Q: What pieces of information must be included?

A: LC: The graphics often contain the theme and/or location so limit unnecessary text to avoid overwhelming the reader. Most events feature a series of emails so keep each one focused only on the required information. SP: Since most graphical emails are save the date and invite emails, they should include the event name, location and dates.

We sometimes include additional details or registration instructions, but it’s best to keep the text simple and engaging.

Q: How important is it to create a consistent theme across email, registration website and the event itself?

A: SP: It’s essential! Be sure all event registration materials (emails, website, mobile app, etc.) have the same branding throughout. LC: Typically, we only send out full graphical emails for save the dates and/or invitations. Then we create a branded email header for future communications with more content with the same branding.
